Getting Started and System Requirements Before getting started: Before Getting started it is important that you make sure that you are current with all of your updates for Microsoft Windows and Microsoft Office In order to check for Windows update you can go to the following link: In order to check for Office updates you can go to the following link: System Requirements: Windows Operating System - Windows 98 or higher Java Runtime Environment Version 5.0 or higher (to download go to: Broadband Internet Access Important Downloads: 1. If you are running Windows Office 2000 you need to install the Microsoft Office Patch: The Cirrata DIM Office 2000 Update. Go to Downloads to get a copy of this patch. 2. Go to Downloads to install a copy of The Cirrata DIM URL Length Update. This Microsoft patch will allow you to increase the names of you folder from 100 to 260 characters. b. Confirming Your Login and Password(s) As a Cirrata Client you need to have some or all of the following Usernames and Passwords before you begin the Setup and Installation process: Cirrata Appliance Name: - all users - (IP Address or domain name) Cirrata Username: - all users Cirrata Password: - all users - (default is set to Cirrata but you will change this during installation of your client) If you do not have your required Usernames and Passwords please check with your Cirrata Administrator or call the Cirrata Help Desk Cirrata Remote Conferencing/Desktop Access customers may receive 2 additional Cirrata Usernames for 2 satellite machines Please make sure to write down your Usernames and Passwords and keep them in a secure place where you can locate them if you need them Note: Do not install more than one Cirrata Client with the same Username. This can create problems for the quality of the Cirrata Service. c. How to Change Your Cirrata Password You must 1 st have the Cirrata Client installed: 1. Go to Start>Programs>Cirrata>Cirrata Desktop Client>Service>Change Password 2. Enter your current Cirrata Password 3. Enter your new Cirrata Password 4. Confirm your new Cirrata Password

4 2. Cirrata Digital Information Manager ( DIM ) Basics - Overview a. Cirrata CMS - Overview i. How to Access Your Cirrata Folders: Cirrata Folders are a powerful and intuitive tool that allows Users to organize and share information with others in a secure and straightforward manner. Cirrata Folders look, feel and act just like folders on your Microsoft operating system desktop. However, unlike folders on your desktop Cirrata Folders are available to you anytime, anywhere and from any Internet connection and can be shared and protected on a case by case basis. The Cirrata Repository is divided into 2 sections: o Private Area - only for the Cirrata User o Public Area - area where Cirrata User can share documents and folders Note: The Public Area, which is a sub-section of the Private Area is fully controlled by the Cirrata User and will remain private until it is shared with a specific participant The Cirrata Repository is organized into 4 sub directories: o Documents - area for the Cirrata User to keep private documents (Cirrata User only) o Syncs - area where Mirrored Folders are kept (Cirrata User only) o Public - area where User can create sub directories to be shared with others (Shared) o Pub-Syncs - mirror of Public Directory to allow recovery of lost or deleted files (Cirrata User only) YOUR REPOSITORY: To enter your Repository: Cirrata Tool Bar Access: 1. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 2. Select Folders 3. Select Web Folder Access 4. An Enter Network Password Window will appear - enter your User Name and Password and hit OK 4

5 5. The Cirrata DIM Window will appear on the left hand side of your window. Click on your Repository link to Open 6. You should now have access to your Repository Web Access: 1. Open Internet Explorer 2. Go to Your Cirrata Homepage by typing in your URL or clicking on the Cirrata link on Your Website 3. Select Content Management 4. An Enter Network Password Window will appear - enter your User Name and Password and hit OK 5. The Cirrata DIM Window will appear on the left hand side of your window. Click on your Repository link to Open 6. You should now have Access to your Repository 5

6 PUBLIC DIRECTORY: The Public Directory, which is a sub directory of the Cirrata User s Repository, is where a Cirrata User can create folders to be shared with others To direct a third party to access the Public Directory: 1. Open Internet Explorer 2. Go to Your Cirrata Homepage by typing in your URL or clicking on the Cirrata link on Your Website 3. Select Content Management 4. An Enter Network Password Window will appear - enter the User Name and Password you have given to the third party and hit OK a. Note: Do not give your personal Username and Password to third parties. See the Cirrata Folder Access Manager section to learn how to set up and share directories with others. 5. The Cirrata DIM Window will appear on the left hand side of your window. Click on the Cirrata User s Repository link to Open 6. The third party should now have access to only the folders that are available to them in your Public Directory 7. Notes: a. A third party user will not have access to Access Manager or any other administrative functions b. See How to Access and Navigate in your Cirrata Repository c. Folder with a red tab are read only to the user and all other folders are full access d. It is possible to lock yourself out of a folder. If you do so the folder will not appear in your folder tree. To correct go back into Access Manager and give yourself permission. 6

