3 Preface Use the OmniPage OCR function to perform OCR on image documents (such as TIFF and other image files, or PDF files) imported by CentreWare Flow Services, and convert the resulting text data for use by applications such as Word and Excel, or to PDF or other text formats. This manual describes software installation and basic operations intended for users of the OmniPage OCR function. The descriptions in this manual are intended for users who are familiar with the basic operations of Microsoft Windows. This manual refers to CentreWare Flow Services 1.0 English or later versions. i

12 1 Overview 1.1 About the OmniPage OCR Function The OmniPage OCR function is added by installing special OCR software into a computer using CentreWare Flow Services. The OmniPage OCR function performs OCR (optical character recognition) on image documents (such as TIFF and other image files, or PDF files) imported by CentreWare Flow Services, and converts the resulting text data for use by applications such as Word and Excel, or to PDF or other text formats. The OmniPage OCR function can perform OCR on all pages or just specified pages of a document and on all or parts of each page, and can automatically recognize the layout as text, table or graphic. You can also select whether the output is to use the automatically recognized layout or a specified layout. This manual describes the setting procedures for the dialog boxes displayed when you select [OmniPage(R) OCR] as the [Process Method] while creating rules with CentreWare Flow Services. 13 1.2 Operating Environment 1.2 Operating Environment This section describes the necessary operating environment requirements to use the OmniPage OCR function. System Requirements The OmniPage OCR function operating environment must meet the following requirements. 16 2 Installation 2.1 Before Installation Prepare the following before installation. As the fist step, install CentreWare Flow Services English on the installation computer. Refer to the "User Guide" for the installation of CentreWare Flow Services. We recommend closing all Windows applications before installation. 6
17 2.2 New Installation 2.2 New Installation Follow the procedure below to perform the installation. Important Administrator privileges are required to perform the installation. Procedure 1. Put the OmniPage OCR installation CD-ROM into the drive. 2. Execute setup.exe stored in the SetupEng folder. The OmniPage OCR installer launches. 3. Click [Next]. 4. The license agreement window appears. Confirm the contents, and click [Yes]. 7
18 2 Installation 5. Review the displayed list of items to be installed, and click [Next]. Note The installation destination is a CentreWare Flow Services internal application folder. Installation begins. 6. When installation is finished, the following window appears. 7. Select whether to read the product information and restart CentreWare Flow Services, and click [Finish]. 8. Remove the CD-ROM from the drive. 8
19 2.3 Upgrade Installation 2.3 Upgrade Installation Follow the procedure below to upgrade the OmniPage OCR function that has already been installed. Important Administrator privileges are required to perform the installation. Close the [CentreWare Flow Services] window before this operation. Otherwise, you cannot upgrade the software. You cannot upgrade the software while CentreWare Flow Services is running. Stop CentreWare Flow Services from the service control manager on Windows. Procedure 1. Put the OmniPage OCR installation CD-ROM into the drive. 2. Execute Update.exe stored in the Update folder. The OmniPage OCR installer launches. The remainder of the procedure is the same when newly installing the software. Follow the steps 3 to 8 described in "2.2 New Installation" to complete the upgrade. 9
20 2 Installation 2.4 Reconfiguration Tool Launch the CentreWare Flow Services reconfiguration tool to perform the following operations. Menu Modify Description Reinstall the OmniPage OCR function. Repair Remove Uninstall the OmniPage OCR function. All components are deleted. Important Close the [CentreWare Flow Services] window before this operation. The reconfiguration tool is not available while the [CentreWare Flow Services] window is open. You cannot start Reconfiguration Tool while CentreWare Flow Services is running. Stop CentreWare Flow Services from the service control manager on Windows. Procedure 1. From the Control Panel, select [Add/Remove Programs]. The [Add/Remove Programs] dialog box appears. 2. Select [Fuji Xerox OmniPage OCR 1.0 English for CentreWare Flow Services], and click [Change/Remove]. Note The above screen shot is for Windows The [Add/Remove Programs] screen is different for Windows NT, Windows XP, and Windows Server Please take this into account when following the directions. In Windows NT 4.0, the function appears as "Fuji Xerox OmniPage OCR 1.0 English for CWFS". 10
21 2.4 Reconfiguration Tool The OmniPage OCR reconfiguration tool launches. 3. If you are selecting [Modify] or [Repair], put the OmniPage OCR 1.0 English for CentreWare Flow Services CD-ROM into the drive. 4. Select [Modify], [Repair] or [Remove], and click [Next]. If you selected [Modify] or [Repair] Reinstallation begins. If you selected [Remove] 4-1 The following confirmation message is displayed. Click [Yes] to proceed to uninstall. Uninstallation begins. 11

