4 MinitMan-FP General Description The MinitMan-FP biometric timeclock provides identification of employees using one or more fingerprints without the need of PIN codes or RFID cards. Fingerprints are enrolled on the unit and can be uploaded to the PC for backup and sharing with other units. The unit can connect to the PC using RS-232 (maximum 20 metres), RS-485 (up to 1000 metres depending on installation conditions) or via a 10/100BaseT network. The unit can store a maximum of 1500 fingerprints and transactions. The maximum number of employees on the system is determined by the number of fingerprints stored per employee. Thus the maximum number of employees is 750 if there are two fingerprints per employee (recommended). Using TCP/IP (network) or RS-485 allows multiple clocks to be connected to the PC. Initial Setup & User Enrolment On initial power-up the unit allows anybody to access the unit s programming menu and it is recommended that a senior person is enrolled on the unit as a Supervisor (has rights to all the functions of the unit) and another as an Enroller (only has rights to add users to the system). There is also an Admin level with intermediate rights but it is not recommended to use this level. Navigating The The unit has a number of keys relating to navigating the system menus: Note that most menus offer the choice of ESC and OK C = ESC cancels the current action or moves back one step in the menu OK = accept the highlighted selection or value M = Menu Up & Down Arrow keys allow selection of options or changing of values Recording User IDs Each user is assigned a User ID and this is the number that is used by the time management software to identify the person. It is essential to manually record each person s User ID at the time of enrolment for later entry in the time management software. Add Supervisor Press the M key to display the menu and use the arrow keys to highlight User Manage and press OK. Select Enroll Admin and press OK. Select Enroll FP and press OK Select Supervisor and press OK The display now shows New Enroll? Press OK to accept MinitMan-FP Handbook Rev 3 page 1 of 16

The display now shows and the message Place Finger...(the 0 indicates it is the first finger for the user), The display will now prompt the user to place and remove the same finger three times. If the quality is poor the display will prompt the user to relearn the fingerprint. If the quality is good the display will prompt ESC and save the fingerprint. OK(Save). Press OK to accept The display will now display Continue? and ESC OK. Press OK if you don t want a second fingerprint or Press C to allow a second (backup) fingerprint to be learnt - this is strongly recommended. Pressing C will display BACKUP ENROLL Press OK to display (the 1 indicates it is the second finger for the user) and the message Place Finger... Follow the same procedure as for the first finger and on completion press OK and at the next screen press OK again. The display will again prompt BACKUP ENROLL this gives the opportunity to enroll additional fingerprints for the person. Follow the same procedure as used for the second finger for each additional fingerprint. To quit back to the main display press the C button repeatedly until the date & time are displayed. Add Enroller An Enroller is a person given access rights to the unit for the purpose of adding users. They are not able to add users with Supervisor rights nor are they able to edit any of the unit s settings. Enroller rights rather than Supervisor rights should be given to the person responsible for the day to day adding and deleting of users. 8 Using the In normal operation the display will show the message Welcome Check-In on the first line and the date & time on the second line. In addition the Green LED will flash indicating the unit is ready to accept a fingerprint. Pressing the arrow keys on the timeclock will change the display Check-In to CheckOut. This direction is ignored unless the Timeclock s clocking direction is set to User-Selectable. See page 6 for details. To clock, the user places their finger on the sensor and if the read is successful the beeper sounds and the message Remove Finger is displayed. After verification is complete one of the following messages are displayed: Verified and User ID number is displayed. In addition, the relay operates for the pre-set duration and the Green LED goes steady. Thanks! Indicates the fingerprint was previously read correctly during the recheck time. The recommended recheck time is 1 minute to prevent duplicate clockings. By default the recheck time is 0. Please Try Agn and the Red LED goes steady. This indicates a bad read or unknown fingerprint. Fingerprint Terminal Interface Software This Windows based utility provides the PC interface to the It manages the download (backup) and upload (restore) of fingerprint templates and the downloading of clocking records for TimeMaster and MP-Lite. In addition it can be used to synchronise the unit s date & time to that of the PC. The main screen is shown below: MinitMan-FP Handbook Rev 3 page 5 of 16