7 ii. How to Access and Navigate in your Cirrata Repository: Cirrata Users can navigate through their Cirrata Repository using the Cirrata Explore Tree. The Cirrata Explore Tree looks and works the same way as Windows Explore in your Windows OS. 1. When the Cirrata DIM Window is opened a User will see the Cirrata Explore Tree in the left hand side of the Window. 2. Users will only see the folders to which they have authorized access; other folders will not be shown to them. 3. Read only folders will be displayed with a red tab all other folders will be full access 4. A Cirrata User can navigate using the Cirrata Explore Tree by clicking on the (+ and -) links next to each folder or clicking on the folder icons to open and close the folder tree 5. When a User wants to open a specific folder they must click on the selected folder name link 6. The Cirrata Folder will open on the right side of the screen Note: When a user moves from the Cirrata Explore Tree to the Folder view on the right side of the window they may be prompted with a notification warning. In order to turn off this notification a user must open Internet Explorer and go to: Tools>Internet Options>Security>Custom Level> Miscellaneous> Launching programs and files in an IFRAME> (change setting from prompt to enable) 7

8 iii. How to Create Cirrata Folders, Shortcuts, and Searching: 1. Cirrata Folders can be created the same way folders are created in Windows 2. Click File 3. Click New 4. Click Folder 5. Name and Save Folder 6. Additionally, you can create a Cirrata Folder by rightclicking New>Folder Additionally Cirrata Folders can be created within the Cirrata Access Manager 1. Open the Cirrata Access Manager 2. Go to Protect New Directory 3. Navigate down in the directory tree structure until you find the directory in which you want to create a new Cirrata Folder 4. Type in the new folder name in Create New Directory 5. A new directory will be created Creating Shortcuts 1. You can create a shortcut to a Cirrata folder by rightclicking on the folder and selecting Create Shortcut - or- 2. You can create a shortcut to a Cirrata Folder by going Favorites>Add To Favorites in your Internet Explorer Searching Your Cirrata Repository You can search your Cirrata repository by going to Start>Search and selecting your targeted Cirrata Repository or Cirrata Folder from My Network Places iv. Cirrata CMS - Quick Tips: 1. Always keep your Password secure 2. Never your Password or other authentication information 3. Cirrata Folders are created and managed the same way as through Windows Explorer 4. Your Microsoft Operating System will create a shortcut to any Cirrata Folder you visit. To see your shortcuts go to My Network Places in you Windows Explorer 5. Do not use Special Characters in naming your Web Folders 6. Do not save anything to your Sync or Pub Syncs Folders - treat them as read only 7. The Sync Folder is the repository of files that are being Mirrored from your Primary Computer 8. If there is something in the Sync Folder you want saved save it to another folder 9. The Pub Syncs Folder is a mirror of your Public Directory 10. If a file or folder is lost or deleted in your Public Directory it can be restored from Pub Syncs 11. If you open try to open a file from a Cirrata Folder and it does not finish opening up, go back to the selected file and click on it again to reopen 8

9 b. Cirrata Folder Access Manager i. Overview The Cirrata Folder Access Manager enables Users with the ability to create directories within their Public Directory and manage the access to those directories. A Cirrata User can Protect and Unprotect directories with a simple click of a mouse. To access the Cirrata Folder Access Manager: If your computer has the Cirrata Client installed: 1. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 2. Select Folders 3. Select Web Folder Access If your computer does not have the Cirrata Client installed: 1. Open Internet Explorer 2. Go to Your Cirrata Homepage by typing in your URL or clicking on the Cirrata link on Your Website 3. Select Folder Access 4. Enter your Username and Password 5. The Cirrata DIM Window will open 6. Click on the Manage button located over your Cirrata Explore tree 7. You should now be in the Folder Access Manager The Cirrata Folder Access Manager is comprised of 4 main sections: Protected Directories - Lists the directories inside of your Public Folder that are protected Manage Directories - Allows you to protect existing directories or create new directories inside of your Public folder Manage Users - Allows you to create and manage Users Manage Groups - Allows you to create and manage User Groups Home - Takes you back to your Cirrata Homepage ii. How to Use Cirrata Folder Access Manager Protected Directories - Lists the directories inside of your Public Folder that are protected 1. Click on Protected Directories 2. A list of all the Protected Directories inside of your Public Folder will appear. 3. Click on any of the listed Protected Directories to see which Users or Groups have access and what type of access they have. 4. If you want to change a User or the type of access they have check the appropriate box next to the User or Group and then hit the Protect It! Button to apply the change. 5. Note: Any sub-directories (child directories) will inherit the protections attributed to the parent directory. Child directories do not need to be protected separately unless you want to change the participants or rules. 9

