2 Introduction Welcome to the econtracts for Partners course. This course provides a brief overview of what the Zebra econtracts Portal is used for. The duration of this course is 1.5 hours. 3

6 MODULE 1: ACCESSING AND NAVIGATING THE ZEBRA PORTAL 7

7 Module Objectives By the end of this module, you should be able to log into the Zebra Portal and access the econtracts section in the Portal. 8

8 Business Scenario Let s see how Sarah, an employee of a Distributor, uses the Zebra Portal to access the econtracts section. Sarah works for a Partner. She wants to learn how to log into and access the econtracts section in the Zebra Portal, so that she can create an econtract. 9

9 Logging into the Partner Portal Follow the steps below to access the Zebra partner portal. 1. Navigate to the partner portal at 2. Enter your Username and Password, and click Sign In. 3. You will be redirected to the Partner Gateway. You can access various tools like Online Ordering here

10 Logging into the Partner Portal (Continued) Scroll down to the Connecting Tools section. 4. Expand the Ordering Tools section and click the Access link to launch the Online Ordering Tools page. 5. Click the Access e-commerce Partner Portal for ordering online

11 Viewing the Partner Portal After logging in, you can view the Landing page as shown below: The key tabs are at the top of the page. These include Home, Invoices, Contracts, and Validate Warranty And Entitlement. The Logout tab is at the top right corner of the screen. 12

16 Business Scenario Let s see how Sarah uses the Zebra Portal to search for and view a contract. Sarah needs to learn how to search for and view a contract in the Zebra Portal. 17

17 Searching for and Viewing a Contract The steps to search for and view contracts are given below: 1. Click the Contracts tab on the Landing page. Note that the contracts fields are listed at the top of the page. Clicking any of the fields will sort the list alphabetically or numerically. By default, the list is sorted by the contract creation date. 1 18

Enter the Name, Number, or Phrase for the contract that you want to view and click the FIND button. 4. Select the Contract Number link from the search results to view the contract details

23 Module Objectives By the end of this module, you should be able to: Create new econtracts with a price concession. Identify the validations for different criteria such as country eligibility. 24

24 Business Scenario Let s see how Sarah uses the Zebra Portal to create a new e-contract. Sarah needs to: Create a new service contract sales for an essential contract (existing Reseller & end user). Create a three-year service contract from the start of the contract with a future start date (new end user). Create a contract with multiple service SKUs having different coverage durations. Create a contract with price concession and a nonaffiliated Reseller. 25

25 Introduction to the Zebra econtracts Portal Zebra econtracts is a web-based Portal that allows Partners and Distributors to purchase service contracts for hardware and software assets. Customers can select the contract SKUs he or she wants to purchase and enter serial numbers that should be covered by the contract. The contract is then received by the Zebra internal regional contracts management teams. The contracts entered by the customers may go through approval processes and may require additional set-up activities such as spare pool set-up. 26

26 Introduction to the Zebra econtracts Portal (Continued) After the contract receives the final approval from Zebra, it shows the status as Booked. All the charges are generated in a booked contract, and it is sent to the back office for billing. This functionality used to reside in the Trilogy istore, but has now moved to the Zebra Portal. It makes it easy for customers to view their existing contracts, purchase new contracts, and view and download invoices. 27

27 Identifying the Different Stages of Creating an econtract The different stages of creating an econtract are listed below: Populate the Contract SKUs (the type of service contract) and Quantity that you want. Review and confirm your order for it to be processed. Populate the mandatory fields such as Reseller Account Number, Reseller , End User Account Number, End User Country, End User , PO Number. You can also populate the Special Instructions, Welcome Pack Language, and AVS Admin . Identify the asset associated with the service contract that you want to purchase. A contract number is generated marking the completion of the process. 28

28 Creating a New econtract: With Price Concession The steps to create a new econtract are given below: 1. Click the Contracts tab on the Landing page, which will take you to the Contracts page. 2. Click the CREATE ECONTRACT button