9 Adding Timeclocks To add new timeclocks to the system select New timeclock. This will open the Timeclock settings window. Device Number This must be a unique number between 1 and 255. When adding a new timeclock the next available device number will be set but this can be modified by the user if necessary. Even if the timeclocks are connected via separate networks or serial ports, they should have unique device numbers. Connection Port Ensure the comms settings are correct before attempting to communicate with the unit. See page 8 for details. The communications settings are normally set by the installer and should not be altered. Clocking Direction Non-directional - clockings on this timeclock will be downloaded into the T&A software with no direction set. The T&A software will order them and allocate direction (IN or OUT). This is the recommended setting. Always IN - clockings downloaded from this timeclock will always be set to IN clockings. Always OUT - clockings downloaded from this timeclock will always be set to OUT clockings. User-selectable - the clocking direction that the user sets on the timeclock (Check-In or CheckOut) will be used. This mode is not recommended as it is too easy for the user to make mistakes. Edit Timeclock When you select Edit timeclock the same form as above will display. You can then make changes to the settings of a timeclock. To remove a timeclock from the list select Remove Timeclock. Selecting Timeclocks The list of timeclocks is a multiple selectable list (i.e. more than one timeclock can be selected at once). The date and time, transaction download, and fingerprint template functions will be carried out on the selected timeclocks. At least one timeclock must be selected before clicking on any of the communication function buttons ( View/Set Time and Date, Download transactions, Backup/Restore fingerprint templates ) MinitMan-FP Handbook Rev 3 page 6 of 16

10 Transactions The first time you do a download of transactions you will be prompted to enter the 20 digit activation key for the fingerprint terminal. This key is printed on the label on the packaging, and on a label placed on the metal mounting plate. Click on the Download Transactions button to download and write clockings to the T&A database. The progress of the download is shown in the Comms Log window. Check the Automatically download from all timeclocks on startup tick box to start the download as soon as the program is opened. Do not attempt to do any clocking downloads until all employee data has been entered in the T&A software. Fingerprint Templates It is recommended that a backup of the fingerprint templates be made. Data can later be restored to the same or additional units. Backup All Fingerprint Templates Use this function to make a backup of the fingerprint templates stored in the unit. Clicking on this button will prompt for a file name. It is suggested you use a date format for the file name. E.g tpl Progress of the backup is shown in the Comms Log window. Restore Fingerprint Templates Use this function to restore fingerprint templates to a unit that has lost data for some reason. This process will not overwrite the fingerprint templates that may already exist on the timeclock. It may be advisable to first clear the unit s memory before this function is performed. Clicking on this button will prompt for a file name to restore. Progress of the restore is shown in the Comms Log window. This function can also be used to copy templates from one unit to another. Date and Time Use these functions to view the selected units current time or to set the unit to the PC s date and time MinitMan-FP Handbook Rev 3 page 7 of 16

