1 User Manual On Integrated MIS-GIS System National Rural Health Mission, Assam Version 1.1 (beta) Last updated on 18 th May 2013

2 Introduction: Integrated MIS-GIS System is a software initiative of National Rural health Mission, Assam which has been designed with a view in mind to make it as an integrated monitoring and reporting tool so that it can have the potential to deliver real-time, frequent monitoring of data of different levels and trends, provided investments are made to assess the completeness of reporting and data accuracy as part of the system. The different steps to use the system conveniently are described below. To get access to the portal one has to log in into the portal with his username and password in web portal as shown in the figure (fig: login) below: Financial year Fig: login screen

3 Note: Here the user will have to be careful about the financial year while logging in to the system as the system will consider the entered financial year as the selected financial year and will save the entered data under the selected financial year as well as will show the reports for that particular financial year only. After Successful login, the following screen will be displayed (fig: welcome screen). The selected financial year will be displayed on the top right corner of the screen. The users are requested to verify the financial year before going to perform any other operation. Financial Year Fig: welcome screen There are different modules available in the portal viz. HR, MIS, DRUGS, Maternal Death, Infant Death etc. The users are requested to visit the modules by clicking on the respective link on menu heads. However users can find the link to different activities related to each module as sub menu under each menu head.

4 Module: DRUGS If your concern is in the data upload for the Drug Stock then Click on the Drugs Data Upload Menu item as shown in the figure below. Snap 2 After clicking the mentioned menu you will see the following interface(snap 3) where you can select the reporting date, your BPHC and the Health Institution. After selcting your concerned Health institution, please click on the Submit Button.

5 Snap 3 After Submitting, you will see the following interface (Snap 4) where you can upload your excel file as well as enter data one by one.

7 If you want to upload excel file, click on the browse button to select your file from your Folder (see snap 5). After selecting the file, just click the upload button to save your data in the server. In this step please remember that you are using the correct reporting format. If you don t have the correct format in your computer you can download the same from the website clicking the link Tempale Download in the Drugs Menu. Also remember that only excel files will be accepted by the system. So, please donot temper the reporting format in any case. Snap 5

8 If your excel format is correct then you will see the following screen for about 2-5 seconds. Please do not close the page until you see the next page (Snap 6) Snap 6

9 After successful data upload you will see this screen (Snap 7). You will notice your stock status in the Current Stock column. If anything wrong happens, you can also re upload your data. Snap 7

10 Module: Maternal Death Now if you are looking for Maternal Death then go to menu Maternal Death. Under the menu head the user will find the other sub menus related to Maternal Death which will guide them to perform the different operations to make the system deliver the accurate and real-time status on Maternal Death.

11 Step: 1 If the user s concern is to enter a new record of maternal death then go to Maternal Death Entry Form. A new window with several text box and select box will appear which will ask for different information related to the maternal death as shown in the figure (fig: entry form) below. Fig: entry form Note: Here the fields with the red asterisk mark indicate that those fields are mandatory. After entering all the data in their relevant places the user will have to press the SAVE button to save the data permanently to the database. A confirmation message will be shown on the top of the form to indicate that the data has been saved successfully.

12 Step: 2 If the user s concern is to modify or alter any old record then he has to go to Maternal Death View List. After clicking on the link, a page will load which will consist of a list of all records that has been entered already as shown below (fig: View List). Fig: view list Every record in the list will have two links in its extreme right corner namely EDIT and DELETE. On clicking on the EDIT link of a particular row, all entries corresponding to that particular record set will lead the user to the entry screen with all its text boxes filled in with the corresponding information. Now the

13 user can do the necessary changes in the corresponding places and save it again. However it should be noted that some information cannot be edited and therefore precaution should be taken in advance while entering those information. Those filed are District Name, BPHC Name, Health Institution Name, Reporting date and time and Name of Deceased Woman. Step: 3 If the user s concern is to delete an existing record, just click on the DELETE link of a particular record set. A confirmation message will appear before deleting a particular record. If you are sure, please confirm and accordingly record will be deleted permanently from the database. Note: Depending on the user privileges assigned by the administrator of the system, the EDIT and DELETE link my not get visible in case of some user. Therefore they are requested to inform it immediately to the administrator in case of EDIT or DELETE. Step: 4 (search facility -optional) Since the record list will may go long and long with more records, there is a search facility in the system so that the user can easily find out the particular record he is looking for. For this the user has to click on the SEARCH button on top right corner of the View List page. A search window will appear with many search option which will help the user to find out his desired record as shown below (fig: search). The search option forms contain different search criteria. The user can go for searching record with one condition or with a combination of condition e.g. If the user wants to search a record with a particular District he has to select the desired District from the select box and press SEARCH. However if the user wants to search record for a particular health institution along with the name of the deceased then first he has to select the District, then the corresponding BPHC, accordingly the corresponding health institution and then have to type the deceased name in the space provided and press SEARCH. Note: On selecting the District from the drop down select list, the list of its corresponding BPHC will appear automatically in the select box and accordingly on selecting the BPHC, the list of corresponding Health Institution will appear automatically in the select box. Therefore it is recommended to select the District and BPHC properly to avoid display of any undesired result.