24 3 OmniPage OCR Function Settings 3.1 Overview of OmniPage OCR Function The following two features are available in the OmniPage OCR function: OCR processing Format conversion OCR Processing Input documents can be converted to text data with the OCR processing feature. With the OmniPage OCR function, you can select pages and zones of image data for OCR processing by the following: Process All Pages Performs OCR processing of all pages of multi-page image data. Process Selected Pages Only Performs OCR processing only on the image data pages you specify. Process Selected Zones Only Performs OCR processing on the image data pages only in the zones you specify. Important When selecting an area for OCR processing and performing a format conversion, only the text in the specified area is converted to the desired format and used to create a file. When selecting [Process Selected Pages Only] and performing a format conversion, if the pages specified are not included in the input document, an error occurs. Format Conversion 14 Obtained OCR results can be converted to a specified format with the format conversion feature. About Attributes Document attributes generated from OCR results or format conversion can be used in the features set after the OmniPage OCR function. For example, you can attach the attributes to documents or , and use them as a document or folder name. The following option is available for document attributes of OCR results: Properties Page by Page Allows you to save an attribute for each page. If [Properties Page by Page] is not selected, a zone specified by OCR processing has one attribute. Refer to "Appendix 1 Document Attribute Lists" (P.28) for detail information on the document attributes. 15
26 3 OmniPage OCR Function Settings Output Formats with Page Images If an output format that contains page images (such as PDF and Word formats) is selected as the output format in format conversion, the page images of a created document differ depending on the areas specified in OCR processing. The following are examples when [Adobe PDF] is selected as the output format. Ex. When [Process All Pages] is selected A PDF document with the same page images as the original document is output. If you specify a document of 3 pages as the input document for [Process All Pages], the output document consists of 3 pages, each of which contains the content of the pages 1 to 3 of the input document, respectively. 28 3 OmniPage OCR Function Settings Retain Original Page Images When specifying [Process Selected Pages Only] or [Process Selected Zones Only], and if you want to retain the page images of the input document in an output PDF document, select [Retain Original Page Images] in [Conversion Settings]. [Retain Original Page Images] can be selected in the following formats: Adobe PDF with image on text Adobe PDF image only Only text in pages and zones processed by OCR can be a target for text search in the output PDF file, when [Adobe PDF with image on text] is selected. If you select [Adobe PDF image only] as the output format, the output PDF document does not include text recognized by OCR processing. Important If [Retain Original Page Images] is selected, document attributes are generated from the OCR results according to the settings in OCR Settings. 18

This dialog box appears when you select [OmniPage(R) OCR] as the [Process Method] while creating a rule with CentreWare Flow Services. Important The only character code available for OCR is Windows ANSI. OCR processing is not available for text in other languages. Note Refer to the "User Guide" for basic operations of CentreWare Flow Services and other [Process Method] functions. Procedure 1. Select the import source in the [Edit Rule] dialog box. Important At least one import source must be specified. 2. Select [OmniPage(R) OCR] from the [Process Method] drop-down list. 19
30 3 OmniPage OCR Function Settings 3. The [OmniPage(R) OCR Settings] dialog box appears. Make the desired settings, and click [OK]. Refer to " OCR Settings" (P.21) and " Conversion Settings" (P.24) for descriptions of the settings for OCR processing and format conversion. 4. Check that the entered [OmniPage(R) OCR] function has been added to the [Process Method] list box. 5. You can continue creating rules by setting multiple [Process Method] functions as needed, and setting the desired destinations. 20

Select [OmniPage(R) OCR] from the [Process Method] drop-down list. The [OmniPage(R) OCR Settings] dialog box appears. 2. Select the pages or zones for OCR processing from [Process All Pages], [Process Selected Pages Only] or [Process Selected Zones Only]. When you select [Process Selected Pages Only] 2-1 Enter the pages for OCR processing. You can specify multiple pages by using commas as delimiters (For example, to specify pages 1 through 3 and 5, enter "1-3, 5"). 21
32 3 OmniPage OCR Function Settings When you select [Process Selected Zones Only] 2-1 Click [Add] to specify the zone. The [OCR Settings - Page/Zone -] dialog box appears. 2-2 Enter a [Zone Name], [Type], [Page], [Position] and [Range] of the zone to be subject to OCR. You can specify multiple pages by using commas as delimiters (Example: "1-3, 5"). Important A [Zone Name] must be specified. This name is needed for referring to the OCR results in the detailed settings dialog boxes of other functions. 2-3 Click [OK]. The specified zone is added to the [OCR Zones List] list box. 2-4 To specify additional OCR zones, repeat Steps 2-1 to If you have specified multiple pages and want to save different attributes for different pages, select the [Properties Page by Page] check box. 4. Follow the steps below to make the OCR pre-processing settings. 4-1 Click [OCR Options]. The [OCR Setting - Options -] dialog box appears. 22
33 3.2 Settings for OCR Processing and Document Format Conversion 4-2 For the [Rotation] setting on the [Pre-Processing] tab, select the appropriate angle to rotate the text for OCR processing. 4-3 On the [OCR Options] tab, specify the language to be recognized by OCR processing, the characters to substitute for unrecognized characters, and the timeout setting. 4-4 When finished making settings, click [OK]. 5. Enter the [Name] for this setting, and click [OK]. Note If you click [OK] without entering a [Name], the software automatically assigns the name selected from Process All Pages, Process Selected Pages Only or Process Selected Zones Only according to its settings. 23
34 3 OmniPage OCR Function Settings Conversion Settings Follow the procedure below to convert the OCR results to a particular format. Procedure 1. Display the [OmniPage(R) OCR Settings] dialog box to configure OCR processing. Refer to " OCR Settings" (P.21) for descriptions of the OCR settings. 2. Select [Output document by selected format] and select the desired conversion format from the drop-down list. 3. If you want to retain the page images of the input document, select the [Retain Original Page Images] check box. Important [Retain Original Page Images] is enabled when you selected [Adobe PDF with image on text] or [Adobe PDF image only] for the output format. 4. Follow the next steps to specify the layout of OCR results. 4-1 Click [Custom Layout]. The [Custom Layout] dialog box appears. Important [Custom Layout] is enabled when you selected [Process All Pages] or [Process Selected Pages Only] in Step 2 of " OCR Settings" (P.21). 24

Input Formats The OmniPage OCR function can perform OCR processing of image files with the following formats. Note The input document may be a single file or a folder containing multiple files (attached folder). Important The OmniPage OCR function supports both document types. If a document within a folder is converted to another format after OCR processing, the image data in the folder is converted to a single file format. However, before performing OCR with this function, if document division has been set with the image processing function, format conversion is applied according to the file unit divisions. A range to be recognized as one cell may differ according to the settings in [Custom Layout] of [Conversion Settings] and the zone type in [OCR Settings].
