2 The Attendance form is used to display or update a student s attendance record. The Attendance data is usually updated through scanning attendance sheets or from Aeries Browser Interface or Aeries.Net Portals. The form will display the first week in the calendar at the top of the form. To access the Attendance form, click the mouse on the Attendance node on the Navigation Tree. The Attendance form for the student will display. The table and fields associated with the Attendance form are: ATT.DT Date ATT.A0 Period 0 Code ATT.A2 Period 2 Code ATT.A4 Period 4 Code ATT.A6 Period 6 Code ATT.A8 Period 8 Code ATT.AL All Day Code ATT.A1 Period 1 Code ATT.A3 Period 3 Code ATT.A5 Period 5 Code ATT.A7 Period 7 Code ATT.A9 Period 9 Code Attendance Aeries.Net Page 2

3 To view additional attendance days place the cursor on the scroll bar and hold down the left side of the mouse. Scroll up or down to display additional records. Update Attendance To update a particular attendance record, click the mouse on the period to be changed. Enter the new attendance code or to clear the code press Space bar. Press Enter. The Attendance code will be updated. To update all periods for a particular day, click the mouse on the Fill All Periods option at the bottom of the form. Select an option from the drop down list. Click the mouse in the All Day Field code and enter the Attendance Code. All Periods will be filled with the code entered. Attendance Aeries.Net Page 3

4 To update the attendance for a particular date or date range, click the mouse on the Update ATT Data button. The following selection box will display with the student s name. The Starting and Ending date will default to the current date. To select a different date enter a new date into the starting and ending date fields or click the mouse on the date picker icon. A small calendar will display with the current month displayed. Click the mouse on the new date selected. To select a different month click the mouse on the Next Month button or Previous Month button. Click the mouse on the date selected. Attendance Aeries.Net Page 4

5 The Reason code will default to Unverified. To select a different code click the mouse on the drop down arrow. Click the mouse on the Reason code selected. To update the All Day Code Reason or Fill All Class Periods click the mouse on the option selected. After all data has been selected click the mouse on the Update button. If Update All Day Code is selected ONLY the All Day code will be filled. If Fill All Class Periods is selected all periods will be filled with this code. If BOTH options are selected the All Day Code and All Periods will be filled. View Attendance Notes When a particular date has an Attendance Note record the icon will display Red. To View the Attendance Notes click the mouse on the icon. Attendance Aeries.Net Page 5

6 The Attendance Note for that date will display. The table and fields associated with the Attendance Notes are: ATN.DT Attendance Date ATN.CD Attendance Code ATN.RDT Record Date/Time ATN.PD Attendance Period ATN.NM Name Modified By ATN.CO - Notes To View All Notes click the mouse on the selection box. All additional notes for all dates will display. Print Attendance Notes To print attendance notes click the mouse on the Print Attendance Notes button. Attendance Aeries.Net Page 6

7 The following report options will display. The Report Format will default to PDF but can be changed to a different format. The Report Delivery will default to w/attachment. The report will default to print ALL Attendance Notes. Specific Attendance Notes can also be selected to print. The Limit By Date option will allow you to select a specific date range by clicking the mouse on the selection box. When selected a Start Date and End Date will display to select the specific dates. The option is also available to select All codes to print or to select only specific codes. To de-select specific codes click the mouse on the Attendance Code and a check mark will no longer display under the Include column. To only select a couple of codes to print click the mouse on the Clear button and no check marks will display under the Include column. Click the mouse on each specific Attendance Code and a check mark will display. To print the Attendance Notes click the mouse on the Run Report button. All attendance notes will display for the date range and codes selected. Attendance Aeries.Net Page 7

8 Add Attendance Note To add an Attendance Note to a particular attendance record, click the mouse on the Attendance Note icon that displays to the left of the date. When the form displays click the mouse on Add New Record. The cursor will display in the Period (PD) field. Enter the period for the Attendance Note and any additional information. Click the mouse on the Save Record icon. The record will now be saved and will display. The Attendance Note icon will now display Red. Attendance Aeries.Net Page 8

9 To update an Attendance Note click the mouse on the Attendance Note icon. The Attendance Note record will display. Click the mouse on the Change icon next to the record to be changed. Press Tab to the field to be updated and enter the new data. Click the mouse on the Save Record icon. The record will now be saved with any changes and will display. Delete Attendance Note To delete an Attendance Note click the mouse on the Attendance Note icon. The Attendance Note record will display. Click the mouse on the Change icon next to the record to be changed. Attendance Aeries.Net Page 9

10 Click the mouse on the Delete Record icon. The following message will display. Click the mouse on the OK button to continue. This record will permanently be removed and will no longer display in the Attendance Notes list. Attendance Enrollment The Attendance Enrollment form is available from the Navigation Tree by clicking the mouse on Attendance Enrollment under the Student Data node. Attendance Aeries.Net Page 10

11 The following form will display with the student s current enrollment history. The table and fields associated with the Attendance Enrollment form are: ATT.DT Attendance Date ATT.CD Enter/Leave ATT.GR Grade ATT.PR Program ATT.TR Track ATT.TN Teacher Number ATT.RS Reason ATT.NS Next School ATT.AP1 Attendance Program 1 ATT.AP2 Attendance Program 2 ATT.HS Reporting Home School ATT.IT Interdistrict To add an enrollment record for a student, click the mouse on Add New Record. The record will display in edit mode. Fill in the appropriate information and then click the mouse on the Save record icon. The updated record will now display under attendance enrollment.
