7 Chapter 1 Product Description EMC Documentum eroom software is a highly flexible, web-based collaborative environment that enables distributed teams to work together to accelerate and improve the development and delivery of products and services, optimize collaborative business processes and improve innovation, problem-solving and decision-making. eroom is flexible, configurable and can be adapted to support a wide range of business processes. eroom may also access files that reside in a Documentum Content Server. Note: For detailed information about installing or upgrading to eroom 7.4.4, refer to the eroom Installation Upgrade and Configuration Guide. For a comprehensive list of the system requirements for eroom 7.4.4, see System Requirements in the eroom Installation Upgrade and Configuration Guide. The eroom client plugin is strongly recommended for use with eroom server. Obtaining the product This product is available as an FTP download from the Powerlink site ( You should have received instructions through regarding how to download products. The Powerlink site ( provides access to control/dctm/index where a complete listing of products is available for download. Installation The instructions for installing the product are provided in the eroom Installation, Upgrade, and Configuration Guide. Before installing the software, ensure that your system meets the requirements specified in Chapter 1 of that guide: Pre-Installation and Upgrade Requirements. 8 Product Description Documentation The Powerlink website ( contains the downloadable packages for specific product versions along with the release notes, installation guide, and other relevant documentation associated with the product version. To locate product documentation, navigate to Support > Technical Documentation and Advisories > Software ~ D ~ Documentation, then select the product name and version number. Note: The majority of Content Management products are listed under Software D > Documentum?, where? = a letter, or letters, in the alphabet. Product documentation that is available online from the application (as online help) does not appear as a separate item; it is automatically downloaded and installed with the software. Technical support Documentum s technical support services are designed to make your deployment and management of Documentum products as effective as possible. The EMC Customer Support Guide provides a thorough explanation of Documentum s support services and policies. 9 New Features and Changes Chapter 2 This section lists new features in the eroom 7.4x set of releases. New features and changes for version Certification with Windows Server 2008 eroom is certified to work with Service Pack2 of Windows Server bit Standard and Enterprise editions and IIS 7. Certification with Microsoft SQL Server 2008 eroom is certified to work with Service Pack2 of Microsoft SQL Server 2008 Standard and Enterprise editions. Certification with Microsoft Office 2010 eroom is certified to work with (all service packs of) Microsoft Office Support for Mozilla Firefox 7.0 eroom introduces support for the Mozilla Firefox 7.0 browser. To use eroom Client plug-in with Firefox 7.0, you must configure Firefox on the client machine. To configure Firefox, add a new preference string in the preference file (prefs.js or user.js) by using a script or by using the configuration editor. The configuration editor can be accessed by specifying about:config in the address bar of the Firefox browser. Create a Boolean entry: dom.ipc.plugins.enabled.nperoom7.dll and specify the value as false. EMC Documentum eroom Version Release Notes 9

The eroom plug-in client will also need to be updated for use with Internet Explorer 9.0. New features and changes for version 7.4.3g There are no new features in this release. New features and changes for version 7.4.3a Support for Mozilla Firefox 3.6 and later eroom 7.4.3a introduces plug-in support for Mozilla Firefox 3.6 and later, enabling rich text editing, desktop drag and drop, and MS Outlook synchronization for the most recent Firefox releases. Download and install the plug-in manually, since the plug-in will not be installed automatically on Firefox. Restart the Firefox session once the manual installation of the plug-in is complete. Once the plug-in is installed, login into eroom. In the My member info tab, enable the Use eroom plug-in software option to be able to use the plug-in. Updated script for eroom client plug-in Customers with previously supported versions of eroom who want to deploy the eroom 7.4.3a plug-in need to replace the ClientScript.js file in their current eroom deployment to support the Mozilla Firefox 3.6 browser. Refer to Support Note esg in the following link: Note: The Internet Explorer plug-in will work even without this change. New features and changes for version Certification with Windows 7 eroom is certified to work with 32-bit and 64-bit versions of Windows 7. To use the eroom plug-in on the 64-bit version of Windows 7, you must utilize the 32-bit version of Internet Explorer 8. Note: The 32-bit version of Internet Explorer 8 is provided by Microsoft as the default browser for the 64-bit version of Windows 7. The unread marker in My erooms page is removed eroom introduces a change in behavior on the My erooms page. The unread marker displayed for each room listed in the Active erooms list in the My erooms page has been removed to avoid high memory consumption in the eroom server. You can configure the unread marker to appear on EMC Documentum eroom Version Release Notes 11

