3 Preface Preface Thank you for selecting our product. This guide describes how to configure "Smart Card Registration" (hereafter referred to as "this service" or "feature") and the precautions you should follow during operation. To get the most out of this service and to use it effectively, be sure to read this guide before use. The guide assumes that you are familiar with a personal computer and your machine. For information on a personal computer, refer to the manuals provided with the personal computer. For information on how to operate your machine, refer to the guide (Administrator/User Guide) provided with each machine. 3

5 Using This Guide Conventions The screen shots used in this guide and the screens displayed on your machine may be different depending on the software being used due to the upgrades. Some of the items in the screen shots used in this guide may not be displayed or not be available depending on your machine configuration. In this document, "Computer" refers to a personal computer or workstation. The following terms are used in this guide: Important : Important information that you should read. : Additional information on operations or services. 7 Smart Card Registration Smart Card Registration Smart Card Registration is the software that allows a user to associate user's own smart card information with the registered user information on the machine easily. This software reduce the operation of a server administrator or machine administrator. If you set a machine to use Smart Card Registration, [Smart Card Registration] appears on the menu screen of the machine. By [Smart Card Registration], you can register your smart card information, and also you can associate your smart card information with your authentication information on Active Directory Server. Register the smart card information by yourself A system administrator just needs to hand in smart cards to users. This will reduce the work of a system administrator. 7

8 Smart Card Registration Associate the smart card information with the Active Directory Server authentication information Association of the smart card information with the Active Directory Server authentication information can be stored in the machine. This makes the update of the smart card information easy when the system administrator of the Active Directory and the machine administrator are different people. Important When you use this service, the authentication information saved on the Active Directory server is copied and saved in the device unit. In order to prevent the leak of the information from the device unit, we recommend that you enable the hard disk data encryption feature. - - This service is available on ApeosPort. In Smart Card Registration, the combination of the LDAP server and the Active Directory is only available as an external authentication server. 8

Checking Software Version Depending on the software version of the machine, some following models need to be installed this service, others do not need to be installed. Also, the passcode for software options are different depending on the software version of the machine. ApeosPort-V C7776/C6676/C5576/C4476/C3376/C3374/C2276 DocuCentre-V C7776/C6676/C5576/C4476/C3376/C3374/C2276 ApeosPort-V C7785/C6685/C5585 DocuCentre-V C7785/C6685/C5585 To check the software version of the machine, operate the following procedures. 1 Press the <Machine Status> button on the control panel. 2 On the machine confirmation screen, press the [Machine Information] tab, and then press [Software Version]. 3 Check the software version on the [Software Version] screen. When you want to check whether you need to install this service or not, Check the version of [Contents]. When you want to check the passcode of the software options, Check the version of [Controller ROM]. Passcode Settings for Software Options A passcode is required to use this service depending on the model. For information on the passcode for software options, refer to the last page, "Supported Models and Passcode for Software Options" (P.26). Important It takes a few seconds longer to warm-up the machine after you set the passcode to enable the software options. If any custom service is installed on the machine in advance, the service button of the custom service is added on the Services Home screen after the passcode is entered. We recommend you to delete the unnecessary button on [Tools] > [Common Service Settings] > [Screen / Button Settings] > [Services Home]. For detailed procedure, refer to Administrator Guide. 10

11 Installation Procedures (for System Administrator) If [Web Browser Setup] is shown under [System Settings], the passcode has been already entered. Skip to "Settings to Use Smart Card Registration" (P.12). Some models require two passcodes for software options. Enter all the passcodes on the "Supported Models and Passcode for Software Options" (P.26). Passcode Entry Procedures for Software Options 1 Press the <Log In/Out> button on the control panel. 2 Enter the System Administrator s user ID with the numeric keypad or the keyboard displayed on the screen, and select [Enter]. When a passcode is required, select [Next] and enter the System Administrator s passcode. 3 Select [Tools] on the Services Home screen. The screen may differ depending on the model. 4 Select [Maintenance] in [Common Service Settings] under [System Settings]. 5 Select [Software Options]. 6 Enter the passcode for your model with the keyboard. 7 Select [Reboot]. 8 After rebooting the machine, log in as a system administrator. 11

