2 The ACT eassessment Centre is an online website where ACT candidates can schedule and sit their online assessment. This guide will provide you with all the information you need to use the ACT eassessment Centre as well as how to book and take your exams. Please use this guide as a handy point of reference. 1 DEADLINES AND DATES You decide when you want to opt in and take the unit exams. Please keep up to date with the booking deadlines and exam dates on the ACT website. Make sure you book by the published deadlines or you may have to wait for the next available opportunity. 2 REASONABLE ADJUSTMENT FOR TAKING AN ASSESSMENT It is important that you inform the ACT if you have any permanent or temporary condition that you wish to be taken into consideration when taking your exam. Please ensure you have read the Reasonable Adjustment Policy to see if you are eligible and what documentation will be required. Please make your request for a reasonable adjustment direct to assessment@treasurers.org. Please provide specific details on the adjustment and your requirements. You will also have to supply supporting documentation, such as medical evidence (certificate) and/or a psychological or other assessment report. If you are in any doubt, please contact the Assessment team at assessment@treasurers.org. You must submit your request 6 weeks before the exam date. If you have previously applied for reasonable adjustment for an ongoing condition, you do not need to provide this information each time you book an assessment. 3 3 LOGGING INTO THE eassessment CENTRE Enter your username and password. You will find these details on your booking confirmation . If this is the first time you have logged in, you will be prompted to update the password immediately: Enter the Old Password this is the one provided on your confirmation . Enter the New Password this is your choice of password but please follow the password policy. Confirm the New Password again and press SAVE. 4 To confirm your password has been updated you will see the following message. Use the new password from now on. 4 WHAT TO DO IF YOU FORGET YOUR PASSWORD On the login page you will see Forgotten your password? click on it and enter your address, then select Request password change. You will then see the following message: You will receive a Password Change Request . If you don t receive this , please check your junk items. Follow the instructions in the . 6 5 IF YOU NEED TO CHANGE YOUR USERNAME ( ADDRESS) If you can no longer use the address you provided e.g. you used a work address and you have now moved companies, then update your address via your ACT web account at Select Login and enter your ACT username and password. Please note that your ACT username and password may be different to your eassessment Centre username and password. Click My Profile. In the and social media section, update your new address and ensure you select this as your preferred . The eassessment Centre uses your preferred as your username. You will then receive two s. The first will be sent to the old address (an example is shown below). Don t worry if you can t access your old as an will also be sent to the new one. Please refer to sections 9 and 10 for more information on how to do this. Equipment test you must do this before you take the exam, please refer to section 11 for more information. 9 Practice test Here are some specimen exams that we strongly advise you to take a few times in advance of the exam day to give you a feel for the live exams. Take exam this will show the unit exam(s) you are booked to take but they will not become available to you until the exam start time. The invigilator (proctor) will unlock and start the exam for you once you have connected with them via Schedule exam. My results your exam grade (be it a pass, merit, distinction or fail), feedback and completion certificate will be available here. You can also see the results here of any specimen exams you have taken. You will not be informed of which questions you got right or wrong. 10 Click on the cog icon in the top right hand corner of the screen for the following options: Change display scheme You can change the screen to high contrast or high visibility here. If you need to make the screen larger you can zoom in by selecting View from the browser and selecting the required %. 11 7 REGISTER WITH PROCTORU ProctorU is a live online proctoring (invigilation) service for test takers taking exams online. The proctors use a three-step process to replicate the face-to-face proctoring experience over the internet. ProctorU are based in the USA, but you have the flexibility to take the exam anywhere. 1) They connect with the test taker via web cam 2) They monitor the test taker's computer screen in real time 3) They authenticate the test taker's identity using a multi-factor process. Through this process, the invigilators (proctors) can see the test taker, see what they are doing, and know who they are monitoring. ProctorU do this while adhering to the highest accreditation standards in the industry. Using ProctorU is easy. ProctorU provide the invigilators (proctors), the technical support, the scheduling, the customer service, and the setup. You book the exam with the ACT but you must schedule the date and time with ProctorU. 