1 EndNote X3 Quick Start A University of Michigan Health Sciences Libraries Guide With EndNote, you can easily create a personal database ( library ) of references, save references from database searches and add them to your library, and insert and format references and bibliographies in Word documents. There are many more features in EndNote than we ll cover in this workshop, but thesee instructionss will get you started. Each EndNote library consists of 2 files:.data and.enl. Remember to transfer both files if you put your library on a portable medium, such as a USB flash drive. Remember to backup your library on a regular basis (File Save a copy). Online help is and the Help dropdown menu. 1. Creating or opening an EndNote library Click on the program icon to open the Get Started with EndNote window. Click on Create a new EndNote (or Open existing) library, then click on OK. Name your library, if new, and save it to your desktop. You can create more than one library. Each library is unlimited in size (althoughh 100,000 references is considered the maximum number for efficient processing). References can also be divided into groups. 2. EndNote screen The Library windoww shows the references you ve entered in a list at the top. Each referencee is displayedd on a single line with the first author s last name, the year of publication, the title, the journal name or secondary title, the referencee type, and the URL. The lower pane displays the full, selected reference on the Preview tab. The Search tab is used for online searching. The left pane of the window lists groups of references under My Groups. In a new library, only the All References and Unfiled groups are available. (Unfiled references are those that haven t been added to a specific group that you ve created under My Groups.) 2 Commands on the main toolbar include (from left to right): buttons for three modes (Integrated Library & Online Search, Local Library, and Online Search), the output style menu, Copy to Local Library, New Reference, Online Search, Import, Export, Find Full Text, Open Link, Open File, Insert Citation, Format Bibliography, Return to Word Processor, Help, & a quick search box. Different menu options are available depending on what part of the window you re working in. If you can t do something, check to see where your cursor is. To end a function, save a file, or close a window, click on the inside X in the upper right (not the outer X, which will close the program). 3. Adding References to an EndNote Library There are 2 methods for adding references to your library: manually and electronically. Manually From the References dropdown menu, select New Reference. Author names o Enter each name on a separate line. o Enter the last name first, followed by a comma. First names can be entered completely, or as initials followed with periods or a space between (i.e., Smith, J A or Smith, J.A.). o Enter all names; EndNote will truncate if necessary for a particular citation style. o For a corporate author, add a comma at the end of the name and don t use any commas within the name (i.e., Department of Commerce, not Commerce, Department of). New author/journal names appear in red. If an author/journal name is already in your library, it will appear automatically. Click on the X in the upper right to save the reference. 3 If you need to edit a reference, open it by double-clicking the reference in the upper pane and make your corrections in the Reference window. Electronically The most efficient way to add references to your library is to search a database and then import the references electronically, using either Direct Export or Import Filters. The method you use will depend on the database you re searching. Example, direct export: UM MedSearch 1. Perform search in database. 2. Click Display in Search History to go to your results. 3. Make selections from the results list, if necessary, and go to Results Manager. 4. Under Results, choose Selected Results, All on This Page, or All in This Set; under Fields, choose Complete Reference; under Result Format, choose Direct Export; under Actions, choose Save. 5. On the Export Results page, choose Export Results to EndNote and click the Continue button. Your references are imported. Example, import using filters: PubMed 1. Perform your search in the database Select references to import by clicking in the check box. Click on the Send to link and choose File. In the box that opens up below that, change the Format option to MEDLINE. Click the Create File button and save the file (pubmed-results.txt) to your desktop. 2. In EndNote From the File dropdown menu select Import (or click on the Import icon). In the Import window, at Import Data File, click Choose file to find your results file. Double-click on the file name or click Open. Under Import Option, select PubMed (NLM) if you ve previously placed this filter on your list of favorites or click on Other Filters to find the correct filter (do not select Connection Files). Click the Import button, & records are placed in your library (in both the Imported References and All References folders). You can also look up & select all the import filters you may need before you search databases. You need to know both the name of the database and the information provider (PubMed/National Library of Medicine or World of Science/ISI, for example). Any time you select a filter, it is added to your favorites, filters for databases that you search frequently. o From the Edit menu, select Import Filters, then Open Filter Manager. o To select a filter, begin typing the name, use the Find by button that lists filters by information provider, or simply scroll down the list. o When you find the filter, click in the check box to place that filter in your list of favorites. You can choose as many filters as you want. 3
4 o At the bottom of the screen, in the Comments section, you ll find instructions on how to save your references before importing them into your library. o Click the X to close the window. 4. Attaching a file to a citation record You can link a file on your computer a graphic, word document, spreadsheet, or PDF file to an EndNote reference. You can attach a file when a single reference is selected in the Library window or when you re editing a referencee in the Reference window. You can add attachments using the References dropdown menu or by right-clicking the reference. To link a file to a reference: 1. Select the reference in the Library window or open it. 2. From the References dropdown menu, choose File Attachments, then Attach File. 3. Select a file to link to the reference. 4. Note the check box along the bottom titled, "Copy this file to the default file attachment folder and create a relative link." This gives you the option to: Select the check box to copy the original file and place the copy in the DATA\PDF folder that is part of your EndNote library. Deselect the check box to always have EndNote look in the original folder for the inserted file. 5. Click Open. 5. Groups You may divide your references into as many as 500 groups. References can be put in more than 1 group but will never appear on the All References list more than once. Create a group by using the Groups dropdown menu, then select Create Group. You can add references to a group by selecting and then dragging and dropping them into the group folder. You can also create a group set so that you can organize your groups into clusters of different topics or projects. 4

Cite While You Write (CWYW) This feature lets you insert citations in a paper, then formats them correctly, and creates a bibliography or reference list in any one of hundreds of citation styles. EndNote has a short list of default styles, but using the Outpu Style Manager lets you both choose a style for a particular paper and set up a list of favorites for styles that you use frequently. To select styles, from the Edit dropdown menu select Output Styles, then Open Style Manager. You can search by simply scrolling through the list or by using the Find by button, to search by category. Click in the box next to the style name to place thatt style in your list of favorites. Click on the Style Info/Preview button to see a preview of references in the selected style at the bottom of the screen. With EndNote X3, your citations and bibliography are formatted automatically, unless you choose to change this in Preferences. To insert a citation, open both your document and your EndNote library. Place the cursor in your document where you need to insert a citation. Use the EndNote X3 tab in your word 2007 document. In Word 2007, click the Find Citation icon to search for citations in your library. Choose citation(s) by highlightingg them. Click Insert. You can also insert citations by selecting them in your EndNote library, then using the Tools dropdown menu (select Cite While You Write, then Insert Selected Citations). 5
6 To edit a reference (for example, to add a specific page number to an in-text citation): Select the citation in the document that you wish to edit. Click on the Edit icon (or from the Tools dropdown menu, select Cite While You Write, then Edit) to open the Edit Citation window. Enter your changes. & click OK. The Insert and Remove buttons in this window allow you to add or delete references already entered in your document. To change the output (or bibliography) style, simply select another style from the dropdown Style box on the EndNote X3 tab.
