5 Introduction Introduction These notes will guide you step-by-step through the process of inputting all the required data for KS1 Teacher Assessments, submitting the return and reporting to parents. Your submission should be completed by 5pm on Monday 25 th June Pupils to Include For children who transfer to a new school mid-year, whichever school the child is attending in the month of May (when the tests must be administered) should include that child s data in their submission. The KS1 ARA states: If a pupil changes school before Tuesday 1 st May, the receiving school must administer the KS1 tests to the pupil and submit TA data for them. If a pupil changes school during the KS1 test period in May 2018, the receiving school must find out which tests have already been administered to the pupil and administer any remaining tests. The school where the pupil was registered for the greater number of school days in May should submit TA data for that pupil to the LA. If a pupil changes school after 31 st May 2018, the school where the pupil was registered during the KS1 test period must submit TA data. In most cases, this means that you will be responsible for returning KS1 data for any child that is on your school roll on 16 th May P-Scales The use of P Scales is statutory for children with Special Educational Needs who are working below the pre-key stage standards. Schools will need to use P-Scales to record and report the achievements of those children in the core subjects. If a child with EAL has been assessed as working below the pre-key stage standards in any subject, they will need to have a value of NOTSEN entered in the P-Scale marksheet (see page 14). 7 Downloading and Importing the KS1 Wizard Pack Downloading and Importing the KS1 Wizard Pack Potential changes to the KS1 Wizard mean that you will need to download the latest version from our website at: bit.ly/hflkeystage or Downloading the Wizard Pack 1. In Internet Explorer, navigate to the webpage detailed above and right click on the file named Key Stage 1 Wizard England 2018.xml. 2. Select Save target as from the menu. (If you are using another browser e.g. Chrome, then you may have Save link as the option instead, and you may find that the file is downloaded directly into your Downloads folder, in which case you can import directly from there.) 3. Create a new folder in a known location, e.g. your Documents folder, and name it Key Stage Wizards If you have already created this folder when following another document, then navigate to it. 4. 8 Downloading and Importing the KS1 Wizard Pack Importing the Wizard Pack 1. Choose Routines > Data In > Assessment > Import from the menu. 2. At this point, you MAY be offered the chance to automatically import Assessment Manager Resources. If you are not, go to step 4. Otherwise REMOVE THE TICKS FROM ALL 3 BOXES, then click Yes. Click OK to the next message, and go to step 4. If you accidentally click Yes before removing the ticks, or have done so previously when following the other end of Key Stage documentation, then you do not need to import the files from the website and can continue to page If you did click Yes before removing the ticks, the import process may take up to 20 minutes do not attempt to do anything else in SIMS whilst the import is taking place. Once finished, an Activity Log will be displayed. Close this. 4. The Import Wizard screen will now be visible. You must now import the KS1 Wizard. 5. In the Import Wizard, click on the Browse button. 6. Click the dropdown next to the Look in box and browse to your Key Stage Wizards 2018 folder, containing the file you downloaded on page 3. 9 Downloading and Importing the KS1 Wizard Pack 7. Once you have found the folder, double click on Key Stage 1 Wizard England 2018.xml, or highlight it and click Open. This file will now be displayed in the Select the file to import from field. 8. A tick should automatically appear in the Overwrite with default values box at the bottom left of the window DO NOT remove this tick. Click on the Finish button and, when prompted, click the Yes button to start the import process. An activity log will be displayed when the import is complete. 9. Click Close. 10 Using the Key Stage 1 Wizard Using the Key Stage 1 Wizard There is no automatic process for converting the data held in AM7 marksheets (HfL steps) into the KS1 required grades, so ALL data must be entered manually. The Key Stage Wizard Manager guides you through the end of Key Stage process, from selecting the relevant Key Stage Pack and pupil group, adding/checking and validating the assessments, through to producing the Individual Reports. Opening the Wizard 1. Choose Tools > Performance > Assessment > Wizard Manager from the menu. 2. A list of available wizards is displayed. Tip: if you have many wizards from previous years in this screen, you can remove them from view by ticking the box in the Complete column. The next time you go into this screen, any wizards ticked as complete will automatically be hidden from view. The Filter box at the top of the screen allows you to view Complete, Incomplete or All wizards. NB. Do not click the tickbox in the Complete column for Key Stage 1 Wizard England Highlight the name of the Key Stage 1 Wizard England 2018 and click Next. (If you have ticked any of the Complete boxes, you will now be prompted to save the changes click Yes.) Page 6 Herts for Learning 2018 Doc Ref DMS007

