1 The following provides a detailed description of how to request a client User Info - The first step is to confirm that we have your current information in case we need to contact you. Click on the User Info button: If the information is correct, you may proceed to the next step. If you need to change any of the information, click on the Edit button: Page 1 of 10 June 20, 2010
2 When the information has been entered (make sure you have selected the correct university from the drop down menu), then click on the Update button: Page 2 of 10 June 20, 2010
3 2. Course Info You will need to define each course that you teach that will require one or more SAP clients. Each course should only be defined once, even if you teach it several times each semester or several times each year. If you plan to request faculty development clients, then create a course called Faculty Development. Click on the Course Info menu item: The courses that you have already defined will appear in the top section. When you click on the Select button in the top section, the detail information for that course will appear in the lower section: Page 3 of 10 June 20, 2010
4 If you click on the Edit button in the lower section, you can then enter and change that data: When you are done entering the data, click on the Update button in the lower section to update the course details: Page 4 of 10 June 20, 2010
5 To add an additional course to your list, click on the Add New Course button: When you are done entering the data for the new course, click on the Update button in the lower section to update the data: 3. Request Clients For each term (doe example Summer, Fall, and Spring terms), you may request one or more clients for a class. If you teach multiple sections of that class in a given term, you can chose to (1) combine all the sections into one Page 5 of 10 June 20, 2010
6 request or (2) enter a separate request for each section. We can function more efficiently if you choose to combine those requests. Click on the Request Clients menu item: Select the Term and then click on the Select button for the course for which you wish to request clients: To enter the request for this course, click on the Add class details and required clients button: Page 6 of 10 June 20, 2010
7 Fill out all of the required information for this request. Be sure to enter the actual number of students (both graduate and undergraduate) for the course (we will actually assign you some spare users above this number). Place a check mark for each product (client required) for the course. Feel free to add additional comments. While you can update this request by adding additional clients and increasing the number of students, please do not update it after the request has been completed in this case add a new request. When you have completed entering your request, click on the Update button to save this data. Page 7 of 10 June 20, 2010
8 4. Assigned Clients While this process appears to be automated, the next step is in fact manual. In most cases, the UCC staff needs to create a clean copy of the client that we will assign to you. These copies take anywhere from 7 to 24 hours. Once the copy process is complete, the UCC staff will assign the client to your request and you will receive a computer generated telling you the client has been assigned: Page 8 of 10 June 20, 2010
9 After you receive this , you are ready to get the details about the client assignment: 5. Assigned Clients Click on the Assigned Clients menu item: Select the Term, select the Course, and select the Client: You can then view all the details of the client assignment.
