1 In this lab, you are going to add some batch fields for associating batch-level data with every document in your batch. You will learn how to configure and test an optical mark recognition (OMR) zone for accurately determining the status of a check box and returning the proper value. You will set up the Order Total field for the purpose of exercising the Batch Totaling feature. Finally you will process a batch to see how the Batch Totaling feature and OMR processing function. Lab 9-1 Lab Adding Batch Fields 1. On the Product Orders batch class, right mouse click and select Properties. Click on [New Batch Field] and add a batch field. Name: Process Date, Field Type: Alphanumeric10, Default: System Value {Current Date} and click [OK]. 2. The Text Export Connector setup window will open. Click [Add] and add the Process Date using the fly-out menu and Batch Fields. Click [OK]. Lab 9-2 Lab New Field Type and Index Fields 1. Click on the Field Types tab. 2. Right mouse click in the open area of the definitions panel and select New Field Type from the Context menu. 3. On the General tab, enter the following values a. Name: Decimal 10 b. Description: leave blank c. Dictionary: leave blank d. Data tape: DECIMAL e. Numeric digits: 10 f. Decimal places: 2 g. Uncheck Support Locale Format checkbox if it is checked 4. 2 5. Open the properties for the Product Orders batch class. On the Queues tab, select Verification and click on [Properties]. Uncheck Blind Data Entry and click on [OK]. Click on [OK] to save the changes for the batch class. 6. Open the properties for the Catalog Orders document class. Add the following new fields: Name Display Label Field Type Default Required Verify Hidden Sticky Total Offers Alpha 10 False False False False False Payment Type Order Total Alpha 30 False False False False False Decimal 10 False False False False True (Note: Make sure you toggle the Total column value for the Order Total field to True. You will probably have to scroll to the right to see that column.) 7. When the fields have been entered, click on [OK]. The Export Connector setup window will open. Click on [Add] to add the new fields to be exported. Click on the fly out menu and select Document Index Fields and click on Offers. Add the other two fields in the same manner. 8. Make the following changes: a. Storage folder: C:\Export\Lab09 b. File name: data.txt c. Image output: C:\Export\Lab09\Documents 9. Click on [OK] to close the Export Connector setup window. 3 Lab 9-3 TECHNICAL TRAINING LAB INSTRUCTIONS Lab Setting up OMR and Group zones 1. Click on Sample page1 for Northwest Products. Zoom into the area on the form that has a small check box next to the words Do you wish to receive special offers? 2. Click on the New Index Zone icon from the Insert tab and draw a box around the check box (just the check box only) next to the question. When the mouse button is released, the properties window opens. Select Offers for the Associated field and check the box for Auto recognition. 3. From the Recognition drop down list select Kofax OMR Zonal. Click on the OMR tab to expose the OMR setup for the zone. Click on the [Auto Set Threshold] button and notice that the slide bar moves to the % for this zone. The % is actually the black-to-white pixel percentage for this zone plus 5%. Because Kofax Capture assumes the zone is unchecked when the Auto Set Threshold function is performed, it is very likely that the calculated threshold is too high -- we just don t know how high yet. So we will proceed testing the threshold and then adjust the value as we gather the information we need. 4. Check the check box next to [Override default] and replace the 1 with Yes for a marked zone value and replace the 0 with No for an unmarked zone. 5. Click on the General tab and select [Test] to test the The Zone Test window opens. 6. Because the zone is marked, the Results pane should indicate a Yes response, but will most likely return an incorrect response. Let s fix this inaccurate reading by determining and setting the correct threshold. 7. Click on the [Add] button at the lower left corner of the Zone Test window. The Import window opens. Navigate to the C:\Sample folder and highlight Order 2.tif through Order 5.tif and click on [Open] to bring the files into the test window. You re going to use these images as additional test images, expanding your sample set. 8. Let s do some additional testing with this new sample set. Select the second sample image in the Images pane and click on [Test] to test this sample image. If the box is marked, the text results should indicate Yes, whereas an unmarked zone should indicate a No response. Lab KC10 9.doc Last Revision: 04/01/14 3