12 Installation Procedures (for System Administrator) 9 Press [Tools] on the menu screen. 10 Select [System Settings]>[Common Service Settings]>[Plug-in Settings]. 11 If [Embedded Plug-ins] is [Disabled], set it [Enabled]. 12 Press [Close] until the [Tools] screen appears. 13 To exit [Tools], select [Close]. Settings to Use Smart Card Registration You are required to set environments in your machine to use this service. Items Required Settings Refer to SOAP Port Port Status: Enabled Port Number: 80 "SOAP Port" (P.12) Protocol Settings IP address, subnet mask, and gateway address: settings for the use in TCP/IP network environment "Protocol Settings" (P.12) Rebooting the machine may be required depending on the settings. When a message is displayed on the screen, follow the message and reboot the machine. SOAP Port Protocol Settings 1 Select [SOAP] in [Port Settings] under [System Settings] > [Connectivity & Network Setup], and then select [Change Settings]. 2 Select the following values for each item: [Port Status]: [Enabled] [Port Number]: [80] 3 Select [Close] repeatedly until the [Tools] screen is displayed. 4 To exit [Tools], select [Close]. 1 Select [TCP/IP - Network Settings] in [Protocol Settings] under [System Settings] > [Connectivity & Network Setup], and then set an IP address, subnet mask, and gateway address (settings for the use in TCP/IP network environment). 2 Select [Close] repeatedly until the [Tools] screen is displayed. 3 To exit [Tools], select [Close]. 12

13 Installation Procedures (for System Administrator) Installation Procedures This section describes how to install this service on the machine. During machine operation or jobs in progress, installation process cannot be started. During installation process, a message "The machine is currently connected to an external equipment. Do not power off the machine." and the Services Home screen are displayed in turns on the machine's control panel. The installation may be suspended when the following situations occur while the Services Home screen is displayed: - The machine's control panel is operated. - Smart WelcomEyes Advance or Smart WelcomEyes Advance 2 detects human presence. When the installation is suspended, select the [Reinstall to devices with errors] checkbox and then click [Reinstall] on the displayed screen. You can install this service again from the installation screen. 1 Prepare the machine which you are going to install this service, and a computer connected to the network. 2 Save the installer on your computer. Download page URL: 3 Decompress the file (.zip) and double-click the exe file in the installer. 4 Click [Next]. The [Open file - Security warning] pop-up screen may appear. In this case, click [Run] to continue. Double-click 5 After completing the IP address entry, click [Next]. 13

14 Installation Procedures (for System Administrator) 6 Enter [Username] and [Password], and then click [Next]. 7 Confirm the entries, and then click [Next]. After that, the installation begins. 8 Check [Reboot device], and then press [Finish]. After that, the machine reboots. 14

15 Installation Procedures (for System Administrator) Uninstallation/Version Up Procedures This section describes how to uninstall or update this service. When you uninstall Smart Card Registration, all the services will be deleted in Smart Card Registration. 1 Operate the same procedures as Step one to four in "Installation Procedures" (P.13). 2 Click [Re install] for version upgrade, or [Remove] for uninstallation, and then click [Next]. Click [About] to see the version of the installer. The installer version is different to Smart Card Registration s version. 3 Select [Remove] to delete Smart Card Registration, or select [Reinstall] to update. It may take several minutes until the process completes. 4 After the confirmation screen appears, confirm the result, and then click [Finish]. If you want the machine to reboot, check [Reboot device]. Reboot the machine after upgrading to reflect the change absolutely. 15

Restrictions for Smart Card Registration You can register the smart card information for up to 1000 users. Important If the number of registered users is 1000, you cannot register or re-register of the smart card information. If you want to delete the user information, a machine administrator needs to delete the user information on the control panel and Device Setup. 16

17 Before Setup (for System Administrator) Setup This section describes setup procedures in order to use this service. IC Card Reader Confirm that IC Card Reader is equipped on the machine, and set IC Card Reader available to scan cards. To install IC Card Reader, contact our Customer Support Center. Authentication Settings/Accounting Log in as a machine administrator on the control panel, and set below items. - [Tools]>[Accounting]>[Accounting Type]: set [Accounting Disabled]or[Local Accounting]. - [Tools]>[Authentication/Security Settings]>[Authentication]>[Login Type]: set [Login to Local Accounts]. Account Auto Setup for Smart Card Authentication Log in as a machine administrator on the control panel, and set below items. - [Tools]>[Authentication/Security Settings]>[User Details Setup]>[Account Auto Setup for Card Login]: set [Enabled]. Access Control of Guest User (Optional) A guest user is a user whose smart card information is registered as User ID automatically by Account Auto Setup for Card Login service (standard service). Log in as a machine administrator on the control panel, and set below items. - [Tools]>[Authentication/Security Settings]>[User Details Setup]>[Account Auto Setup for Card Login]: If you set [Enabled], Access Control will appear as the default value of Account Auto Setup for Card Login. - Access Control [Copy]>[Service Control]: set [Locked]. [Fax/Internet Fax]>[Service Control]: set [Locked]. [Scan]>[Service Control]: set [Locked]. [Print]>[Service Control]: set [Locked]. If a not-registered card is lost, a person who got the lost card can use a machine freely. In case that a not-registered card is lost, we recommend guest users' access control are all [Locked]. If a user uses Active Directory Server's authentication information, set below items. Active Directory Server Settings From the control panel or CentreWare Internet services, set Active Directory Server by logging in as a machine administrator. - About Active Directory's account information which is used for the registration of the user information. User ID uses the value of [Attribute of Login User Name] on the control panel or CentreWare Internet services. address uses the value of [ Address] on CentreWare Internet services. 17

