3 EMR FEATURES Back This section includes the EMR features released in this version. DASHBOARD: REDESIGNED CO-SIGN AND IN-PROGRESS ENCOUNTER MODULES Back The Dashboard displays the Co-Sign module as well as the In-Progress module. Both of these modules have been redesigned to include more user-friendly functions and view. Below is the list of changes: Categorizing Encounters: When you send encounters for co-signature, you may want to categorize them for example, Reviewed, Need Corrections, etc. You can now configure categories so that when a provider is signing a note, they can categorize this note and the cosigning provider can organize their list by this category. Batch Co-Sign: You can now co-sign more than one note at a time using the batch co-sign feature. Select one or more notes and click the Sign button shown at the bottom of the page. Minimize Screens: This module allows you to minimize it and expand it back and forth, same way you would with windows on a computer. Set as a Bookmark: Co-Sign and In-Progress modules can now be set as Bookmarks on the left panel of icons allowing you to access them quickly from all locations of the system. Removal of Pagination: Pagination is now removed allowing you to scroll down the page instead of clicking through multiple pages. Enhanced Note Signing Process: You can now enter EPIN, encounter start/end times, co-sign requests without seeing an additional pop up. Send Note to Multiple Providers: Notes can be sent to multiple providers for co-signature. Search Panel: You can now search notes based on: Facility, Payer, Days Quick Tab, and Encounter Category. Setting Note Priority: When you send a note for co-signature with high priority, you can set a color for priority according to your requirement. 4 Context Menu: Clicking patient name will open a context menu that allow you to: o Access Patient s demographics o Access Facesheet o Access Encounter o Delete Encounter o Change Encounter Status o Change Encounter Category o Access To Dos o View Encounter Note Selecting Note Format: You can choose an appropriate note format from the drop-down list to have your Note print in a desired/configured format. Reopening signed Encounters: When co-signing the notes, if you want to change the encounter status from Ended to In Progress, you can do it from the context menu. Click the patient name and you will see a list. Click the icon to change the status to In Progress. Export Data: Click the Export Data button in the Search panel to export the searched details in the excel file. Below are screenshots of these features. 6 Categorizing Encounters: When ending an encounter or sending it for co-signature, you can assign a category to the encounter. Configure Encounter Category as per your requirement. Access the Encounter Type screen, and then expand the Encounter Category panel as shown in following screens: Batch Co-Sign Select one or more notes and enter EPIN at the bottom. 7 Minimize Screens: Minimize the screens and they will appear at the bottom left corner. Click the square icon to maximize them again. Set as a Bookmark: Look at the bookmarks for Co-Sign and Encounter List features. Click the orange icon from bottom left corner. On the User Profile screen, select both of these options to view them as bookmarks. Signing Encounters: Locate the EPIN box on the Encounter List screen. Select who should co-sign the note, use End button to set end date/time, if required, and enter EPIN, that s it. Call for customer service or us at support@insynchcs.com. Page 7 of 34

8 Send Note to Multiple Providers: Notes can now be sent to multiple providers for co-signature. Click the Select drop-down and you will see a list of providers. Search Panel: You can now search notes based on: Facility, Payer, Days Quick Tab, and Encounter Category. Click the Export Data button to export the searched details in the excel file. 10 SCHEDULER: ENHANCED GROUP APPOINTMENTS You can now replicate appointments from one group to another group irrespective of the schedules. Back Earlier, when the target group was totally empty, only then you could replicate the appointments, but now, even though the target group has few appointments booked, you will be able to replicate the appointments. Moving Appointments (New Feature): you can now also move the group appointments from one group to another group. When the patients in source group have ended encounters then you won t able to replicate or move them in the target group. You can now also replicate appointments in past date schedules. 11 RESOURCE AVAILABILITY SEARCH: ABILITY TO FILTER OUT TIME SLOTS BASED ON WEEKDAYS On the Resource Availability Search screen, you can now search the available time slots for specific days. The new Days option is introduced in the Search panel to choose one or more days. For example, if you want to search vacant slots on Monday, Wednesday, and Friday in next one month, it becomes easy with the help of this feature. Call for customer service or us at Page 11 of 34

12 ABILITY TO PRINT CUSTOM DEMOGRAPHIC FIELDS IN YOUR ENCOUNTER NOTE HEADER Back In Patient Demographics, there is an ability to add custom fields according to your requirement. You can now also print these custom fields on the Encounter Note. Go to the Encounter Note Header Configuration screen, select the Custom Field check box, and choose the fields that you want to print on the note. Call for customer service or us at Page 12 of 34

