4 Overview This document has been created to assist schools in completing their Key Stage Returns using Bromcom. This document covers Early Years, Key Stage 1, Key Stage 2 and Phonics Screening returns. The table below shows the deadline for each Key Stage Return and the method for submitting the data. There is a separate chapter on how to record P-Scales for SEND pupils, applicable to the KS1 and KS2 returns. Please remember to record P-Scales, as required, before you export the required CTF. 3
5 Accessing the marksheets general for all Key Stages Key Stage Assessment marksheets for recording the 2017 statutory assessments are built in to Bromcom MIS. They can be accessed by going into Menu > Assessment > Templates > Assessment Sheets List 4
6 Alternatively, one can access the marksheets via the Assessment widget on the Dashboard, and clicking on the More button. or via the Assessment Sheets List tile from the One Click Access page. Administrators can see the full list of Key Stage Assessment Marksheets by ticking Admin from the User Access dropdown and setting the Marksheet Type dropdown to Stage Assessment Marksheets. 5
7 Teachers can also access the Key Stage Assessment Marksheets to enter data. After accessing the Assessment Sheets List they just need to set the Marksheet Type dropdown to Stage Assessment Marksheets to see the marksheets assigned to them. Marksheets are automatically assigned to teachers based on their role, for instance Tutor Group Teacher, Head of Year. Key Stage Assessment marksheets are created for every class and year group associated with that particular Key Stage. For example, in the following graphic, KS1 marksheets are present for the Y1 and Y2 year groups (KS and KS ), as well as the Y1 & Y2 classes (KS CT, KS RL, KS CT and KS JC). 6
8 To open a marksheet simply double-click on its name and a new window will open containing the marksheet: The icons along the top of the marksheet perform the following functions: Save - saves the data that has been entered into the marksheet. Save & Close - saves the data that has been entered and then closes the marksheet. Close - closes the marksheet. Undo restores the marksheet back to its previously saved state. Print allows the user to print the marksheet to a PDF file. Vertical/Horizontal data entry these buttons determine the direction in which the cursor moves around the marksheet. Enter Mark/Select Grade selecting this button and then clicking in a marksheet cell will bring up a Mark/Select Grade window, allowing the user to enter a valid mark/grade for the pupil. Import allows the user to import data into the marksheet from a csv file. Export allows the user to export the marksheet as a csv or Excel file. If you need to import results back into the marksheet, then the csv format should be used. Options toggles on/off the visibility of further user options. 7
9 Data Entry Entering data into the marksheet can be done in four ways: 1. By typing the result directly into a marksheet cell. If an invalid grade/mark is entered the user is alerted to this fact: 2. Flood-filling a marksheet column with the same grade/mark and then changing the pupil results that differ manually. To flood-fill a column with the same value right-click the column heading and choose Set Column Value: A window will pop-up listing the valid grades/mark select/set the appropriate value and click on Apply Column Value. 8

If the Enter Mark/Select Grade button has been selected, clicking in a marksheet cell will bring up a Mark/Select Grade dialog, allowing you to select/enter a valid mark/grade for the pupil and then Apply and Go to Next pupil. 4. Exporting a blank marksheet as a csv file, entering the data into file and then importing it back into the marksheet. From the marksheet click on Export, ensure the Export Format is set to CSV and then click on OK. Once the marksheet has been downloaded as a csv file, it can be opened up in Excel, the assessment data entered and then saved. To import the data into the marksheet click on Import to bring up the Upload File dialog. Click on Choose file, browse to the location of the csv file and select it, and then click on OK. Data contained within the csv file will overwrite any existing data in the marksheet. Once the data has been imported click on Save. 9
11 Data entered into a marksheet will be displayed in red until it is saved. When you click on the Save button the following message will appear. Hiding columns Key Stage marksheets contain data entry columns for both Test and Teacher Assessment results. If a marksheet is large, you can temporarily hide columns by right-clicking on a column heading and choose Hide Column. Once columns are hidden, they can be brought back into view by right-clicking on the Student Name column heading and select Show/Hide Columns. 10
12 This will bring up the Show/Hide Columns window. Removing the tick from the Hide checkbox for a column will make it visible again. 11
13 Early Years Return specific instructions Schools using Bromcom MIS should submit their EYFS data to North Yorkshire LA by Monday 26 th June using the S2S website ( EYFS data can be entered via the EYF-2017-R marksheet, that lists all Reception pupils, or via the separate Reception class EYF marksheets. The EYF marksheet consists of 17 data entry columns, which must be completed for each pupil. The marksheet column headings display the official DfE Assessment Component names hovering over the column heading will show a more user friendly description. 12