11 Using the Key Stage 1 Wizard 4. The next step requires you to select your National Curriculum Year 2 group. Click on the Browse Groups button at the right of the screen. 5. Click on the + next to National Curriculum Year and select Curriculum Year Click Apply. The chosen group is displayed. 7. Click Next to display the list of marksheets. 8. To open a marksheet for data entry or editing, either double click on it or highlight it then click the Edit Marksheet button to the right of the screen. Completed The following pages describe the marksheets and valid grades allowed. Please read these carefully BEFORE proceeding to Entering Data into the KS1 A. Marksheet on page 10. 12 Using the Key Stage 1 Wizard Available Marksheets There are four marksheets available for Key Stage 1: KS1 A. Teacher Assessments 2018 to enter the Reading, Writing, Maths and Science Teacher Assessments at Subject Level. This MUST be completed. KS1 B. P Scale Data Entry 2018 to record assessments using the P-Scales for pupils where this is appropriate, or to indicate a child is working below the pre-key stage standards due to having English as an Additional Language (EAL). You must also enter a BLW (Reading, Writing and Maths) or HNM (Science) as appropriate in the KS1 A marksheet. KS1 C. Test Outcomes 2018 to support the Teacher Assessments. The raw scores and test levels are not reported at the end of Key Stage 1, nor should they be passed on to the next school in a CTF and so this marksheet DOES NOT NEED TO BE COMPLETED. KS1 D. Broadsheet (Review) 2018 shows all the data that has been entered. It can be used for review and for checking that all data has been entered. Valid Grades for Key Stage 1 Schools must report a teacher assessment level in Reading, Writing, Maths and Science. The following grades are to be used: Higher attaining Expected attainment Lower attaining Reading/Writing/Mathematics GDS Working at greater depth within the expected standard EXS Working at the expected standard WTS Working towards the expected standard PKF Foundations for the expected standard BLW* Below the standard of the pre-key stage D Disapplied Science EXS Working at the expected standard HNM* Has not met the expected standard D Disapplied (U is also present but can be ignored) A Absent A Absent *P-Scales must be entered for BLW in Reading, Writing and Maths, and for HNM in Science (where appropriate). 13 Using the Key Stage 1 Wizard The Marksheet Screen Explained Save button Undo changes since last save Calculate: this will calculate the missing entries check columns Print Data entry for this Marksheet is complete: tick this when all data has been entered on this Marksheet (OPTIONAL) Columns with an f are formula columns and will fill in when Calculate is clicked 14/05/2018 This column will show a Fail when Calculate is clicked and there is missing data Any unsaved data appears in red. Click on the Save button to save your changes. Data will then appear black. Data Entry columns have a white background. Data Review columns (read only) have a grey background. Formula columns have a symbol f in the top left corner of the column heading and are calculated (so no data entry is required). Data Entry for this Marksheet is complete: teachers can indicate when they have finished entering grades (optional). Result Date: the date the assessments were recorded. Calculate will calculate all formula columns. Zoom will open the marksheet in a larger window. Narrow will reduce the width of columns so that more will fit on the screen click a second time to increase the width again. The Print button gives you the option to print a blank marksheet that can be useful for data gathering from teachers. 14 Using the Key Stage 1 Wizard Entering Data into the KS1 A. Marksheet In previous years, we have offered an alternative way of entering the data by exporting and importing marksheets. However, with the change in grades in 2016, we strongly recommend that the grades are entered directly into the marksheet in SIMS as follows: 1. To open the KS1 A. marksheet for data entry or editing, either double click on it from the wizard or highlight it and then click the Edit Marksheet button right of the screen. 2. Click the Zoom button to open the marksheet in a larger window. to the 3. Enter 16/05/2018 into the Group Membership Date field and click Refresh. This will amend the list of pupils on the marksheet to display all those for whom you are responsible for returning Key Stage 1 data. 16/05/ Optional: if you have 2 or more form entry in Year 2, then you may wish to separate the pupils by Registration Group. To do this you first need to display the column for Registration Group. Right click on the heading Students and choose Select Additional Student Columns. 