5 About this product My Print Manager is an application that enables each user to spool print data to folders on the network. Spooled print data can be printed from any device that the user specifies. My Print Manager runs on top of Device Manager. To install My Print Manager, you must also install Device Manager. 7 Overview 1 1 Overview 1.1 My Print Manager My Print Manager is an application that enables each user to spool print data to folders on the network. Spooled print data can be printed from any device that the user specifies. 8 Overview 1 Print Transmit data My Print Manager server Web application Printer My Print Manager Prot Spool data Transmit data Print System Configuration The structure of the My Print Manager system is shown below. - Enterprise Suite This is used to manage all the device and user information. - My Print Manager Server This is used to spool the data that users want to print. My Print Manager 1-

9 Overview 1 - Web Application This is used to connect to the My Print Manager server from your PC's Web browser. You can use the Web application to view the details of, delete, and change the print settings of the data that you have spooled. System administrators can use the Web application to perform such tasks as setting the devices that My Print Manager uses and setting print quotas for users. - My Print Manager Port This is used to spool the print data from your PC to the My Print Manager server. Users To use My Print Manager, users must first be registered in Enterprise Suite. Reminder When a device is configured to use MFP authentication or external server authentication, use the same name to register the user on the device or the external server as was used to register the user in Enterprise Suite. The following types of users are available. The types of features that each user type can use vary. User Types and Permissions - Regular Users These are the standard users that can use My Print Manager. - Application Administrators In addition to the features that regular users have access to, application administrators can specify the devices to use and the folders that data is spooled from as well as set print quotas for regular users. - System Administrators These are the users that manage the Enterprise Suite servers The Features of My Print Manager My Print Manager has the following features. Follow Me Print After you spool the data that you want to print to the My Print Manager server, you can print the data from any device that you specify. For example, depending on the situation, you can print the same data from devices that are on different floors or are in different departments. For details, see the "My Print Manager User's Guide." 10 Overview 1 ID & Print You can use an IC card authentication device or a biometric authentication device to log in to a print device. By logging in to the device, users can easily print data that they have spooled to the My Print Manager server. This saves the users the time that they would have used to specify the data that they want to print. For details, see the "My Print Manager User's Guide." Web Application You can access the My Print Manager server from your Web browser. By using the Web application you can: - View the details of the spooled data (available to application administrators and regular users). - Delete spooled data (available to system administrators, application administrators, and regular users). - Change the print settings of the spooled data (available to application administrators and regular users). - Specify the devices to use (available to system administrators and application administrators). - Specify the folder that data can be spooled from (available to system administrators and application administrators). - Specify application administrators (available to system administrators). - Specify the save period for print data (available to system administrators and application administrators). - Manage the folders that data can be spooled from (available to application administrators and regular users). - Apply print quotas to users (available to system administrators and application administrators). 12 Overview Limitations There are the following limitations when you use My Print Manager. - To use the ID & Print feature, the device that you want to print from must be managed by the Authentication Manager, and the device's authentication level must be set to relay server authentication. Before you can use My Print Manager to manage the device, you must use Authentication Manager to manage the device. If you first use My Print Manager to manage the device, after you use Authentication Manager to manage the device, click [Edit] to edit the settings of the managed device. For details on editing the settings of managed devices, see "Editing Managed Device Settings" on page If you have not specified relay server authentication on the device, you have to register the same user that was registered in Enterprise Suite to the device or to an external authentication server that the device uses. - In a network environment where print servers are used, we recommend that you use Active Directory to manage the devices and client PCs that are connected to that network. 13 Overview Installing and Configuring My Print Manager To use My Print Manager, follow the procedure below to install and configure it Configuring Devices Configure user authentication on all the devices that will be used as printers. We recommend that you set the authentication method to relay server authentication. If you are using the ID & Print feature, you have to set the authentication method to relay server authentication. Reminder The control panel's menu structure on each device varies depending on its model and version. For details on how to operate each device, see its manual. If you have not specified relay server authentication on the device, you have to register the same user that was registered in Enterprise Suite to the device or to an external authentication server that the device uses. Note In a network environment where print servers are used, we recommend that you use Active Directory to manage the devices and client PCs that are connected to that network. My Print Manager 1-7

