3 INTRODUCTION UTAX smart is a comprehensive solution for the asset and system management of printing, copying, fax and multifunctional printer systems from all manufacturers. Thanks to the complete solution consisting of hardware and the associated software, the system can be seamlessly integrated into any existing infrastructure. Data from all printers, copiers and multifunctional devices within the network is recorded and the UTAX smart also provides the option of also including USB printers. Measuring only 15 x 15 x 2 cm, the UTAX smart hardware platform is the perfect solution for a fully-automated system management. The system can be integrated with minimum effort thanks to the fully passively-cooled hardware and the simple software handling. The UTAX smart hardware platform is integrated into the network via your Ethernet interfaces. The user interface can be retrieved via one of the conventional browsers (Internet Explorer from Version 7.x, Mozilla Firefox, Opera, Safari and others). Thanks to the automatic system recognition, basic installation is carried out within a few minutes. UTAX smart quick guide Page 3 of 17
4 BASIC SYSTEM FRONT Readiness indicator light (green) LED illuminated Power available. LED unlit Date and time set. 3 Readiness indicator light (green) LED flashing Date and time not set. Resets the network settings and the administrator password to the factory default settings. All other data and settings are preserved. 4 Reset button The network settings and the administrator password are reset to the factory default settings when the reset button is pressed during the start process. 6 WEB INTERFACE FUNCTIONS Action cog: Move the mouse pointer to this symbol in order to display a list of possible actions. Edit pen: Click on the edit pen in order to change the settings. Check box: Highlights the respective entry. Stacking function: Enables the configuration of all entries highlighted via the check boxes in one step. UTAX smart quick guide Page 6 of 17
7 COMMISSIONING The UTAX smart can be commissioned in two ways. The hardware LAN interfaces are pre-configured in such a manner that it is possible with or without a DHCP server. With DHCP-Server 1. 1 Connect the UTAX smart hardware platform to the network via LAN2 or LAN Connect the hardware to the power supply. All three LEDs will illuminate for a few seconds at the beginning of the start process. All three LEDs will briefly illuminate once again after the start process has been completed Check the accessibility via a ping to the host name. In the delivered condition, the host name is the serial number Once the ping test has been successfully completed, enter the host name into the browser. The system is now ready for use. The log-in window is displayed. Ping does not provide a response. Name resolution has not taken place. Check on the DHCP server whether an IP address was issued. Use this address instead of the host name. Log-in window is not displayed. Check your web browser to see whether a proxy server has been entered. Temporarily deactivate this server or define a respective exception. UTAX smart quick guide Page 7 of 17
8 Without DHCP-Server 1. 1 Connect the UTAX smart hardware platform to a computer with a crosslink cable via LAN1. The computer must be in the same subnet as the hardware platform! If this is not the case, perform the following network settings: IP address with subnet mask Connect the hardware to the power supply. All three LEDs will illuminate for a few seconds at the beginning of the start process. All three LEDs will briefly illuminate once again after the start process has been completed Check the accessibility via a ping to the IP address Once the ping test has been successfully completed, enter the IP address into the browser. The system is now ready for use. The log-in window is displayed. Ping does not provide a response. The hardware is not correctly connected to the computer. Check the crosslink cable and the network settings. Log-in window is not displayed. Check your web browser to see whether a proxy server has been entered. Temporarily deactivate this server or define a respective exception. LOG-IN In order to log-in, enter the following information: User name: admin Password: No password set, leave field empty UTAX smart quick guide Page 8 of 17
9 FIRST STEPS If the system is accessible in the network, log-in as described under Commissioning. Perform the configuration of the basic settings. In the Configuration tab, select the Basic Settings menu item. LAN interfaces You will receive information for the available LAN interfaces in this tab. In the delivered condition, LAN1 is configured for IP address and subnet mask The host name is the same as the UTAX smart hardware platform serial number. In the delivered condition, the LAN interfaces of LAN2 and LAN3 are configured for DHCP. In order to configure the information, click on the cog and select Edit. Further information about the LAN interfaces can be found in the UTAX smart online help. Network options You will receive information for the options and static routes in this tab. Click on the Edit Pen in order to perform settings for delivery and the proxy server. System options Individual configurations for data capture as well as further UTAX smart basic settings can be performed in this area. Click on the Edit Pen in order to configure the information. Licences You received a licence when you purchased UTAX smart. Click on Retrieve Licences. UTAX smart now connects to the licence server and automatically retrieves the licences that are available for your system. UTAX smart quick guide Page 9 of 17
