2 Overview of the 2016 NLC Registration Process The 2016 National Leadership Conference registration system/portal is your one stop shop for all of your 2016 NLC registration needs. From here you will be able to register for all conference activities, tours, competitive events, special events, Leadership Academy, and volunteer opportunities. The following conference activities are included in a Weekly Registration: Three General Sessions (Opening, Business, and Closing) STAR Events Recognition Session Workshops for advisers and students Exhibits and College Expo Professional development opportunities for advisers State Officer and National Network Trainings Adviser networking Youth networking The following items require additional registration steps for participation: (Some of these items have additional fees associated with them.) Competitive Events Leadership Academy FCCLA Gala (if not purchasing the Weekly Registration Package) CEU Credits Career Explorations Special Events Tours Volunteering A few things to keep in mind while registering: You do not need to complete your chapter s registration at one time. You may log out of the system before completing your registration without losing the data you have already entered. However, if you log out before clicking Finish in an individual s registration you will need to start over with that individual s registration. In order to be considered registered for the conference you MUST accept the conference disclaimers and waivers and submit your registration by clicking the Submit Registration button. If your registration is not submitted before the registration deadline you will be assessed late registration fees. (More information and instruction on this can be found in the Accept Disclaimers and Submit Registration section of this document.) Keep in mind that until you click the Submit Registration button, optional items you have selected are not guaranteed and may no longer be available the next time you login. If paying by check after your registration is submitted payment must be received at the FCCLA National Office by June 15, Late payment fees will be assessed for payments received after June 15. 2

3 If paying by credit card payment information will be requested when you submit your chapter s registration. How to Access the Registration System/Portal To register for the 2016 NLC, please log into your chapter s account in the National FCCLA Portal/Affiliation System. 1. Log in here: using your chapter ID and the password you created when you setup your chapter account. Note If you have not yet affiliated your chapter, please contact your state adviser for further instruction. 2. Click the Meetings & Events tab toward the top of the page. 3. Select the 2016 National Leadership Conference. 3

4 4. The following screen will appear and you will be ready to start your conference registrations. 4

5 Register Chapter Advisers It is recommended that the chapter adviser(s) first register, then register students and guests. 1. Click Register Advisers button at the bottom of the page. 2. Check the box next to the name of the adviser(s) you wish to register then click Continue. If the name of the adviser is not listed, the adviser may not be affiliated. Contact your state adviser to confirm affiliation status. 3. Once all of the appropriate boxes are checked, click Continue to begin registering advisers. Note While registering chapter advisers, please keep in mind that advisers and chaperones must be registered for and attend all events that the students for whom they are chaperoning are registered including tours, career explorations, and the FCCLA Gala. Student to chaperone ratios will be verified prior to the conference and chapters not in compliance, their state advisers will be notified. It will be the chapter s responsibility to register additional chaperones if necessary. Adult attendees must be registered for the entire conference to serve in the capacity of a chaperone for students. 5

6 Step 1: VERIFY 1. The next page to populate will contain information for the first adviser you selected. Personal information will be automatically pulled from the chapter affiliation record. Please verify all information that populates is accurate and up to date. If any of the automatically populated information is incorrect, you may update it here. This will also update the chapter record. 2. Next you will need to fill in any incomplete information. Additional required information includes: a. First Time Attendee (Yes or No selection) b. Emergency Contact Name c. Emergency Contact Relation d. Emergency Contact Phone Number e. Special accommodation requirements, such as audio, visual, mobility, or dietary. 3. Select the Registration Rate you wish to register for. The available options are: a. Weekly Registration Package This option includes registration for conference activities Sunday through Thursday and an FCCLA Gala ticket. Tours, Leadership Academy, STAR Event fees, and other items are not included in this rate. b. Weekly Registration This option includes registration for conference activities Sunday through Thursday. A ticket to the FCCLA Gala can be purchased separately and is NOT included in this registration option. Tours, Leadership Academy, STAR Event fees, and other items are not included in this rate. 6

7 4. If you have been given a Special Code for registration you will enter it at this time. If you do not have a special code you will leave this field blank. 5. If you are missing any of the required information you may select Register Later. This will allow you to skip entering information for that individual. If this option is selected the person will not be registered for the conference. You will need to start the registration process again for that individual when you are ready to register them. If you have entered all required information and selected a Registration Rate you will click Next to move on to the next step. 6. If you have selected Register Later you will be taken to the VERIFY page for the next individual you selected for registration. If you have only selected one person you will be taken back to the main Meetings & Events page. If you have clicked Next you will be taken to the Items page. 7