18 Before Setup (for System Administrator) Important The configuration which uses Active Directory Server is supported by ApeosPort. User Name cannot be set on the control panel or CentreWare Internet services. You can set User Name by setting the user information from Active Directory Server's "displayname" attribution. For more information about Active Directory Server's settings, refer to [5 Tools]>[Connectivity & Network Setup]>[Remote Authentication/Directory Service] on "Administrator Guide" of the machine. If a user who is registered on the machine uses this service, set items below. User Registration Register the user information ([User ID] and [Password]) on the control panel or Device Setup on the machine. Notice User Information to User Tell a user [User ID], [Password], and [Domain] is [Local machine]. Start Smart Card Registration, and set required items. Settings by Machine Administrator from Smart Card Registration Screen After authenticated as a system administrator, start Smart Card Registration. For more information, refer to "Detail Settings on Settings Screen" (P.18). Detail Settings on Settings Screen Important This section is assumed that User ID and Password are already set to Active Directory Server. You cannot use Smart Card Registration service before you register the user information to Active Directory Server. 1 Authenticate on a local machine as a machine administrator. 2 Start [Smart Card Registration]. 3 Enter the same value as the Settings in the machine in [System Administrator ID] and [System Administrator Password]. And then press [Next]. Important If you change [System Administrator ID] or [System Administrator Password] on Setting Screen on the machine, change this service's settings also immediately. If not, this service may not run properly. 18

19 Before Setup (for System Administrator) 4 Operate the procedures below. 1) Check the [Domain Settings] depending on your machine configuration. 2) In [Standard Domain], select the standard domain which users usually use in Smart Card Registration. 3) Press [Next]. Important [Active Directory(R) Server] is not shown on a machine which does not support an external authentication. If you use both of [Local Machine] and [Active Directory(R) Server], we recommend to set a machine or server with more users as Standard Domain. 5 In [Smart Card ID Settings], check the [Verify]. And then click [Next]. Important This service will not run properly if you do not set [Smart Card ID Settings] as [Verify]. When you use this service, set it as [Verify]. If you want to uninstall this service, set [Verify] disabled next to Smart Card ID Settings on the Setup Screen beforehand. In case you uninstall this service before you disable [Verify], install this service again. And then you can disable [Verify]. 6 Reboot the machine as the instructions on the screen. 19

20 Usage of Smart Card Registration (for Users) Usage of Smart Card Registration (for Users) This chapter describes the following items for this service. New Registration Re-registration of Card Delete Registered Information New Registration Users Who Have Active Directory Accounts 1 Touch the machine with a not-registered Smart Card, authenticate as the [Guest User]. If you set [Passcode Entry for Smart Card Login] enabled, a password setting screen will appear when you touch the smart card. You do not need to set this password because you are not going to use this password in this section. Keep it blank, press [Confirm], and move on the next procedure. 2 Start [Smart Card Registration]. 3 Select [Active Directory(R) Server] for [Domain]. And input your Active Directory ID and password. Then press the [Register] button. 4 The result of the registration appears. Right after a new card has been registered, all of the [Access Control] is [Unlocked]. If you want to control access for each user, a system administrator needs to set those after the new registration. The password you entered in the procedure three is registered as the password of the machine. If you change Active Directory's password, the machine password is not changed automatically. Change the machine password on the control panel by yourself when you changed the Active Directory's password. Once you register your Smart Card, you can use the authentication service of the machine. If you set [Passcode Entry for Smart Card Login] enabled, you can log in the machine by entering the password which you entered in the procedure three. 20

21 Usage of Smart Card Registration (for Users) Users Who Do Not Have Active Directory Account (Local Users) 1 Beforehand, make sure a machine administrator has already registered your user information (ID and password). 2 Touch the machine with a not-registered Smart Card, authenticate as the [Guest User]. If you set [Passcode Entry for Smart Card Login] enabled, a password setting screen will appear when you touch the smart card. You do not need to set this password because you are not going to use this password in this section. Keep it empty, press [Confirm], and move on the next procedure. 3 Start [Smart Card Registration]. 4 Select [Local Machine] for [Domain]. And enter your ID and password noticed by the system administrator. And then press the [Register] button. 5 The result of the registration appears. 21

