3 Clean-Up System Overview The Clean-up System module is a tool that can be used to clean certain aspects of the system. The Clean-up process removes a large number of files from the system. The Clean-Up System involves the following types of clean-up: Login Attempts and Operator Logins Image Files on the Image Servers Public Files generated by the system Modification Files generated by the system CAUTION: It is strongly recommended that the operator have a full knowledge of the system and its maintenance before being permitted to utilize the Clean-up module. Performing the Clean-Up actions is a permanent modification to the system, with no recovery possible. Also, performing the Clean-Up actions during a normal work shift can affect your environment, as the actions can affect the performance of the Database and/or Image Servers. It is recommended to perform Clean-Up on a monthly basis during a lull in the workflow. Accessing the Clean-Up System The Clean-Up System module is accessed from the RemitTrac Application Maintenance ribbon bar. To access the Clean-Up System From the RemitTrac Application Maintenance ribbon bar, select Clean-Up System. Figure 1. Table 1. Elements of the Login Attempts tab Element Tabs Login Attempts List Operator Logins list Description Tabs to access the ability to clean login, image, public or modification history files List of login attempts in which the operator(s) were not successful at entering the system. When files are loaded, includes the number of login attempt files that have been loaded into the window. The list displays the date and time from the System Clock of the workstation that generated the record and the number (CNT) of login attempt files for that date. List of logins in which the operator(s) were successful at entering the system. When files are loaded, includes the number of successful login files that have been loaded into the window. The list displays the date and time from the System Clock of the workstation that generated the record and the number (CNT) of operator login files for that date. 2 RemitTrac Workflow Manual

Elements of the Login Attempts tab (continued) Element Commands Description Commands used to analyze the files to load all current records for the system, clean out the files, stop the cleaning of the files and close the Clean-Up System Module window. Both lists have their own respective Clean and Stop commands. Loading Files into the Login Attempts Tab When the Clean-Up System Module window is first accessed, no data is loaded. The operator must load the information for the selected file type that should be cleaned. To load files From the tab that you would like to clean files, select the Analyze command. Select Analyze Figure 3. Loading Files The data will be loaded in ascending date order, where the top of the column displays the file with the earliest recorded date and the bottom of the column displays the file with the latest record date. After the files have completed loading, all commands will be enabled. Clean-Up System 3
6 Cleaning Login Attempts Files After files have been loaded into the lists, the operator can choose the file day(s) from each list on the Login Attempts tab to be cleared. To clean files 1. From the list that you would like to clean files, select the files that you would like to clean. 2. Select Clean. Select the files to be cleaned then select Clean Figure 4. 7 3. Select Yes to clean the selected files -or- Select No to choose to not delete the files. You will be returned to the Clean-Up System Module window. If Yes was selected, the Clean process will begin. NOTE: If you would like to stop the Clean process, select the Stop command. The Clean action will stop at the next logical break. After the files have been cleaned, the system will automatically update the Login Attempt list so that the window reflects all the removed records. The Login Attempts or Oper. Login value, depending on which process was performed, will be updated to show the current count of records in the database. Clean-Up System 5
8 Understanding the Layout of the Image Files Tab The Image Files tab displays a list of image servers in the system and the number of shares on each Image server. Displays the name of each server, along with the number of shares on that server Displays the number of days that are used to evaluate the removal of Image Directories for the transports. The count of days is calculated from the current System Process Date. This value is set on the Information tab in Configuration Setup. 6 RemitTrac Workflow Manual