8 How to register (you only do this once) If this is your first online exam with the ACT, you will need to register with ProctorU. Select Schedule exam from the homepage. Go to Account Settings under My Account at the bottom of the page. Do not register direct with ProctorU via their website, please register here. 12 Step 1: Register first add details as requested. Your first name, last name and address will default into the form for you. Make sure you provide phone numbers and your address. Do not Remove Enrollment Your home telephone number is mandatory as most candidates will take the exam at home. Make sure you enter the number correctly including the dialing code so that ProctorU can contact you if they need to. If you enter the telephone number incorrectly or need to change it, you can edit this. You do this by going into My Profile on the ProctorU tab once you get to the schedule screen. 13 Step 2: Select your Time Zone from the drop down list on the Account Settings page. It is important you select the correct time zone of the location where you are sitting your assessment as this then gives you the available times correctly when you go to schedule. If you select the wrong time zone you can edit your selection. You do this by going into My Profile on the ProctorU tab once you get to the schedule screen. 14 Step 3: Accept the Terms of Service for ProctorU and select Submit. Step 4: Adding a photo of yourself: This no longer applies. The invigilator will capture a picture of you via the webcam, on the day. You will see a message to say you have successfully enrolled and you can now schedule the date and time for your first exam. You can click on Proceed and schedule now or go back into Schedule exam at a later date. 9 SCHEDULE THE DATE AND TIME WITH PROCTORU When you select Schedule exam from the homepage it will open the ProctorU schedule screen in a new window. Do not schedule direct with ProctorU via their website, please schedule here. Schedule no later than 5 days before the date you want to sit the exam. Step 1: You will see the exam you have booked and the last available opportunity to take the exam. To schedule click on Schedule Now. 15 If you are on the my profile page then please select My Sessions Step 2: The calendar will show you the exam window dates, e.g. if the exam window is 1-4 September, the dates 1-4 September will be in blue. Choose when you would like to take the exam by clicking the date on the calendar. Step 3: Choose when you would like to take the exam by selecting a time from the dropdown list. This is not a 24-hour clock, so please use the arrows to scroll up for AM and down for PM. Please then select find available times. The time slots available will then be listed on the right-hand side of the page. The last available slot is 23:45pm each day. 16 If you leave it too late to schedule you will see that no dates are available to you. If you leave it to within 5 days of the exam date to schedule you may need to schedule direct with ProctorU via their website rather than through the eassessment Centre. This will incur an additional charge of $8.00 if the exam is scheduled less than 72 hours but more than 4 hours before the desired start time or $12 to schedule the exam less than 4 hours beforehand. 17 If you go to the my preferences screen you can choose to receive a text message up to an hour before your exam. Step 4: Select the time you want by clicking on Select next to the time. It will ask you to confirm the time by clicking on Schedule The countdown begins with the number of days/hours/minutes until your exam. Step 5: You will receive an from ProctorU confirming the date and time you have selected and instructions for the exam day. Please read this and print a copy for the exam day. Please note the date on the confirmation is in US format with the month first. As an example, 9/1/2015 is 1 September The ACT has asked ProctorU to make this change custom wide so it does not appear in US format and we are currently awaiting that change. 18 Only use the My Profile tab if you need to change your time zone or telephone number. My Password and Help do not apply to ACT students. 19 10.1 CHANGE THE DATE AND TIME To change the date and/or time select Edit next to your booking. You can only change to another date and/or time within the same exam window. Follow steps 2-4 again. You will receive another from ProctorU with the new date and/or time on. Repeat step CANCEL THE SCHEDULED EXAM If you no longer intend to take the exam you will need to cancel the scheduled time and date with ProctorU. Only do this if you do not intend to take the exam. If you need to change the exam date and/or time within the same exam window, refer to section 10.1 Select Cancel next to your scheduled exam. The cancel reason will default to Advanced Cancellation but you must enter a comment before selecting Cancel This. Please ensure you leave a detailed comment so the ACT is made aware of your cancellation reason. The ACT assessment team may need to assist you and close your booking on the ACT system. If at any point you change your mind you can reschedule again but only within the same window, as long as you do so 5 days before the exam date. However, if you have notified the ACT that you no longer intend to take the exam you will need to contact the assessment team first. 