1 In the following lab instructions, you are going to add a second form type and learn to set up automatic form identification. In addition, you ll be introduced to registration zones and index group zones. You will do this by building upon the batch class you ve already set up. You will be modifying and fine-tuning your recognition and image cleanup profiles in an effort to optimize your recognition extraction results. You will be setting up group zones for concatenating member zones into a single value which will be associated with an index field. You will be configuring the rubber band OCR function. You will get some exposure processing a batch containing multiple form types and see how separation in the Recognition Server works. You will make copies of an existing batch class using the Copy and Paste function. Lab 8-1 Lab Multiple Form Types - Setup 1. Open the Kofax Capture Administration module. 2. On the Batch tab, expand the Product Orders batch class to expose the document class, form type and sample page. 3. Display the properties for the Product Orders batch class. Go to the Separation and Form Identification tab and select Kofax page recognition. Click on [OK] to accept your change and close the window. You re now going to perform separation and form ID in the Recognition module instead of the Scan module. 4. Display the properties for the Catalog Orders document class. Add a new field using the following values: a. Name: ShiptoName b. Display Label: Ship to Name c. Field Type: AlphaNumeric30 d. Default: leave blank e. Required, Verify, Hidden, Sticky, Total: leave all False 5. When you click [OK] to save, the export connector setup window opens. Add the new ShiptoName field to the list of index values. Change the following export paths: a. Storage folder: C:\Export\Lab08 b. File name: data.txt c. Image output: C:\Export\Lab08\Documents Lab KC10 8.doc Last Revision: 04/01/14 1
2 6. Click [OK] to save. TECHNICAL TRAINING LAB INSTRUCTIONS 7. Right mouse-click on the Catalog Orders document class. Select New Form Type from the context menu. Give this form type the following values: a. General tab i. Name: Tri-Spectrum ii. Description: Tri-Spectrum order form iii. Fixed number of pages: unchecked b. Image tab i. Register all pages: checked ii. Page registration confidence threshold: 80% iii. Automatic index field recognition threshold: 70% c. Page Level Bar Code tab: Accept Kofax 3 of 9 Bar Code 8. Click [OK] to save your settings. 9. Right mouse-click on your newly created Tri-Spectrum form type. From the context menu, select Add Sample Pages. Select Trispec 1.tif from the C:\Sample folder. Click [Open] to add the sample page. Lab 8-2 Lab Adding Fields and Recognition & Image Cleanup profiles 1. Open the View tab and click on the Zoom icon in the Mode sub-panel. Using the magnifying glass, zoom into an area on the top left corner of the sample page. Make sure your zoom percent is at least 100%. Using the Index icon from the Insert tab, Zone sub-panel, set up the following index/data zones: a. Draw a box around Bob Thompson. Make sure to draw your box big enough to accommodate longer names. Associate it with the Customer Name field. Enable auto recognition and use the Kofax High Performance OCR Zonal recognition profile. Click [OK]. Lab KC10 8.doc Last Revision: 04/01/14 2
3 b. Draw a box around 956 South Street. Again, make sure to draw your box big enough to accommodate longer addresses. Associate it with the Address field. Enable auto recognition and use the Kofax High Performance OCR Zonal recognition profile. Click [OK]. (A little overlap to the previous zone does not pose a problem as long as your new zone does not encompass any unwanted data.) c. Draw a box around San Diego, CA. Associate it with the State field. Enable auto recognition and use the Kofax High Performance OCR Zonal recognition profile. As before, when a batch using this batch class is processed through Recognition Server, Kofax Capture will try to pull-out a value from the text it reads that matches the value list you set up for the field type. Click [OK]. d. Draw a box around Make sure to draw your box big enough to accommodate zip+4. Associate it with the Zip field. Enable auto recognition and use the Kofax Advanced OCR Zonal recognition profile. Click [OK]. e. Draw a box around the bar code. Make sure to draw your box big enough to leave some open space at the leading and trailing edge of the bar code. A good rule of thumb is about 3/8 on the