10 Manage Directories - Allows you to protect existing directories or create new directories inside of your Public folder 1. Click on Protected New Directories 2. Click on Public to enter the Public Directory 3. Click on appropriate Cabinets and Folders until you find the directory you want to protect 4. If you want to create a new directory enter a new directory name and hit Create 5. Click on the new or existing directory name to select for protection 6. Click on Protect It! To protect the directory 7. Select Groups and Users that you want to have access to the protected directory 8. Select Allow for full access and Read Only for read only access 9. Hit Protect It! To apply the changes 10. If you want to change the name of a Protected Directory you must change it within the Protect New Directories feature in Cirrata Folder Access Manager (you can also unprotect the directory, change the name, and then protect the directory) Manage Users - Allows you to create and manage Users 1. Click on Manage Users 2. To add a new User enter a user name, address and password and hit Add User NOTE: Do not use blank spaces or illegal characters in the username 3. To Change a User's Password check the CPwd box next to the User, enter a new password and hit Change Password 4. To Change a User's check the C box next to the User, enter a new address and hit Change 5. Select "+IM" or "-IM" next to a User's name to enable or disable Cirrata Instant Messaging 6. To Disable a User check the D/E box next to the User and hit Disable/Enable Users 7. To Enable a disabled User repeat steps 1 thru 4 8. To Delete a User check the Del box next to the User and hit Delete Users 9. Global Notification can be selected to allow your Users to use the Cirrata Notification feature to notify every other User that belongs to a specific folder group 10. If Global Notification is not selected Users will only be able to use Cirrata Notification to notify the owner of the Directory Manage Groups - Allows you to create and manage User Groups 1. Click on Manage Groups 2. To create a new Group enter the Group name and hit Add Group 3. To edit a Group click on the Group name as it appears on the list 4. Select the Users you want to be included in the new Group 5. Click Change Members 10

11 c. Cirrata Notification i. Overview Cirrata Notification was created to allow a user to notify other Cirrata Folder participants about a change or deposit of a document into a specific Cirrata Folder Cirrata Notification allows the notifying party to: 1. Select which file or folder they want to notify about 2. Which parties they want to notify 3. To send a link to the File and the Directory they are notifying about 4. To notify via Cirrata IM or or both 5. To send files as attachments The Cirrata Notification via ( or IM) will contain: 1. A brief text message 2. A link to the reference file 3. A link to the directory the referenced file is in 4. A link to the parent directory ii. How to Use Cirrata Notification 1. Once you are in the Cirrata Folder that you want to notify about or that contains the file you want to notify about: 2. Click on the Notify button located above your Cirrata Explore Tree a. Or you can click on the executable file "cirrata_nt.html" b. There will be a cirrata_nt.html file inside of each folder that is created with Cirrata Access Manager. 3. Once you click on the Notify button or the cirrata_nt.html file the Cirrata File Notification Form will open Using the Cirrata File Notification Form: 1. The first section of the Notification Form allows the user to select (by checking the appropriate box) the file(s) they wish to notify about. All files in the selected folder will be presented. 2. The second section of the Notification Form asks you whether you want to suppress a link to the folder. If you do not select, a link to the folder will be sent 3. The third section of the Notification Form (Question #1) asks whether the notifying party wants to send the selected files as attachments check the box for Yes 4. The third section of the Notification Form (Question #2) asks whether the notifying party wants to send individual s to each selected party as opposed to a group check the box for Yes 5. The fourth section of the Notification Form (Send to Members:) allows the notifying party to select which members they want to notify via Cirrata Instant Messaging (IM Notification) and which members they want to notify via ( Notification) and which members receive file attachments - check the appropriate boxes 6. The fifth section of the Notification Form (Send to Non-Members) allows the notifying party to a notification to a non-member - input the appropriate address in the box 11

12 7. The sixth section of the Notification Form (Message Section) allows the notifying party to type in a message as part of the notification 8. When the form is completed click on Send Notification iii. Cirrata File Notification Confirmation 1. Once you have sent out a Cirrata Notification, you will immediately get a Cirrata File Notification Confirmation. 2. The first section of the Cirrata File Notification Confirmation (File Section) - list the files that are attached or referenced in the notification. 3. The second section of the Cirrata File Notification Confirmation (IM Notification) - lists the recipients that have been notified via Cirrata IM 4. The third section of the Cirrata File Notification Confirmation ( Notification) - lists the recipients that have been notified via and whether they received attachments 12

