1 Zotero Introduction Zotero is a free citation management program which allows you to easily save and organize references/citations from websites and online databases, insert them into your research paper in many different citation styles, and create reference lists. To use Zotero, you can download Zotero for Firefox or Zotero Standalone. Zotero for Firefox is a plug-in which you run within the Firefox browser, while Zotero Standalone is a separate program on your desktop. There is not much difference between these two options both offer full Zotero functionality. Zotero Standalone is recommended for users who do not use Firefox as their primary browser. Creating an account with Zotero will allow you to synchronize your Zotero library across all your devices, and to access your references from anywhere with an Internet connection. Getting additional help This guide is intended as a brief introduction to Zotero. For more detailed help, please visit the Zotero support page at You can also contact the Library for additional assistance. Downloading Zotero for Firefox a) Open Firefox and go to b) Click c) Scroll down the page to the Downloads section. Select the link under to download the latest version of Zotero d) Follow the prompts in the pop-up window to complete the download e) Installing word processor plugins: On the Zotero Downloads page under Word Processor Plugins for Zotero for Firefox, select the link for the latest version of the Zotero word processor plugins. Scroll down the page until you find the section devoted to your word processor, and click on the link to install the word processor plugin for Zotero. Follow the installation prompts for the Zotero word processor plugin to complete the download f) Restart Firefox to start using Zotero Downloading Zotero Standalone a) Open any web browser and go to b) Click c) Scroll down the page to the Downloads section. Select the link under for your operating system (Windows, Mac, or Linux) d) Follow the prompts in the pop-up window to save the file and complete the download Setting up an account and synchronizing your references a) Go to b) Click Register in the top right corner. Fill in the required information and choose a username and password. c) Open Zotero and click d) Select Preferences, and select the Sync tab e) Enter your username and password, and ensure that the Sync automatically box is checked f) Now when you make changes in Zotero, the changes will be made to any other devices where you have synchronized Zotero 1

2 Importing records from databases or websites b) Click on the capture icon in your browser s address bar (it will be a folder if there are multiple records on the page, a piece of paper if there is only a single article, a book if there is a single book, etc.) c) A pop-up window will appear. Mark the items you want to export and click OK d) A box will appear at the bottom of your browser to indicate that the records are being saved to Zotero e) When you open your Zotero database, these items will appear in the Unfiled Items collection Note: This is the general process for importing records to Zotero. It does not work in all databases. If you find a database where no capture icon appears or if you wish to export results from more than one page at a time, please see the information specific to individual databases in the following pages. 2

3 Importing references 1. Direct Export from an Ovid database (Medline, EMBASE, PsycINFO, Global Health, etc.) b) Select those reference(s) you wish to export using one of the following: By selecting the check boxes to the left of the references By selecting the All check box to select all references By selecting a range of references using the Select Range box c) Click d) In the Export Citation List pop-up window, choose Export To RIS and Complete Reference and click e) In the next window, choose Save to Zotero and click OK f) The references you selected will now appear in your Zotero library 3

Direct Export from an EBSCOhost database (CINAHL, SportDiscus, etc.) b) Select the reference(s) you want to export by clicking c) Click on, found under on the right side of your screen d) Select the references from your folder that you wish to export using the check boxes e) Click on on the right side of your screen f) On the next page, select Direct Export in RIS Format (e.g. CITAVI, EasyBib, EndNote, ProCite, Reference Manager, Zotero) g) Click h) A box will appear at the bottom right corner of your browser to indicate that the records are being saved to Zotero 3. Saving and importing records from Scopus b) Select the reference(s) you want to export using the check boxes to the left of the reference c) Select on the grey toolbar directly above your search results d) On the Output: Export, Print, or Create a Bibliography screen: Ensure that is selected From the Export format menu, select RIS format (Reference Manager, ProCite, EndNote) From the Output menu, select Complete format e) Select f) A window will pop up called Opening scopus.ris. Choose Save file g) Open Zotero and click on, then select Import h) Find and select the scopus.ris file in your downloads folder. Select Open i) The references you selected will now appear in your Zotero library 4. ISI Web of Knowledge (BIOSIS Previews, CABI, Web of Science, Zoological Record, etc.) Zotero can only save one reference at a time from ISI Web of Knowledge databases. You can save a reference by following the instructions under Importing records from databases or websites. 5. Direct export from a ProQuest database (Public Health, ABI/Inform Global, CBCA, Canadian Newstand, Dissertations and Theses, etc.) b) Select the reference(s) you want to export using the check boxes to the left of the reference c) Select d) In the pop-up box, select Output to RIS and select Continue e) In the pop-up window which asks if you would like to import items into Zotero, click OK f) The references you selected will now appear in your Zotero library 6. Google Scholar Zotero is compatible with Google Scholar. Simply follow the directions under Importing records from databases or websites. You will want to select the capture icon on the Google Scholar search results page in order to choose which references to save. 4