14 Overview Configuring Device Manager Log in to Device Manager as the system administrator, and configure the settings as shown in the following table. These settings are necessary in order to use My Print Manager. Item Device List User List Server Settings Description Device Auto Discovery: Specify search conditions to automatically detect devices to be registered from the network. Manual Device Registration: Use this setting to manually register the devices that cannot be detected automatically. Device Management Settings: Use these settings to specify which of the registered devices will be managed. Device Information Settings: Use these settings to specify each device's communication conditions. For details, see the "Device Manager User's Guide." User Registration: Use this setting to register users. For details, see the "Device Manager User's Guide." Server Settings: Use these settings to specify whether you will use to send reports and other information. For details, see the "Device Manager User's Guide." Configuring My Print Manager Log in to Enterprise Suite as an administrator, and configure the My Print Manager settings as shown in the following table. 16 Installing and Configuring My Print Manager Port Installing and Configuring My Print Manager Port To spool data to the My Print Manager server, you must install My Print Manager Port on your client PC or on the print server. Depending on whether you use a print server or not, the PC that you install My Print Manager Port on, the tools, and the My Print Manager Port settings after installation differ..1 When You Are Not Using a Print Server If you are not using a print server, install My Print Manager Port on each client PC. Active Directory My Print Manager Port Client PC My Print Manager server To configure the application, follow the procedure below. Device 1 Install My Print Manager Port on a client PC. When You Are Using a Print Server If you are using a print server, install My Print Manager Port for Print Server on the print server. Before You Begin If you are using a print server, confirm the following conditions before you install My Print Manager Port for Print Server. - If you are using a print server, we recommend that you use Active Directory to manage the devices and client PCs that are connected to the network that the print server is on. - If you are not using Active Directory to manage the network, the user name that you use to log in to a PC must match a user that is registered in Enterprise Suite. - Even if you are using Active Directory to manage the network, if you have not specified relay server authentication, you must register the same user in Enterprise Suite as a user that has been registered in Active Directory...1 Installing My Print Manager Port for Print Server Install My Print Manager Port for Print Server on the print server. Note If necessary, the Microsoft Visual C Redistributable Package will be installed. If the user name that you used to log in to the PC contains double-byte characters, the redistributable package will not be installed correctly, so you will have to change the user name that is used to log in as an administrator to one that only contains single-byte alphanumeric characters. Log in again using this new user name, and then install My Print Manager Port for Print Server. Note You must be logged in to Windows as an administrator to install the application. Installation Procedure 1 Insert the Enterprise Suite DVD into the DVD-ROM drive, and start the My Print Manager Port for Print Server installation. My Print Manager -3

19 Installing and Configuring My Print Manager Port Click [Next]. 3 Click [I accept the terms in the license agreement], and then click [Next]. 4 Check the destination folder for the installation. If you want to install My Print Manager Port for Print Server to a different folder, click [Change], and then specify the destination folder. My Print Manager -4

20 Installing and Configuring My Print Manager Port 5 Click [Next]. 6 Click [Install]. The installer begins installing My Print Manager Port. When the installation completes, the installation completed window opens. 7 Click [Initialize]. The My Print Manager Port for Print Server settings window opens. Continue by configuring the My Print Manager Port for Print Server settings. For details, see "Configuring My Print Manager Port for Print Server" on page Configuring My Print Manager Port for Print Server This section will explain how to specify ports and the information for the server that you want to connect to. Configuration Procedure If you will configure My Print Manager Port for Print Server immediately after you install it, begin from step. 1 On the taskbar, click [Start], [All Programs], [KONICA MINOLTA], [My Print Manager Port for Print Server], and then click [My Print Manager Port for Print Server Settings]. My Print Manager -5