leading and trailing edges (left and right side) of the bar code. Associate the zone with the Customer Number field. Check Auto recognition and select the Kofax 3 or 9 Bar Code recognition profile. Click [OK] to save the zone properties. (Note: Remember that with the Northwest form type, we read the bar code using a page level bar code. With this form type, we will instead be reading the bar code from within a zone.) 2. Click on the Pan (hand) tool from the View tab, Mode sub-panel, and move down the left side of the form to the Ship to: section of the form. 3. Using the Index zone icon once more (Insert tab), draw a box around the First Name area like this (Do NOT include the First Name label.): 4. Select ShiptoName as the Associated field and make sure the Auto recognition checkbox is checked. 5. Select Kofax High Performance ICR Zonal as the recognition profile. To ensure the most accurate results and because there are boxes around the letters in the zone, you will need to create a custom profile. 4 6. Use the following settings: a. Name: Kofax High Performance ICR Zonal b. Language: ENGLISH UNITED STATES c. Print type: Handprint d. Content: Alphanumeric e. Character set: A-Z (TIP: Select the A-Za-z0-9 option and backspace) f. Trigram mode: Off g. Logical context: Checked h. Image Cleanup: (none) 7. Now, you need to set up an image cleanup profile to eliminate the boxes around the letters in the zone. At the bottom of the Recognition Profiles dialog box, click on the [Edit] button that s located to the right of the Image Cleanup section. The Image Cleanup Profiles dialog box opens. 8. Check Horizontal line removal. Set the properties as follows: a. Minimum length: 50 (any horizontal line longer than 50 pixels will be removed) b. Maximum height: 20 (any horizontal line thinner than 20 pixels will be removed) c. Maximum gap: 2 d. Edge clean factor: 2 e. Repair characters: Checked f. Maximum width: 40 g. Minimum height: 4 h. Measurement units: Pixels (try clicking on English and Metric to see measurement conversions take place) Lab KC10 8.doc Last Revision: 04/01/14 4
5 9. Check Vertical line removal Set the properties as follows: i. Maximum width: 20 (any vertical line thinner than 20 pixels will be removed) j. Minimum height: 65 (any vertical line longer than 65 pixels will be removed) k. Maximum gap: 2 l. Edge clean factor: 2 m. Repair characters: Checked n. Maximum width: 40 o. Minimum height: 4 p. Measurement units: Pixels 10. Expand the Edge Enhancement section (click on the expand icon ) and select Thicken. 11. Click on the [Test] button to test the results of your setup. If you re satisfied with the results, go on to the next step. If not, fix the problem by adjusting the Horizontal and/or Vertical Line Removal; then go on. Close the test window. 12. Click on [Save As]. Enter ICR Box Removal as the name for your new image cleanup profile. Click [OK]. Click [Close]. You are taken back to the Recognition Profiles dialog box. You should see ICR Box Removal entered in the Image Cleanup Profiles field. If not, select it from the dropdown list. Click on [Save As] to save your modified recognition profile. Enter ICR Form Box as the name for your profile. Click [OK]. Click [Close]. 13. Make sure your new profile appears in the Recognition profiles dropdown box. Click [OK] on the Create Index Zone dialog box to use your new profile with this zone. 14. Now let s exercise the copy-and-paste function to set up a zone for Last Name. Select the First Name zone. Right mouse click and select Copy from the context menu. 15. Right mouse click again and select Paste. Position the new zone over the Last Name field. 16. Right mouse click on this new zone and select Properties. Kofax Capture replicated the copied zone (including the recognition profile selected), with the exception that it associates the new zone to a new index field that it created. 17. Since this zone will be part of a group zone, click on the down arrow in the Associated field box and choose ShiptoName. Click [OK] when done. (Note that a new index field ShiptoName1 was created when we pasted the new zone. Since we won t need this new zone, we ll delete it from the document class in a few minutes.) 6 18. When you are done, you should have two zones set up, both associated with the ShiptoName and both using the ICR Form Box recognition profile. 