5 7. Saving and importing records from PubMed Zotero is compatible with PubMed, and a capture icon will appear in the address bar of your browser once you have performed a search. If this icon does not work, you can add references individually using the PMID. b) For each reference you wish to import: Copy the PMID number shown for the respective article Add items by identifier Open Zotero and click Paste the PMID number into the dialogue box and hit Enter The reference will now appear in your Zotero library If you are having trouble or need assistance with exporting from other databases, use the contact information at the top of this guide to get help. Open Zotero and select Enter the ISBN, DOI, or PMID for your reference in the search box to add it to your Zotero library Manually add references To add references manually, go to your Zotero library and select. Choose the format type (e.g. book, book section, document, journal article, newspaper article, etc.) from the drop-down menu (there are more options under More). An empty item of the selected format type will appear in the centre column. Fill in the relevant information in the right column. Organizing your library You can organize your Zotero library into collections. You can create a new collection by opening Zotero and clicking. Enter a name for the collection and select OK. You can further divide a collection into sub-collections. Create a sub-collection by rightclicking the collection in the left column, and selecting New sub-collection. Enter a name for the sub-collection and select OK. You can move references into a folder by selecting the reference(s) in the middle column and dragging them to the folder you where you want to put them in the left column. Any reference that is not in a collection can be located under Unfiled Items. Attaching PDFs to a reference You can set Zotero to automatically attach associated PDFs (if available) when saving a reference. Open Zotero and click on, then select Preferences. Select the General tab and check Automatically attach associated PDFs and other files when saving items. You can also attach information to a reference by selecting the reference in the centre column and selecting. Choose the type of attachment you would like to add and follow any further instructions from Zotero. These attachments can include files, links, snapshots of webpages, and URIs. Retrieving citations for PDFs For some PDF documents, Zotero can retrieve citation data. Open Zotero and drag the PDF into the centre column. The PDF with no citation data is now in your Zotero library. Right click the PDF, and select Retrieve metadata for PDF. If Zotero can find the document in Google Scholar, it will create a reference in Zotero for the PDF, with the original PDF document attached. Importing references from EndNote a) In EndNote, open the Edit menu and select Output styles b) From the list of output styles select RefMan (RIS) c) In the File menu, select Export d) In the Export pop-up window, choose Text Only, select the RIS output style, and select Save e) Open Zotero and click on, then select Import f) Browse to your exported RIS file, select it, and select Open g) The items will be imported into your Zotero library 5

6 Importing references from RefWorks a) In RefWorks, select References then select Export b) Select the RefWorks folders to include, and for Export Format choose Bibliographic Software (EndNote, Reference Manager, ProCite). Select. Save the exported items file. c) Open Zotero and click on, then select Import d) Browse to your exported file, select it, and select Open e) The items will be imported into your Zotero library Generating citations and bibliographies in a paper 1. Insert your reference a) Place your cursor at the position in the document where you would like your citation to appear b) On the add-ins toolbar, select the icon c) In the pop-up window, select your citation style and format options, and select OK d) Start typing the title or author of your reference into the Zotero bar that appears or click the icon and select Classic View to find a reference in your Zotero database e) Select the reference to insert its citation for it into your paper 2. Format your bibliography a) Place your cursor at the position in the document where you would like your bibliography to appear b) Select the icon.
