1 Enroll/Update New Customers Overview: The Enroll New Customer feature allows you to enter customer data collected on the Best Rewards applications directly into the InfoStation site. This feature is linked to the profile page allowing you to easily update your customer profiles and/or add new customers. Here s How it Works: Login to your InfoStation account Click on Do it Best Customer Admin 1
2 You re taken to the Customer Search page First, you must look up the customer s LC number to determine if the record already exists in the database If the LC number is found, you will see the customer account displayed and can proceed to the account by clicking on the customer line. You can also click on Search Again if you searched for incorrect LC number 2
3 Click on Update Profile to add or modify any missing demographics on the customer s account If LC number is NOT found, you will see the message Sorry, no customers found to match your search. At this point, proceed to click on Enroll New Customer or Search Again if you searched for the incorrect LC number 3
4 The Enroll New Customer page will display as a blank customer profile page where you will need to populate each field as required. Please note any fields marked with an asterisk (*) must be populated with the required information. Enrollment store Enrollment date LC number First & Last name Address, city country, zip code Primary phone number & type If the phone number is not provided, please use (Type: Home) At the bottom of the page you see 3 buttons: Submit, Search Again & Clear 4
5 Click Submit to submit the customer information and create a new Best Rewards account in InfoStation. If you successfully enroll a customer, you will see the message New Customer has been enrolled successfully Click Search Again to search for a different LC number Click Clear to clear out all of the entered customer information. You can clear out the information you have entered either before or after submitting the customer information. Please note: The page will not clear out for you automatically after the enrollment is submitted. The information you entered will remain in the page. This serves as a confirmation of the information you entered. You must click on Clear in order to wipe out the information and proceed to your next enrollment or click on Search Again. This is what the page will look like once a customer enrollment is submitted successfully: To enter the next enrollment, simply click on Search Again and you will go back to the Customer Search Page. 5
6 Notes about the Customer Enrollment Page: If an LC number has previously been enrolled, you will receive a message indicating Customer for specified LC Number already exists If you mistype your store number, you will receive a message Invalid Store Number and you must correct it prior to submitting the enrollment If the LC number you are enrolling is not within the LC number range assigned to your store at the time you place an order for key tags or applications, you will receive this message The LC number entered is invalid. To proceed any further you must confirm and correct the LC number prior to submitting the enrollment. 6
7 If the Enrollment Date you enter is a future date, you will see this message Enrollment date cannot be a future date. To continue with the enrollment you must correct the date. Helpful Tips. Your store is assigned an LC number range based on the orders placed for key tags and applications ( in ranges of 1,000 or 2,000). This range allows you to create new customer enrollments based on your store(s). Any LC number that falls out of your store s LC number range will not be successful when enrolling it. You can back date when enrolling and LC number, however, you cannot use a date in the future. This only applies to LC numbers not currently found as existing records in InfoStation. We recommend you turn on your Caps Lock when entering your enrollments We recommend using in the phone number field, if a phone number is not provided in the application. Once a new customer record is created and submitted through the enrollment page, they will show up in InfoStation. However, you will not see them in any reports nor will you see any transactions until the next day. We created a report called New Customer Enrollments that will list out the customers you ve enrolled through the new enrollment page. This report will show the LC number, your store, the customer demographics, the date enrolled and the user who added the customer record. 7