Click on Menu > Administration > Routines > CTF Export 13
15 2. Click the Export button. 3. Set the Export Parameters panel as shown in the graphic below. Student Basic Details, Early Years Foundation Stage and Use Partial CTF Naming Convention should all be ticked. All other Data Classes To Export should be unticked. 4. In the Destination panel check the Local Authority radio button and choose NORTH YORKSHIRE from the Local Authority drop-down. 5. Click on Find and use the Select Student dialog to select your Reception cohort pupils. 14
16 6. Click on Export. You should see a message that the CTF file has been created successfully and it will be shown at the top of the CTF Files List. The filename will be in the format 815****_FSP_815LLLL_***.xml. 7. IMPORTANT - If any of the selected pupil records are missing data required for the CTF, you will be presented with the Missing Mandatory Data screen. At this point you should click on Cancel, update the pupil records accordingly, before repeating steps To send the CTF to North Yorkshire LA you need to select the file from the CTF Files List and then click on View File. The CTF will now be downloaded to your machine the location is likely to be your Downloads folder, unless your browser has been configured to save downloads into another location. 9. Once downloaded, the CTF file needs to be uploaded to the S2S website. 15
17 Key Stage 1 Return specific instructions Schools using Bromcom MIS should submit their KS1 TA data to North Yorkshire LA by Monday 26 th June using the S2S website ( KS1 TA data can be entered via the KS marksheet that lists all Y2 pupils, or via the separate KS class marksheets. The KS1 marksheet includes columns for recording the statutory teacher assessments, plus columns for the optional KS1 grammar, punctuation, spelling and mathematics tests. The last four columns of the marksheet are used for entering statutory teacher assessments you may need to use the horizontal scroll bar to make them visible. The marksheet column headings display the official DfE Assessment Component names hovering over the column heading will show a more user friendly description. 16

19 The grade sets for the KS1 teacher assessments are as follows: KS1 Reading, Writing, Maths TA s KS1 Science TA Grade Description Grade Description BLW Below the standard of the pre-key stage HNM Has not met the standard PKF Pre-key stage foundation EXS Working at the expected standard WTS Working towards the expected standard D Disapplied EXS Working at the expected standard A Absent GDS Working at greater depth at the expected standard U Disapplied A Absent D Disapplied!! IMPORTANT!! Any pupils who are working below the standard of the Pre-key Stage (BLW) in Reading, Writing or Mathematics, or who have not met the standard (HNM) in Science must have appropriate P-Scale assessments recorded via the SEN marksheet. Please refer to the chapter on recording P-scale assessments later on in this guide. As a general rule, all pupils in Y2 should be included in the data submission to the LA. However, there are some exceptions: 1. Dual-registered pupils The school where the pupil spends the majority of the time will usually report their results. However, schools can agree between themselves who should submit the results for that pupil. 2. Pupils who have recently moved schools Scenario Action A pupil changes school before Tuesday 2 nd May A pupil changes school during the KS1 test period in May A pupil changes school after Wednesday 31 st May. The new school must submit the pupil s TA data. The school where the pupil was registered, for the greater number of school days in May, should submit TA data for that pupil. The school where the pupil was registered during the KS1 test period must submit TA data. 18
20 Sending the return to the LA Once the data has been entered into Bromcom you need to export a CTF containing the KS1 results to North Yorkshire LA by uploading the file to the S2S website ( 1. Click on Menu > Administration > Routines > CTF Export 2. Click the Export button. 3. Set the Export Parameters panel as shown in the graphic below. Student Basic Details, Key Stage 1 and Use Partial CTF Naming Convention should all be ticked. IMPORTANT if any pupils were assessed using P-scales you must also tick SEN and untick Use Partial CTF Naming Convention. 19
21 4. In the Destination panel check the Local Authority radio button and choose NORTH YORKSHIRE from the Local Authority drop-down. 5. Click on Find and use the Select Student dialog to select your end of KS1 cohort pupils. 6. Click on Export. You should see a message that the CTF file has been created successfully and it will be shown at the top of the CTF Files List. The filename will be in the format 815****_KS1_815LLLL_***.xml. NOTE if you ticked SEN and unticked Use Partial CTF Naming Convention on the CTF Export Parameters screen, because some pupils were assessed using P-scales, then the filename will be in the format 815***_CTF_815LLLL_***.xml. 20