13 d. Cirrata Syncs i. Overview Cirrata Syncs is a folder synchronization tool that allows you to synchronization folders on your personal computer to your Cirrata Repository on the Cirrata Appliance, making them available over any Internet connection. Once a sync folder is setup, the process runs silently in the background without requiring any further effort or attention from you. This tool is fully integrated with your Windows operating system and requires very little system resources, e.g., memory, processor time, etc., for running itself. Some of the key features of this Cirrata Syncs are: o Simple, intuitive interface and fully integrated with Windows. o Works on "setup and forget" principle, i.e., after you setup a sync folder you do not need to remember about it. Synchronization is done continuously and reliably in the background saving you valuable time. o Cirrata Syncs works on your local LAN or over any Internet connection. o Synced folders are made available to you through any Internet connection, e.g., Anytime, Anywhere, Any computer. o Total flexibility in choosing what to synchronize. You can choose to sync an entire drive or a single folder. o Uses very little system resources, e.g., memory, processor time, etc., to run itself. ii. How to set up Cirrata Syncs 1. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 2. Select Info Manager 3. Select Sync Manager 4. The Cirrata Sync Setup window will appear 5. Step 1 - Create a name for the Sync 6. Step 2 - Enter the Cirrata Appliance you will be syncing to 7. Step 3 - Enter your username 8. Step 4 - Enter Your password 9. Step 5 - Select the path to the local folder you wish to sync 10. Step 6 - Select the path to the Cirrata Folder you wish to sync to i. Note: The target Cirrata Folder must be created before the sync can be established ii. If you wish to sync to the Public directory in your Cirrata Repository the path will be as follows: \username\target folder name iii. If you wish to sync to a folder other than the Public folder in your Cirrata Repository the path will be as follows: \username-p\target folder name 11. Step 7 (Optional) - If you are using a proxy server to access the Internet you will need to input the proxy settings. If you are not using a proxy server you can leave the entries blank. 12. Step 8 - Click on Create/Modify i. You will receive a confirmation if your sync has been created correctly 13

14 Other Features: 1. Schedule: This feature allows you to schedule how often you want your sync to run. 2. Sync Now: This feature allows you to manually sync your folder 3. Review Log: This feature displays a log of all the sync activity from the selected sync 4. Delete: This feature allows you to delete a sync 14

15 3. Web Conferencing and Remote Desktop Access a. How to Initiate a Web Conference or Desktop Session: 1. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 2. Select Desktop Access/Conferencing 3. Select Start Desktop 4. When the Desktop Port Window opens, enter a Port Number a. The port number you enter must be in the range of (10 through 99) 5. When the Desktop Access Security Window opens you must enter a Password for your session 6. When the Access Control Window opens, you must choose whether you want to allow or restrict access to your desktop a. If you choose to restrict access, participants will be able to see your desktop but will not be able to manipulate it b. If you choose to not restrict access then participants will be able to manipulate your desktop 7. Please wait a few seconds while the encrypted tunnels are established you will receive a confirmation window telling you that your desktop is ready for access 15

16 8. You will see the Cirrata Desktop Icon appear in the System Tray 9. Open the Cirrata Tool Bar and confirm that the Active Desktop listed in the Status Area is the same one you have initiated 10. You are now ready to host a Web Conference or Desktop Session b. How to Join a Web Conference or Access a Remote Desktop: Before You Connect: 1. In order to connect to a Cirrata Remote Desktop or Desktop Conference your computer must have the following: a. Java 5.0 or higher installed b. Port 22 must be open on your network 2. If you want to validate whether the abovementioned conditions are met you can test by going to your Cirrata Home Page (i.e. a. At the bottom of the page check to see if the Cirrata Copyright line is in a green font (this means Port 22 is open). If it is in red font then port 22 is closed. b. Underneath the Cirrata Copyright line your version of Java will be displayed. If you do not have Java installed there will be no display and the Cirrata Copyright line will be in black font. 16

17 If your computer has the Cirrata Client installed: 1. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 2. Select Desktop Access/Conferencing 3. Select Go To Desktop 4. Select Desktop Conferencing from your Cirrata Home Page 5. When the Cirrata Desktop Window appears enter your authentication information: 6. Enter the name of the Desktop Session you wish to join (10 through 99) 7. Enter the Desktop Session Password 8. hit Connect 9. The Cirrata Desktop Control Window will open at the upper left hand corner of your desktop i. This Cirrata Desktop Control Window will control your Desktop Session and cannot be closed during your session however it can be minimized to the Task Bar 17