Loading Files into the Image Files Tab When the Image Files tab is first accessed, no data is loaded. The operator must load the information for the server that should be cleaned. To load files 1. Select the server for which you would like to view and/or clean the directories and files found for that server. 2. Select Scan. Select the server then click Scan Figure 8. 11 Cleaning Image Files After files have been loaded into the Image Files tab, the operator can choose the file day(s) to be cleared. To clean files 1. Select the files that you would like to clean. 2. Select whether to clean only files or clear the directory also. The following examples display the difference between only cleaning files versus the whole directory. Files Cleaned but Directories Remain Figure 10. 12 3. Select Clean. Select the files to be cleaned select whether to delete files or directory then select Clean Figure 12. Cleaning Files CAUTION: After the operator presses the Clean command, the files will be immediately cleared. No confirmation of the action will be displayed. 10 RemitTrac Workflow Manual

The screen will be re-enabled when the clean is finished or if the operator presses the Stop button. The list will not be updated automatically. 4. To update the list and view the remaining files, select the Scan command. Clean-Up System 11
14 Understanding the Layout of the Public Files Tab The Public Files tab displays the Public Files that exist on the database server. These files are created every day and constitute all reports, data files and transmission files that have been generated. Tab Keep Daily Dirs Files List Commands Figure 14. 15 Loading Files into the Public Files Tab When the Public Files tab is first accessed, no data is loaded. The operator must load the information for the server that should be cleaned. The process to load files is the same as that used for loading Image Files. For more information about how to load files into the Public Files tab, please refer to Loading Files into the Image Files Tab on page 7. Cleaning Public Files After files have been loaded into the Public Files tab, the operator can choose the file day(s) to be cleared. The process to clean files is similar to the process used for cleaning Image Files. For more information about how to clean files from the Public Files tab, please refer to Cleaning Image Files on page 9. While the process for cleaning Image and Public files is similar, a difference exists in that the Public Files tab will automatically update the file list so that files that were cleaned will not be displayed. The operator does not have to select the Scan command to reload the Public Files tab. Clean-Up System 13
16 Understanding the Layout of the Modification History Tab The Modification History tab enables users to delete modification history from the setup directories. The modification history contains additions, updates and deletions of configuration data from various areas of the Setups. Tab Files List Clean Options Date Options Commands Figure 15. Elements of the Modification History tab Element Files List Date Options Clean Options Commands Description Allows you to select the Modification Logs for specific setups that you would like to clean. Includes an option to select All types. Controls the length of time for which to clean the audit files. You may select to clean all selected modification history or up to a certain date. Option to clean ALL of the selected types of modification history or to select certain files in setups to clean. Commands to reset the selected options to the default options and values, clean up the selected files, and close the window 14 RemitTrac Workflow Manual
17 To clean files 1. Select the Modification types to clean. 2. Select whether to clean All selected Modification types or specific files. If you select specific files, you must proceed to the Setup Selection window. For more information, please refer to Understanding the Layout of the Setup Selection window on page Select the date(s) for which you would like to clean. 4. Select the Clean command. 18 Understanding the Layout of the Setup Selection window The Setup Selection window is displayed when the operator chooses Selected Setups from the Clean Options and the button. The Setup Selection window allows the operator to choose specific files to clean within the setups. NOTE: Only specific types of Setups allow cleaning by Selected Setup. If you select any setups besides the allowed types, the following message will be displayed. Figure 18. 19 Table 4 summarizes the elements of the Setup Selection window. Table 5. Elements of the Setup Selection window Element Modification Options Modification Tabs Selection Options Commands Description Allows you to select the Modification Logs for specific setups that you would like to clean. Includes an option for certain setups to also view deleted logs. NOTE: If the Modification Types include Batch, the Bank and Lockbox Selection are used to clean the modification history of batches processed by these selections. Displays the tab pages for the selection of specific setups, from which you can clean the audit history for each setup. If the setup type is not selected in the Modification Options, the corresponding tab page will be grayed out. Selects the file(s) for which to perform clean up from the modification history list. Select All is used to select all files in the list and Clear Selections is used to clear selections that have been made in the list. The Bank tab contains a Default Bank selection, which is used to select the operator s default bank. 20 To select files from setups 1. Select the files on each tab that you would like to clean. 2. Select OK. Select the files then press OK. Figure 20.