29 Creating a New econtract: With Price Concession 3. The Add Contract Information page is displayed. Notice that the reseller account number and the name are already filled in for a Tier 1 partner. 3 30

30 Creating a New econtract: With Price Concession (Continued) 4. Reseller information is prepopulated based on your account. 5. Fill in all the other mandatory info: End user Account, End user , PO number, Start date

You can also search for any of the fields by clicking an attribute in the drop-down menu, typing in the relevant code, and then clicking the FIND button. 9. Click the OK button once the user is selected

Start date is defaulted to current date, however, it can be changed by clicking on the Start date drop down menu (12) Note: A red bar in the field indicates a mandatory field. Advancing through the five stages will cause the tabs to turn blue. 35

35 Creating a New econtract: With Price Concession (Continued) You can select a language from the Welcome Pack Language drop-down menu.the only language available in APAC is English-American. If a Welcome Pack Language is not selected while creating a new contract, it defaults to English-American. 13. Click the NEXT button to proceed to Contract SKUs selection. The following language is available for the welcome pack: English-American 13 36

36 Creating a New econtract: With Price Concession (Continued) The Pick Contract SKUs page is displayed. 10.Enter the fields such as Contract SKU and Quantity. Clicking the Contract SKU drop-down menu allows you to pick a service SKU from a search list. 11.Click the ADD CART button after completing the fields. You can add multiple SKUs in this section

37 Creating a New econtract: With Price Concession (Continued) When an SKU is added to the cart, it is auto-populated into the line items below and lists information such as the Description, Quantity, Start/End Date, Price Concession Number, List Price, PC Discount% (once PC has been added), Standard Net Price, and Line Total Net Price. 38

38 Creating a New econtract: With Price Concession (Continued) 12. Click the Price Concession Number field to open the applet to select available Price Concessions (PCs). 13. Select the PC and click the OK button. (Only those PCs that are available for the service SKU are displayed here.) An additional PC discount is applied to the line

39 Creating a New econtract: Adding Attachments You can also upload a document as an attachment before proceeding to the next sub-tab. However, it is not a mandatory step unless it is an OVS (Operational Visibility Service) SKU. Note that the SKU type enables the selection of the attachment type. If you have used an OVS SKUs on the contract, the OVS form must be upload as an attachment. An error message will be displayed if you click the NEXT button and the attachment is missing. 40

40 Creating a New econtract: Adding Attachments (Continued) To upload a file as an attachment, click the NEW FILE button. Search for and add the OVR form from your system. Click the SAVE button. Once uploaded, you should be able to view the attachment name and type of the attachment. You should also be able to delete the attachment if required. 41

41 Creating a New econtract: With Price Concession (Continued) 14. After updating the line item, and adding an attachment if required, click the NEXT button on the Pick Contract SKUs page

42 Creating a New econtract: With Price Concession (Continued) The Add Serial Numbers page is displayed. 15.Click the relevant Contract SKU tile to highlight the tile. If there are multiple SKUs, then multiple tiles will be viewable. You must highlight the correct tile in order to add the serial numbers (on the following page). 15 Note: Each SKU you add to the cart on the previous page represents a tile. 43

43 Creating a New econtract: With Price Concession (Continued) 16.Enter the associated serial number and click the ADD TO ITEM button. Once the item is added, it is displayed below in the Assets section. 17. Click the NEXT button when finished

45 Creating a New econtract: Serial Number Validation econtracts have a serial number validation capability to ensure that only valid serial numbers can be entitled under a contract. The following validations are available in the system: Invalid serial number Serial number already entitled on an existing contract Serial number exists on the same contract and same coverage type Mismatch between the quantity on the service SKU line and the count of the serial numbers added under that service SKU For OVS and AVS 8 service, system will Service SKU and serial Zebra One Care validate the coverage of number compatibility Service from the start the serial number on an check eligibility check existing break-fix Zebra OneCare contract Let s look at each of these in detail. 46 Creating a New econtract: Serial Number Validation (Continued) 1 Invalid serial number: Check if the asset/serial number added exists in Zebra s system. If it exists, the validation is passed. Remediation: Please contact the APAC Zebra team or econtracts.apac@zebra.com. 47