19. Now, let s improve the alignment of our scanned or imported images to our sample page (you might recall this action is called registration and has the goal of improving the accuracy of our extraction results). We use one or more Registration zones to aid in registration. 20. Click on the Pan (hand) tool (View tab) and move to the form name ( Tri-Spectrum ) at the top of the page. 21. From the Insert tab, click on the little down arrow to the right of the Registration zone icon, exposing the New Registration Zone icon (this is for setting up text registration zones). Select this option. 22. Draw a box around the four characters of the form name ( Tri- ) and release the mouse button. 23. Choose Kofax High Performance OCR as the Recognition profile. 24. Tri- should automatically appear in the Search text box. 25. Click [OK] to close this window. You will see a red cross-hair appear in the bottom lefthand corner of the form name on your sample page image. This represents a registration point designed to align the image being imported in production with that of the sample page. 26. Now, let s enhance our ability to properly identify the form through a Form ID zone. Move to the left of the Registration zone you just setup and locate the text Ordered By:. 27. From the Insert tab, select the Form zone icon. 28. Draw a box around the four characters of the word Ordered and release the mouse button. 29. Choose Kofax High Performance OCR as the Recognition profile and enter Orde in the Search text box. 30. Click the [Test] button. Orde should appear in the Results pane in the Test window. Close the Test window. 31. Click [OK] to close the Form Identification Zone Properties window. Lab KC10 8.doc Last Revision: 04/01/14 6
7 Lab 8-3 Lab Introduction to Index Group Zones (Smart Groups) 1. You are going to group the first and last names together to form a single value for the Ship to Name. First, locate the first and last ship to names ( Kay Brummel ) on your sample page. From the Insert tab, click on the little down arrow to the right of the Index zone icon, exposing the New Index Group Zone option. Highlight and select this option. With your mouse, draw a box around both the first and last names on your sample form like this: 2. Enter the following Index Group Zone properties: a. Associated field: ShiptoName b. Validation Display: Display Group Zone c. Number of Values in Result Set: i. Minimum: 1 ii. Maximum: 2 d. Result Set: Concatenate e. Delimiter: (Type in a single space for the delimiter. You won t see it, but it will separate the first and last name with a space.) 3. Click on [Test]. If your setup is successful, you should see KAY BRUMMEL as the value returned. If not, check that the index field associated with both fields is the same. 4. 8 Lab 8-4 Lab Set up the Northwest Products Form Now you ll perform all the steps just completed for the TriSpectrum form on the Northwest form. Remember: Ship to information is different than Customer information. You ve already configured the Customer information for the Northwest form in previous labs. Now you ll focus on one group zone, and one or more form ID zone(s) and registration zone(s). Remember also, that you ve already setup the Customer Number as a page level bar code, so you won t need to do that again. 1. In the Definitions Panel, click on Sample page 1 for the Northwest form type. 2. Set up the Northwest Products order form using the same methods and profiles you ve completed for the Tri-Spectrum Solutions order form. Do this one on your own. It s okay to refer to the previous steps above for help if you need it. By the time you re done you should have: a. Customer Number (page level bar code) b. Customer Name zone c. Address zone d. State zone e. Zip zone f. ShiptoName index group zone g. At least one form identification zone h. At least one text registration zone Lab 8-5 Lab Setting up Rubber Band OCR/ICR 1. Open the Batch Class properties and go to the Advanced tab. 2. On the left hand side of the screen, third item down, is the Rubber Band OCR feature. We re going to set this up for later use by the Validation operator. 3. Select Kofax High Performance OCR Zonal from the dropdown list. Click [OK] to close the Batch Class properties window. 9 4. We re going to complete our work in the Administration module by republishing our batch class. But first, let s delete that new index field that was created when we copied the Ship to Name zone in previous steps. Right mouse click on the document class and choose Properties. 