21 Installing and Configuring My Print Manager Port In the list for the printer driver that you want to select, click [My Print Manager Port], and click [Next]. If you click [Cancel], the settings window closes. 3 Type the name of the server that you want to connect to and the port number on the server, and then click [Next]. My Print Manager -6

22 Installing and Configuring My Print Manager Port Click [Back] to return to the Driver/Port Selection window. - URL For the server name, enter the same URL that you use to log in to the Enterprise Suite server. name]/pses/ In the above URL, replace "server name" with the host name or IP address of the computer that the Enterprise Suite is operating from. If you use an IPv6 address for the server name, enclose the server name in square brackets ([ ]). If the Enterprise Suite is configured to send SSL-encrypted transmissions, enter "https" instead of "http." - Port Number Enter the port number of the Enterprise Suite server (IIS). Procedure to View Version Information 1 On the My Print Manager Port for Print Server settings window, click the icon on the left edge of the title bar. Click [Version]. The version information appears. My Print Manager -9

Port Addition Procedure 1 On the taskbar, click [Start], and then display the list of printers. On Windows 000: On the taskbar, click [Start], [Settings], and then click [Printers]. On Windows XP/Server 003: On the taskbar, click [Start], and then click [Printers and Faxes]. On Windows 7/Vista/Server 008: On the taskbar, click [Start], [Control Panel], [Hardware and Sound], and then click [Printers] (on Windows 7, click [View devices and printers]). On the [File] menu, click [Server Properties]. 3 Click the [Ports] tab, and then click [Add Port]. 4 Type the port name (using up to 46 characters), and then click [OK]. My Print Manager -10

Uninstallation Procedure Before you uninstall My Print Manager Port for Print Server, confirm that: 0 You are logged in to Windows as an administrator. 0 My Print Manager Port for Print Server is not being used on the Driver/Port Selection window. 1 Display the uninstall programs window. On Windows 000: On the taskbar, click [Start], [Settings], [Control Panel], and then click [Add/Remove Programs]. On Windows XP/Server 003: On the taskbar, click [Start], [Control Panel], and then click [Add or Remove Programs]. On Windows 7/Vista/Server 008: On the taskbar, click [Start], [Control Panel], and then click [Programs and Features] or [Programs]. Click My Print Manager Port for Print Server, and remove it from the PC. 3 Restart the PC. My Print Manager -11

27 Basic Operation 3 3 Basic Operation This chapter will explain how to logging in to the Enterprise Suite. 3.1 Logging In to the Enterprise Suite For details on how to log in to the Enterprise Suite, see the "Device Manager User's Guide." 3. Basic Operation This section will explain the basic operations of My Print Manager Top Menu Number Item Description 1 Device List Use the Device List to register and manage devices. For details, see the chapter that discusses the Device List in the Device Manager User's Guide. User List Use the User List to register and manage users. 28 Basic Operation 3 Number Item Description 3 Counter Reader Use the Counter Reader to check device usage conditions. For details, see the chapter that discusses the Counter Reader in the Device Manager User's Guide. 4 My Print Manager Use the My Print Manager to perform tasks such as managing the print data that users have spooled and configuring settings on printer devices. For details, see "4 My Print Manager". 3.. Screen Components Reminder When you log in as a regular user, you can manage the print data that you have spooled. 5 Server Settings Use the Server Settings to configure the Enterprise Suite server settings. For details, see the chapter that discusses the Server Settings in the Device Manager User's Guide Number Item Description 1 Login User Name This displays the name of the user that is currently logged in. Logout Click this button to log out of the My Print Manager server and display the login window. 3 Go to Top Menu Click this button to display the top menu. My Print Manager 3-