18 10. A Security Warning Window will appear asking for permission to download a Java Applet - Answer Yes 11. Your Desktop Session should now initiate and you should now have Desktop Access 12. If your Desktop session does not initiate try closing all windows and begin again from the Cirrata Toolbar 13. If the Desktop you are trying to access is not available you will receive an error telling you the Network Connection is Not Available or Remote Side Closed Connection - check the Active Desktops on the Cirrata Tool Bar to make sure the Desktop you are trying to access is available If your computer does not have the Cirrata Client installed: 1. Open Internet Explorer 2. Got to 3. Select Desktop Conferencing from your Home Page 4. When the Cirrata Desktop Window appears enter your authentication information: 5. Enter the name of the Desktop Session you wish to join (10 through 99) 6. Enter the Desktop Session Password 7. Enter your Screen Name 8. hit Go To Desktop 18

19 9. The Cirrata Desktop Control Window will open at the upper left hand corner of your desktop i. This Cirrata Desktop Control Window will control your Desktop Session and cannot be closed during your session however it can be minimized to the Task Bar 10. A Security Warning Window will appear asking for permission to download a Java Applet - Answer Yes 11. Your Desktop Session should now initiate and you should now have Desktop Access 12. If your Desktop session does not initiate try closing all open windows and beginning again from your Cirrata Home Page 13. If the Desktop you are trying to access is not available you will receive an error telling you the Network Connection is Not Available or Remote Side Closed Connection - check the Active Desktops on the Cirrata Tool Bar to make sure the Desktop you are trying to access is available c. How to See Which Desktops are Active: 1. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 2. Click Active Desktops in the Status Area 3. A list of Active Desktops will appear 4. The Active Desktops will be presented as 4 digit number beginning with 59 19

20 5. The last two digits are the port number for the Active Desktop 6. Example: If 5925 is presented then the Active Desktop is 25 d. How to Terminate a Web Conference or Desktop Session: 1. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 2. Select Desktop Access/Conferencing 3. Select Stop Desktop Web Conferencing and Remote Desktop Access - Quick Tips: 1. Always keep your Passwords secure 2. Make sure you change your Password often and for each Desktop Session 3. Desktop password must begin with a letter, do not use passwords that begin with a number 4. When your Desktop session is activated you will see the Cirrata Desktop Icon in the System Tray - It will be Dark Blue with a Green Center 5. When a Participant comes on your Desktop the Cirrata Desktop Icon will turn Turquoise with a Green Center 6. If your are a Participant on a Web Conference or if you are accessing a computer remotely, the screen size can be adjusted by pulling the corners 7. If you want to move a file from a Desktop you are accessing remotely back to your computer you have to do it by moving the file to a Cirrata Folder and then pulling it out of the Cirrata Folder from your computer 8. We recommend that if you are going to host a Web Conference you adjust your Screen Settings to no greater than 1024 by 768 pixels. This can be done by clicking your right mouse button on your open desktop and then going to Properties>Settings>Screen Resolution 9. The Cirrata Desktop Conferencing Control Window cannot be closed during a Desktop session - however it can be minimized to the Task Bar 20

21 4. Backups a. How to Run Manual Backups i. How to Manually Run a Full Backup of Your Computer: Note: Your Computer must be on the same Local Area Network as the Cirrata Appliance in order to run a Full, Incremental or Outlook Backup 1. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 2. Select Backups 3. Select Run Full Backup Now ii. How to Manually Run an Incremental Backup of Your Computer: Note: Your Computer must be on the same Local Area Network as the Cirrata Appliance in order to run a Full or Incremental Backup 1. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 2. Select Backups 3. Select Run Incremental Backup Now 21

Click OK ii. How to Install Microsoft Backup in Windows Me: Microsoft Backup is shipped with the Windows Me Operating System; however in many cases it is not installed To Install: 1. Insert your Microsoft Windows Me Operating System Disk 2. The Microsoft Millennium CD-Rom Window should open automatically 3. If it does not open automatically then, go to My Computer and click on the CD-Rom Drive 4. Click Browse This CD 5. Open the Add-Ons Folder 6. Open the MSBackup Folder 7. Double click on msbexp.exe 8. MSBackup will now be installed 25

26 5. Disaster Recovery a. Overview Cirrata Disaster Recovery offers a simple to use alternative for you to keep all your business and personal data safe and quickly recoverable in the case of a catastrophic event. Features: 1. The Cirrata Appliance comes with a removable media that can be rotated by the Cirrata User. 2. Cirrata Disaster Recovery Protocol recommends that at a minimum you keep one removable media in the Cirrata Appliance and another one in a remote location. 3. The removable media should be swapped out periodically (swap intervals will depend on you business requirements) 4. The Removable Media maintains a mirror image of the data, operating system, settings, permissions and configurations of your Cirrata Appliance. 5. In the case of a catastrophic event that destroys your business data including the Cirrata Appliance, Cirrata would deliver you a new Cirrata Appliance whereby you would insert your removable media and within minutes you would be back in business as you were before the catastrophe. b. How to Use Cirrata Disaster Recovery 1. Cirrata Disaster Recovery Service will provide you with a minimum of two removable media for your Cirrata Appliance. 2. Keep one Media in the Cirrata Appliance and one removable media in a secure remote location. 3. Periodically you will want to rotate the removable media. Rotation frequency depends on your business requirements. 4. In order to rotate the removable media: a. Boot down the Cirrata Appliance by pushing the large button on the front of the Cirrata Appliance. b. Boot down may take several minutes. c. Once the Cirrata Appliance is powered down, unlock the removable media with the key. d. Remove the removable media. e. Insert the new removable media. f. Lock the removable media with the key. g. Boot up the Cirrata Appliance. h. If the removable media has been inserted correctly you will see the LCD display on the removable media light up and display a rotating hard drive graphic upon reboot. 26