4 9. Continue selecting each test image in the Images pane and click [Test] to verify the setup for the zone is working correctly. During your testing, verify the text results and make a note of the OMR fill percentage in each case. 10. If any of the results are not correct (for example, a marked zone is returning an unmarked response), it means your pixel percentage threshold is not correct for this zone. Here s how we calibrate that: Close the Zone Test window and select the OMR tab. Move the Pixel Percentage Threshold slider bar higher or lower as necessary to provide a correct result. (This is where the OMR fill percentage comes in handy. The OMR fill percentage is a good guide to indicate how far you can nudge the slider.) Instructions for Slider Movement: Follow these simple rules for determining the movement of the Pixel Percentage Threshold slider on the OMR tab: If the box is supposed to be checked, but inaccurately returns an unchecked value, move the slider to the left. If the box is supposed to be unchecked, but inaccurately returns a checked value, move the slider to the right. (Taking note of the OMR fill percentage as mentioned above gives a pretty good guideline as to how far you can move the slider in either direction.) 11. After moving the slider, you ll want to check your new settings, so return to the General tab and select [Test]. Verify that the text results returned are correct for a Checked or Unchecked box. Perform these steps for all the sample images in the Images pane of the Zone Test window. 12. If any of the images do not test with the correct results, return to the OMR tab and adjust the threshold % and test again. When you are finished testing, every checkbox on the sample images should return an accurate response. Click on [Close] and then click on [OK] to accept the zone 13. Now we will setup an Index Group Zone around the OMR zone that we just setup so that we can display both the check box and the question for an operator. Select the New Index Group Zone icon from the Insert tab and draw a box around the area that contains the special offers check box and the question. 14. In the zone properties window, select Offers from the drop down list. Accept the radio button for Display group zone. Change the Maximum number of values from 254 to 1 in the Return Values window. Accept the Pick best radio button and click on [Test] to test the group zone. Lab KC10 9.doc Last Revision: 04/01/14 4

5 15. If the box is checked the results should be Yes and if not checked, the results should be No. Test all five sample page images. Notice the larger area is displayed in the image window for the group zone. The reason we created the group zone is so that the operator will see the whole area when processing the document in Validation not just the checkbox -- making for more accurate and efficient processing. Close the test window and click on [OK] to accept the setup for the group zone. 16. The frame color around the zone is magenta and indicates that this is an Index Group Zone. 17. Now the Method of Payment group zone (associated with the Payment Type index field) will be setup encompassing multiple OMR and ICR zones. 18. Zoom into the area on the form for Method of Payment and include all of the check boxes, the area for the Purchase Order No. and the area for the Credit Card Number. It is a rather large area on the page. 19. Select the New Index Zone option from the Insert tab and draw a box around the check box for Check or Money Order. For the Associated field choose Payment Type from the list. Check Auto Recognition and select Kofax OMR Zonal for the profile. 20. Click on the OMR tab. Click on the [Auto Set Threshold] button and notice that the slide bar moves to the fill % for this zone plus 5%. 21. Check the [Override default] check box and enter Check-Money Order for the Marked zone value and delete any values in the Unmarked zone value. (Note: For Group Zones to work properly, the Unmarked value must always be BLANK (null).) 22. Click on the General tab and then [Test]. Review the results (again taking note of the OMR fill percentage). If marked the results should be Check or Money Order. If unmarked the results should be blank. 23. Highlight second sample image in the Images pane of the Zone Test window and click [Test]. Review the results and make sure the text results are correct. 24. Highlight each additional document in the list and click [Test] to verify the results for each of the images. Your results should be working fine. If any of the text results is not correct, return to the OMR tab and move the Pixel Percentage Threshold slider as described earlier. Remember to always retest your settings after you ve modified them. 25. When testing is completed close the test window and click on [OK] to accept the field 26. Next draw a box around the check box for Purchase Order. Associate the Payment Type field with this zone. Make sure Kofax OMR Zonal is selected as the profile. Click on the OMR tab. 6 27. Again, click on [Auto Set Threshold] and adjust the % as needed. Check the [Override default] check box for Return Values and Enter PO # for the marked zone value. Be sure that the value for the unmarked zone is blank or empty. 