If multiple units are installed only the last unit must have the termination resistor. If the 485 cable is extended beyond the unit ( for future expansion) the line termination resistor must be connected at the end of the cable and not at the last unit. Surge Protector (699-20) It is essential to use a surge protector on RS-485 lines to protect the from power surges due to lightning, static or induced electrical noise. The surge protector should be installed as close as possible to the unit. It is imperative that the green EARTH wire is connected to a good low impedance earth point such as MAINS EARTH. Without this connection the surge protector is useless. 14 Network (Existing Network) Networking is the best option if the site already has a 10/100BaseT network installed. It will be necessary to get an IP address assigned to the unit from the network administrator. The system will only work with static IP addresses and this address must be set in the This IP address must also be entered in the IP Address Box of the Fingerprint Timeclock Interface software. From the menu on the select Options / Comm Opt and set the following values: Dev Num Ethernet Netspeed (each unit must have a unique number) Y 10M-F IP ADDRESS (or whatever IP address was assigned by the system administrator. In a multiple clock installation, each unit must be assigned a unique IP address. Connect the network cable to the RJ45 socket that is positioned above the left hand connector. The maximum network cable length is 125 metres to the hub. Network (Non-networked PC) The can also be connected directly to a PC that isn t part of a network allowing high speed data connection up to 125 metres. This configuration does not allow multiple clocks on a network. This installation requires the use of a network crossover cable. This can be ordered from a network cable supplier. From the menu on the select Options / Comm Opt and set the following values: Dev Num Ethernet Netspeed IP ADDRESS Y 10M-F (or whatever IP address you choose) COMM Key 0 The PC also has to be configured to provide TCP/IP networking. The TCP/IP address should be set in the same range as the i.e. Based on the example above use an IP address of The system administrator or PC supplier will be able to assist in setting the network parameters. MAC Address The system administrator may require the MAC address of each unit. From the menu select Option / Access Options / and use the arrow keys to select Lock and then enter the value required The approximate relay time is calculated by Value x 0.04 = time in seconds. i.e. A value of 100 = 4 seconds Reset to Factory Default The Clear All Data function will reset the unit to the factory default settings and delete all data (fingerprints and transactions). From the menu select Option / System Opt / Adv Opts and use the arrow keys to select Clear All Data. Note that it takes approximately 2 minutes to clear the memory. This should only be done as a last resort when all else fails or by the installer to remove test fingerprints before handing over the unit to the client. All settings have to be re-entered after running this function Software Installation The Fingerprint Terminal software is installed during the MP-Lite or TimeMaster installation. To install this utility, select as your clocking source during TimeMaster or MP-Lite installation. Note that the Fingerprint User ID number is entered as the card number in the T&A software. Run the program from the start menu and set the Comms Port settings to match the hardware installation. Test communication by clicking on the View Timeclock Date and Time button. If the comms is working correctly, after a short delay the unit s date and time will be displayed in the Comms Log window MinitMan-FP Handbook Rev 3 page 13 of 16

17 Hints for Successful Enrolment and Verification Poor fingerprint quality will slow down enrolment and verification. The table below lists conditions that will help improve the quality of the fingerprint image. Dry or dirty fingerprints Pressure Finger selection Placing the finger Changed fingerprints Poor quality fingerprints The sensor requires a clean and slightly moist finger tip to produce a good image. Rub the finger tip on the palm of the hand to clean. If fingers are very dry, breathing on the finger tip will provide enough moisture to ensure a good image. The finger tip must be placed firmly and squarely on the sensor surface. A very light pressure will only produce a very small image of the finger tip. The best fingers to use are the middle and index fingers. Finger tips should not be worn or damaged. The thumb can also be used but is often more difficult to position correctly Place the finger firmly such that 2/3 of the surface is covered Do not move the finger on the surface See the next section for more information on finger placement. If fingerprints change after enrolment due to injury or wear, verification may become difficult. Either re-enrol the employee or change their operation mode to User ID and fingerprint or to Password verification. A few people have fingerprints that do not produce good results. This can normally be overcome by lowering the 1:1 threshold and requiring these staff to enter their User ID and then fingerprint. (1:1 mode) MinitMan-FP Handbook Rev 3 page 14 of 16

18 Finger Placement The main cause of verification failure is incorrect placement of the finger on the sensor. The drawings below show the correct and incorrect ways of placing the finger. Correct way Finger is in the middle of the sensor. Take note of the part of the finger that is in contact with the sensor surface. This part of the fingertip has the most detail that can be used by the sensor. Wrong Ways The following pictures show finger placements that can cause problems. Tip of finger is used which has less useful information. Finger is not in the middle of the sensor - it is off to one side Finger is not in the middle of the sensor - it is too low. Finger is not flat on the surface - it is rolled to one side MinitMan-FP Handbook Rev 3 page 15 of 16
