1 OHIO STATE UNIVERSITY EXTENSION 2019 Mercer County 4-H Enrollment Help Sheet Returning Members 4-H enrollment in 2019 will be done through 4HOnline by each family. This help sheet will guide you through the process. Please read the entire guide before attempting to enroll on-line to ensure that the process is done correctly. By allowing you access, you can update your club, project and personal information. This will ensure that you are properly enrolled in the county program and receive important news and updates such as newsletters, deadlines information and other opportunities. First of all, before starting your online enrollment, please be sure that you have reached out to a Mercer County 4-H Club to verify your potential membership with that club. Each club has their own rules regarding membership, meetings, policies and procedures. Completing the online enrollment does not guarantee your 4-H membership without meeting club requirements. It is important to understand that if you have enrolled in 4-H previously, you already have a profile in the system. If you or anyone in your immediate family has already enrolled, you will enroll in that family unit. Please do not make a new profile. For example, if you were a member last year, you will just need to update your existing profile. If this is your first year and your siblings are members, you will add your profile to your existing family. If you are in your first year of 4-H and have not had any siblings in the program nor have a parent/guardian who is a 4-H Volunteer, you will set up a new profile. If your child(ren) belong to a shared parenting household, you will need to decide a primary address for all materials that are to be mailed. However, multiple addresses may be added to the member profile. The ability to change or update your information is limited in certain fields in the system. Once you hit the submit enrollment button, additions or changes to your enrollment must be done through the Extension Office. This includes any changes to your selected projects. The county enrollment deadline is midnight on March 1, Your club advisor can set an earlier date for your enrollment to be entered based on your club requirements. Adding or dropping of a project(s) must be completed by midnight on April 1, Any correspondence concerning changes to enrollment and projects, can be done by ing Beth (guggenbiller.23@osu.edu) or Erica (bowers.360@osu.edu). We know this process may seem a little overwhelming at first, but don t be afraid to reach out to our office for any question you might have or assistance you may need. If you need additional help completing your enrollment beyond the instructions listed in this packet, it might be helpful to view the videos posted on our website: Beth Guggenbiller Erica Bowers Extension Educator Office Assistant 4-H Youth Development bowers.360@osu.edu guggenbiller.23@osu.edu mercer.osu.edu CFAES provides research and related educational programs to clientele on a nondiscriminatory basis. 2 Step 1 - Let s get started! First, visit the 4HOnline website at using Google Chrome or Firefox. Do not use Internet Explorer. If you are a brand new member to the 4-H Program (meaning you do not have a family profile), please be sure you are following the steps in the New Member Enrollment Guide. Because a family profile for you has been created from previous years, the 4HOnline program will view you as a returning user. If you do not know your password, you need to respond as if you have forgotten your password in order to retrieve your information. DO NOT CREATE A NEW PROFILE if you or your family are returning 4-H members. Click I forgot my password Enter the that you have provided to the Extension office on your enrollment form Make sure role is Family *If you do not receive the for password reset, or can t remember what address you provided our office in the past, you will need to call the Extension so that we can provide you with that information. Step 2 - Check your you will have two options. Follow the steps as prompted in the
3 Step 3 Updating Information Step A Step C Step B Step A Review contact information here Check your this is your family If incorrect, click on edit family and make changes as necessary Step B Click edit for each member you are enrolling Once you click edit you have moved onto Step 4 below Step C If a family member is not listed in Step B (new eligible youth member) click here to add them Step 4 Member List Review and update your personal record. It is your responsibility to make sure this information is correct with the most up to date information. Any contacts that are made from our office via phone, or mail will be made with this information. Tip: An that differs from the family may be entered on the line. This is an excellent option if you have an active teen that is responsible for their own schedule.
4 Step 5 Additional Information This page asks for signatures by checking the boxes and typing in youth/adult names in the following areas: Responsibility and Release Code of Conduct General Permission Photo Release Step 6 Health Form Please list any health consideration that we should be aware of Step 7 Participation Page Club Tab Ensure that the correct club(s) is listed. If you are in more than 1 club, be sure to select the appropriate club that you wish to be your primary club Click continue to move to project tab Project Tab Your projects from the previous 4-H year will be listed. If you do not plan to take that project again this 4-H year, click edit and then delete To add a project for the current year, click from the select a project drop box, find your project and click add project You do not need to select your project materials Group Tab You will not need to use this box. This information will be updated by the Extension Office ATTENTION CLOVERBUDS If you are a cloverbud, please list project 710GPM Cloverbud Activities 1. This is how the system recognizes you as a cloverbud member.
5 Step 8 Submit Enrollment Please review your enrollment and be sure you have all information updated and projects added before you click the submit button. If you anticipate making changes prior to March 1, do not click submit enrollment. An enrollment status of incomplete allows changes to be made prior to the March 1 deadline. The Extension Office has your updated information. Your status is now pending and your enrollment will be reviewed and approved by the Extension Office. Depending on the time of your submission, it could take a few days for approval. Once your enrollment information has been submitted, you will need to contact the Extension Office to make any club or project changes before the March 1 deadline. Information such as address, , phone number or emergency contact information can be updated anytime by logging into your family profile. Between March 1 and April 1, any drop/add projects should be reviewed with your advisor and submitted to the Extension Office on the form provided. Helpful Websites: View sample pages of project books online. Plus, read reviews from other 4-H members, volunteer and parents. Be sure to know your project completion requirements for county: Interested in seeing Ohio State Fair requirements? Check out the Non Livestock Guidebook: *These are 2018 requirements please note 2019 requirements will be added when ready.