5. 15 Using the Key Stage 1 Wizard 6. A column for Reg Group will be displayed. Left click on the column heading to sort alphabetically by this column. If you need to close and then reopen the marksheet, you will have to click on the column heading to sort again. 7. To enter assessments into a column, right click in the first cell in the column and choose Select Grade for Cell. 8. A box will be displayed with the available grades for that column (see table on page 8 for details of the available grades). Reading, Writing and Maths Science 9. Double click on the required grade to enter it (or select it and click Apply & Next). The assessment will be entered and the next cell down will be selected. You can then double click on the next required grade and continue to move down the column. If you need to miss out a child with no assessment click Skip; however this should not be necessary if you changed the Group Membership Date at step 3. To close the box, click Close. 10. Where you know that a pupil should have a Disapplied or Absent code, enter D (not U in the case of Science) or A respectively into the required column. 11. If you make a mistake during the data entry, click Close and amend the grade by overtyping it. Then continue again by right clicking on the next blank cell and choosing Select Grade for Cell, as before. Doc Ref DMS007 Herts for Learning 2018 Page 11

If you have skipped an entry and need to go back and enter a missing grade, you can type directly into the cell then press Tab to move across the row or press the Down Arrow to move down the column. If you try to enter a grade that is not valid for that column, a screen will pop up to inform you of the possible valid entries. 13. The grades will display in red until saved. As soon as you reach the bottom of a column, click Close to close the grade selection box and then you should always click Save before entering the next column of data. 14. When you have completed ALL the data entry, click the Save button to save your changes. This will also calculate the missing entry columns. There should be NO omissions. 15. If there are any omissions, then pupils with missing data will display a Fail in the Missing Entry Check column, along with the number of missing entries in the No of Missing Entries column. The Missing Entry Check column can be sorted to bring all those pupils with missing data to the top of the marksheet. Right click on the Missing Entry Check column heading and select Order Rows then Descending. This sort will revert back to the original order when the marksheet is next opened. 16. Ensure that you have cleared ALL the Fails showing in the Missing Entry Check column, and that your last action before closing the marksheet is to click Save again. If you have entered a BLW in Reading, Writing or Maths, or HNM in Science (if appropriate), for any pupil, you will also have to open the KS1 B. P Scale Data Entry marksheet and enter their P Scales or NOTSEN grade. Please see page 14 for more details. 17. When you have completed the data entry, please click Print to print a copy of the Marksheet(s). This should then be given to the headteacher or Assessment Co-ordinator to check, BEFORE proceeding to create a CTF. 18. You can exit the marksheet at any time by clicking on the Close button. 17 To Return to the Data Entry Marksheet via the Wizard Using the Key Stage 1 Wizard 1. Choose Tools > Performance > Assessment > Wizard Manager from the menu. 2. Highlight Key Stage 1 Wizard England 2018 and click Next. 3. Click Next at the Group screen to display the available marksheets. This screen defaults to displaying Incomplete marksheets only. You may need to change this using the Filter box to select All or Complete if the marksheet you are looking for has been marked as completed. 4. Double click on a marksheet or highlight it and click on the Edit Marksheet button to return to entering the data, remembering to type 16/05/2018 into the Group Membership Date field and click Refresh. To Return to the Data Entry Marksheet via the Marksheet Browse Once the marksheets have been created from the wizard, they can also be accessed through the Find Marksheet screen. Use this method if you are already familiar with the Marksheet browse. 1. Choose Focus > Assessment > Marksheet Entry. 2. In the Find Marksheet screen, enter KS1 into the Template Name box and click Search. 3. Double click on the name of the marksheet for 2018 you wish to open. 4. Enter 16/05/2018 into the Group Membership Date field and click Refresh. Doc Ref DMS007 Herts for Learning 2018 Page 13