22 Usage of Smart Card Registration (for Users) Re-registration of Card If you need to re-register (overwrite) a different smart card which is not the same smart card as you have ever used. Important The smart card which you have used will be not available. 1 Operate the same procedures as "New Registration"(P.22). 2 Press [Yes] on the screen appeared. 3 The result of the registration appears. Important If the number of registered user is 1,000, you cannot re-register the smart card. Delete Registered Information Request to your system administrator to delete the user information. 22

23 Troubleshootings (for Users) Troubleshootings (for Users) Error Code This section describes troubles that may occur with your machine while using this service and their solutions. Message There is no response from the Active Directory(R) Server. Check the network environment. Unable to log in to Active Directory(R) Server. Cause and Remedy Check your network environment and the machine s communication settings, and then register again. Check your authentication information of the Active Directory, and then register again. 110 Failed to register Smart Card. Register again from the beginning. 122 Incorrect User ID. User ID should be from 1 to 32 alphanumeric characters or symbols. The following symbols cannot be used. ["], [+], [;], [<], [>], [?], [ [ ], [ ] ], [`], [{], [ ], [}] 201 Failed to verify with users registered in the machine. Check your User ID, and then enter again. Enter ID and Password again. 202 Failed to register Smart Card. Register again from the beginning. 301 Failed to register Smart Card. Your password may be too short. Set password which is over four characters, and then register again Failed to register Smart Card. System error has occurred. Please restart. If the error still persists, contact your Administrator. 401 Incorrect System Administrator ID and Password. Request to System Administrator to reset the ID and Password. 404, 500, 600 System error has occurred. Please restart. If the error still persists, contact your Administrator. Request to your system administrator to delete the user information, and then register again. Switch the main power and power off and then on. If the error still is not resolved, contact our Customer Support Center. Request to your system administrator to perform initial setup. Switch the main power and power off and then on. If the error still is not resolved, contact our Customer Support Center. 702 This Smart Card is already registered. Request to the smart card administrator to check your smart card. 703 Failed to retrieve logged-in user information. Register again from the beginning. 704 Failed to retrieve multifunction device information. Register again from the beginning. 705 Logout failed. Log out with the <Log In/Out> button. 706 Unable to use this feature as the initial setup has not been completed. Request to your Administrator to perform initial setup. Request to your system administrator to perform initial setup. 707 System error has occurred. Please restart. If the error still persists, contact your Administrator. Switch the main power and power off and then on. If the error still is not resolved, contact our Customer Support Center. 23

24 Troubleshootings (for Users) Error Code 709 System error has occurred. Please restart. If the error still persists, contact your Administrator. 710 This feature is only available if Login Type is set to Login to Local Accounts. Switch the main power and power off and then on. If the error still is not resolved, contact our Customer Support Center. Request to your system administrator to check the authentication settings. 711 The specified User ID cannot be registered. Change your User ID Failed to register Smart Card. Contact our Customer Support Center Message System error has occurred. Please restart. If the error still persists, contact your Administrator. Cause and Remedy Switch the main power and power off and then on. If the error still is not resolved, contact our Customer Support Center. 24

25 s and Restrictions (for System Administrator) s and Restrictions (for System Administrator) This section describes the notes and restrictions to observe when you use this service. this service is available for users who use Card ID as the smart card information which is different from User ID. While you are operating Smart Card Registration, a guest user will remain in case that you close the setting screen with the menu button, or the machine resets the settings automatically by the Auto Clear service. If the guest user remains, the system administrator can delete the guest user. On the control panel or Device Setup, search for the user whose User Name is "Guest User", and then delete it. Or, you can resolve the authentication of the guest user by pressing the <Log In/Out> button on the control panel. A guest user is a user whose smart card information is registered as User ID automatically by Account Auto Setup for Card Login service (standard service). If you cannot search "Guest User", the settings may be changed. The guest user's User Name is set to a default name of the auto registration in [Tools]>[Authentication/Security Settings]>[User Details Setup]>[Login Type]. While you are operating jobs as a guest user, do not register the smart card or re-register. If you use the following User ID, you cannot register the smart card. - [ ] : The User ID that is only a half-width space. - ["], [+], [;], [<], [>], [?], [ [ ], [ ] ], [`], [{], [ ], [}], [:], [#], [(], [)], [\], [,], [*], [/], [=] : The User ID which is used these symbols. - The User ID that begins with [ ] If a user reuses the second-hand smart card, a system administrator needs to delete the user information of the card before a new user gets the second-hand card. You cannot re-register to the different domain if you once registered. When you use an Active Directory server, the authentication information saved on the Active Directory server is copied and saved in the device unit. In order to prevent the leak of the information from the device unit, we recommend that you enable the hard disk data encryption feature.