8 Step 2: ITEMS In this section you will add any additional items you would like to purchase for each individual. 1. Click on the arrow icon next to each option to expand that section. Check the box next to each item that you would like to purchase. Hover over the eye icon to see descriptions of the available items. The options in this section are: a. Opportunities to Support FCCLA Shout Out A customized 25 character message included in the conference program. You may purchase up to 3 Shout Outs. Alumni & Associates Donation A charitable donation to the Alumni & Associates Fund. You may type in the amount you wish to donate. FCCLA General Fund Donation A charitable donation to the FCCLA General Fund. You may type in the amount you wish to donate. b. Special Events (Non refundable) FCCLA Gala California Cruisin One (1) ticket to the FCCLA gala. If you have selected the Weekly Registration Package this item will not be available for purchase because it is included in the package price. If you have not selected the package you will be able to purchase a Gala ticket by checking this box. FCCLA Gala California Cruisin Guest Ticket You may purchase an additional ticket to the FCCLA gala for a guest who is not registered for the conference. Ford Driving Skills for Life Chaperone for Wednesday Select this if you are registering one or more students for the Ford Driving Skills for Life event on Wednesday. This is a 4 hour event for licensed students and they require a chaperone. This event is free for chaperones. Ford Driving Skills for Life Chaperone for Thursday Select this if you are registering one or more students for the Ford Driving Skills for Life vent on Thursday. This is a 4 hour event for licensed students and they require a chaperone. This event is free for chaperones. c. Adviser Only Items CEU Credits An attendance verification form will be provided with registration materials; once completed the form must be mailed to the FCCLA National Headquarters to earn 1.5 CEUs for conference attendance. This item is nonrefundable. d. Career Explorations Tour local San Diego businesses for an opportunity to learn about a variety of career fields, as well as, the opportunity to take a class at the Fashion Institute of Design & Merchandising (FIDM). These explorations are available at a low registration cost, however, a voucher for the same amount will be handed out at the completion of the event. The voucher is good for the FCCLA store. Limit one per attendee. Chaperones are required to attend with their students. e. Meeting Room Fee Meeting Room Fee FCCLA s Board of Directors has implemented the following policy: Delegates who live more than 30 miles from the convention site and do not 8

9 stay in one of the official convention hotels will be assessed a meeting room fee of $25 per registration in order to register for the conference. 2. Once you have selected all desired Items, click Next to move on to the Tours page. 9

10 Step 3: TOURS In this section you will add any tours you wish to purchase for each individual. 1. Click on the arrow icon next to each date to expand that section. 2. For more details on each tour, hover your mouse over the Eye Icon (pictured to the right) next to the tour name. A text box will populate containing a tour description. 3. Check the box next to each tour that you would like to purchase. 4. Once you have selected all desired Tours, click Next to move on to the Volunteer page. 10

11 Step 4: VOLUNTEER In this section you will indicate your volunteer preferences during the conference. Indicating a volunteer preference does not guarantee that you will be assigned to a volunteer position. Volunteer positions are first come, first served basis and will be confirmed by mid June. 1. Select Yes or No for Competitive Events Volunteer Opportunities. 2. If you select Yes, preference information will appear. You must select which kind of volunteer position you prefer then rank 5 STAR Events in the order that you would prefer to be assigned to them, with 1 being the top choice. 3. Select Knowledge Bowl volunteer preference. 11

12 4. Select Yes or No for General Conference Volunteer 5. If you select Yes, preference information will appear. Check the box next to each position(s) you are interested in volunteering for. Some positions are available on multiple days and times, be sure to select a day and time that does not conflict with other conference obligations. 6. Once you have entered all required Volunteer information, click Next to move on to the Confirmation page. 12

13 Step 5: CONFIRMATION In this section you will review everything you have inputted for the individual you are registering and confirm accuracy. 1. Read and review all Profile, Emergency Contact, Special Accommodations, and purchased items carefully. 2. If anything is incorrect, click Previous until you arrive at the page you need to correct, edit the information, and then click Next until you arrive back at the Confirmation page. 3. Once you have confirmed that all of the listed information is correct, click Finish or Next Adviser. 4. If you selected more than one adviser to register you will be taken to the Verify page for the next person on your list to continue your registration. If you only selected one person you will be taken back to the main Meetings & Events page. 5. If you would like to edit this registration click the blue pencil icon to the right of the registrants name from the main Meetings & Events page. 6. If you would like to delete this registration click the red x icon to the right of the registrants name from the main Meetings & Events page. Note If you select a tour or volunteer position that occurs at a time that conflicts with your state s meeting or your selected tours you will receive a warning. If you wish to schedule the item any way, click Continue. If you do not wish to schedule the conflicting item, click Cancel. 13