You can now enter data as described previously however, you may find it easier to click Zoom Marksheet B: P-Scales Data Entry first, to open the marksheet in a larger window. On this marksheet you will only be entering data for any pupils that have been assessed at P-Scales or who have English as an Additional Language (EAL). These should be the same pupils that you entered a grade of BLW (Reading, Writing or Maths) or HNM (Science if appropriate) on Marksheet A. If you do not enter a P-Scale or NOTSEN where BLW has been entered on Marksheet A for Reading, Writing or Maths then the check columns for each subject will display Failed to show an error has been made. However, as HNM in Science does not necessarily mean that a P-Scale or NOTSEN is required, the validation column will indicate that it is OK. You may still enter a P-Scale if necessary. Although Spoken Language as a main subject is not being collected, and there is no validation on these columns, it is recommended that P-Scales are entered for Speaking and Listening if available. Open the marksheet, enter 16/05/2018 into the Group Membership Date field and click Refresh. Click Calculate to see where P-Scales are required, and then enter as advised by the Year 2 teacher(s). As in previous years, the following codes are to be used. If a child is at P1i-P3ii level for English, then separate Reading, Writing, Speaking or Listening levels would not normally be appropriate, so an overall English Level has to be reported: English P1i, P1ii, P2i, P2ii, P3i, P3ii, NOTSEN If a child is at a level for English higher than P3ii, then the relevant separate levels P4- P8 in Reading, Writing, Speaking or Listening ARE appropriate and an Overall English level is NOT expected: Reading; Writing; Speaking; Listening P4, P5, P6, P7, P8, NOTSEN If a child is at P1i-P3ii level for Maths, then separate levels for the strands of Maths would not normally be appropriate, so an overall Maths Level has to be reported: Mathematics P1i, P1ii, P2i, P2ii, P3i, P3ii, NOTSEN If a child is at a level for Maths higher than P3ii, then the relevant separate levels P4-P8 in the Maths strands ARE appropriate and an Overall Maths level is NOT expected: Number; Using and Applying Mathematics; Shape, Space and Measures P4, P5, P6, P7, P8, NOTSEN Page 14 Herts for Learning 2018 Doc Ref DMS007

19 For Science, a single level from P1i-P8 is appropriate. Science Using the Key Stage 1 Wizard P1i, P1ii, P2i, P2ii, P3i, P3ii, P4, P5, P6, P7, P8, NOTSEN There may, however, be exceptional circumstances where a child is judged to be at P1i- P3ii in English and/or Mathematics but at P4-P8 in a particular element of the subject. Other Marksheets Marksheet C: Entering Test Levels and Raw Scores Task/Test levels and scores do NOT need to be entered so you do not need to open this marksheet. Marksheet D: Broadsheet Review This marksheet shows all the data that has been entered for all subjects for all pupils and can be viewed prior to printing to check that all data entry is complete and correct. 20 Using the Key Stage 1 Wizard Previewing and Printing the Key Stage Reports Once all the data is complete, you are ready to click Next to move to the Report step of the wizard. This step displays the Report Templates available for the selected Key Stage Wizard and from here you can print the statutory End of Key Stage Reports. Before printing you can, if you wish, preview an individual pupil report in Microsoft Word. You may be prompted to enable macros in Word, depending on your macro security level. NOTE: Sometimes errors are generated on a workstation when producing reports. These can usually be cleared by rebooting the machine, or carrying out the procedure at a different machine. If you have previously closed the wizard after entering the grades: 1. Choose Tools > Performance > Assessment > Wizard Manager from the menu. 2. Highlight Key Stage 1 Wizard England 2018 and click Next. 3. Click Next until you reach the Reports step of the wizard. This step enables the printing of an individual report called KS1 P1 Student England TA 2018 (you can ignore the second report as test scores are not to be entered into SIMS). 21 Using the Key Stage 1 Wizard The KS1 P1 Student England TA 2018 report you print may differ slightly from the example above if P Scales are included. Data Management Services will again be providing a KS1 Analysis report in the form of an Excel SIMS report which will be available to all PA+ subscribers (see page 26). The Student Report 1. Ensure that the KS1 P1 Student England TA 2018 report is highlighted. Preview Report Print Report Export Report Upload Report 2. Enter 16/05/2018 into BOTH the Membership Dates for Group fields and click the Refresh button. This will amend the list of pupils to display all those for whom you are responsible for reporting KS1 data. 3. In order to view the report for an individual pupil, tick the pupil of your choice then click the Preview Report button. The report will be generated and opened in Word (click Enable Macros if prompted). If P Scales or NOTSEN have been entered into Marksheet B, the details will be displayed in this report. After previewing the report, it is important to completely close Word before continuing. You can preview more than one pupil at a time if you wish by ticking more than one pupil once you have closed the document generated for the first pupil, the next one will then be generated. Remember, if you encounter any errors when trying to generate reports, then these can usually be cleared by rebooting the machine, or carrying out the procedure at a different machine. 4. To print the reports, click Select All to select all the pupils, or tick the ones required, then click the Print Report button. 5. To save copies of all the reports, select the required names then click the Export Report button. You will be prompted to choose a folder into which the reports will be saved (any existing files with the same names will be overwritten). Click Yes. Doc Ref DMS007 Herts for Learning 2018 Page 17