23 Key Stage 2 Return specific instructions Schools should submit their KS2 Teacher Assessments to the National Assessment Agency by Monday 26 th June using the NCA Tools website ( Assessment/Home.aspx). KS2 TA data can be entered via the KS marksheet that lists all Y6 pupils, or via the separate KS class marksheets. The KS2 marksheet includes columns for recording teacher assessments, as well as the outcomes of the KS2 English reading, English grammar, punctuation and spelling, and Mathematics tests. The last four columns of the marksheet are used for entering teacher assessments you may need to use the horizontal scroll bar to make them visible. The marksheet column headings display the official DfE Assessment Component names hovering over the column heading will show a more user friendly description. 22

Sending the return Once all of the statutory data has been entered, you need to export a CTF that includes this data and send it to the National Assessment Agency via the NCA Tools Website ( 1. The filename will be in the format 815****_CTF_NAALLLL_***.xml 7. IMPORTANT - If any of the selected pupil records are missing data required for the CTF, you will be presented with the Missing Mandatory Data screen. At this point you should click on Cancel, update the pupil records accordingly, before repeating steps You now need to select the file from the CTF Files List and click on View File. 29 9. Once downloaded, the CTF file needs to be uploaded to the NCA Tools website ( 10. Instructions on how to upload TA data to NCA Tools is available in Section 4 of the following document: ge_2_submitting_teacher_assessment_data.pdf KS2 Test Results Pupil results (raw scores and scaled scores) and marked script images will be available on NCA Tools ( from Tuesday 4 th July. Raw score to scaled score conversion tables will also be available on from Tuesday 4 th July. There will be two types of files available: a spreadsheet type (CSV) which you may find useful for viewing the results a zipped CTF format which can be used to import the results into Bromcom. 1. Download the zipped CTF file to a location of your choice e.g. Downloads folder. 2. Navigate to this folder and unzip the file into the same location 3. You can then import the unzipped CTF into Bromcom in the normal way Menu > Administration > Routines > CTF Import. 28
30 4. Browse to the location of the KS2 Results CTF file and click on OK to import the data. 5. To inspect the results you have just imported open up the KS marksheet as described earlier. 29
31 Phonics Screening Years 1 and 2 Return specific instructions Schools using Bromcom MIS should submit their Phonics Screening data to North Yorkshire LA by Monday 26 th June using the S2S website ( The Year 1 Phonics Screening needs to be completed for all current Y1 pupils. Phonics re-checks need to be completed for any pupils currently in Y2 who failed to achieve a grade of Wa in their 2016 Y1 Phonics assessment. Y1 Phonics Screening data can be entered via the KS marksheet that lists all Y1 pupils, or via the separate KS class marksheets. Y2 Phonics re-check data can be entered via the KS marksheet that lists all Y2 pupils, or via the separate KS class marksheets. The fourth and fifth columns of the KS marksheet are used for entering Phonics data. The column headings display the official DfE Assessment Component names hovering over the column heading will show a more user friendly description. 30
32 The following table provides the list of Phonics column heading descriptions together with the valid entries. Go to Menu > Assessment > Routines > View/Amend Assessment Data 31
33 2. Use the Student Find to select your Y2 pupils. 3. In the Columns panel check the Stage Assessment radio button, set Year to 2016, Stage to KS1, and then select Phonics Screening Check Mark and Phonics Screening Check Outcome as shown in the following graphic: 4. Click on View to see a list of pupils with their Phonics mark and outcome from Y1. Any pupils who do not have an outcome of Wa need to be re-assessed in Phonics. 32
34 5. The list of pupils with their Phonics results can be downloaded into a spreadsheet file by clicking on the Excel icon. IMPORTANT The threshold mark for Phonics screening in 2016 was 32 out of 40; however, this may change for DfE will not make an announcement on this until Monday 26 th June - the same day as the deadline for submitting Phonics data to the LA. You can submit your Phonics data to the LA before this date, if you wish, as the outcome grades are not required as part of the return to the LA. If you do submit this return prior to the 2017 threshold mark being announced, please remember to revisit the KS marksheet to record each pupil s Phonics outcome. Sending the return to the LA Once the data has been entered into Bromcom you need to export a CTF containing the Phonics results to North Yorkshire LA by uploading the file to the S2S website ( 1. Click on Menu > Administration > Routines > CTF Export 2. Click the Export button. 33

37 P-scale assessments for KS1 and KS2 returns For the KS1 and KS2 TA submissions, any pupils who are working below the standard of the Prekey Stage (BLW) in Reading, Writing or Mathematics, or who have not met the standard (HNM) in Science should have appropriate P-Scale assessments recorded via the SEN and SEN marksheets respectively. The SEN marksheets consist of 18 data entry columns only the first 10 are applicable to Primary schools. The column headings display the official DfE Assessment Component names hovering over the column heading will show a more user friendly description. 36