14 Register Students 1. Click Register Students button at the bottom of the page. 2. Check the box next to the name of the student(s) you wish to register then click Continue. If the name of the student is not listed, the student may not be affiliated. Contact your state adviser to confirm affiliation status. If you are registering your full chapter, you may click Select All to check all of the boxes at once. 3. Once all of the appropriate boxes are checked, click Continue to begin registering students. 14

15 Step 1: VERIFY 1. The next page shown will populate information for the first student you selected. Personal information will be automatically pulled from the chapter affiliation record. Please review carefully to verify all information that populates is accurate and up to date. If any of the automatically populated information is incorrect, you may update it here. This will aslo update the chapter record. 2. Select the student s Classification: Affiliated Student OR Postsecondary Member 3. Select the student s Badge Title. a. The available Badge Title for Postsecondary Member is Postsecondary Member. b. Badge Title options for Affiliated Students include: i. Chapter Member ii. Chapter Officer iii. National Officer iv. Region Officer v. State Officer vi. Past National Officer 4. Indicate if this is the student s first time attending a National Leadership Conference. Select Yes or NO. 5. Next you will need to fill in any incomplete information. Additional required information includes: a. Emergency Contact Name b. Emergency Contact Relation 15

16 c. Emergency Contact Phone Number d. Special accommodation requirements, such as audio, visual, mobility, or dietary. e. If the student is traveling with another chapter you will need to include the following information: i. Chapter Name ii. Chapter Adviser iii. Chapter Adviser Cell Phone Number iv. Chapter Adviser 6. Select the Registration Rate for the student you are registering. The available options are: a. Weekly Registration Package This option includes registration for conference activities Sunday through Thursday and an FCCLA Gala ticket. Tours, Leadership Academy, STAR Event fees, and other items are not included in this rate. b. Weekly Registration This option includes registration for conference activities Sunday through Thursday only. A ticket to the FCCLA Gala can be purchased separately and is NOT included in this registration option. Tours, Leadership Academy, STAR Event fees, and other items are not included in this rate. 7. If the student has been given a Special Code for registration you will enter it at this time. If the student does not have a special code you will leave this field blank. 16

17 8. If you are missing any of the required information you may select Register Later. This will allow you to skip entering information for that individual. If this option is selected the person will not be registered for the conference. You will need to start the registration process over again for that individual when you are ready to register them. If you have entered all required information and selected a Registration Rate you will click Next to move on to the next step. 9. If you have selected Register Later you will be taken to the VERIFY page for the next student you selected for registration. If you have only selected one student you will be taken back to the main Meetings & Events page. If you have clicked Next you will be taken to the Competitive Events page. 17

18 Step 2: COMPETITIVE EVENTS In this section you will sign up for Competitive Events for the student you are currently registering. 1. Competitive Event information will only appear if the student you are currently registering has been added as a Competitive Event Qualifier by your state adviser. If your student has qualified to compete at the National Leadership Conference but the Competitive Events page is blank please contact your state adviser to confirm eligibility. If your student is not competing, skip to #5 on this page. 2. If your student is eligible to compete at the National Leadership Conference you will see their event listed on this page. Confirm that all listed information is correct. If so, check the Select box next to the listed event. 3. If the information listed is incorrect, contact your state adviser to confirm event details and eligibility. 4. Once you have verified all listed information and selected the appropriate event click Next to move forward to the Leadership Academy page. 5. If your student is not competing in a STAR Event click Next to move forward to the Leadership Academy page. 18

19 Step 3: LEADERSHIP ACADEMY In this section you will sign up for Leadership Academy courses for the student you are currently registering. 1. Select Yes or No for Leadership Academy registration. 2. If you select Yes, information for each Leadership Academy option will populate. Students may only sign up for one academy. The options are: a. Engage Strengthens leadership skills used to unify people through communication, collaboration, and conflict management. b. Launch Enhances skills that will build a foundation for FCCLA members to prepare to successfully launch into their future through theory and practice of strategic planning, critical thinking, decision making, and innovation. 3. Click on the arrow icon next to the academy you wish to register for to expand that section. 4. Select at least four courses in the academy the student wishes to participate. Be sure to select courses with times that do not conflict with one another. If you select courses with conflicting times a warning will pop up and you will not be able to move forward. 5. Once you have completed the student s Leadership Academy registration click Next to be taken to the Items page. 19