47 Creating a New econtract: Serial Number Validation (Continued) 2 Serial number already entitled on an existing contract: Validate if the serial number entered is already entitled under a similar coverage type (for example, select, essential) on an existing contract. If yes, the system displays a validation message and prevents this serial number from being added to the contract. 48

48 Creating a New econtract: Serial Number Validation (Continued) 3 Serial number exists on the current contract: Validate if the serial number entered already exists on the current contract and under the same type of coverage. If yes, then the system displays a validation message and prevents this serial number from being added to the contract. If the serial numbers exists on different types of coverage, then the validation is passed. 49

49 Creating a New econtract: Serial Number Validation (Continued) 4 Mismatch between quantity on the service SKU & assets count: If the number of serial numbers added is less or greater than the quantity specified on the service SKU line, then an error message is displayed. Remediation: Increase or decrease the quantity on the service SKU line level. Delete or add extra serial numbers so the asset count and quantity are matching. 50

50 Creating a New econtract: Serial Number Validation (Continued) 5 Serial Number Compatibility Check: Validate if the hardware device associated with the serial number can be covered under the service SKU; for example, in the image below, there is an error because the MC92 serial number is being added under the MC67 Service SKU. Remediation: Try with a valid service number or a different service SKU. If you still have issues, please contact the Zebra contract team. 51

51 Creating a New econtract: Serial Number Validation (Continued) 6 Service from the Start (SFS) validation: Validate the serial number coverage based on the ship date of the hardware device associated with the serial number. If the ship date meets the criteria, then the validation passes, else there is a validation error as shown in the image below. Remediation: Please contact the local Zebra contracts team if you have questions regarding SFS coverage validity. 52

52 Creating a New econtract: Serial Number Validation (Continued) 7 Validate existing break-fix coverage of AVS / OVS: If the asset is being added under AVS / OVS SKU, then the system will validate that the asset is already entitled under a select or essential contract. If the validation passes, the asset is added; otherwise, the following error message is displayed and the asset is not added: Remediation: Please contact the local Zebra contracts team if you have questions regarding the SFS coverage validity. 53

53 Creating a New econtract: Serial Number Validation (Continued) 8 Select and Fastrack Entitlement validation: The same serial number cannot be a part of a Select contract and a Fast Track contract. If an asset entered is already entitled under an active select contract or Fastrack contract, then the following message will be displayed: Remediation: Please contact the local Zebra contracts team if you have questions regarding the SFS coverage validity. 54

55 Creating a New econtract: Bulk Serial Number Upload In addition to the individual asset added to the contract, the Portal also enables you to upload large quantities of serial numbers in bulk. All of the serial number validation that is applicable to an individual asset add is also enforced for bulk upload. To bulk upload serial numbers, follow the steps given below: 1. Click the BULK LOAD button on the Add Serial Numbers page. 2. Download the template for the CSV file to be used for uploading serial numbers

The file gets saved in your Downloads folder as displayed in the message. 5. Click the OK button Note: This step is a one-time effort. For subsequent bulk uploads, the same file can be used with different serial numbers. 57

57 Creating a New econtract: Bulk Serial Number Upload (Continued) 6. Add serial numbers to the CSV and click the UPLOAD FILE button. 7. Select the file and click the IMPORT button. The serial numbers are displayed

58 Creating a New econtract: Bulk Serial Number Upload (Continued) 8. Now, click the LOAD DATA button. The serial numbers that have been loaded are displayed. A green status indicates no serial number validation errors. A red status indicates a validation error and an error message is displayed. 9. Click the CONTINUE button to proceed with adding the serial numbers. Only serial numbers with a green status are added