29 Basic Operation 3 Number Item Description 4 Menu The menu is displayed here. Click a command on the menu to show the corresponding details on the right side of the display. Reminder If is displayed beside the menu title, click to display the collapsed menu. Click to close the menu. If is displayed, there is no collapsed menu. 5 Click this button to return to the previous menu. Note Do not use your Web browser's "Back" button. Click this button to update the screen with the most recent contents. Note Do not use your Web browser's "Refresh" button. Click this button to display help for the current screen. 6 Search Condition When a list is displayed on the screen, you can specify a search condition to narrow down what data is displayed. Select the row that you want to apply the search to from the list, and then type the search string in the text box. 7 Select All/Uncheck All When a list is displayed on the screen, click this to select or clear all the settings. 8 Number of Lines to Display When a list is displayed on the screen, click this to select the number of data entries that are displayed in the list. For example, if you click "10", 10 rows of data entries will be displayed on the screen. 9 Page Navigation When a list that can not fit on a single screen is displayed, these buttons appear. Click [<] to display the previous page. Click [>] to display the next page. Click [<<] to display the first page. Click [>>] to display the last page. You can also jump to a specified page by typing the page number that you want to jump to in the text box, and then clicking the [Go] button. 10 List Sorting When a list is displayed on the screen, if you click one of the list headings, the whole list is sorted with that heading as the key. 30 My Print Manager 4 4 My Print Manager 4.1 Administrator Settings for the My Print Manager Server The settings that an administrator can use with My Print Manager are shown below. Item Print Job Management Initial Settings Option Description Print Job List: Click to display a list of the data that has been spooled (see p. 4-). Device Management: Click to perform operations such as registering, editing, and deleting the devices that are used (see p. 4-4). Print Job Storage Setting: Click to specify the folder that users can spool print data from (see p. 4-10). Administrator Settings: Click to register and remove application administrators (see p. 4-11). Auto-Delete Setting: Click to specify the period when spooled data will be saved to its folder (see p. 4-14). ID & Print Setting: Click to specify the methods that devices use to print data (see p. 4-15). Print Quota Setting: Click to apply print quotas for My Print Manager to users. (see p. 4-16). Version: Click to check the My Print Manager version information (see p. 4-). Note You can register application administrators when you are logged in as a system administrator. My Print Manager 4-1

31 My Print Manager 4 4. Print Job List The print job list displays a list of the data that has been spooled. Item Search Condition Search Range Print Job Details Change Print Settings Delete Select All/Uncheck All Spooled Data List Description Type or select a condition that you will use to narrow down the list of spooled data. Click [Display] to apply the condition that you have specified and update the list. This is displayed when a user is logged in as an application administrator. Specify whether the list of spooled data displays print jobs from all users or only your own print jobs. Click [Display] to apply your selection and update the list. Click this button to display the details of the print data entry that you have selected in the list of spooled data. You cannot display the details of multiple print data entries at the same time. Click this button to change the print settings of the print data entries that you have selected in the list of spooled data. Click this button to delete the print data entries that you have selected in the list of spooled data. Click this button to select all the print data entries that are displayed in the list of spooled data. Click this button one more time to clear all the selected items. The spooled data list displays a list of all the print data that has been spooled to the My Print Manager server. To select a print data entry, select its check box. My Print Manager 4-

32 My Print Manager 4 Note If a system administrator is logged in or if a user with application administrator privileges is logged in and is displaying the spooled data from all users, the following buttons cannot be used - Print Job Details - Change Print Settings 4..1 Deleting Spooled Data This section will explain how to delete spooled data. Deleting Spooled Data 1 Use "Search Condition" to type or select a condition that will be used to retrieve the spooled data that you want to display. Click [Display]. A list of the spooled data that matches the specified condition is displayed. 3 Select the spooled data that you want to delete. To select all the spooled data, click [Select All]. 4 Click [Delete]. The spooled data that you selected is deleted. Reminder For details on how to view the spooled data's details or change the spooled data's print settings, see the "My Print Manager User's Guide". 33 My Print Manager Device Management You can use Device Management to display a list of devices that are being managed with Enterprise Suite. It can also be used to perform operations on the devices that are being used with My Print Manager such as registering, viewing, and deleting devices. Item Number of licenses Number of unused licenses Device Group All subgroups Display only Managed Devices Search Condition Select All/Uncheck All Description This displays the total number of device licenses that you can use with My Print Manager. This displays the number of remaining device licenses that you can use with My Print Manager. Select from the list the device group that you want to display. Click [Display] to show the selected device group in a list. If you select this check box, and then click [Display], all the devices that are contained in the group that you selected in the Device Group list and all its subgroups are displayed. If click [Display] without selecting this check box, all the devices that are contained in the group that you selected in the Device Group list are displayed. If you select this and click [Display], a list of all the registered devices is displayed. Type or select a condition that you will use to narrow down the list of devices. Click [Display] to apply the condition that you have specified and update the list. Click this button to select all the devices that are displayed in the list of devices. Click this button one more time to clear all the selected items. My Print Manager 4-4

