1 2018 Food Vendor Application August 2, 3, 4 and 5, 2018 Panhandle Productions Limited Partnership ( PPLP ), owner and operator of the Big Valley Jamboree ( BVJ ) is currently accepting applications for the 2018 event. The festival attracts over 80,000 people each year. Our goal is to present festival-goers with highly qualified, diverse, and efficient food vendors. If you would like to be considered as a food vendor for the 2018 BVJ, please complete the attached application and submit the following materials: A completed and signed application At least one current photograph of your booth or trailer (new vendors only) A copy of your certificate of insurance Deposit payment of 50% of contract price (upon acceptance) Valid VISA or MasterCard number with expiry date A valid Food Handling Certificate (online course or onsite course) Forward all materials to the address below. All certified cheques are to be made payable to Panhandle Productions and mailed to: Sally Wilkins Box 33, Gwynne AB, T0C 1L0 Terms Please initial each item. If I am approved; I agree to provide certification of insurance (see guidelines) I understand that my space rental fee cannot be refunded after June 15, 2018 I understand that PPLP does not carry insurance to cover my personal property and that I store equipment at my own risk I understand that my site will be measured and any unclaimed overages will be subject to the corresponding sq.ft charge and payable immediately I understand that the producers of BVJ will determine my booth s location I have read the Vendor Guidelines & BVJ Code of Conduct and agree to abide by them I agree to have all staff complete the AHS food handling course (1hr) I understand that PPLP makes no sales guarantees This application must be filled out in full by new and returning vendors. Incomplete applications will not be considered. This application is not an offer or guarantee of space. 1
2 Hours of Operation Food vendor booths must remain open for the duration of BVJ (hours subject to change). BVJ goes on rain or shine and all vendors are expected to be open during the hours listed unless they are notified by festival personnel. We will do our best to accommodate your preference, however no location is guaranteed. Orders must be larger than 100 sq.ft. Main Street ($20.50/sq.ft) Concert Bowl / Backroom Bar ($20.00/sq.ft) In order to provide you with sufficient electrical service, it is important that you order your power correctly. BVJ will not guarantee electrical services beyond which is ordered in the Superior Show Service order form provided with your acceptance. Should you not order enough power, and cause other vendors to lose power, you might be held responsible for lost revenue. 2
3 Proposed Menu Please include all items you wish to sell, including beverages. Items not listed or not approved will not be allowed. PLEASE NOTE: THIS IS A COCA COLA SPONSORED EVENT AND ANY BEVERAGE THAT IS A CONFLICT WILL NOT BE ALLOWED. Item Description Price Booth Details How do you set up your food operations? Tent Trailer Wooden Booth/Building Food Truck Other: Size of Space Needed (ground measurements, storage area & overhead awnings): Frontage Feet Depth ** Frontage feet must include any trailer tongues/hitches. Please indicate the exact length of your trailer tongue/hitch in your sketch. You won t be charged for it, but it will help us determine how much space we need between vendors when laying out the food courts. 3
4 Do you use propane? [ ] NO [ ] YES - If yes, please fill out the weight, use, and how the tanks will be secured or stored. We do have a propane supplier that comes to you daily to fill your tanks. Rentals are also available. Tank # Weight (lbs) Use Storage Will you need to rent a tent from the festival? [ ] NO [ ] YES If yes, please see the Superior Show Service form for details. All tents used must be constructed of flame retardant material; proper documentation is required. All tents must be securely anchored in the ground, this will be checked when you set up. If you require anchors, Superior Show Service will do this for a fee. All holes made must be filled in properly before leaving the event. Booth Sketch This information is needed to determine the proper placement of your booth. Please provide a birds-eye view of your booth layout including all of the following: Location of cooler (if ordered), cooking area(s), freezer(s), refrigerator(s), hand wash sink(s), and propane tanks. All elements of your booth: tent(s), trailer tongues, where you will be serving food from, anything you plan on placing in front of your booth, etc. Everything included for your vendor operations must be included in your sketch. If you are selected as a food vendor, you must operate within the confines of the dimensions indicated. 4
5 Order Form Please use corner-to-corner footage, do not add your hitch or awnings to this square footage. If accepted as a vendor a 50% non-refundable deposit is required payable by credit card, certified cheque or money order.