14 Fig: search Reports Section: A detail report section has been developed to monitor the whole system of maternal Death as well as to meet the common and advanced reporting requirements. If the user wants to see the reports on maternal death please go to the link Maternal Death Reports

15 The currently available reports are: 1. District wise summary: This report will display the overall district wise death count for each month with a provision to see the death in last 30 days separately. On clicking on the district a new window will display the health institution wise death count for each month with a provision to see the death in last 30 days separately. However on clicking on the Health institution a detail line listing of the record will appear. Fig: district wise summary 2. Cause wise Summary (district wise): This report will show the cause wise summary report for each district and that too for each month. However on clicking on the district the cause wise summary for each health institution under that particular district can be seen as shown below.

16 Fig: cause wise summary 3. Cause wise status: This report shows a graphical view (pie chart) of maternal death indicating the percentage of death for particular causes in the state. However district wise pie chart can also be seen on selecting the particular district.

19 Module: Infant Death Now if you are looking for Infant Death then go to menu Infant Death. Under the menu head the user will find the other sub menus related to Infant Death which will guide them to perform the different operations to make the system deliver the accurate and real-time status on Infant Death. Financial Year Step: 1 If the user s concern is to enter a new record of Infant death then go to Infant Death Entry Form. A new window with several text box and select box will appear which will ask for different information related to the Infant death as shown in the figure (fig: entry form) below.

After entering all the data in their relevant places the user will have to press the SAVE button to save the data permanently to the database. A confirmation message will be shown on the top of the form to indicate that the data has been saved successfully. 28 5. Age wise summary: This report is designed to get a view of infant death that has occurred as per different age group. Currently the report is displayed based on the age group as shown in the figure. However on clicking on a district a health institution wise report will be displayed based on different age group. 29 Module: RHP RHP module is available under the MIS menu. fig : RHP module under MIS menu

30 following options are available in the RHP module 1. If the user s concern is to enter (for newly appointed RHP) or edit (for existing RHP) the information of RHP go to MIS --> RHP --> Entry Form --> RHP Master Fig : RHP master entry form Basic idea is to capture only "Name of the RHP" and "Date of Joining in NRHM" will be captured as Master data. User has to enter the name of RHP and date of joining from the calendar and click on Save button to save the data. Data can be edited by clicking on the Edit link of the particular RHP and editing data in the field and clicking on the Update button. All other data including place of posting will be treated as monthly data.

To enter monthly performances of RHP go to MIS --> RHP --> Entry Form --> RHP Monthly Fig: RHP monthly entry form First part is static information.if the user, select the District Name and then select the name of RHP and then click on "Go" button detail information of last month will display automatically. If any parameter changes, then it can be edited. Second part is the monthly performance of the RHP, i.e. OPD and Delivery. User has to select the Month, Financial year and enter no. of OPD treated at Sub Centre and at other HI, no.of Delivery conducted at Sub Centre and at other HI by that RHP. Then click on Save button to save the record.a confirmation message will be shown to indicate that Data has been added successfully. If data already exists of that RHP, that month and that financial year then a message will be shown as Data already exists.

To view the names of RHP who have conducted no Delivery at Sub Centre go to MIS --> RHP --> Reports --> Delivery not conducted Fig: RHP report on non conducted delivery To view the names of Zero Delivery conducted RHP s of a particular district, select the District, select base month, base Year and select Duration of Delivery not conducted - it has three options i) RHPs not conducted any delivery ii) RHPs not conducted delivery in the last month iii) RHPs not conducted delivery in last 3 months and Click on Go button. A report will be displayed showing the RHP names, their posting district name, BPHC name, Sub Centre name and date of joining at NRHM of the selected district. If no district is selected, it will display the above details of all the districts.

To view the month wise delivery trend at Sub Centre go to MIS --> RHP --> Reports --> Month wise Delivery Trend Fig : RHP report on month wise delivery trend Select the District, Year, from month and to month to view the no. sub centre where delivery conducted and no. of deliveries conducted at that district, that month of the financial year. It also shows the cumulative no. of Sub centre where delivery conducted and cumulative no. of Deliveries conducted. If no district is selected, it displays above mentioned data of all the districts.

34 5. To view RHP wise, year wise performance of OPD and Delivery go to MIS --> RHP --> RHP Performance --> Summary Report Fig : RHP report on performance

To view RHP wise performances for a particular year go to Fig : RHP report on year wise performance Select district, financial year and click on Go button to view RHP wise performance i.e. no. of OPD treated, deliveries conducted at sub centre of the selected district and selected financial year. If no district is selected, it displays the above mentioned data of all the districts.

To view Month wise performance of RHPs for a range of months of a particular Year goes to MIS --> RHP --> RHP Performance --> Monthly Report Fig: RHP report on monthwise performance Select district, financial year and range of month (i.e. from month, to month ) click on Go button to view RHP wise performance i.e. no. of OPD treated, deliveries conducted at sub centre and at other Health Institute of the selected district, selected financial year and selected range of months If no district is selected, it displays the above mentioned data of all the districts.

To view Graphical report showing month wise delivery trend of all RHPs go to MIS --> RHP --> Graphical Report --> Delivery Trend (Month wise) Fig : RHP report on month wise delivery trend (graphical) at sub centre Select district to view month wise trend of all RHP s of a particular district.this report can be saved as graphical image by clicking on the Export to image button.

To view Graphical Report showing cumulative delivery trend of all RHPs go to MIS --> RHP --> Graphical Report --> Delivery Trend (Cumulative) Fig : RHP report on cumulative delivery trend (graphical) at sub centre Select district to view cumulative delivery trend of all RHP s of a particular district. This report can be saved as graphical image by clicking on the Export to image button. *****