20 You will see a message as shown below checking you want to cancel. You will receive an from ProctorU confirming the cancellation of your scheduled exam date and time. You will not receive a refund from the ACT. If you want to book for the next available exam window, you will need to complete the assessment booking form and pay again, refer to section 2. If you no longer intend to take the exam or rebook you must advise the ACT Assessment team. Please assessment@treasurers.org 11 TECHNICAL REQUIREMENTS AND EQUIPMENT TEST 11.1 PROCTORU REQUIREMENTS To take your exam via ProctorU, you will need to use a system with the minimum requirements: Minimum Recommended Web camera 640x480 resolution 1280x720 resolution Screen 1024 x 768 resolution 1440 x 900 resolution PC Users Windows Vista Windows 8 Mac Users * Mac OS X 10.5 or higher Mac OS X Yosemite Internet Download Speed.768 Mbps 1.5Mbps Internet Upload Speed.384 Mbps 1Mbps RAM 1024MB 2GB Ports 1935, UDP/TCP 1935, UDP/TCP *All Mac users will be required to use Google Chrome as the web browser and not Safari Other requirements 1. A functioning microphone (sometimes web cameras have built-in microphones). 2. Working speakers connected to the computer (you can only use of a headset pre-exam). 3. The following plugins for your web camera (you can download one of these via the Info Hub/ProctorU information/proctoru technical requirements page): Adobe Flash Player v12 Adobe Shockwave Player Not supported At this time ProctorU do not support the following; but they are working on solutions to accommodate every platform. 1. Google Chromebooks 2. Android tablets (Nexus 7, etc.) 3. ios tablets (ipad, ipad mini, etc.) 4. Linux operating systems 5. Microsoft Surface RT If you have any questions about your equipment after testing it yourself, then use the ProctorU contact us form available on the eassessment Centre homepage. Note: ProctorU will not invigilate computers running virtual machines. If you are running a virtual machine when you come in, you will be asked to close your virtual machine and boot into your actual operating system to take your test. ProctorU do not support development previews, beta builds, or release candidates of any operating system unless specified. 22 11.2 eassessment PLATFORM (CALIBRAND) In addition to ProctorU, you will need to use a system with the following: Trusted web browsers We recommend the use of Google Chrome when accessing the eassessment Centre at all times. Please note that all MAC users will be required to use Google Chrome and not Safari as the testing site is not compatible with Safari. Trusted sites Before using calibrandtest, please ensure that its url has been added to trusted sites and trusted sites is set to windows defaults. Screens Calibrandtest supports screen resolution between 1024x768 and 1680x1050 and works best in 1440x900. Please note that calibrandtest does not support extended desktops, and machines used for formal or high-stakes tests should only ever have a single monitor attached to them. Network Calibrandtest supports PCs with a connection to the internet of 100kb/s or higher bandwidth. These requirements are available from the eassessment Centre homepage, click on the cog icon in the top right hand corner and select Client Requirements. 23 11.3 PROCTORU EQUIPMENT TEST You need to do this equipment check in advance of every assessment, on the equipment you will be using to take the exam. When you select Equipment test from the homepage this will open the ProctorU page in a new window. It checks whether the computer is fit to use or not. In some instances, there are false positives where the check will falsely pass a certain type of equipment. Proctor U asks that you connect to a Help Desk technician to fully check your equipment. You can do this by selecting Connect with a live person on the ProctorU page and asking for a full compatibility check. If any equipment fails, you will get a cross on the relevant icon as shown below: The Association of Corporate Treasurers 22 eassessment User Guide for MCQ Exams v0.2

24 If you get a fail, it does not mean you cannot take the exam. Connect to one of the ProctorU help desk representatives for further advice. Please read through the ProctorU frequently asked questions on this page. The only questions that do not apply are Scheduling as the ACT has integrated with ProctorU for this. The ACT will be unable to help with the equipment test, testing your equipment works with ProctorU only. 12 PRACTICE TESTS On the eassessment Centre homepage select Practice test. We advise you to take these specimen exams a few times before the exams so that you can test your knowledge and you are familiar with the features available and what to expect on the day. Firstly, you will see the exam introduction explaining the exam rules and methodology: When ready to start, select from the bottom left hand corner. 25 Answering questions The question is shown at the top of the screen and below it, the answers available for selection. To select an answer, use your mouse to click on the correct option and then select next, located in the bottom right of the screen to proceed to the next question. Some questions will involve a table. You can still answer the question in the same way and select next to proceed. 