60 Creating a New econtract: Review and Confirm 1. Review your cart to ensure completeness and accuracy. 61 Creating a New econtract: Review and Confirm (Continued) 2. If further updates need to be made, click the EDIT CART button. 3. When finished, click the CONFIRM ORDER button

62 Creating a New econtract: Confirmation 1. Upon submission, you will be able to see the screen shown below. 2. Click the GO TO CONTRACT HOME SCREEN button to return to the contracts Landing page. 3. You will also receive an notification for the contract submission. 1 Note: All tabs are colored blue indicating the econtract creation process is complete. 2 The system generates a contract number. 3 63

64 Creating a New econtract: Multi Language Welcome Pack Once the contract is activated, you will receive a Welcome Pack via which includes a Welcome letter, Service Description Document for the particular service part number(s), Terms and Conditions, and Customer support instructions. 65

65 Creating a New econtract: Service Entitlement Without Serial Numbers Some software support/maintenance offerings do not require serial numbers of the devices for entitlement. For such offerings, the serial add capability is disabled as illustrated in the image on the screen. Both Add To Item and BULK LOAD buttons are grayed out. Click the NEXT button to proceed. 66

66 Country Eligibility Validations Country Eligibility Validations are performed to ensure that the SKU being added to the contract is eligible to be sold in the country of the end-user customer. This validation is performed when you select the SKU to be added from the product selection picklist. When a product is selected from the picklist, the system will check if the selected SKU is eligible to be sold in the end user country. If eligible, the SKU will added to the contract; otherwise, the message below will be displayed: 67

67 Country Eligibility Validations (Continued) If the end user country is not listed, the SKU will not be added to the line and the following message will be displayed: SKU selected is not eligible to be ordered in the end user country. Please contact your local Zebra contracts team for questions related to service country eligibility. The same validation must be performed when the SKU is entered directly on the service SKU field instead of searching and selecting from the picklist. 68

68 Adding Special Instructions Special instructions are used to indicate that the contract requires special handling for booking. When the Special Instruction field is populated, on submission of the contract, it is received by Zebra in the Submitted status. The Zebra contract team then makes the necessary changes to book the contract. For example, you can add special instructions such as global accounts pricing and TC55 contract orders. However, note that using the special instruction for any reasons that it s not intended for will cause unnecessary delays in booking the order. 69

69 TC55 Service Ordering Let s look at the TC55 service offering. Customers can enter TC55 in the Special Instructions field while creating an econtract. 70

70 TC55 Service Ordering (Continued) On the Pick Contract SKU page, add a TC55 SKU. Attach a file with the relevant serial numbers and click the Save button. 71

71 TC55 Service Ordering (Continued) Proceed with the econtract creation. The serial number addition and validation are automatically skipped. The Add Item and Bulk Load fields are grayed out. Once the contract is submitted, the CS Admin will add the serial numbers on the contract. 72

72 Contracts Status as Submitted The contract will be received in the Submitted status if one of the following criteria is met: The contract has some special instructions. The reseller information is entered as text and not selected from the picklist. The service order included battery maintenance and/or battery refresh entitlements. 73

78 Searching, Viewing, and Downloading Invoices The user can search for specific invoices by querying the data by invoice number, order number, contract number, and order created date range. 1. Click the Invoices tab to launch the invoices view page. 2. Click the FIND button without any search criteria to get a list of all the invoices. 3. Alternatively, filter the invoices displayed based on invoice number, order number, or PO number You can click the Invoice number link to download the invoice in PDF format. 79

79 Validating the Entitlement and Warranty You can validate the entitlement details of a serial number from the Validate Warranty And Entitlement tab. 1. Enter the serial numbers to be validated. 2. Then click the Validate button. 3. The entitlement details are displayed

