Table of Contents 1 Organizing your trip 2 Reimbursement 3 The conference 4 10 Minutes for Discussion 3 / 32
Travel 2 options of organizing your trip: Getting the tickets yourself Using the travel agency that works together with Leipzig University: DER Business Travel (DER Deutsches Reisebüro) Write an to BT.Leipzig@der.com specifying your destination and your the date Use the form under zentralverwaltung/finanzen-und-personal/ finanzgrundsatzangelegenheiten/ servicebereich-reisekosten/ 4-rechtliche-grundlagen-und-informationen-zu-reisekosten html 4 / 32
FCM Travel Solutions The advantage of the second option is that you don t have to disburse the money for the ticket. The travel agency will bill the department directly. The disadvantage is that you are less flexible in changing or cancelling your ticket. 5 / 32
Hotel In principle you can also use the travel agency for booking your hotel. But usually, you will do that yourself, disbursing the money for the hotel. The university has a limit for the hotel costs depending on the city/country. To be on the save side, you should try not to spend more than 60 euros per night (excl. breakfast). See de/bsvwvbund_ _di htm See de/bsvwvbund_ _d htm for a list on how much money you can spend. You can also think about sharing a room to cut costs. Most hotels will offer to split the bill. 6 / 32
Dienstreiseantrag The business trip application Do it electronically under: to be sure that people can read it to save time (you can save a template that contains all your general information). Don t be late Be sure to fill out the application at least two weeks before you travel. 7 / 32
Abschlag It is possible to get a partial reimbursement (an Abschlag ) (80%) before you actually travel. You can use the money to pay the ticket, hotel, or the food that you are going to eat. In order to do that you have to hand in an additional piece of paper with a list of all your costs, the date and destination of your trip and your bank information. 8 / 32
Luggage Check the of the organizers of the conference for the number of handouts you should bring. If possible, have your handouts ready before you travel. But, if you have to print in the city the conference is held in, be sure to get a bill for the copies for reimbursement. As for posters, you can use the poster service of the university (Farbplot-Service). They will bill the department directly. For more information, see: dienste/farbplot-service/ Otherwise, get a bill for your poster. Costs are usually between 20 and 40 euros. 9 / 32
Table of Contents 1 Organizing your trip 2 Reimbursement 3 The conference 4 10 Minutes for Discussion 10 / 32
Reisekostenabrechnung The claim for travel expenses Do it electronically under https: //pvz.uni-leipzig.de/pvz/reisekostenabrechnung/create 11 / 32
Costs you get reimbursed tickets (also bus tickets, train tickets) hotel additional costs (e.g. visa costs) daily allowance ( Tagegeld ) covering breakfast, lunch, dinner (no reimbursement of actual costs, but a generalized amount of money): 24 euros per day in Germany, outside of Germany costs vary, see 12 / 32
Table of Contents 1 Organizing your trip 2 Reimbursement 3 The conference 4 10 Minutes for Discussion 13 / 32
Talks See last week 14 / 32
Poster presentations If you are supposed to present a poster, you should prepare a presentation of 5 minutes top. Don t include too many details in your presentation, but wait for questions. Have a short handout ready for interested people (NOT a tiny version of the poster). 15 / 32
The rest Enjoy and learn! 16 / 32

The aim of a poster A poster should easily impart the results of scientific research. A poster is an illustrated abstract of a research project. (Stiebels (2009); Purrington ( )) 20 / 32
What a poster should be able to do be well organized and easy to understand (to be read in 10 minutes tops) be comprehensible without a talk show one clear point be readable from 1-2 meters away be aesthetic stick in the viewer s memory (Stiebels (2009)) 21 / 32
Table of Contents 5 More on Posters Introduction Content of Posters Layout of posters 22 / 32
Which information? Vorbereitung Which information should be on a poster? 1 What is the most important, most interesting, most surprising result of my research? 2 How can I display the results graphically (grafics, maps, fotos, figures,...)? 3 Which information can I provide additionally to the poster? ( 23 / 32
Structure Clear structure: clear separation of different things (e.g. results vs. methods) comprehensible introduction to the problem take-home message in one sentence, which is highlighted (maybe already in the title) structure that considers graphical aspects 24 / 32
Important sections of the poster prelims: title (orientation for the viewer, noticeable, centered); name, affiliation, author(s); date, name conference Introduction: background, research question material and methods: data, corpora, statistical analysis, experiments results, discussion: concise literature: smaller font Stiebels (2009) 25 / 32
Text not too much text (at most 1000 words) information in lists, not a running text captions to all figures Purrington ( ) 26 / 32
Table of Contents 5 More on Posters Introduction Content of Posters Layout of posters 27 / 32
Colors Font color: Text black; headings in colors, being highlighted background: background of the text white or in a very light neutral color (e.g. grey, beige, pastel), the rest of the background can be in an accent color accents: use colors to highlight important points, e.g. to frame certain parts or text (e.g. headings). color combinations: don t combine too many colors, ideally only 2-3 neutral colors + 1 accent color accessibility: consider dyschromatopsia 28 / 32
Text font: sans serif fonts might be easier to read, in any case, at most 2 different fonts font size: title should be readable from 5-6 meters away (60-70mm), text from 1-2 meters (20-25mm) highlighting: bold face, color (other highlights are difficult to read, but can be used if they have a clear function: e.g. small caps in glosses) 29 / 32
Layout columns: shorter lines are easier to read, so it is better to have columns (3-4 for landscape posters, 2 for portrait posters) reading direction: left to right, wenn using columns: top-down figures: align with the text width, great to break up text, should have captions alignment: elements should line up precisely with margins, be symmetrical frames: important elements can be framed, avoid too many boxes 30 / 32
Software to make posters InDesign L A TEX (e.g. package beamerposter) PowerPoint Scribus PosterGenius 31 / 32