5. You ll see that the new index field ( ShiptoName1 ) is there. Highlight this new index field, right mouse click, and select Delete from the menu. Since the new index field is not required, we have removed it. Click [OK] to close the Document Class properties. 6. Make your changes effective by republishing the Product Orders batch class. Close the Administration module. Lab 8-6 Lab Processing Multiple Form Types 1. Open the Scan queue. Create a batch called Lab 8 Batch using the Product Orders batch class. Leave the Batch priority set at Click on the Scan All icon and import the following nine images: a. Order 1.tif Order 5.tif b. Trispec 1.tif Trispec 4.tif c. Close the batch. Cancel the Create Batch screen. Close the scan queue. (Note that separate has NOT yet occurred. You ve done nothing wrong this is expected behavior. Remember, when you configured your batch class, you chose Kofax page recognition as the method of separation and form ID. These functions will now occur when the batch is processed through the Recognition queue following the conclusion of the scan operation.) 3. Process the batch through: a. Recognition Server b. Validation Correct errors as necessary. Stop on one of your documents so we can see how rubber band OCR works. 4. On one of your Northwest Products documents being validated, stop on the Customer Name field. 5. From the menu bar, select the Rubber Band OCR icon. Lab KC10 8.doc Last Revision: 04/01/14 9
10 6. When you click and release the mouse button, the cursor changes to a small upper-lefthand-corner shape. Place the cursor on the image adjacent to the Ordered by Name and drag the mouse (rubber band fashion) around the entire text string of the Ordered by Name. Release the mouse button. 7. You ll see that Kofax Capture performs a high performance OCR operation, reading the value and placing it in the index field in the index pane. Validate and change the value as necessary. 8. Validate the remaining fields without the rubber band feature, and close the batch and the Validation module when you have completed all documents. 9. Process the batch through the remaining queues: a. Verification Verify that data is correct b. Export 10. Note any errors that might be occurring due to problems in your setup. If there is time, go back to your batch class setup, fix the problem, republish and run a new batch through to export. If everything looks good, go on to the next step. 11. Navigate to the C:\Export\Lab08 folder. Examine the data output in the data.txt file. Also look at the corresponding TIF images in the respective sub-folders. Lab 8-7 Lab Copy and Paste a Batch Class 1. First, let s copy the source batch class the one from which we want to make a copy. In the Administration module, highlight the Product Orders batch class, right mouse click, and select Copy from the context menu. 2. Now, let s use the Paste feature. Anywhere inside the definitions panel, right mouse click and select Paste. You ll see a new batch class entitled Product Orders1 has been created. 3. Expand the Product Orders1 batch class down to the Form Type. You ll notice that a link to the existing document class and form type were retained. Changes to either of these objects will alter their characteristics in all other instances of their use (in this case, the source batch class: Product Orders ). You can however alter the properties of your new batch class and publish it without affecting any other batch classes. 4. Let s now see how the Paste Special option differs. Since the copied batch class is still in memory, we can right mouse click anywhere in the definitions panel, and this time select Paste Special from the context menu. 11 5. Selecting Paste Special launches a Paste Special window with two options. If you select Paste with a link to the original Document Classes. You ll get results identical to those above when you chose Paste. 6. From the Paste Special window, select the radio button associated with Paste with a copy of the original Document Classes. followed by [OK]. A new batch class entitled Product Orders2 is created. 7. Expanding your new Product Orders2 batch class down to the form type, you ll see something a little different. You ll see that Kofax Capture has created copies of the document class(es) and form type(s). You could modify all these objects (batch class, document class, and form type) without affecting any existing objects. 8. Right mouse click on the new batch class copies and select Delete, then [Yes] when prompted to delete these new batch classes. 9. Open the Document tab.