27 6. Cirrata Mail a. Overview Cirrata Mail is a next-generation, enterprise grade server. Cirrata Mail can be accessed through a web mail interface as well as intergraded to work with Microsoft Outlook or Outlook Express on your local machine. To access Cirrata Mail's web mail interface: Cirrata Tool Bar Access: 13. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 14. Select Cirrata Mail 15. A Security Alert window will appear. To continue, either hit Yes or View Certificate to install certificate. i. Cirrata recommends that you install the certificate if you are on your local machine and if you plan to integrate with Microsoft Outlook or Outlook Express. ii. In order to install the certificate follow the instructions after selecting View Certificate. 16. An Enter Network Password Window will appear - enter your User Name and Password and hit OK 17. The Cirrata Mail web mail user interface will open. Web Access: 1. Open Internet Explorer 2. Go to Your Cirrata Homepage by typing in your URL or clicking on the Cirrata link on Your Website 3. Select Web Mail 4. A Security Alert window will appear. To continue, either hit Yes or View Certificate to install certificate. i. BEFORE YOU START: You must download and install the Connector for Microsoft Outlook.msi file to your local desktop. Please contact your system administrator to obtain this file. 2. Click on the file to run and follow the installation wizard instructions to install. 3. Click Finish when done. Setting up and Advanced account 1. Go to Start>Control Panel>Mail. 2. Select Show Profiles. 3. Click on Add and enter a new profile name (i.e. Cirrata Mail) and click OK. 4. Click on Add a new account 40

41 5. Click on Additional Server Types. 6. Select Scalix Server 7. Click on Advanced. 8. Enter the following: Server name: User name: Password: your password 9. Then click OK. 10. You will receive a positive confirmation. Click Finish. Your Advanced Account is now ready. 41

42 2. How to Import s and other personal data files from an existing Outlook Account to your Cirrata Mail Account 1. Open your Cirrata Outlook account in Work Offline mode 2. Click on File 3. Click on Import and Export Select Import from another program or file and hit Next> 5. Select Personal Folder File (.pst) and hit Next> 6. Select Replace duplicates with items imported and hit Next> 7. Select Include Subfolders 8. Select Import items into same folder in: 42

43 9. Select your Cirrata User Account in the drop-down menu 10. Click Finish 3. How to Share Calendars using the Advanced Account This instruction guide will explain how to share a calendar that belongs to one person -- a Host -- with one or more other users -- the Guests. This can only be done among Advanced users and usually involves one or more individuals being able to look at, but not change, a particular calendar -- like department members looking at a department calendar. Perhaps less common will be the case where an Assistant will need to make appointments, accept invitations, and so forth, for a Manager. There are two distinct parts for this setup. The first steps involve the Host computer, the second the Guest computers. Setting Up the Host Computer: The Host must give the Guest access at two levels in Outlook. The first is access to the Host's Mailbox so that the Guest can find the host calendar. This is achieved through "Outlook Today" which is located toward the top of the "Folder List." If you do not see the "Folder List" in Outlook, left click on "View" and choose "Folder List." 1. Now right click on "Outlook Today". 2. Choose "Properties" 3. Then select the "Permissions" tab. You are now ready to select the Guests and specify the permission you wish to give each Guest. Begin by clicking on "Add" The easiest way to select a Guest is to start typing the last name of the Guest. Outlook will find a match to what you 43

44 type. Alternatively you can move up and down the list of users until you find the Guest you are looking for. Once you have found a match you can click on "Add." Now you can repeat this procedure for as many guests as you wish. And when you are finished, you can click "OK" to complete selection of guests. Once you have selected the guests for the mailbox you need to specify what permission each guest should have for your mailbox. This is done by choosing a role for each guest from the pulldown list named "Roles." For the Mailbox this should always be "REVIEWER." -- this gives the Guest permission to "Read Items" in your mailbox, but only items that you will subsequently name. Note that this step does not give the guest permission to edit or delete items in your mailbox. Make sure not to change permission for "Default" -- this must stay as "None." When finished, click on "OK." Now you're ready to specify the permission you want to give each Guest for your calendar. To do this right click on "Calendar" and select "Properties" then "Permissions." As before, you'll need to specify the Guests. For the most part you'll want to give each Guest the ability to look at your calendar, but not to change it. So pick "REVIEWER" for each Guest. 44