34 My Print Manager 4 Item Display Settings Managed Devices List Manage Edit Un-Manage Description Click this button to specify the device information that is displayed in the list of devices. This displays a list of devices according to the Select Object Device setting. To select a device, select its check box. Click this button to register the selected devices as devices that My Print Manager will manage. Click this button to change the My Print Manager settings for the selected devices. 37 My Print Manager Unregistering Devices This section will explain how to unregister devices that are registered to My Print Manager. Unregistering Devices 1 From the list of devices, select the devices that you want to unregister. To display the list of registered devices, select "Display only Managed Device". To select all the devices, click [Select All]. Click [Un-Manage]. The Un-Manage window opens. 3 If you want to unregister the device even if communication with the device has failed, select [Force to delete even when the communication fails]. 4 Click [Apply]. If you click [Clear], any changes that you have made are discarded. The Device Management Result window opens. My Print Manager 4-8

The selected devices are unregistered, and the Device Management window appears Configuring the Device List Display This section will explain how to configure what information is displayed for the devices that are shown in the list of devices. Configuring the Device List Display 1 Click [Display Settings]. The Display Settings window opens. Select the device information that you want to display in the list of devices. 3 Click [Apply]. If you click [Clear], any changes that you have made are discarded. The display settings are changed, and the Device Management window appears. My Print Manager 4-9

39 My Print Manager Print Job Storage Setting These settings enable you to specify the folder that spooled print data is stored in. Item Folder Path User Name Password Retype Password Check Access Description Enter the path to the folder that spooled print data is stored in. You can only specify a local folder. Enter the user name to use to access the specified folder path. Enter the password to use to access the specified folder path. Retype the password to confirm that you entered it correctly. Click this to check whether the specified folder path can be accessed with the settings that you have entered. If the specified folder does not exist, you can create a new folder that has the specified folder path. Reminder If you change the folder path, the spooled data within the old folder is not copied to the new location and can no longer be printed from devices. Reminder When the User Name is blank, the Account by which the Enterprise Suite is being operated will be applied. The default varies depending on the version of the Internet Information Services (IIS). - IIS 5.x: ASPNET - Other than the above: NETWORK SERVICE My Print Manager 4-10

40 My Print Manager Configuring Administrator Settings The Administrator Settings window shows a list of users that can manage My Print Manager. You can register and unregister application administrators in this window. Note The Administrator Settings window is displayed when you log in as the system administrator. Item Search Condition Add Delete List of Application Administrators Description Type or select a condition that you will use to narrow down the list of application administrators. Click [Display] to apply the condition that you have specified and update the list. Click this to give a user administrator privileges over My Print Manager and add this user to the list of administrators. Click this to remove administrator privileges from all the users that you have selected and remove these users from the list of application administrators. This displays the list of application administrators Adding Application Administrators This section will explain how to give users administrator privileges over My Print Manager. Adding Application Administrators 1 Click [Add]. My Print Manager 4-11