26 You can also select question. located in the bottom left of the screen to return to the previous Flag a question You can flag a question in order to remind you to go back and answer or to check the response you have given. Select Flag from the top right hand menu bar When you have flagged a question a diagonal line will show up in the box relating to the question and the total number of flagged questions changes at the top of the screen. You can remove a flag from a question by selecting Remove flag from the top right hand menu bar. Using the calculator For those questions where a calculator is required you can select the calculator tab in the top right of the screen. A calculator will then appear on screen and using your mouse, you can drag the calculator to wherever you want it to appear on the screen. This is a scientific calculator that contains all the functions needed to take the exams, you cannot use your own calculator in the exam. 27 You can press the? icon on the calculator at any time to bring up the instructions as well. Rough workings You click on the workings tab to bring up a blank workings window where you can type any notes or workings for your questions. This can be moved around the screen using the drag motion and will close upon clicking the workings tab again. The workings are saved when you close the window. 28 Please note that any workings made in the workings tab will not count towards your final grade. You can also have blank paper with you at the time of the exam and this must be shown to the invigilator (proctor) when you connect. Features in the top menu bar of the screen Here you can see a close up of the top of your exam screen. The clock will show you how long you have left. In the CertTF exam, you will be reminded 45 minutes, 20 minutes and 5 minutes before the end of the exam. this shows the number of questions unread. this shows the number of questions unanswered. this shows the number of questions answered. this show the number of questions flagged. Review If you click on the review tab, you will get an overview of each question and if you have answered, left, or flagged a question. To return to the exam, you must click on Return to current question DO NOT click on Finish as this will end your exam. Finishing the exam Once you have completed the exam, you can choose to review your questions if you still have time. You can then choose to end your exam by clicking Finish in the top right of your screen. Before you end your exam, you will be given a summary of your exam and any questions you have left unanswered or flagged. You can then go back through your exam here if you have time or choose to finish. Once you click on Finish Test, you will not be able to go back through the exam. 29 Once you have clicked on the Finish Test button you are given the option to Continue or View your results. By clicking on View your results you will see the provisional mark of the exam as a pass or fail. 13 GUIDANCE FOR EXAM SET UP Please follow the guidance below. Failure to do so may mean you are unable to take the exam. There should be no material relating to the exam on the walls, floor or desk in the room; No one else should be present in the room, unless pre-arranged with the ACT; Any books within the room should be closed and away from the desk area; The desk area should be clear of all paperwork; Do not have any radios/music/television devices on in the background; No communication devices, including phones, should be available to you for the duration of the exam; No watches should be worn during the exam; a timer clock is built into the exam showing the time left; You may use a headset during set up phase to liaise with the invigilator (proctor) but this must be removed during the exam; If your webcam is attached to your computer, make sure to have a mirror or reflective surface such as a CD, cell phone or electronic tablet screen available so the proctor can inspect the computer monitor edges and keyboard; The room should be well-lit. Make sure the room s light source, such as a window or lamp, is in front of you in order to avoid shadowing or glare; The Association of Corporate Treasurers 28 eassessment User Guide for MCQ Exams v0.2

30 You should be appropriately and decently dressed for the exam. No hats or sunglasses are permitted; Make sure your internet connection is fast and reliable. If you are connected through a Wi-Fi connection, we recommend plugging in to the modem to avoid poor or unreliable connectivity during the exam; You will need photo ID (Passport/driving license) to sit the exam. You will not be able to take the exam without showing photographic ID; No calculators are allowed; you are provided with an online calculator as part of the exam (see section 12); Make sure you have followed the ProctorU technical requirements and tested your equipment (see section 11); You will require administrative permissions on your computer to allow ProctorU access. 