20 6. Leadership Academy could potentially conflict with STAR Event competitions. If a student is registered for a STAR Event competition and Leadership Academy the following error will popup. To cancel Leadership Academy participation, click Close and select No in the Register for Leadership Academy? field. To continue your Leadership Academy registration click Confirm. 20

21 Step 4: ITEMS In this section you will add any additional items you would like to purchase for the student you are currently registering. 1. Click on the arrow icon next to each option to expand that section. The options in this section are: a. Opportunities to Support FCCLA Shout Out A customized 25 character message included in the conference program. Up to 3 Shout Outs may be purchased. Alumni & Associates Donation A charitable donation to the Alumni & Associates Fund. You may type in the amount you wish to donate. FCCLA General Fund Donation A charitable donation to the FCCLA General Fund. You may type in the amount you wish to donate. b. Ford Driving Skills for Life Wednesday This is a 4 hour hands on driving event for licensed students to learn new safe driving skills from professional Ford instructors. A chaperone is required to register for the corresponding Ford Driving Skills for Life Chaperone Wednesday. There is a $20 cost, however, a voucher for this amount for use at the FCCLA store will be handed out upon completion of the event. 24 Step 6: VOLUNTEER In this section you will indicate volunteer preferences for the student you are registering. Note If you select a tour or volunteer position that occurs at a time that conflicts with your state s meeting, tours selected for this individual, or STAR Events selected for this individual you will receive a warning. If you wish to schedule the item any way, click Continue. If you do not wish to schedule the conflicting item, click Cancel. 26

27 Register a Guest Parents, chaperones, and non affiliated adults should be registered by the chapter adviser as a Guest. Any students or advisers should not be registered in this section. While registering guests, please keep in mind that guests servings as chaperones must be registered for the entire conference and at all events where the students for whom they are chaperoning are registered. This includes tours, career explorations, exhibit expo, and the FCCLA gala. All guests must adhere to the FCCLA Mandatory Dress Code Policy. Chaperone Policy: It is mandatory that there is (1) adult chaperone for every (12) high school or (10) middle school students attending the conference. Please be advised that your local school district may have specific rules that require a higher adult chaperone to student ratio. You should follow the rules of your school district if the requirements are higher than those set forth here. Chaperone to student ratios will be verified prior to the conference and chapters not in compliance and their state advisers will be notified. It will be the responsibility of the chapter adviser to register additional chaperones if necessary. Adults who will be serving as chaperones must be registered for the entire conference to properly supervise students. Only registered attendees are eligible to stay within FCCLA s NLC hotel room block. Guests who would like to make hotel reservations for the entire conference must select a weekly registration option. Daily registrations and STAR Events Recognition Session attendees are eligible to stay within the FCCLA hotel room block for the night before and day of the registration (i.e, Monday Daily Registration allows for a hotel reservation from Sunday through Tuesday). 1. From the main Meetings & Events click Register Guests at the bottom of the page. 27

28 Step 1: VERIFY 1. Fill in all required information. Registration Rates will populate based on the Classification and Badge Title selected. 2. Select the Registration Rate you wish to register for. The available options are: a. Weekly Registration Package This option includes registration for conference activities Sunday through Thursday and an FCCLA Gala ticket. Tours and other items are not included in this rate. b. Weekly Registration This option includes registration for conference activities Sunday through Thursday. A ticket to the FCCLA Gala can be purchased separately and is NOT included in this registration option. Tours and other items are not included in this rate. c. STAR Events Recognition Session If this option is selected the guest will only attend the STAR Events Recognition Session on Thursday, July 7 from 8:00 a.m. 11:00 a.m. This rate is not eligible for guests serving as chaperones and allows for hotel reservations within the FCCLA hotel block Wednesday, July 6 through Friday, July 8. d. Daily Registration This option is only available for adults who are non affiliated guests. You may register for specific days of the conference individually. Daily Registration allows you to participate in any conference activities on the day for which you are registered. The FCCLA Gala, tours, and other items are not included in this rate. If you are attending the conference as a chaperone you will need to register for one of the weekly registration options above. Attendees are eligible to stay within the FCCLA hotel room block the one day prior to and the day of the registration. 28