80 Initiating an econtract when Picking a New End User You can create an econtract even when an end user is not in the system. To do so, follow the steps below: 1. Click the Contracts tab on the Landing page, which takes you to the Contracts page. 2. Click the CREATE ECONTRACT button, which brings you to the Add Contract Information page

81 Exporting Rows of the Contract Data The Zebra Portal makes it easy to export rows of data into Excel for easy viewing. 1. Click the Contracts tab on the Landing page which takes you to the Contracts page. 2. Click the EXPORT button to open a new window

82 Exporting Rows of the Contract Data (Continued) 3. Click the appropriate fields that you want to export. Rows to Export can be viewed as All Rows in Current Query or Only Current Row. Columns to Export can be viewed as All or Visible Columns. 3 Export options include: Rows to Export Columns to Export Output Format Output Format can be viewed as a Tab Delimited Text File, a Comma Separated Text File, HTML, or Text File With Delimiter Click the NEXT button. 83

84 E-contracts Add on availability New e-contracts Add on functionality is available for: Additions to new contracts with standard billing cycle It is not enabled for: Renewed contracts Contracts with non-standard billing period Contracts that already have an In Process revision opened 85

85 Addition to contract with PC 1. Look up the active contract you like to add new lines to using the search fields

86 Addition to contract with PC 2. If the contract is eligible for Add on Add Devices button is enabled. If it is not, the button is disabled 87

87 Addition to contract with PC 3. To initiate addition process, click on Add Devices button. Contract revision notification is displayed and you need to confirm if you want to proceed by clicking on OK. 88

88 Addition to contract with PC 4. In Add Contract Information page add missing mandatory info: Reseller/End user account number (not necessary for contracts that were already created after transition to Siebel - these have this info already populated), PO number, Reseller PO number (optional) and Special instructions (if needed). If needed also add or change Reseller/End user 89

89 Addition to contract with PC 5. Contract Start Date is not an editable field for Add on s. Welcome Pack Language is editable only for pre-siebel contracts. 90

90 Addition to contract with PC 6. Once all info is completed click on Next to continue. 91

91 Addition to contract with PC 7. The Pick Contract SKU screen displays the active line(s) that is already on contract. To add New line(s) use the Contract SKU/Quantity/Commissioning required (if needed) fields and Add to cart button. 92

92 Addition to contract with PC 8. New ln process line is added to Line Items with start date defaulted to current date and Line Total Net Price pro-rated accordingly. 93

93 Addition to contract with PC 9. If you want to change the line start date, click in the Start Date field and change it to the required date. 94

94 Addition to contract with PC 10. Once the start date is changed click in the Active line and system will pro-rate pricing on the In process line as per the new period. 95

95 Addition to contract with PC 11. If you want to apply a PC to the new line, enter the PC number in Price Concession Number field and the click on Re-calculate Price button. System will pro-rate the PC price based on chosen line period. 96

96 Addition to contract with PC 12. If you need to add more new lines to the contract, repeat the same process for them. Please note that Active line is not editable and End date of the In Process line(s) cannot be changed as well. 97

97 Addition to contract with PC 13. Once all lines are added click on Next to proceed. 98

98 Addition to contract with PC 14. In Add Serial Numbers screen use Add to Item or Bulk Load buttons to add serial numbers. 99

99 Addition to contract with PC 15. Add to Item and Bulk Load buttons are enabled only for In Process line(s). They are disabled for Active lines(s). 100

100 Addition to contract with PC 16. Once serial numbers are added click on next to get to Review and Confirm page. All lines covered by the contract will be displayed, however, the new revision will be processed only for In Process line(s). 101

101 Addition to contract with PC 17. If you like to do any changes to the order click on Edit Cart. If you like confirm the order click on Confirm. 102

102 Addition to contract with PC 18. Confirmation of successful new contract revision gets displayed once you click on confirm. 103

103 Addition to contract with PC 19. In the same time you will also get a notification that displays customer information and the new line(s) you added to the contract. 104