12 New Features and Changes the My erooms page for backward compatibility. However, this configuration is not recommended as it may result in server instability due to the increased memory consumption required to display the unread markers. To enable the unread marker on the My erooms page: 1. Open the eroom MMC snap-in. 2. Right-click the eroom node and select Server Tuning. The eroom Server Tuning Master Settings dialog box is displayed. 3. In the General tab, select Limits in the Category list. 4. Double-click Display unread on My erooms page in the list that is displayed. The Edit Settings dialog box is displayed. 5. Enable the Value option. 6. Click OK to save the changes. 7. Restart the eroom server. Note: If a site comprises multiple eroom servers, ensure that you restart each server to reflect the changes. Room Object Count Limit Notification The site administrator can enable the Alert administrators and coordinators when rooms approach the object limit in the Options section of the Site Settings page and select the required percentage in the Start alerting when a room reaches <%> of the limit field to receive notifications when the object limit for an eroom is about to be reached. If this setting is enabled, the site administrator, community administrators, and room coordinators receive alerts in the form of warning banners in eroom and messages when the object limit set for an eroom is reached. eroom Server Memory Management eroom incorporates important changes to the way eroom manages its in-memory caches. eroom uses several in-memory caches to provide an optimal level of performance and responsiveness for end-user requests. eroom Administrators can manage these caches using performance counters and server tuning settings to ensure maximum stability and uptime for eroom servers. Refer to Appendix D: eroom Server Memory Management in the EMC Documentum eroom Version Installation, Upgrade, and Configuration Guide for more information. 12 EMC Documentum eroom Version Release Notes

In some cases, requirements are lower for evaluation or other non-production purposes. The following requirements apply specifically to eroom. When using eroom Enterprise, the browser must be compatible with both eroom and the Documentum Client being used. For information on the requirements for eroom Enterprise and on configuring eroom to work with Content Server, refer to Additional requirements for eroom Enterprise in the eroom Installation, Upgrade, and Configuration Guide. 17 Environment and System Requirements Note: The optional eroom plug-in client requires 10MB free disk space. disk space requirement depends on usage. Index server requirement is approximately 50% of total file usage. Note: In the Standard installation, the database and index server are on the same machine as the eroom server, thus requiring more disk space. The eroom Real Time Server installation program installs it if it s not there. Sun JVM must be installed separately as Microsoft does not bundle a JVM with IE 7 or later. 19 Upgrade Notes Chapter 4 This section provides information about upgrading to the latest version of eroom from an earlier version of the eroom application. Upgrading to eroom 7.4.3, 7.4.3a, 7.4.3b, 7.4.3c, 7.4.3d, 7.4.3e, 7.4.3f, 7.4.3g, 7.4.3h, or 7.4.3i In addition to any specific issues related to upgrading from a particular version, note the following. The IsRMEnabled property and the OwnRMProtectionLevel property have been introduced in the IERURoom interface of the eroom SAAPI. Note: Before using the IsRMEnabled and OwnRMProtectionLevel APIs, Site Coordinators must manually verify whether EMC Information Rights Management (IRM) is enabled for all communities within the eroom site. Upgrading eroom In addition to any specific issues related to upgrading from a particular version, note the following. eroom stop file eroom ships with a stop file containing common English words that are not indexed for full-text search (words like to, and, the, and so on). If you have customized this file, you must propagate your customizations in all eroom upgrades. eroom SMB customer upgrades If you are an eroom SMB customer upgrading to full eroom, you must download and install the necessary language pack(s) as part of the upgrade process. SMB installs all language packs by EMC Documentum eroom Version Release Notes 19

20 Upgrade Notes default. When you upgrade, the SMB language packs will remain in place, but will be out of sync with the full eroom version. Note: Upgrading the plug-in client might force a reboot on the client machine. 20 EMC Documentum eroom Version Release Notes