29 3. If the guest you are registering has been given a Special Code for registration you will enter it at this time. If you do not have a special code you will leave this field blank. 4. FCCLA Gala California Cruisin Guest Ticket You may purchase an additional ticket to the FCCLA gala for guests who are not registered for the conference. d. Career Explorations Tour local San Diego businesses for an opportunity to learn about a variety of career fields, as well as, the opportunity to take a class at the Fashion Institute of Design & Merchandising (FIDM). These explorations are available at a cost but a voucher for the registration cost will be handed out at the completion. The voucher is good for the FCCLA store. Limit one per attendee. Chaperones are required to attend with their students. e. Meeting Room Fee Meeting Room Fee A fee for those delegates who live within 30 miles of the conference site and not staying in the hotel or attendees choosing not to stay in one of the designated conference hotels. 2. Once you have selected all desired Items, click Next to move on to the Tours page. 30

34 Step 5: CONFIRMATION In this section you will review everything you have inputted for the guest you are registering and confirm accuracy. 7. Read and review all Profile, Emergency Contact, Special Accommodations, and purchased items carefully. 8. If anything is incorrect, click Previous until you arrive at the page you need to correct, edit the information, and then click Next until you arrive back at the Confirmation page. 9. Once you have confirmed that all of the listed information is correct, click Save and Finish or Save and Add Another Guest if you would like to register another guest. 10. Once you click Save and Finish you will be taken back to the main Meetings & Events page. 11. To edit this registration click the blue pencil icon to the right of the registrants name from the main Meetings & Events page. 12. To delete this registration click the red x icon to the right of the registrants name from the main Meetings & Events page. 34

35 Accept Disclaimers Before you can submit your registration(s) you must accept the FCCLA Disclaimers & Waivers. Please read all disclaimers carefully. They include registration/cancellation/substitution policies, housing policies, photography release disclaimer, and the FCCLA Mandatory Dress Code policy. The policies will be enforced at the National Leadership Conference. Please review the FCCLA Mandatory Dress Code Policy with all students and guests prior to attending the conference. 1. Click the Accept Disclaimers button from the main Meetings & Events page. 2. Read the Disclaimers & Waivers carefully and review them with all students and guests you are registering. 3. Check the box that says I have read and agree to the Rules & Regulations, FCCLA Acceptance Policy and the FCCLA Cancellation Policy and click Confirm. 4. If you do not wish to accept the disclaimers at this time click Close. You will be able to proceed with completing your registration for the conference once you have clicked Confirm. 35

36 Submit Registration and Pay Your Invoice Your registration is not complete until you submit your registration by clicking the Submit Registration button. The registration rate you will be invoiced for will be based on the time you submit your registration. The Early Bird Deadline is May 4 at 5:00 pm EDT. The Regular Registration Deadline is June 1 at 5:00 pm EDT. All registrations submitted after June 1 at 5:00 pm EDT are late registrations and will be assessed late fees accordingly. Please read all information below carefully. If you have any questions about this process please contact the FCCLA Conferences Department by at meetings@fcclainc.org or by phone at Once a registration has been submitted your chapter will be responsible for paying the balance of the invoice. 1. From the main Meetings & Events page check the box next to the name of each individual you wish to submit. Individuals selected at the same time will be submitted together and appear on the same invoice. In order to receive separate invoices for certain individuals you must select their registration and submit them separately. 2. If you would like all advisers, students, and guests to appear on the same invoice you may click Select All on the left side of the page. Once you have checked all of the boxes that you wish to appear on your first invoice, click Submit Registration. 3. A Confirmation box will appear each time you click Submit Registration. Please read this box carefully and verify that all charges are correct. Once you click Confirm this action cannot be undone and your chapter will be responsible for paying all charges. Once you have confirmed the charges are correct, click Confirm. If the charges are not correct click Close and review your registration. 36

37 4. Next, check the boxes for the individuals you would like to appear on your next invoice and click Submit Registration again. You may repeat this step until all individuals are submitted. Each time you click Submit Registration the system will generate a new invoice for the individuals who were checked off at that time and you will be asked to confirm the charges before moving forward. 5. Once an individual is submitted, to complete the registration process you must pay the invoice. To pay the invoice click the Invoice History tab at the top of the page. 6. Next click Pay Invoices 7. Select the invoice(s) you wish to pay. If you wish to pay all created invoices you may click Pay All Invoices. 37