28. Click on the General tab and then [Test] to test results. The sample page is used and the value returned should be PO # because the box is checked. If results are not correct, return to the OMR tab and adjust the Pixel Percentage Threshold slider bar higher or lower using the same procedure you learned above. Once again, test all of the images for proper return values. 29. When testing is complete, close the Test window and click on [OK] to accept the zone 30. Next draw a box around the area that contains the hand written Purchase Order Number. Select Payment Type for the associated field. Select the Kofax ICR Zonal recognition profile. Click on [Edit] next to the recognition profile. 31. Click on the Numeric radio button for Content. Click on [Edit] next to the Image cleanup profile. Click on Horizontal Line Removal and click on [Test]. The PO Number should be displayed in the results window. Select other images to test to be certain the setup is working properly. Click on [Close] and then click on [Save As] and enter ICR no line for the name. Click on [OK] and [Close] and [Save As] again to save the recognition profile. Enter ICR no line for the name. Click on [OK] and [Close] to close the setup window. Click on [OK] to accept the zone 32. Next draw a box around the check box for Visa. As before, associate Payment Type with this zone. Select Kofax OMR Zonal for the profile. Click on the OMR tab. 33. Click on [Auto Set threshold] and adjust the % as required. Check the [Override default] check box for Return Values and Enter Visa for the marked zone value. Be sure that the value for the Unmarked zone is blank or empty. 34. Click on the General tab and then [Test] to test results. The sample page is used and the value returned should be blank because the box is not checked. Test the other images. At least one of your test images should return a result of Visa because the box is checked. Verify the results of your other test images, adjusting your Pixel Percentage Threshold slider accordingly to achieve accurate results. 35. When testing is complete, close the Test window and click on [OK] to accept the zone 36. Let s use the copy-and-paste feature to set up the next OMR zone. Highlight the zone around the Visa box. Right mouse click and select Copy. Right mouse click again, and this time select Paste. 37. Grab the new zone with your mouse, move it and drop it on the check box for MasterCard. 7 38. While focus is still on your new zone, right mouse click and select Properties. Notice that for the most part, the properties of the Visa zone were replicated ([Auto Recognition] check box is checked and Kofax OMR Zonal is the profile selected). However, a new Associated field was created (Payment Type1 We ll delete this later as we won t need it.). Since this zone is going to be a member of the Payment Type group zone, select Payment Type from the Associated field dropdown list. 39. As every box is slightly different, we re going to want to fine-tune the results. Click on the OMR tab. 40. Click [Auto Set threshold] and adjust the % as required. Check the [Override default] check box for Return Values and enter MC for the Marked zone value. Be sure that the value for the Unmarked zone is blank or empty. 41. Click on the General tab and then [Test] to test results. The sample page is read and the value returned should be blank. As before, use the other sample images to test for a checked box. MC should be the value if the box is checked. 42. When testing is complete, close the Test window and click on [OK] to accept the zone 43. Next draw a box around the check box for American Express. Associate the Payment Type field for this zone. Make sure the [Auto Recognition] check box is checked and Kofax OMR Zonal is the profile selected. Click on the OMR tab. 44. Click [Auto Set threshold] and adjust the % as required. Check the [Override default] check box for Return Values and enter AmEx for the Marked zone value. Be sure that the value for the Unmarked zone is blank or empty. 45. Click on the General tab and [Test] to test results. The sample page is used and the value returned should be blank because the box is not checked. Use the other sample image files to test. None of the boxes are checked for this zone, so all of the results should be blank!! 