The reports will be saved in the folder, with the pupil s name and admission number in the name of the document e.g. Acton-Jordan KS1 P1 Student England TA 2018.xml. 7. To produce a report and attach it to the pupil s record as a Linked Document, click the Upload Report button. Page 18 Herts for Learning 2018 Doc Ref DMS007

23 Authorising the Submission Authorising the Submission It is a legal requirement that the headteacher must take responsibility for the reliability of their key stage data and ensure that the data submitted is accurate and complete. Therefore, before submitting any statutory data, you MUST ask your headteacher or a member of your SLT to check and authorise that the data is complete and ready to be submitted. You should do this by printing a copy of the KS1 A Marksheet, plus the KS1 B Marksheet if any pupils have been assessed on the P-Scales (page 14) ONLY WHEN THESE HAVE BEEN CHECKED AND APPROVED BY YOUR HEAD OR A SENIOR LEADER SHOULD YOU PROCEED TO CREATING AND RETURNING THE CTF. Well Done! Your data is now ready, complete and authorised. You can return to the Wizard Manager to make amendments at a later stage if they are necessary, but if you do, you must remember to Calculate and Save again, as well as printing out the marksheets for re-checking and authorising. You will also need to re-print any individual pupil reports that are affected by the change(s). Completed Doc Ref DMS007 Herts for Learning 2018 Page 19

24 Creating a KS1 File Creating a KS1 File Once all the assessments have been entered and checked, a Common Transfer File (CTF) needs to be generated in SIMS to a destination school number of 919LLLL. This file will then be returned via AnyComms Plus. Please try to create and send only ONE CTF for KS1 if possible, but if you do need to send further files (e.g. if a mistake has been made, then rectified) then please the Data Collection & Business Information Team to advise them of the reason and of the name of the files being sent, at: data.collection@hertfordshire.gov.uk. Please also check the Data Management Services Key Stage webpage at bit.ly/hflkeystage for any important updates and Frequently Asked Questions before creating and submitting the CTF. IMPORTANT: Last year, a significant number of schools had to resend files because of missing data. This suggests that the data had not been checked by the headteacher before submitting. So, BEFORE creating the CTF please ensure that both the KS1 A and KS1 B marksheets have been checked and authorised (page 19). Creating the Common Transfer File 1. Choose Routines > Data Out > CTF > Export CTF to display the Export CTF screen. 2. In the Select the CTF export type box, select KS1 excluding Tests and Tasks then click Select. 3. Under Student Options, enter an Effective Date of 16/05/2018, ensuring Current students are showing in the View drop down box. Click the Refresh Students button to view the results. 16/05/ If any pupils have left but need to be included in the file (and are not listed), then choose Current and Leavers this year from the View drop down menu and click on Refresh Students again. 25 Creating a KS1 File 5. Filter on Year Taught using the drop down arrow on the column heading to filter down to your Curriculum Year 2 pupils. 6. Highlight the first pupil in the list you wish to include in the CTF by clicking on their name and then, whilst holding down the Shift key, click on the name of the last pupil to be included (you may need to scroll down the list to see the last pupil). This will highlight all the pupils in that block. 7. Click in the Destination LA/Other field for the LAST PUPIL selected, and select Hertfordshire from the list. This should populate all the pupils destinations as Hertfordshire. If you are not including leavers go to step If you need to include leavers in the CTF, click on the drop down arrow for Year Taught and choose (All), to display all pupils. Click on the drop down arrow for Year Taught again and choose ( 2). DO NOT CLICK REFRESH STUDENTS AGAIN. Select a Destination LA/Other of Hertfordshire for the required leaver(s). 