3 Introduction Being a Service Provider in the modernized Gateway is as easy as ever. In fact, there is no functional difference between Service Provider and other business accounts. That means that there are no additional steps or designations needed to register and use the Gateway as a Service Provider. This guide describes user roles and permissions in the Gateway and demonstrates how Service Providers can manage their employees and other individuals access to Gateway business accounts, including removing individuals from a business account. Note: Business account and Service Area access and permissions were migrated from the previous Ohio Business Gateway system (also referred to as the OBG or Gateway 2.0) to the modernized Gateway. Service Providers who had permission/access to file transactions on behalf of client businesses in the previous Gateway system automatically retained that access. Service Providers only need to follow the instructions in this guide when requesting access to file on behalf of a business account that they were not associated with in the previous Gateway system. User Roles and Permissions Before an individual can access a business Gateway account or file on behalf of a business, they will need to 1) request a role on the business account and 2) request access to specific Service Areas or transactions. There are three business account roles in the Gateway: A Non-Filer is any direct contact (employee) or related contact (Service Provider) who cannot file transactions on behalf of the business or manage the business account s security. Non-Filers could potentially access other areas of the Gateway, such as Helpful Content and help cases. A Filer is any direct contact (employee) or related contact (Service Provider) who can file transactions on behalf of the business, but who does not have access to manage the account security (for example, grant other users permissions to see, create, edit or submit transactions) on behalf of the business. Transaction-level permission to file must also be granted in order for a Filer to file a transaction. A Filing Administrator is any direct contact (employee) or related contact (Service Provider) who has access to manage account security on behalf of the business. Transaction-level permission to file must also be granted in order for a Filer to file a transaction. 3

4 In addition, there are three transaction-level permissions in the Gateway: Read, Create, Edit, Delete, File permissions allow the business user to access all transaction functionality for any transaction they have access to. Read, Create, Edit permissions allows the business user to view an in-progress or completed transaction, edit an in-progress transaction and start a new one. However, the business user with this level of permissions cannot file or pay for the transaction or delete an in-progress or completed transaction Read-Only permission allows the business user to view an in-progress and completed transaction. However, the business user cannot file the transaction, delete an in-progress or completed transaction, edit an in-progress transaction or start a new transaction. 4

5 Removing Individuals from a Business Account Filing Administrators are the only individuals who can remove an individual s access to a business account. Only a Filing Administrator for your business account will be able to terminate or deactivate an individual s access to your or your client s business accounts. If you are a Filing Administrator for your business account, follow the steps below to terminate or deactivate your employees access to you and your clients Gateway business accounts. Terminating Business Account Access Terminating an individual s access to a business account completely removes the relationship between that individual and the business account of which they are a direct employee as well as any other business accounts with which they are associated. Once an individual s access is terminated, the Filing Administrator cannot reinstate their access. The individual would need to re-request a role on the business account, and the Filing Administrator would need to accept their role request. Only individuals who are a direct employee of the business account can be terminated. To remove access for an individual who is not a direct employee, follow the steps to deactivate business account access. Example Scenario: Phil Filer is a Filing Administrator for his CPA firm s Pacific Blue Gateway business account. This week, one of his staff members, Jane Doe, retired. How can Phil remove Jane from his company s Gateway business account as well as any client accounts to which she has access? 5

6 1. Access the Account Access Management Page Confirm the name of your business is selected from the business account dropdown in the top left corner of the Gateway. Navigate to the Account Access Management page by clicking on the Lock button in the top right-hand corner of the Gateway. Figure 1 Lock button on the Business Dashboard 6

7 2. Terminate the Individual s Account Access On the Account Access Requests tab of the Account Access Management page, locate the Account Access table. Figure 2 Account Access Table on the Account Access Requests Tab 7

8 To terminate an individual s account access, click the Terminate icon in the appropriate row. Note: The Terminate icon will only appear for individuals who are direct employees of the business account. Figure 3 "Terminate" icon in the Account Access Table 8

9 The individual will still appear in the Account Access table, but will now have a status of Inactive. Figure 4 Inactive in the Account Access Table Once an individual is terminated, they may still log in to the Gateway with their existing credentials, but they will only be able to view their My Information tab and no business accounts will appear in the business account dropdown. This completes the process of terminating an individual s business account access. 9

10 Deactivating Business Account Access Deactivating an individual s access to a business account results in that business user no longer having access to any of that business account s information. However, if the business user is associated with more than one business account, they will retain their role and transaction-level access to those business accounts. For the deactivated business, the individual will still be listed under the business account with a status of Inactive. A Filing Administrator on the business account can simply reactivate them through the same method used to deactivate them; the individual does not need to re-request access to have it reinstated. Any type of business user including those who are and are not direct employees of the business account can be deactivated. Example Scenario: Phil Filer is the Filing Administrator for his client s Apex Capital Management business account. This week, he promoted one of his staff members, Jane Doe, and she will no longer be serving Apex Capital Management. How can Phil remove Jane s filing access, but not terminate her, in the event she serves that client again in the future? 10

11 1. Access the Account Access Management Page Confirm the name of the appropriate business is selected from the business account dropdown in the top left corner of the Gateway. Navigate to the Account Access Management page by clicking on the Lock button in the top right-hand corner of the Gateway. Figure 5 Lock button on the Business Dashboard 11

13 To deactivate an individual s account access, click the Deactivate icon in the appropriate row. Figure 7 "Deactivate" icon in the Account Access Table 13

14 The individual will still appear in the Account Access table, but will now have a status of Inactive. Figure 8 "Inactive" in the Account Access Table This completes the process of deactivating an individual s business account access. 14