10 INSTALLATION AND OPERATION UTAX smart automatically finds all systems in your network. Perform the system recognition configuration. In the Configuration tab, select the System Recognition menu item. SYSTEM RECOGNITION Search areas You will receive information regarding the defined search areas in this tab. The stipulated search area for all imported systems refers to systems that were not recorded via the system recognition but were added via the import function. Adding search areas Click on Add Search Area in order to configure a search area. Enter the IP address area and configure the parameters for the system recognition. 11 GROUPS In order to make the administration of the systems as easy and efficient as possible, UTAX smart offers the possibility of uniting systems in groups. For instance, it is possible to create reports on a group basis and to automatically calculate volumes. A system can be a member of multiple groups. Perform the group configuration. In the Configuration tab, select the Groups menu item. Select Add Group in order to add a group. Alternatively, groups can also be imported. In order to do so, click on Import Groups. 12 MONITORING PROFILES UTAX smart provides the opportunity to file profiles for the monitoring of systems in order to regularly check their current status. Consequently, system stoppages are avoided as preventative measures are requested prior to the occurrence of a stoppage. As a result, all processes can be accelerated, implemented in a significantly more efficient manner and be automated. Entries that define which system statuses within a profile are to be monitored are assigned to each monitoring profile. Each entry defines which system unit is monitored and which event triggers an action. Furthermore, it is defined what this action specifically contains. For instance, the toner fill levels as well as the status of the developer units, drums and the fuser, transfer or cleaning units can be monitored. It is also possible to monitor threshold values for the loading of the device with paper or other consumable material. Furthermore, permanently defined system statuses can be monitored or display notifications can be read. The monitoring results that trigger an action are defined for each status monitoring. For instance, concrete threshold values can be provided for fill levels (e.g. Trigger if toner content falls below 10 %. For system notifications, the presence of the notification is deemed to be the trigger. Desired texts can be defined when monitoring display notifications. An action is triggered if a pre-defined status is achieved. Examples of actions include the placing of an automatic order or automatic notifications to the responsible contact person. 13 Creating a monitoring profile The system statuses to be monitored are grouped in profiles. Click on Configuration and then on Monitoring Profiles. Click on Add Profile in order to create a profile. Creating delivery addresses In UTAX smart, you can optionally create delivery addresses that can be allocated to systems. Click on Add Delivery Address in order to create a delivery address. Click on Import Delivery Address in order to import delivery addresses. Creating actions In order to create an action, click on the Actions tab and then on Add Action. Select the Action Type. Configure the sender, the recipient and the text of the action. You can define an action that should be triggered for the created profile. An action can be performed once a defined status has been reached (e.g. an action should be performed if the toner content is below 10 %). In addition, a further action can be triggered if the status is outside of the specified range again (e.g. when the toner was replaced). UTAX smart quick guide Page 13 of 17
14 Creating entries Click on the Entries tab. The tab header indicates which profile is currently active. In the event that several profiles have already been created, the entries for a different profile can be configured via Switch Profile. Click on Add Profile Entry in order to create an entry. Configure which unit shall be monitored, when it is triggered and which action should be performed. It is possible to monitor a system unit several times. For instance, with this function, it is possible to trigger an order if the black toner is below 15 % and to also internally notify a further person if the black toner is below 10 %. Assigning a monitoring profile After the monitoring profile has been created, the systems that are to be monitored still need to be allocated. In order to do so, click on Systems and then on System Overview. Select the check boxes for the systems that you wish to assign the monitoring profile to. If you wish to assign the monitoring profile to all systems, you can use the Select All Displayed Systems and all systems that are currently displayed on this page are selected.then select the Change Monitoring Profile action in the stacking function and click on Go. Select your previously created monitoring profile in the window that opens and click on Save. UTAX smart quick guide Page 14 of 17
15 EXPORT FUNCTIONS With UTAX smart, you can regularly send an export of the systems complete with the current counter readings and further information via . Creating export profiles Click on Configuration and then on Export Profiles. Select the Add Profile function. Enter a name for the profile and select the check boxes belonging to the information that is to be exported. Periodic exports In order to arrange for a regular export to be sent via , click on Configuration and then on Notifications. Select the Periodical tab and click on Add Report here. In the window that opens, configure where the shall be sent, which export profile shall be used and the intervals at which the export shall be sent. UTAX smart quick guide Page 15 of 17
16 ONLINE HELP UTAX smart provides a comprehensive online help for each function. They can be called up from all views by clicking on Help and then on Online Help. You will receive individual help texts depending upon the area from which you called up the online help.