14 TAKING THE EXAM 14.1 CONNECT WITH YOUR INVIGILATOR (PROCTOR) Ensure you have done the following before you connect: Make sure you have followed all of the guidance in Section 14; Have your photo ID ready (you cannot sit the exam if you do not show Photo ID); Have the ProctorU confirmation to hand with the instructions on connecting with your invigilator (proctor); Step 1: Login to the eassessment Centre 5 minutes before the time of your exam. Please ensure that all programs not related to the exam are closed before logging in. Step 2: Go to Schedule exam on the homepage of the eassessment Centre, you will see the time countdown. Step 3: At the time you scheduled, a message will appear saying, Connect to Your Proctor Now. Click on this button and it will automatically take you to the proctoring room. 31 Step 4: Next, click the button under Step 1 that says Click to Download. You will be prompted to download the ProctorU software and run a file. Instructions to run the file will vary based on your internet browser. This allows the ProctorU invigilator (proctor) to view your computer screen, your webcam video and take control of your mouse cursor to remotely assist with the process. Step 5: Follow the instructions on-screen to complete the installation. Once finished, click Allow in the Adobe Flash Player settings shown above. ProctorU will run an applet, or temporary program, on your computer that will allow us to view your screen and programs running during your exam session. 32 Step 6: A connection chat window will appear; this connects you to the invigilator (proctor). Your computer firewall may block the software; a prompt should appear requesting approval. 33 Step 7: The invigilator (proctor) will request permission to access/view? your computer. Once you have granted the invigilator (proctor) permission to access/view? your PC they will guide you through the process. The proctor will:- Confirm the exam you are taking; Authenticate your identity by asking you to hold up your photo ID to the webcam. the invigilator (proctor) may also ask to take a photo of you for your file; They will quote the ACT rules of the exam and the duration. You will have to accept these by writing that you accept them in the chat window; Approve your surroundings via a 360-degree view of your exam room/environment using your webcam; Advise you to clear your desk if necessary and confirm again via your webcam; Check your display settings to make sure you do not have any duplicated displays; Advise that any additional applications must be closed before proceeding to your exam, asking whether any work needs to be saved; Advise how to contact the invigilator (proctor) during the exam if there are any issues or difficulties requiring technical assistance; They will tell you to navigate to the eassessment Centre homepage, Take exam section. If your login has timed out you will need to login again. The invigilator (proctor) will then open the exam by entering the invigilator code ready for you to start. When you are logged into the exam area, read the exam instructions carefully and begin your exam DURING THE EXAM When you are taking the exam, there are several activities which, if seen, will be reported to the ACT as suspicious and may lead to your exam result being voided. The list below provides some examples of such suspicious activities: Accepting or making phone calls; Communication of any kind with an individual, this including instant messaging; Use of any programs/software other than the authorised exam program; Wearing/using headsets during the exam, you can use headsets to communicate with the invigilator (proctor) before starting the exam but headsets are to be removed during the exam. 34 The chat window can be used for communication with the invigilator (proctor); Talking (other than to the invigilator (proctor)) if you need to; Leaving the room (unless a bathroom break has been agreed for reasonable adjustment); Reference to any unauthorised materials; Using your own calculator; Attempting to load other programs on your system during the exam (including viewing documents, web browsing or access); Attempted use of a remote access connection or virtual environment; Insufficient or incomplete webcam footage. Please ensure your webcam is placed above your screen/monitor looking towards you, focused on your face, for the duration of your exam; Other activities, such as repeated movement which may suggest reference to unauthorised materials, will also be reported for review AT THE END OF THE EXAM Finish the test; You will need to inform the invigilator (proctor) via the chat box once you have completed the exam as it is important that they guide you through the logout process and confirm your exam has been completed and submitted successfully. 15 EXAM RESULT You will be given a provisional result of pass or fail at the end of the exam. The result is then subject to a review process. If no breaches or concerns are identified, your results will be available to view in the ACT eassessment Centre, My Results within 5 working days of the last day of the exam session. You will be sent an to tell you when the result is available to view. In circumstances where breaches or concerns are identified, we will contact you to outline the next steps. For more information about your results, please see the Notes to Results document located within the Info hub section of the eassessment Centre.