45 When finished, click "OK." In the case of a Department Assistant who will want to make appointments, accept invitations, etc. for a Manager the Role should be set to "Editor," but always choose "Reviewer" for the "Mailbox Permission" no matter what permission you give for the calendar or other folder. That's all you need to do on the Host's computer. Setting Up the Guest Computers: For the Guest user just let Outlook know that you will be sharing someone else's computer and then tell it the name of the user at the host computer. To do this: 1. Go to Tools>Scalix Properties on the Outlook Menu Bar 2. Select the Advanced tab 3. Click Add. 4. Type the Host's name (as you would when addressing an ) - you only include the user name not the "@yourdomain.com extension 5. Click "OK" 6. Click "Apply" then "OK" Now, assuming the Host has given you permission, the host's Mailbox will appear on the Guest's folder list. The Guest will see the Host's calendar under the Host's Mailbox at the top of the "Folder List," and will be able to access the calendar in accordance with the permission set by the Host. Note that in Outlook 2003 the Host calendar will appear under the Calendar tab in the far left hand column. Note that the calendar is the only item that the Guest will be able to see on the Host computer and that the Host will see nothing of the Guest computer. That's all you need to do on the Guest's computer. 45

Overview: Cirrata IM provides the Cirrata User with a secure Instant Messaging platform that allows the Cirrata User to communicate with other Cirrata Users or with the users they create through Access Manager Each user created in Access Manager will receive a IM profile and be enabled to use the Cirrata IM Cirrata IM can be launched from the Cirrata Toolbar or from your Cirrata Home Page Cirrata IM offers additional functionality such as: 1. Group Chat 2. File Transfer 3. Cirrata Notification b. How to Launch Cirrata IM: Launching Cirrata IM from your Cirrata Home Page: 1. Go to your Cirrata Home Page 2. Click on Instant Messaging 3. a (Warning-Security) window will open - answer "Yes" or "Always" a. Note: You must have the Sun Java virtual machine installed in order for Cirrata IM to work properly. b. To install go to: 4. A window will open in the upper left hand corner of your screen - IM Control Window 5. You will receive a message in the IM Control Window stating Cirrata IM is Loading 46

47 6. The Cirrata IM Login Window will now open 7. In order to Authenticate a user must enter: a. The Cirrata Appliance Name (the default will already be set) b. Username c. Password 8. You should now be online a. How to Use Cirrata IM: In order to use the Cirrata IM you must first launch the Cirrata IM Client The Cirrata IM is run from the Cirrata IM Control Window The Cirrata IM Control Window will display all of the users that are relevant to the logged in party as well as their status (i.e. online, offline, etc.) 48

49 1. Managing Users: The users are listed in 2 categories: 1. Cirrata Users: these are other Cirrata Users registered to the specific Cirrata Appliance 2. Access Users: these are users that are created by the logged in party using access manager The logged in party can communicate with both types of users Other parties using Cirrata IM are restricted to communicating with only users in their group 2. Sending an IM Message: 1. Click on the party you want to send a message to 2. A Chat Window will open 3. Enter text message and hit Send 4. If the recipient party is online they will receive the message immediately 5. If the recipient party is not online the will receive the message the next time they log in 3. File Transfers: 1. Click on the party you want to send a file to 2. A Chat Window will open 3. Click on the Menu button in the upper left hand side of the chat window 4. Select Transfer File 49

50 5. A File Transfer Window will Open 6. Enter or use the browser to select the file you want to transfer 7. Click on Send 8. The recipient party will receive a notification that a file is being sent to them, they will need to accept before the file is transferred 4. Other Functions: Click on the Cirrata IM button in the lower left hand side of the Cirrata IM Control Window to open the other functions menu. 50

51 8. Installing the Cirrata Client a. How to Install the Cirrata Client: IMPORTANT NOTE: BEFORE BEGINNING THE INSTALLATION PROCESS PLEASE DISABLE ALL FIREWALL SOFTWARE YOU HAVE RUNNING. ONCE YOU HAVE SUCESSFULLY INSTALLED THE CIRRATA CLIENT YOU CAN ENABLE YOUR FIREWALL AGAIN. 1. Open Internet Explorer 2. Got to 3. Click on Support 4. Under Software Updates and Enhancements, User Manual click on Download 5. An Enter Network Password window will appear - please enter the Cirrata Website Username and Password a. If you do not know the Cirrata Website Username and Password please call Cirrata customers service 6. You should now be in the Cirrata Download Center 7. Under the Cirrata Software Downloads click on The Cirrata Client - Version 01.xx 8. When the File Download Window appears - hit Run 9. Cirrata Setup will download and the Cirrata Setup Wizard will launch - hit Next 10. The Cirrata License Agreement will appear - click on Accept and then hit Next 11. The Select Destination Location Window will appear - hit Next or input an alternate location a. Do not change location unless you really need to 51