13 DOCUMENT MANAGER: REMEMBER FOLDER NAME WHILE UPLOADING FILE In Document Manager, system now remembers the folder in which the file was uploaded last time so that you don t need to select the same folder every time when you login next time. If you want to turn this feature on for your practice, please contact our customer support team. BED BOARD: ADDED NEW FIELD ADMISSION TYPE The system now allows adding a custom Admission Type into the Bed Board. Expand the Admission Type panel, add the admission type along with hours. When you book a bed, system automatically calculates the Discharge Date/Time according to the hours you have entered here. Call for customer service or us at support@insynchcs.com. Page 13 of 34

14 START ENCOUNTER: DEFAULT PROVIDER FIELD TO LOGGED IN PROVIDER When you start an encounter from Facesheet: If you are logged in as a provider, your name will default into the Provider field. If you are a staff member, patient s primary provider will appear. If the patient does not have any primary provider recorded, then the Provider field will remain blank. In addition to this, whenever you change the Start/Date Time, system will make the same date/time in the Visit Date/Time field as well, as shown below: Call for customer service or us at support@insynchcs.com. 15 PATIENT DEMOGRAPHICS: COPY PATIENT DETAILS FROM EXISTING PATIENTS Back System now allows you to copy existing patient details while adding a new patient. A good example of this would be family members or relatives who live together. A new Copy from Existing Patient option is introduced on the Add Patient screen. You can copy the following details from an existing patient: Patient Information Additional Information History It is to be noted that patient s First Name, Last Name, DOB, SSN, and MRN will not be copied. 16 WAITLIST: NEW CONTEXT MENU TO ACCESS PATIENT DETAILS On the Waitlist screen, a new context menu is introduced when you click the patient name. Using this menu, you can access patient s demographic details, go to Facesheet, and access that patient s To Dos. Further, on hovering mouse over the patient name, you can now view patient s next of kin details as well as additional patient information. Call for customer service or us at support@insynchcs.com. 17 WAITLIST: ABILITY TO GENERATE A REPORT On the Waitlist screen, locate a new Export Data button. This allows you to export all the waitlist patients into an excel file. Call for customer service or us at support@insynchcs.com. Page 17 of 34

18 RESOURCE MANAGEMENT: CATEGORIZING PROVIDERS You can now categorize your providers into custom categories. Begin by creating a category and then adding providers into it. You can then hover your mouse pointer over the provider count to view all of the providers in that category. 19 PATIENT DEMOGRAPHICS: ABILITY TO SELECT MULTIPLE PRIMARY PROVIDERS On the Patient Demographics screen, you can now select more than one primary provider for a patient. 20 IMMUNIZATIONS: ADDED BALANCE COLUMN ON THE LOT MANAGEMENT SCREEN On the Lot Management screen, you can now view the balance for each lot number directly in the Lot Management grid. To access the Immunization Configuration screen, expand the left pane, go to Administration > EMR > Immunization. Immunizations in Charting Now, when you record the immunization details in charting, the Balance column will now appear while accessing the Lot Management screen on the fly as shown below: Call for customer service or us at Page 20 of 34

22 HEALTH MAINTENANCE CONFIGURATION: SELECT MULTIPLE SNOMED CODES In Health Maintenance, you can now select more than one SNOMED Code for each screening type. TREATMENT PLAN: FOLLOW UP (ABILITY TO SAVE CUSTOM RECORDS) In the Treatment Plan Follow Up section, you can now save the record by selecting either custom description or SNOMEDCT code for the Custom option. 23 ASSESSMENT TOOLS: NEW TOOLS BAI AND BDI Release Notes v (EMR Features) In Assessment Tools section, 2 more new tools BAI and BDI are introduced. You can configure these tools from the Practice Configuration screen. Click the icon from the left pane, expand Assessment Tools panel. 24 S CHANGES WHEN LABS ARE SENT TO THE PATIENT PORTAL When the Lab Result is recorded, there is an option to send an to patient portal user. Earlier, when the was sent, the provider name was written in the mail body. Instead of that, now practice name will appear in the . 25 PATIENT DEMOGRAPHICS: CONFIGURE RACE AND ETHNICITY InSync now allows you to configure custom patient race and ethnicity options as per your practice s requirement. On the Master Maintenance screen, you will notice new options Patient Race and Patient Ethnicity. You can edit or inactivate these details as per your requirements. 26 Release Notes v (PM Features) PM FEATURES This section includes the PM features released in this version. Back ABILITY TO POST CLAIM LEVEL ADJUSTMENT THROUGH ERA Previously, claim level adjustment was posted using CPT code ADST which was displayed as insurance payment that increased the billed, allowed and allowed payment amount in financial summary and the same claim level adjustment was not displayed in InSync ERA. Now, when the Claim Level Adjustment is posted through ERA, it will not allow to post line level payment and adjustment. Back

