1 Overview: The SIA - Schedule of Classes (Printable) dashboard allows registrars offices and curriculum management staff at the schools to extract data from the my.harvard schedule of classes in a highly formatted report. The output can be used to facilitate distribution to stakeholders, proofreading the catalog listings via Microsoft Word s track changes feature, to post on a website, to create handouts for students, etc.. Things to Know: The content of the report is generated by a dashboard within the Student Information Analytics System Powered by OBIEE. The first version of this dashboard: Provides filters to scope the report to meet your needs and multiple views into the data extracted. Additional views may be incorporated over time. Data is extracted from information within my.harvard Schedule of Classes* Output ONLY contains those courses that are scheduled for selected Term(s) For schools that use them, bracketed courses and cross-listed courses are NOT listed on this report. *Data is refreshed in the Student Information Analytics System daily between 6:00 am and 7:00 am (in the future, this will be done more frequently). Access the Student Information Analytics System Powered OBIEE : Use to access the report. Tip: Bookmark the URL or save as a Quick Link within the my.harvard portal to easily access in the future. 1

2 First Time Set Up: The first time you access the Student Information Analytics System, you should set the default time zone to (GMT-05:00) Eastern Time (US & Canada). To set the default time zone: 1. Click on the drop down found on the top right of the page where your HUID appears and select My Account. 2. Under the Preferences Tab, click on the Time Zone drop down and select (GMT- 05:00) Eastern Time (US & Canada). 3. Click OK.. 2

3 Accessing the Report: To run the report: 1. Click on the drop down of Dashboards. 2. Locate the functional area folder: SIA Course Catalog. If the folder is not expanded (should have minus sign), click on the plus sign to view contents. 3. Click SIA Schedule of Classes (Printable).. Tip: If this is the only dashboard you regularly run, it is possible to save the Dashboard as your homepage. See the Tips and Tricks: Set Your Home Page section for more information. 3

4 Generate the Dashboard: On the dashboard home page, enter values on the left hand side of the page to define the scope of the report: 1. Select your school from the School drop down. Once a school is selected, the list of organizations (departments) and subjects is filtered further to match those of the school and is refreshed. Tip: If you need to search for an Organization or subject, see the Tips and Tricks: Selecting Values Using Search section for more information. Optionally, you can select the Organization and Subject code to further refine your dashboard results. 2. You should also select the Term(s) for which you wish to generate the dashboard. Note: When Organization and Subject are NOT entered, the report generated contains ALL courses for a School. It is strongly recommended that larger schools enter Organization and/or Subject. 3. Click Apply to generate the dashboard. Tip: After running the report, you can save the values entered so that they do not need to be entered in the future. See the Tips and Tricks: Saving and Retrieving Customization section for more information. 4

5 Viewing Dashboard Layouts: The generated dashboard appears on the right side of the page. The tabs at the top represent the various layouts format. View a specific report layout by clicking on the appropriate tab. The current layouts are: Printable Catalog - A dashboard grouped by organization and subject. 5

6 Viewing Dashboard Layouts and Output Options: with Table of Contents A dashboard grouped by organization and subject but with a table of contents containing hyperlinks to view courses. Short Form Catalog - A dashboard sorted by subject and catalog number without attributes, class notes, course notes, and requisites. Course List - A dashboard in spreadsheet-style listing of all scheduled classes. 6

7 Viewing Output Options: Output options can be viewed and selected by clicking the PDF icon drop down located in the upper right hand corner of the dashboard view. Printable Catalog Options with Table of Contents Options Short Form Catalog Options Course List Options Only those permitted formats will display and vary depending on the dashboard selected. All dashboards are available as PDF (opening in a version of the Adobe PDF Reader) and Rich Text Format (opening in default word processor). However, some reports are also available as, Excel, PowerPoint, or XML. Note: When choosing an RTF output (or if that option is selected by default), you may see a pop-up dialog box from which you can either view the file or save the results. 7

8 Tips and Tricks: Set Your Home Page as the Printable Course Catalog Optionally, you can set your landing (home) page to be the Printable Course Catalog when this is the ONLY dashboard that you run in the system. To set your landing (home) page: 1. Click on the drop down found on the top right of the page where your HUID appears and select My Account. 2. Under the Preferences Tab, click on the Starting Page drop down and select SIA - Course Catalog: Schedule of Classes (Printable). 3. Click OK. 8

9 Tips and Tricks: Selecting Values Using Search Follow these steps to select Academic Organization and/or subject values using the Search Feature: 1. Click on the drop down of the field and select Search. 2. The Select Values window will open. Values will searched by default by the start of the value name. You can change this by selecting the Name drop down and choosing another option. 3. Enter the text and click Search. Be sure to uncheck Match Case unless you want the search to be case sensitive. 4. From the Available List, select the value. 5. Click on the right arrow to move the selected value to the Selected list. 6. Click OK. 9

10 Tips and Tricks: Saving and Retrieving Customizations You can save your dashboard search selections (prompts) as a customization so that they do not have to be entered in the future: 1. From the homepage, under your HUID, click on the Page Options icon: 2. Click Save Current Customization 3. Enter a name for the saved customization. In this example a name has been entered. 4. If you would like the saved selections automatically default as your selections when you next access Printable Course Catalog Report, check the Make this my default for this page checkbox. 5. Click OK. Retrieving Saved Customizations: If you did NOT set your customization as the default, follow these steps to retrieve saved customizations: 1. Access the dashboard-sia Schedule of Classes (Printable). 2. Click on the Page Options icon. 3. Select Apply Saved Customization and select the name of the saved customization. Tip: Note you can also edit and clear customizations from this same menu. 10