Bug fixes in eroom version Bug # Description Result 500/ 47086, A large.pdf file can cause the indexing server to stop responding while attempting to incorporate their large amount of data into the index. eroom incorporates a Hummingbird patch that sets a timeout period to index a single document. When a large file is encountered, the index server works on indexing the file for the configured timeout period, aborts the task of indexing the file after the timeout is reached, and moves on to index the next file in queue. 232/ RoomMembership property is missing in the IERUSiteRoom topic of the API help. Missing note in the Community administration topic of the eroom online help. Incorrect note in the Searching by owner topic of the eroom online help. Update Content Server version to 6.x and modify the dfc.properties in eroom Installation, Upgrade, and Configuration Guide. The result of the indexing effort on this file is that the document is partially indexed. The RoomMembership property is documented in the IERUSiteRoom topic of the API help. 22 Bug Fixes in this Release Bug # Description Result 499/ , / The eroom plugin fails to upload a protected document and the "Cannot upload dialog" error occurs if the document is edited and then uploaded to an eroom folder that is configured. The Site database checker reports invalid range error for the MEMBERTIMEZONEID property. The latest Java update blocks Java Real-Time System from sharing abilities. Microsoft SQL Server account does not the have dbcreator permission associated with it. When an eroom user creates a versioned file with multiple versions and deletes the current version of the file, the deleted version of the file does not reside in the recycle bin. When an eroom user attempts to re-install eroom, the installation may fail due to the non availability of the file in the target location. N/A When an eroom member s time zone is set and the Site Database checker is run, the checker reports the invalid range error for the MEMBERTIMEZONEID property, which is not an error. In addition, the total number of time zones is incorrectly defined in the MEMBERTIMEZONEID property as 74 instead of 77. eroom users who update the Java Runtime Environment to version 6 Update 11 are unable to share files or end desktop sharing. The updates prevent the Java Real-Time System (RTS) from allowing eroom users to share files or stop the sharing of their desktop. Backing out the installed new update from Sun enables eroom users to share files and end desktop sharing. When eroom users work with eroom that runs in a SQL Server 2005 SPx environment, users require the sysadmin role to create an eroom site. The sysadmin role can be modified later as the dbcreator role comprising db_owner or db_datareader, and the db_datawriter and db_ddladmin permissions in the eroom and default SQL databases. The deleted version of the file resides in the recycle bin, so that it can be restored if necessary. If the installation fails, the ServerInstall.dll has to be copied into C:\Documents and Settings\User Name\Local Settings\Temp\eRoom Server. 23 Bug Fixes in this Release Bug # Description Result / 766 Missing information on Browser supported, IRM supported version, Hummingbird Search server version and other Pre-requisites in the eroom Release Notes. Drag and drop of an item fails from eroom to desktop on Windows Vista Enterprise for a standard user when the protected mode is ON. Added the Browser support, IRM supported version, Hummingbird Search server version information and other Pre-requisites in the eroom Release Notes. Workaround:Perform the steps listed in the following procedures to add the eroom server URL as a Trusted Site and minimize security risks between eroom and web browsers on Windows Vista When a database is created and modified by making changes to the database rows, the change log appears empty. An eroom user may experience out-of-memory error when accessing an eroom server that serves a large amount of data. Documentation for the Enable pinging and Enable rapid-fail protection options is incorrect in the eroom 7 Support for Windows 2003 document and the eroom Cluster Installation Reference Guide (versions 7.2.3c and later).while the eroom 7 Support for Windows 2003 document indicates that the Enable pinging and the Enable rapid-fail protection options in the Health tab of the DefaultAppPool Properties dialog box are selected, the eroom Cluster Installation Reference Guide (versions 7.2.3c and later) document indicates that the Enable rapid-fail protection option is Refer to the following procedures to add eroom server URL as a Trusted site: To add the eroom server URL as a Trusted Site in Internet Explorer (IE) and To add the eroom server URL as a Trusted Site in Mozilla Firefox Workaround:The eroom user has to upgrade the SQL server to 2005 to view the change log. eroom memory consumption is configurable through eroom Cache Server Tunings settings. Refer the Appendix E: eroom Security Guidelines in the Installation, Upgrade and Configuration Guide for instructions to configure the settings to avoid memory consumption. The Enable pinging and the Enable rapid-fail protection options in the Health tab of the DefaultAppPool Properties dialog box must not be selected while configuring the application pool settings for IIS. When a user edits and saves a file in a database attachment field, the database change log shows that user as the person who originally added the file. The user editing the file is no longer shown as the person who originally added the file. Note: The fix for this defect was rolled back to address 2306 for v7.4.3c, and will be addressed in a future eroom release. Table 5. After upgrading from 7.4.2f to 7.4.2g, users are unable to start Real Time (RTS) meetings The eroom object limit alert message needs clarification Folder limit extension message is incorrect Favorites added from the eroom are not handled when eroom servers are reprovisioned. There is a cross-site scripting vulnerability in the eroom application whereby malicious code can be injected by malicious users by renaming a sample file. Optimizations to the add row to database feature improve the row addition performance for large databases. Users can start RTS meetings after upgrading to eroom 7.4.3a. Appropriate warning messages will be displayed when the eroom approaches a specified object count. Appropriate warning messages have been implemented when a Folder in an eroom approaches a specific object count. eroom links added to Favorites in the browser will be handled successfully when an eroom server is reprovisioned. The eroom cross-site scripting issue has been resolved. Scripts cannot be run on a file in an eroom Real Time meeting guest user is unable to access Real Time meetings. Guest users can access Real Time meetings through eroom, successfully eroom user encounters system outage in the Application event viewer. Bug fixes in eroom version 7.4.3b Bug # Description Result 2185 Due to optimization for increased server stability in v7.4.3, site and community administrators notice a significant delay of many minutes when accessing the community settings pages with large member lists. The delay when site and community administrators access community settings pages with large member lists has been decreased to less than 30 seconds. Table 7. Bug fixes in eroom version 7.4.3c Bug # Description Result 2238 When a new eroom server is added to a provisioning group that has already been configured to use IRM services for eroom, rooms created on the new eroom server are unable to use IRM services. L10N-Online help files and text changes for the Full Text security fix are not available. When you attempt to upload an IRM-protected document (downloaded from an eroom) from your desktop to another eroom, the following invalid pop-up message appears, Unfortunately eroom was unable to create that item, because an object could not be found. When a user edits and saves a file in a database attachment field, the database change log shows that user as the person who originally added the file. Help cannot be launched from the eroom plug-in on Windows 7. In Mozilla Firefox 3.6, enable the Use eroom plug-in software option in the My member info tab in eroom after the installation of the plug-in; else, you will not be able to edit or perform the drag and drop function for any document. Due to optimization for increased server stability in v7.4.3, site and community administrators will notice that the page load is slow when accessing the community settings page with large member lists.
