2 Family/Student Access Users Overview The Family/Student Access Users screen allows you to view each guardian/student who has access or does not have access to login to Family/Student Access. In this screen, you have the ability to update logins, passwords, modify access to certain screens in Family Access, and simulate a login as the Guardian/Student. To access Family Access Users, navigate to Student Management>Families>Family Access> Family Access Users.

3 Family Access Users At the top of this screen, you have the ability to check the box to Only Show guardians that have an active student in the current entity. If this option is selected, the system will take a bit longer to load this screen.

4 In the Views drop down, you have the ability to select General or Notification Alert. The Notification Alert View will change the screen layout to display guardian Addresses. Edit - Select the Edit button to modify the user s Login and Password. You can also update the access they have to specific areas of Family Access. Unlock Account - You can set an Account Lock Threshold so if a guardian uses the incorrect Login or Password too many times and reaches that threshold, their account would be locked once they ve reached that Threshold. Selecting this button would unlock their account. Unlock Multiple Accounts Allows you to unlock more than one account, based on entity and other range options. Account Reset Link - If you select this button, it will send an to the guardian that you have highlighted. A link will be provided that will allow them to change their password. Additional setup is needed to use this option. You can configure this option by navigating to Families>Family Access>Setup> Configuration> Setup for Account Information. All Areas Login - If a guardian is also a teacher or staff member, you can select All Areas Login which will allow you to be logged in as them and view their access in Family Access as well as EA+/Gradebook. Web Login - Clicking on this button will simulate an actual Login to Family Access for the guardian who is highlighted. This can be helpful when you need to troubleshoot what guardians are able to see/do in Family Access. Mobile Login - Clicking this button will do the same as the Web Login but will be in the Mobile App format. This can be helpful when you need to troubleshoot what guardians are able to see/do in the Mobile App for Family Access.

5 Log - This is a change log that allows you to view the Change History for the guardian who is highlighted. When expanding on a guardian record, you can view the students who are attached to this guardian within a family. Under Notification Alerts, you can see whether or not the guardian has subscribed to Health Office Visit, Attendance, Food Service, Grading, and Progress Report notifications within Family Access. Guardian - The guardian s name will display here. You do not have the ability to modify the guardian name by editing the guardian Record from the Family Access Users screen. This must be modified in the Families screen. Name Key: This is the guardian s generated Name Key. You do not have the ability to modify the Name Key as this is generated from the First and Last Name that was entered for the person. Login - You have the ability to update the guardian s login for Family Access in this field. You may receive phone calls from guardians if they have forgotten their logins or wish to receive a different Login. Guardians do have the ability to change their

6 own logins provided that you have the Configuration Option selected. You can access the configuration option by navigating to Families>Family Access>Setup> Configuration>District User Settings. Password - In this example, you cannot see the Password for this Family Access User. This password has been modified by the guardian which now prevents you from viewing their password. You do have the ability to select the Set Password button to change their password. Once the password is District Assigned, the Password will display until the guardian changes it again from Family Access. While in Skyward, you are only able to view the District Assigned Passwords. The only way a guardian has the ability to change their password from Family Access is if the option has been enabled in the Security Configuration. You can access the configuration option by navigating to Product Setup>Skyward Contact Access>Security> Setup>Configuration>Security Configuration. Generate - Selecting the Generate button will allow the system to generate a Random password for this user. Force Password change at next login - If you select this option, the user will be forced to change their password the next time they Login to Family Access. Minimum Password Length - This is a configuration option that can be setup by navigating to Product Setup>Skyward Contact Access>Security>Setup> Configuration>Security Configuration. This field displays to alert you of the password length. Allow Family Access - You will select this option if this guardian will have access to login to Family Access. Account Verified - This option can be selected if the guardian s information that is in the system has been verified. This field is strictly for internal purposes and reporting only and does not have any affect on their use of Family Access. This field must be updated manually as there is no utility to mass update this checkbox field. Home - You have the ability to enter in the guardian s address in this field. If the guardian wishes to receive Notifications regarding their student(s) they must have an entered into the system.

7 Subsystem Options Do Not Allow Access to Food Service Statement Information - You can select this box if this guardian should not be able to access the Food Service Statement Information within Family Access. Do Not Allow Access to Fee Management Statement Information - You can select this box if this guardian should not be able to access the Fee Management Statement Information. Do Not Allow Access to Online Registration & Pseudo Family Changes - If this guardian should not have access to Online Registration for their student(s) or to request Pseudo Family Changes, you will select this box. Save and Account Reset Link - If you select this option, the user will receive an to reset their account password. It will provide them with their Login and a link to click on to change their passwords. You can configure this option by navigating to Families>Family Access>Setup>Configuration> Setup for Account Information. Student Access Users The Student Access Users screen allows you to view the students who do and do not have the ability to login to Student Access. You can modify the student login and password, Approve or Deny their Acceptable Use Policy status, and a pseudo login as the Student. Navigate to Student Management>Students>Student Access>Student Access Users.

8 The Student Access Users screen will list all students within the entity. There is a column labeled Allow Student Access that allows you to quickly view which students currently have access to Student Access (Y Yes, N No). Select the Edit button to modify the currently highlighted record. If the student worked within the district while they were also attending as a student, they may need access to Employee Access (if their databases were combined), or they may need access to a gradebook if they are working as an office assistant, for example. Web Login - Clicking on this button will simulate an actual Login to Family Access for the student who is highlighted. This can be helpful when you need to troubleshoot what students are able to see/do in Student Access.

9 Mobile Login - Clicking this button will do the same as the Web Login but will be in the Mobile App format. This can be helpful when you need to troubleshoot what students are able to see/do in the Mobile App for Student Access. Log - This is a change log that allows you to view the Change History for the student who is highlighted. Student and Name Key - This information is generated from the student record when the student is entered into the system and cannot be modified in this screen. Login - Enter in the student s login when accessing Student Access. Password - Enter the Password into this field. The password will only be visible here if it is District Assigned. Once the student has changed their password, the password will appear with asterisks (*****). Students can only update their passwords if this has been configured in Product Setup>Skyward Contact Access> Security>Setup>Configuration>Security Configuration. Force Password Change at next login - Select this option to force the students to change their password the next time they login to Student Access. Minimum Password Length - This is a configuration option that can be setup by navigating to Product Setup, Skyward Contact Access>Security>Setup> Configuration>Security Configuration. This field displays to alert you of the password length. Allow Student Access - This option needs to be checked if the student has been approved to access/login to Student Access. School /Home - Enter in the student addresses, if provided, for both School and Home addresses. AUP (Acceptable Use Policy) - If the student has been approved for the usage of computers, internet, etc. while at school, you can Approve the AUP option here. This has to be manually updated. You can also create a Custom Form to allow guardians to Approve/Deny their child s Acceptable Use Policy usage. You will only see this option if you have selected to use this option in Student Management> Students/Families>Student/Family Access>Setup>Configuration>District Display Settings. Last Modified/Modified By - When the AUP field has been modified to Approved, the system will record when and who made the modification. Save and Account Reset Link - If you select this option, the user will receive an to reset their account password. It will provide them with their Login and a link to click on to change their passwords. You can configure this option by navigating to Students>Student Access>Setup>Configuration> Setup for Account Information.