46. When testing is complete, close the Test window and click on [OK] to accept the zone 47. Next draw a box around the area that contains the Credit Card Number. Select Payment Type for the associated field. Select ICR Form Box for the recognition profile. Click on [Edit] next to the profile. On the Recognition Profile window check the radio button for Numeric and select 0-9. character set. Then click [Test]. Test all of the images and review the results which should be the Credit Card Number if a credit card was used for payment; otherwise the results should be blank. 48. Click on [Save As] and enter ICR Numbers Box Removal for the name of the profile. Click on [OK] and [Close]. Be sure that ICR Numbers Box Removal is the recognition profile and click on [OK]. 8 49. Now that all the individual member zones have been configured, we will group them with a group zone to achieve one concatenated value for the Payment Type field. Select the New Index Group Zone icon from the Insert tab and draw a box around all of the area on the form that contains Payment Type. This will make all of the OMR zones and the two ICR zones part of this group. The Associated field should be Payment Type. Click on the Display Group Zone radio button. 50. Enter the Number of Values in the Result Set: Minimum = 1, Maximum = 2. Click on the Concatenate radio button for the Result Set. Enter a space in the Delimiter window. 51. Select [Test] and review the results for the group zone. Testing your sample images should result in accurate results for the payment method. 52. The group zone for payment type is now Make sure that the box around all of the payment types includes the area for PO # and Credit Card Number. The box has sizing handles and can be re-positioned if necessary. Click on [Close] and [OK] to save the Lab 9-4 Lab Setting up the Order Total field 1. Using the zoom tool (View tab) zoom into the area on the sample page that has the amount for the order next to the word Total. From the Insert tab, select the New Index Zone and draw a box inside the box that holds the Total amount. 2. Associate the Order Total field with the zone. Be sure the [Auto recognition] check box is checked. Select Kofax ICR Zonal as the recognition profile and click on [Edit] to open the properties for the profile. 3. Select the Amount radio button in the Content area of the setup and select 0-9. From the dropdown. Click on [Test] to verify the Lab KC10 9.doc Last Revision: 04/01/14 8

9 4. The results should show the amount including the decimal point for dollars and cents. Test the additional images that are available to be certain that the setup is correct. When finished testing, click on [Save As] and save the profile as ICR Amount. Click on [OK] and click on [Close] to return to the zone window. 5. Be sure that the ICR Amount profile is listed for the zone and click on [OK]. Lab 9-5 Lab Setting up the zones on the Tri-Spectrum sample page 1. Now you will need to repeat the group zones setup and the Order Total setup on the Tri- Spectrum sample page. Try it yourself. If you need help refer back to the previous labs. Good luck! (Tip: Remember to reuse your recognition and image cleanup profiles where applicable don t reinvent the wheel each time.) 2. When all the zones are setup on both sample pages, go to the document class and delete any index fields which were created during the copy-and-paste set up ( Payment Type1 ) that we won t be using. To do this, highlight the new index field(s), and select Delete Index Field. Click [OK] to close the document class window. 3. Publish the Product Orders batch class. When publishing is successful, close Administration. Lab 9-6 Lab Processing a Batch 1. Open the Scan queue. Create a batch based on the Product Orders batch class. Name your new batch Lab 9 Batch. You should notice that [Scan] and [OK] at the bottom of the Create Batch window are grayed-out. That is because you enabled the Batch Totaling feature (using the Order Total field), and requires that the scan operator (you) enter an expected total. Open the Totals tab and enter a total of 600. Upon entering the expected total, the [Scan] and [OK] buttons become active. Click [OK] to begin the capture process. Lab KC10 9.doc Last Revision: 04/01/14 9

Import the following TIF files from your C:\Sample\ folder: Order 1 through Order 5 and Trispec 1 through Trispec When all of the images are imported, close the batch and close the Scan queue. 4. Open each queue/module in the workflow in correct order to process the batch. Close each queue when processing is completed. a. Recognition Server b. Validation (Notice the Batch Totals Reconciliation window and Adjust the Total) c. Verification d. Export 5. When the Batch has processed through Export, use Windows Explorer to navigate to the \Lab09 export folders and files and review the images, and data exported. Close Explorer when you are finished.
