What is PowerPoint Good For? Highlights Using PowerPoint Dynamic information some style issues Visual information What is PowerPoint Not So Good For? Textual information - Long sentences take time to read and comprehend, and all too often the presenter simply reads the sentence to the audience. The slide should contain a summary and let the presenter fill in all the words to complete the grammar. Lots of detail - Too many facts» Too much structure - Lose the forest for sake of the trees Takes too long to absorb one slide Help, I'm drowning in small type! What is PowerPoint Terrible At? Raw Data Some Basics PowerPoint slides can be organized as outlines Layout gives alternatives Modifying the Layout Controls include - font size - font face - font color Overall appearance governed by Design Themes Individual elements can be controlled, one-at-a-time 1
What Sizes Are Legible? Font Legibility 28 point Calibri (sans serif) Different fonts have different readability characteristics - Sans Serif: clean font, easiest to read at lower screen resolutions such as presentations» example - Serif: professional look, considered best for printed material» example - Specialty fonts: draw attention to themselves, can be harder to read» example more examples 28 point Calibri (sans serif) 40 point 36 point Times New Roman (serif) back back 36 point back Old English Text MT Comic Sans (specialty) 2
Courier New (monospaced) 28 point Lucida Calligraphy 54 point 48 point 44 point 40 point 36 point Rosewood std regular Papyrus More is Not Better Don't overemphasize everything!!!! Choose one or two consistent fonts for all slides Use color sparingly, and meaningfully Use color sparingly, and meaningfully Don't overuse font effects Less-Basic Stuff Slides can/should depend on non-text more than text - pictures - movies - audio clips - Use two-content layout Slides can include non-text instead of text - Use one- or two-content layout Slides can have arbitrary layout - Use blank or title-only layout 3
Fun stuff Include some graphics - Image size - Source? - Copyright? Don't use meaningless graphics - Keep things relevant to your message Image Size Small pictures are hard to see - You can resize them, but they get blurry 30x36 pixels enlarged to 417x500 pixels Image Size Large pictures are sharp and clear, but use lots of disk space Image Size PowerPoint can compress large images to save space, improve loading time 1920x1200 pixels, 6.6 Megabytes 576x360 pixels, 608 Kilobytes (< 1/10 as big) Image Formats Animated GIF Images occur in four major formats -.JPG or.jpeg, "jaypeg" -.GIF, "jiff» animated.gifs! -.PNG -.BMP also -.RAW, raw camera outputs -.TIFF, also a camera output -.SVG, "Scalable Vector Graphics" 4
Format Comparisons Pixels Versus Vectors Compression - depends on image contents -.jpg is best for photographs -.png is best for highquality drawings -.gif is best for mediumquality drawings.bmp doesn't compress images Color resolution - more colors give more realistic appearances -.jpg,.png,.tiff give most colors» best for photographs -.gif is limited to 256 colors» good for "functional" color, medium-quality drawings Pixel images - pictures formed by an array of dots, or "pixels" - like a pointillist painting -.jpg,.png,.gif,.bmp,.raw,.tiff Vector images - pictures formed by lines and geometric shapes - mostly for drawings -.svg Resizing Pixels; Resizing Vectors.jpg image.svg image Audio clips Audio clips can be embedded - Copy audio clip to computer - Choose Insert Audio Audio from file - Reposition as desired Audio clips can also be linked, but this is less reliable - Network connectivity - software configuration - laugh Audio - a practical concern Adding Flash Animations Where are you giving your presentation? - Large auditorium? - Small room? Is the sound working? - Not all rooms have a sound system Will everybody be able to hear it? - Some audio clips, with some sound systems, are too quiet to hear. - Others might be too loud. It s best not to count on the sound working If you have a.swf file, you have a Shockwave Flash animation - Youtube also uses these Office 2010, 2013: - Choose the Insert tab - Select Video Video from File - Position as desired 5
Embedding Practice: Slide sequencing Create a presentation with four slides Find an animated GIF, and embed it in the first slide Find another graphic, and embed it in the first slide as well Find a video, and embed it in the second slide Include a Youtube video in the third Find an audio clip, and save it to your computer Embed the audio clip in the fourth slide Add some text to state what the audio is Transitions control how slides change from one to the next Try out the slides use the "Slide Show" tab or the icon at the bottom of the PowerPoint window Slide Sequencing Transitions control how slides change from one to the next - Select a slide - Choose the Transitions tab - Select a transition - Choose any options, duration, etc. - Preview Slide Animations Animations control how elements appear and disappear on a single slide - Select the Animations Tab - Select individual elements - Apply animations to each element» "Appear" animations cause an element to appear in sequence» "Disappear" animations make an element (that starts out visible) go away - Add Animation allows putting more than one animation on an element - Preview» Reorder if desired Dynamic Slides Transitions Practice: - Create a presentation with two slides - Add transitions to each slide» Use different transitions, so you can see the difference Animation Practice: - Put four paragraphs on a slide - Make each paragraph appear with an effect - Reverse the order of their appearance - Make each paragraph disappear when the next one appears 6