41 My Print Manager 4 The Select Additional Users window opens. Select the user group that you want to display from the [User Group] list. To display all the users that are contained in the group that you selected in the [User Group] list and all its subgroups, select the [All subgroups] check box. A list of the users in the group that you specified is displayed. 4 Select the users that you want to register as administrators. To select all the users, click [Select All]. 5 Click [Apply]. 42 My Print Manager Removing Application Administrators This section will explain how to remove administrator privileges over My Print Manager from users. Removing Application Administrators 1 Select the users that you want to unregister as administrators. To select all the users, click [Select All]. Click [Delete]. A confirmation window opens. 3 Click [OK]. The selected users are unregistered as administrators, and the Administrator Settings window appears. My Print Manager 4-13

43 My Print Manager Configuring Auto-Delete Settings Use this setting to specify how long spooled print data will be retained in its folder. This setting applies to all folders. Item Auto-Delete Setting Never delete automatically. Automatically delete unprinted jobs after Description Print data that has been spooled is retained indefinitely. Select the number of days that print data is retained in the folder. Spooled data that is still in the folder once the specified number of days has elapsed is deleted. Note Spooled data that has not been printed on a device once the specified number of days has elapsed is also deleted. My Print Manager 4-14

44 My Print Manager Configuring ID & Print Settings These settings enable you to specify how devices will print data. Note If you are logged in as the system administrator, the ID & Print Setting window does not appear. Item Description ID & Print Use When you log in to a device, it prints all spooled data. In the initial settings, ID & Print is set to "Use". Do Not Use To print data, you must log in to a device and select the data that you want to print. Note The ID & Print setting is enabled on all devices whose authentication methods are set to relay server authentication. My Print Manager 4-15

45 My Print Manager Configuring Print Quota Settings These settings enable you to apply print quotas for My Print Manager to users. Item Set Individual Print Quota Define Quota Templates Description To apply quotas to each registered user, select this, and then click [Next]. To apply quotas to each user group, select this, and then click [Next] Setting Print Quotas by User This section will explain how to apply print quotas for My Print Manager to each registered user. To apply the same settings as the parent template, select "Same as Parent Template". Proceed to step 9. 7 Select whether to set a quota on the number of print data files that can be spooled. If you select to specify a quota, enter the total number of jobs. 8 Select whether to set a quota on the storage size of print data files that can be spooled. If you select to specify a quota, enter the total storage size. 9 Click [Apply]. If you click [Clear], any changes that you have made are discarded. The user quotas are set, and the Print Quota Setting(Users) window appears. Note When you have set a quota on the total document size that a user may print, if a user exceeds this quota, the user will not be able to spool print data. However, if the user's current total document size is under this quota, even if the print data that they transmit puts them over the quota, that last set of print data will be spooled. 48 My Print Manager Setting Print Quotas by User Group This section will explain how to set print quotas to My Print Manager users by user group. Setting Print Quotas by User Group 1 Select "Define Quota Templates", and then click [Next]. The Print Quota Setting(User Groups) window opens. Type or select a search condition that will be used to retrieve the user groups that you want to display. To select all the user groups, click [Select All]. 3 Click [Display]. A list of the user groups that match the specified condition is displayed. 4 Select the user groups that you want to apply print quotas to. To select all the user groups, click [Select All]. The Quota Template window opens. 6 Specify whether to set each user group's quotas separately or to assign the same quotas as the parent template that contains the user group. If you select "Same as Parent Template" when the specified user group does not have a parent template, no limitations are set on the specified user group. If you select "Same as Parent Template" when all user groups are selected, not all quotas are applied to all the selected user groups. To apply the same settings as the parent template, select "Same as Parent Template". Proceed to step 9. 7 Select whether to set a quota on the number of print data files that can be spooled. If you select to specify a quota, enter the total number of jobs that a user in the user group can spool. 8 Select whether to set a quota on the storage size of print data files that can be spooled. If you select to specify a quota, enter the total storage size for a user in the user group. 9 Click [Apply]. If you click [Clear], any changes that you have made are discarded. Note If you have selected "Same as Parent Template", and if the quotas that you have specified for user group A and its parent template user group B differ, the quotas that you have specified for user group A will be applied to all users that it contains.