28 Release Notes v (PM Features) If Claim is denied by claim level adjustment, the system will post it as denial. The system will transfer responsibility based on first claim level adjustment code. However, you can change the responsibility through Claim level transfer field from ERA Screen. If there is claim level adjustment posted through ERA, New Charge, Payment and Patient Statements screens will display Claim Payments, Claim Adjustments and Claim Balance by clicking the info icon. The system does not allow to post Recoupment/Refund for claim level adjustment posting through ERA or Manual. Call for customer service or us at Page 28 of 34

29 Release Notes v (PM Features) ABILITY TO FETCH NEW OR INACTIVE CONSENTS FROM EASY PAY Back InSync now provides the ability to fetch the new and inactive consents from Easy Pay by clicking Get Transactions and Annual Consents button from the Online Payment Log screen. VIEW PAYMENT SUMMARY DETAILS ON THE DETAILED PAYMENT REPORT EXCEL On the Detailed Payment Report excel, system now enables you to view provider-wise income in a separate worksheet Detailed_Payment_Report_Summary. When you click the Export Data button, by default, you will see the Summary Report. If you want to view the report you used to access earlier, select the Detailed_Payment_Report worksheet in the excel. 30 Release Notes v (PM Features) RESPONSIBILITY CHANGES TO PATIENT WHEN BALANCE CPT IS ZERO (BATCH OR MANUAL POSTING) InSync automatically changes the responsibility to patient when the balance CPT Amount is zero in patient line item while batch or manual posting. ONLINE PAYMENT LOG: ABILITY TO ADD ADDITIONAL COMMENTS FOR TRANSACTIONS Additional comments can be added for each individual transaction from the Online Payment Log screen. 31 Release Notes v (PM Features) UB04 (INSTITUTIONAL) CLAIMS: COPY ADDITIONAL INSTITUTIONAL CLAIM INFORMATION FROM PREVIOUS CLAIM InSync now facilitates copying the additional institutional claim information from previous claims. When the Additional Claim Information check box is selected from the Copy Previous Claim Details screen, system will copy both, the "Additional Claim Information" and "UB04: Additional Institutional Claim Information" details of the previous claim. 32 Release Notes v (PM Features) NEW CHARGE: ABILITY TO VIEW WRITE-OFF TRANSACTIONS WITH REASON By clicking the Info icon for Write-off transactions. for a claim on the New Charge screen, the system now displays the reason PATIENT FINANCIALS: VIEW CLAIM LEVEL NOTES Notes entered in the New Charge screen will now be displayed by hovering the mouse on the info icon on the Patient Financial screen. 33 Release Notes v (PM Features) CHARGE SUMMARY REPORT: GENERATE REPORT BASED ON PROVIDER A new tab for generating the Charge Summary Report without CPT has been introduced. CLAIM SUBMISSION REPORT: CHECK BOX FOR MARK AS PROCESSED CLAIMS The Claim Submission Report now shows the submitted claims excluding mark as processed claim as default. A new check box Show Marked as Processed Claim(s) Only is introduced. The user can select this check box to view only the marked as processed claims on the report. 34 ABILITY TO PRINT PROGRAM NAME IN BOX 31 OF HCFA Release Notes v (PM Features) The system now facilitates to print the Program Name information required in box 31 of HCFA. For this to happen, the program name should be entered for the Payer in Patient Demographics of the desired patient in the Insurance Details section. Also, box field 31 of HCFA must be configured from Claim Configuration. To access the Claim Configuration screen, expand left pane, select Administration > Insurance > and then click the Manage Insurance link. Scroll down a little and expand the Claim Configuration panel. TPL CODES: INCREASED LENGTH FROM 10 TO 25 CHARACTERS InSync now allows you to enter the TPL Codes up to 25 characters.