38 8. Enter payment information. You may pay by check or by credit card. If paying by check please input Purchase Order information here. Payment must be received at the FCCLA National Office by June 15. Late payment fees will be assessed for payments received after June 15. If paying by credit card please insert credit card information at this time. Once payment information has been entered click Pay. After You Submit 1. Once an adviser, student, or guest has been submitted you can no longer delete or edit their registration. 2. Once an adviser, student, or guest has been submitted you may still add additional items. To add additional items, click the blue plus symbol next to the registrant s name on the main Meetings & Events page. 3. To view a registrant s purchased items click the blue eye icon (pictured to the right) next to a registrant s name. 39 Conference Cancellations After you submit registrations, you may cancel the registration or registration items within the system at any point in time. Cancellations submitted by June 1, 5:00 pm EDT will be processed and FCCLA will refund your conference registration less a $25 administrative fee. Cancellations submitted after June 1, 5:00 pm EDT will not receive a refund and will be responsible for full payment. This still applies if no payments have been made at the time of the cancellation. Refunds are not honored CEU Credits, Adviser Academy, Career Explorations, Leadership Academy, Run4Red 5K, and Star Events. FCCLA will refund your fees for Tours, Special Events, and the FCCLA Gala less a $25 administrative fee per cancelled event submitted by June 1, 5:00 pm EDT. After June 1, 5:00 pm EDT, refunds will not be honored for Tours, Special Events, and Gala cancellations. Refund checks will be processed after the conference. Refunds for no shows will not be honored, and the registrant and/or chapter will still be responsible for all registration fees. Please note your chapter will not be able to register for future FCCLA meetings or affiliate until meeting balances are paid in full. To submit your cancellation: 1. From the main Meetings & Events page, click Cancel/Substitution Requests at the bottom of the page. 2. Select the cancel box next to the adviser, student, or guest you wish to cancel an item(s) for. 39

40 3. The items that person is registered for will appear below. Select only the item(s) you wish to cancel for that person. 4. Select a reason for cancelling this person or item(s) in the Cancellation/Substitution Reason box. 5. Once you have designated the cancelled items and selected your reason, click Submit Cancel/Substitute Request button. 6. Your request will be sent for approval and will be processed within 3 business days. 7. You will receive an notice once the credit memo has been created for your refund amount (even if it is $0) and you will receive an updated invoice once it is complete. 8. On the cancellation/substitution screen, by the cancelled item(s) you will see a status of Canceled Refund Approved once it is complete. 40

41 Substitution/Name Change Requests After you submit your registration(s), you may substitute your registration or registration items within the system at any point in time. Substitutions submitted by June 1, 5:00 pm EDT will be processed without penalty. Substitutions submitted after June 1, 5:00 pm EDT will be processed less a $25 administrative fee Substitutions will be handled as a cancellation for the person/item(s) being substituted and a new invoice will be generated for the new person. To substitute items (e.g. Tours, Special Events, and Leadership Academy) without substituting a conference registration, the person that items will be transferred to must already be registered for the conference. Your chapter will be responsible for paying substitution fees (when substituting after June 1) prior to attending the conference. Please note your chapter will not be able to register for future FCCLA meetings or affiliate until conference balances are paid in full. To submit your substitution request: 9. From the main Meetings & Events page, click Cancel/Substitution Requests at the bottom of the page. 10. Select the substitute box next to the adviser, student, or guest you wish to cancel an item(s) for. 41

42 11. The items that person is registered for will appear below. Select only the item(s) you wish to substitute for that person. 12. Select a reason for making the substitution for this person or item(s) in the Cancellation/Substitution Reason box. 13. Once you select the person and item(s) you would like to substitute, you must select the classification type of the newly substituting person. Choices include: Chapter Adviser, Affiliated Student, Guest Adult, Guest Youth, Alumni & Associates, and Post Secondary Member. 42

43 14. Next, you must select the person from the specific classification type. The person can be someone already registered or someone not yet registered. 15. If you select someone already registered nothing else needs to be done. 16. If you select someone not yet registered, then you will need to select from the affiliated members of your chapter or enter their information if they are a guest. 17. Once you have designated the substituted items, the substituted person, and selected your reason, click Submit Cancel/Substitute Request button. 18. Your request will be sent for approval and will be processed within 3 business days. 19. You will receive an notice once the credit memo has been created for your refund amount (even if it is $0) for the cancelled person/item(s). The credit memo will be applied to the original invoice created for the cancelled person/item(s). A new invoice will be created for the newly substituted person. 20. On the cancellation/substitution screen, by the cancelled item(s) you will see a status of Canceled Refund Approved once it is complete by the person/item(s) substituted for. 21. The new substitution person will now appear under the Meetings page as a registered attendee.