9. Click on the drop down arrow for Year Taught and choose (All), to display all pupils. Click on the heading for Destination LA/Other twice to sort the pupils so all those with the destination of Hertfordshire are at the top of the list. 10. If any of the pupils should not be included in the CTF you can remove Hertfordshire by selecting the individual pupil and choosing the blank entry at the top of the drop down list on that column. 11. Once you are sure that all the required pupils and no more have been allocated to Hertfordshire, click the Export CTF button to create the CTF. 26 Creating a KS1 File 12. A message concerning addresses and the Address Tidy and Merge routine will be displayed click Yes to ignore this and proceed with creating the file. 13. When the process has finished an Export complete message will be displayed. Make a note of the file name and then click OK. 14. The Exception Log will be displayed. Please check that there are no errors reported regarding missing KS1 data. If there are any errors, the log can be saved or printed. The Error Description column will describe which results are missing. If a pupil has such an error, you will need to open the marksheets to rectify the problem and then recreate the CTF again. Please check that the Exception Log is showing the expected number of pupils are included in the file. However, it does seem that this year the SIMS software is not correctly picking up missing P levels, so there may not be any errors relating to missing data. 27 Returning the File via AnyComms Plus Returning the File via AnyComms Plus The CTF for KS1 will be sent to the Data Collection & Business Information Team via AnyComms Plus. AnyComms Plus is a secure file transfer system accessed via the internet through a secure website. 1. Open Internet Explorer and enter into the address bar (please note it is https not http). If you prefer, you can use the link to AnyComms Plus on the Grid home page. 2. Log in to the AnyComms Plus site by typing in your username and password (the password is case sensitive). Click the Login button asked to enter the characters from your memorable word.. You will then be 3. The home page is displayed. Click on Upload a file to the Local Authority button which is in the list under the Main Menu heading. 4. Click on the Browse button under Upload your files. 5. 28 Returning the File via AnyComms Plus 6. To help locate the correct CTF, ensure that the view is set to Details View using the View button. 7. You can then click on the heading of the Date modified column to sort in reverse date order. 8. Highlight the correct CTF from the list and click Open. Remember that the file name will contain KS1. 9. The file you chose will now show in the File Name column. If you have selected the wrong file you can click on the Remove button in the Remove File column. 10. Click on the drop down in the Service column and select Data Collection & Business Info. 11. 30 Analysing KS1 Data Analysing KS1 Data Last year, we provided a report called *HfL: 2017 KS1 Analysis to provide a detailed breakdown by vulnerable groups, and by individual pupils. This year we will provide a similar report called *HfL: 2018 KS1 Analysis. This report will be available to download from the PA+ subscription website, as it will also include some analysis of the HfL Steps data. An from the website with information on how to download, import and run this report will be sent out as soon as it is available (this is likely to be in mid-june). Frequently Asked Questions 1 I cannot see some of the menu routes for Assessment. You may not have the required access rights and should contact the ICT Service Desk. 2 I accidentally ticked the bottom boxes during the automated import of Assessment Manager Resources. It doesn t matter if you ticked all boxes these just import optional resources from Capita. However, the import can take a long time (20 minutes). 3 When I go back to look for a marksheet through the Wizard, I cannot see it. Ensure you have chosen the correct wizard pack it should be for Also, the marksheet or wizard may have been marked as completed ensure the Filter says All, not Incomplete. 4 Our school needs to report the data for a child who has now left. These instructions have been designed to ensure that if you put back the Group Membership Date as described, then you will have returned the data for, and correctly reported on, any eligible pupils. 5 I need to enter P4 for English (or Maths) Subject Level in the P Scales marksheet, but it s coming up as invalid. English and Maths Subject Level are ONLY reported for levels below P4. If a child is assessed as P4 or above, then this must be entered into the separate strands (attainment targets) instead. 6 I am getting an error/my machine is hanging when producing the individual reports? This can typically be rectified by rebooting or trying on another workstation. 7 My printer is asking for a password and is doing this for all report. Printing reports will use the default printer and will not ask which printer to use. It is advisable to set your default printer to one that does not have a password to enter, as it will request this password for each pupil's report to print.
