1 My Access 1/12 Purpose Our new MyAccess self-service IT portal offers secure and simplified access to your personal account information. This Quick Reference Guide on it is intended for all SWISS as well as external employees, and is divided into the following sections: Contents 1. Logging in Adding a mobile OTP contact (mobile phone number or address) Managing your OTPs (generated via ID badge or sent by or SMS) Testing the SMS/ OTP Testing the ID badge OTP Resetting your ID badge OTPs Managing (i.e. setting and changing) your magic questions Changing your password Resetting a forgotten password Support... 12

2 My Access 2/12 1. Logging in 1. In your browser (such as Internet Explorer) go to 2. Log in User name (3/4LC): Password: OTP: your personal three- or four-letter code or EX-ID your personal (SWISS) password a one-time password, which you can obtain a) by pressing the button on your SWISS ID badge, or b) as a mobile OTP (see below and Section 2) 3. Mobile OTP If your Swiss ID badge is not available, has been damaged or you simply do not have one (as most external employees), a sixdigit mobile OTP can be sent to you by SMS text message or , provided your mobile phone number or address is stored in the system (for details of how to do this, see Section 2). The phone number or address you provide will be used only for sending the text message with the OTP. It will not be visible in our Who Is Who, AirCrews or SAP. If you want to obtain a mobile OTP, leave the OTP box in the display above blank and click Logon. You will then have a text message sent to the mobile number or an sent to the address you have provided in the system. (This may take a few seconds, depending on current e-traffic levels.)

3 My Access 3/12 Enter the six-digit mobile OTP you have received in the Enter OTP box. Then click on Logon to complete the log-in procedure. Please note: Your service provider may regard the mobile OTP we send you as spam. So you may also need to check your spam folder to find the we have sent.

4 My Access 4/12 2. Adding a mobile OTP contact (mobile phone number or address) You can receive your mobile OTPs by SMS text message or by . This section shows you how to provide our system with your mobile phone number or your private address for such purposes. 1. Open Enroll Mobile OTP 2. Enter your mobile phone number or your private Token type: address: SMS Choose whether your mobile OTPs should be sent to you by or as an SMS text message. Provide a private address (DO NOT use address!) Add your mobile phone number as indicated, i.e. with the country code, too Please note: You can only give one address or one mobile phone number. You can find out how to test your mobile OTP set-up in Section 3 If you have chosen SMS text message as your token type, receiving your OTP text message may incur roaming costs, depending on your mobile provider and location

Managing your OTPs (generated via ID badge or sent by or SMS) The Manage OTP function allows you to test your /sms mobile OTP arrangement and/or to remove an address or mobile phone number from the system. It also allows you to test or reset the OTP-via-ID badge option Testing the SMS/ OTP This procedure is identical whether you are testing the SMS or the option. So here we are only taking you through the procedure for testing the OTP-via-SMS facility. 1. To test your OTP via SMS/ option, click on the Test button. 2. This will produce a display showing the mobile phone number or address to which an OTP should be sent. Please check that this information is correct and confirm this by clicking on Send now. 3. You will then have a six-digit OTP sent to the phone number or the address you have given. Enter this in the box shown below and then click on Test now.

6 My Access 6/ Testing the ID badge OTP 1. To test your OTP-via-ID-badge option, click on the Test button. 2. Generate an OTP by pressing the button on your SWISS ID badge. The OTP will be shown in the display box. Enter this in the appropriate box in your screen display and then click on Test now. The result of your test will be shown at the top of the main display. Please note: if you receive an error message, you should follow the steps described in 3.3 below Resetting your ID badge OTPs 1. To reset the OTP-via-ID-badge function, click on the Reset button. 2. Click Yes to conclude the reset process.

7 My Access 7/12 3. To check that the reset has been successful, repeat the process described in 3.2 above.

Managing (i.e. setting and changing) your magic questions You will need your magic questions to identify yourself to our SWISS IT Service Desk hotline or to online reset your password if you have forgotten the existing one (see Section 6 below). Please note: Your previous magic questions for our hotline ( Old Magic Questions ) have been migrated to the new portal (including your personally defined questions and answers). These will remain valid, but will not be shown in the new tool. And as soon as you set new ones, these Old Magic Questions will be deleted. 1. Open Manage Magic Questions. 2. Answer or change (and then answer) your magic questions. Please Note: You can change the dots into text by just clicking on the box (see Question 1). You have a total of ten questions to choose from, of which you must select any seven you wish. No answer can be identical to a question. The system makes no distinction between upper and lower case in your answers, i.e. ABC = AbC = abc. 3. When you have chosen and answered all seven of your magic questions, click on Submit.

9 My Access 9/12 5. Changing your password You can change your password at any time. If you do not do so beforehand, you will be required to do so every 90 days. 1. Open Change AD password. 2. Enter your current password, enter your new password and confirm your new password. Then click on Submit.

10 My Access 10/12 6. Resetting a forgotten password If you forget your current password, you will need to reset it. You can only do so if: a) you can obtain an OTP via your ID badge, your mobile phone or your private address (see Section 2), and b) you have provided your magic questions (see Section 4). You can then reset your password as follows: 1. On the Login page of click on Forgotten your password?. 2. When this screen is presented, enter your three- or four-letter code as your User ID and click on Next. 3. Generate an OTP on your SWISS ID badge, enter it in the OTP box and click on Next. (If you wish to obtain your OTP via SMS/ , you ll need to click on Send OTP first to receive it.) 4. Answer the magic questions presented and click on Next.

11 My Access 11/12 Please note: in order to proceed further, you will have to answer at least three of these four magic questions correctly! 5. Enter a new password, repeat this to confirm it and click on Next to conclude the process.