52 12. The Ready To Install Window will appear - hit Install 13. The Cirrata Client will now install 14. When installation is complete select Launch Cirrata and then hit Finish 15. The Cirrata Client configuration will now begin 16. The Cirrata Credentials Window will now appear a. Input Appliance Name: (i.e. b. Input Port: (leave on 22) c. Input Username: your username d. Input Password: your password e. Hit Continue 17. The Installing Progress Window will appear and will inform you that your credentials are being confirmed a. If you have installed the Cirrata Client in the past and have changed your Cirrata Password you will get the Active Username Window informing your Username is active. If you can confirm this then select the Override option 18. If your installation is successful you will receive a notification window telling you that Cirrata has installed successfully 52

53 19. Before completing the Installation Cirrata will require you to change your Password - please enter/re-enter a new Password 20. You should now have the Cirrata Client loaded and configured - look for the Cirrata Icon in your system tray IMPORTANT NOTE: DO NOT INSTALL MORE THAN ONE CLIENT WITH THE SAME USERNAME AND PASSWORD. EACH CLIENT MUST HAVE UNIQUE CREDENTIALS. b. How to Uninstall the Cirrata Client: 1. Open the Cirrata Tool Bar by clicking your mouse on the Cirrata Icon in the Systems Tray 2. Select Uninstall Cirrata 3. The Cirrata Client will now be Uninstalled Alternatively, you can got to Start>All Programs>Cirrata>Cirrata Desktop Client>Uninstall 53

54 D. How to Train Your Personal Firewall: 1. Although there are many personal firewall products, most of them work similarly by setting rules for particular components and applications. 2. Once you have installed the Cirrata Client with your Personal Firewall disabled, you should start a desktop session. 3. With your Desktop Session started, re-enable your personal Firewall. 4. Your Personal Firewall should detect that some or all the following Cirrata Components are running and will ask you what you want to do - generally this is done through a pop-up: cirrata_d cirrata_s cirrata_pl cirrata_pu cirrata_pp cirrata_v cirrata_m cirrata_p cirrata_pw cirrata_pp cirrata.exe tmenu 5. You should instruct you Personal Firewall to allow communications on all ports always or to remember this rule in the future. 6. Please be patient and make sure your read the instructions carefully. If your firewall is set to block one or more of the Cirrata components, Cirrata will not work properly and then you will have to go into your Firewall application to fix that rule. 7. It may take several reboots of your local machine in order to completely train you firewall to allow Cirrata to run properly. 8. If after several reboots your Cirrata client is not running properly, you will want to uninstall and then reinstall the client. 9. Make sure your firewall allows Outbound Pings - Some firewalls will block outbound pings as part of their default settings. 54

The Cirrata Tool Bar can be opened by clicking on or holding your mouse over the Cirrata Icon 3. Almost all of the Cirrata functionality can be accessed from the Cirrata Tool Bar 4. The Cirrata Toolbar also contains information regarding your Cirrata application and the current state of functionality 5. The Cirrata Tool Bar is divided into two major sections, the Status Area and the Functionality Area b. The Status Area: 1. The Cirrata Tool Bar is divided into two major sections, the Status Area and the Functionality Area 2. The Status Area of the Tool Bar contains the information about the current state of your Cirrata functionality 3. The first section of the Status Area is the Network Status Area which tells you: Which Cirrata Appliance your Cirrata client is networked to Which port is being used to communicate with the Cirrata Appliance 4. The second section of the Status Area is the Scheduled Backups Area which tells you: If the Full Backup Scheduler is on - you will see an - F - If the Incremental Backup Scheduler is on - you will see an - I - If the Outlook Backup Scheduler is on - you will see an - O - Additionally, by clicking on Schedule Backups a Backup Log will open with additional information about your backups: 5. The third section of the Status Area is the Active Desktop Area which tells you: If your computer currently has its desktop active and what port is active If your desktop is active the port number will appear on the right hand side Additionally, by clicking on the Active Desktops a page will open showing you all the active desktops, see How to See Active Desktops 6. The fourth section of the Status Area is the Active Sync(s) Area which tells you: If Cirrata Sync(s) is installed (Yes or No) 55
