1 Bates Professional Print Shop Guide Our new Bates Professional now has a Print Shop feature when selecting Labels from the Input Source menu. Below is an overview of the steps to use Print Shop: 1. NOTE: We use the term Label for all production. This includes all items that you may refer to as a ticket, coupon, card, form, tablet, etc. The HELP button on every screen explains the screen your on. We recommend that you read each page of HELP the first time through. 2. On the Input Source page select Labels, press Next to continue. 3. On the Label Type screen, select the Label with the paper size and layout that is required for the job. 4. If you have not designed your layout yet please see Custom Label and Paper Sizes Guide below. 5. Check the Print Shop box, press next to continue. 6. On the Label Background screen select the file format required from the dropdown menu. This can be in PDF, TIF or Graphic files. Add the item you want to produce. NOTE: For proper processing of the Background, image size and orientation must match the size and orientation of the labels on the page. 7. If you add an image in the Front of Label field only, the program will print the front only. If you add an image in the Back of Label field only, the program will print the back only. 8. If you add an image to the Front of Label and Back of Label field, the program will print the label in duplex automatically, odd number pages are the front of the label and even number pages are the back of the label. Press Next to continue. 9. When the information is filled out on the Customer Information page, it triggers the option to save your setup after pressing the print button. If saved, you may continue this job from the Use Existing Data option on the Input Source page. The next starting number of your project is automatically inserted. 10. On the Additional Information page define the number of pages, how they are processed, Stamp Placement and starting number. As always, press the HELP button for information on all fields on this screen and any other screen. 11. You will enter properties and position all elements on the Label Position Information screen. No other program can match the ability to enter unlimited number of fields in multiple formats that the Bates Professional Print Shop can. The Label Position Information section below details the additional features available in Print Shop Mode. This screen may be expanded to full screen. 12. The Output Destination page allows you to print to a Printer, to image printers or to our built in PDF File printer. The Output Destination section below details the additional features available in Print Shop Mode. 13. The Print Preview page may be expanded to full screen and allows you to preview the first page of your job before printing. Press the Print button to start the printing process. 14. If you have filled in the Customer Information page the Save to Database screen will load after processing and allow you to save your project to the database. It may be selected for processing again by selecting Use Existing Data on the Input Source screen. You are returned to Main Page. Detailed Instructions are below: 1
2 Custom Label and Paper Sizes You may now add custom paper sizes to Bates Professional. This allows odd sizes of paper which are common in the printing industry. We have added many of these paper sizes to the Bates Professional paper list. If you do not find a size that fits your needs, you may customize your own size, save it, and use it as needed for multiple jobs. All projects, regardless of paper size may be printed to a NEW PDF DOCUMENT which may be proofed before printing the New PDF Document to paper. This allows better control of results which will save you time and money. Overview of general operation is shown below: Input Source - On the Input Source Page select Labels. Press Next. Label Type - On the Label Type Page press the Select a Different Label button. Add Label - This page displays the list of labels available to you. If you do not see the size label you need, press the Add Label button below the list. Paper Size - Before you fill in your Label information in the Add Label screen click the drop down arrow and select the Paper Size for your project. If you do not find the Paper Size you need for your project, YOU MUST ADD IT TO LIST FISRT BEFORE FILLING OUT THE ADD LABEL SCREEN. See the Add Custom Paper Size section of this Guide. You can name your Label anything you like. We recommend you use the following format when adding a new label as it will make it much easier for you to select the proper label for a new project. Paper Size Label Size Horizontal or Vertical - # Across x # Down (i.e. 12 x 15 2 x 5 V 6 Up x 3 Dn) In this example we are going to lay out a 11 x 17 page with 16, 2 x 5 Horizontal labels, 2 across x 8 down. Please closely look at this page image below. You need a clear vision of how your page will look when you fill in the dimensions on this page. It may be helpful to sketch an example of how you would like the finished page to look. 2
3 Add Custom Paper Size Paper Size - On the bottom of the Paper Size list you will see the list of paper sizes that have been added for you. If you do not see the paper size you need, you may add any Custom Page Size that you are able to print. Click on Custom Paper List to add a custom paper size. To add a new page size: highlight the page Description, enter your new Name for the page (we recommend that this be the size of the paper), and add the width and height of the page in the respective fields. Save your new page to the list by pressing the Add button or the OK button. NOTE: YOU MAY ONLY ADD ONE PAGE AT A TIME AND THEN SAVE (Press OK), EXIT THIS SCREEN. You may add another size by pressing the Custom Paper List button again. 3
4 Label Type Return to the Label Type page. Check Print Shop and Press Next. Label Background - On the Label Background screen select the file format required from the dropdown menu. This can be in PDF, TIF or Graphic files. Add the item you want to produce. NOTE: For proper processing of the Background, image size and orientation must match the size and orientation of the labels on the page. If you add an image in the Front of Label field only, the program will print the front only. If you add an image in the Back of Label field only, the program will print the back only. If you add an image to the Front of Label and Back of Label field, the program will print the label in duplex automatically, odd number pages are the front of the label and even number pages are the back of the label. Press Next to continue. 4
5 Customer Information When the information is filled out on the Customer Information page, it triggers the option to save your setup after pressing the print button. The information is stored in the Database by the Client Name. If saved, you may continue this job from the Use Existing Data option on the Input Source page. The next starting number of your project is automatically inserted. Additional Information - On the Additional Information page define the number of pages, how they are processed, Stamp Placement and starting number. As always, press the HELP button for information on all fields on this screen and any other screen. 5
6 Label Position Information - The Label Position Information is the screen where you will enter properties and position all elements. With the ability to enter unlimited number of fields in multiple formats Bates Professional Print Shop offers capabilities that no other program can match. The Label Position Information section below details the additional features available in Print Shop Mode. This screen may be expanded to full screen. CTRL Arrow Keys offer fine adjustment of the highlighted element, the sequential variable in this case. The circle arrow buttons next to the current label box rotate the highlighted element, the sequential variable in this case. F and B buttons below the Element window are displayed in Print Shop only. These buttons allow you to toggle between the Front and back of the Label. Edit key displays the properties of the highlighted element. When displaying the Primary Variable, you may check or change the Stamp Placement. In the image below, Front is checked. This will only print the variable on the Front of the Label. However, it is always displayed in this screen on both, but will only print on the front, back or both depending on which button is selected. You may add the same Variable in a different spot on the back of the ticket by pressing the V button and selecting Back for the Stamp Placement. The new Variable can then be moved anywhere on Back of the Label and will not print on the Front of the Label. 6
7 Label Output Destination - The Output Destination page allows you to print to a Printer, to image printers or to our built in PDF File printer. The Output Destination section below details the additional features available in Print Shop Mode. We recommend that you always print a custom page production to a PDF file or Image file first. This allows you to proof your project before you print to other media. After you are sure it is correct, print the document to your printer. You will find this gives you much more consistent results. If you have saved this first run to the database, additional production of this job can be sent directly to the printer when the job is continued from Use Existing Data. The Lookup button at the end of the Printer field, [ ] opens the properties of the selected printer. NOTE: Please check the Paper Size on this page and change if it is not correct. The current label is displayed on the bottom status bar, right corner. 7
8 Print Preview - The Print Preview page may be expanded to full screen, with a zoom feature, and allows you to preview the first page of your job before printing. Press the Print button to start the process. Save to Database - If you have filled in the Customer Information page, the Save to Database screen will load after processing and allow you to save your project to the database. It may be selected for processing again by selecting Use Existing Data on the Input Source screen. You are returned to Main Page. 8
