3 Contract Communication Types Creating and Sending a Communication Chevron 2007 January

4 1. Direct your browser to the URL OR In order to access ProCon, enter the your username and password assigned to you by the Chevron Contracts Advisor/Administrator and click 'Login'. 1! TIP If you forget your password, click the Password Reminder' link, enter your address and the details will be ed to you. ProCon will lock you out if try to login 3 times unsuccessfully! If this happens, contact your Chevron Contract Advisor/Administrator and she will take the necessary action to resolve this. 4

5 Click on the Contracts Tab to the Contracts Manager page. 3. Select the contract you want to view. Once selected, the contracts homepage will be displayed. 5

6 4 4. From the contracts homepage, click on the Communications tab to navigate to the Communications page. 6

7 5 5. Click on the Create a Communication button. 7

8 6 6. Choose a communication type to send to Chevron. 8

9 Step 1: Complete Core Details 7. Enter the Title of the communication and the Description. Note that fields marked with * are mandatory. 8. Enter the EDMS Document No. obtained from Chevron prior to creating the communication.! TIP Populating EDMS Document No. field in ProCon Note that the EDMS Document No. must be obtained from Chevron contracts team prior to creating an communication in ProCon. This is a mandatory field and as such it is required before an communication can be successfully created in ProCon. Populating EDMS Document No. field for COR Communications (RWE-CWE-AWE) Note that in some cases or projects, only one reference number will be generated for a series of related RWE, CWE and AWE and not three different numbers. In other words related RWE, CWE and AWEs will have the same EDMS Document No. However, the reference number will be differentiated in ProCon in EDMS Document No. field with a suffix or either -RWE, -CWE, or -AWE depending on the type of communication. For example, Z CWE for CWE related to a COR # Z

TIP Linking to existing Communication If you want to link a new communication to a previous communication on the contract, navigate back to the Contract Communications register; click on the previous communication to open the communication; then, click on the Create Related Communication button to reply and link to that previous communication. 9 Step 2: 9. Click Add Attachment. Browse and select a file to attach to the communication. User will be able to rename the file in the Name field on the communication.. 10

11 Click on the Save as Draft button to save the communication as a draft and return later to edit the communication. 11. Click on Send button to publish this communication to Chevron. User will be asked to confirm their action before sending this communication. 12. Click on Cancel button to discard this new communication. 11

12 From the Communication tab, the newly created communication will be displayed. To view the communication details, simply click on the communication title. 14. The Linked Communication column for the new communication shows the Linked Communication icon which depicts the new communication is linked to other communications on the contract. To view the related linked communications for this new communication, click on the Linked communication icon. 12

13 The Communication Details page is displayed for the new communication. 16. Click on the Stories Tab to navigate to the Communication Stories page showing related communications. 13

14 The Communication Stories page shows all the related communications linked to the new communication. 18. To navigate back to the Contract Details, page click on the breadcrumb link at the bottom left of the page. 18! TIP Always use the Breadcrumbs to navigate backwards in ProCon. Users are advised NOT to use the Internet Explorer back button as this may fail to load the ProCon page properly. 14

15 Contract Communication Types Replying to a Communication from Chevron Chevron 2007 January

16 1 1. From the Communication Register, open a previous communication sent by Chevron. Click on the communication title. 16

17 2 2. To reply to an communication, simply click on the Create Related Communication button.! TIP When you reply to an communication, the new communication will be automatically linked to the previous communication you are replying to. 17

18 3 3. Choose a new communication to reply with. 18

19 Enter the core details for the new communication 5. For an communication with Financial/Schedule Impact (CWE, AFP), enter the financial and/or schedule impact for the communication. Click on the Add value button. 19

20 Enter the financial impact - enter title and value of impact. 7. lick on Add button to add the impact information to the communication Note. Repeat Steps 5, 6, and 7 for multiple financial line items. 20

21 Financial and/or Schedule impact details will be added to the communication. 9. Click on the Add Attachment button. Browse to attach a file to the communication. 10. Click on the Send button to publish and send this communication to Chevron

22 The new communication will be displayed in the Communications Register. 12. The new communication is automatically linked to the previous communication sent by Chevron. Click on the title of the new Communication to see the linked communications. 22

23 Click on the Stories Tab to view the related communications. 23

24 The new communication is automatically linked to the previous communication sent by Chevron as shown on the Communication Stories page. 24

25 Contract Communication Types Agreeing to a Communication Chevron 2007 January

26 1 1. From the Contract Communications Register page, click on the title of the communication (sent by Chevron) you would like to make an agreement decision on.! TIP ProCon notification s will be sent to the address of the communication recipient. The message will also contain a link into ProCon. The user can click on the link to open up a browser and directly navigate to the communication details page in ProCon. 26

27 Click on the Approved & Awaiting Agreement status button. 3. Select the desired agreement decision (i.e. Agreed or Not Agreed) to agree or disagree to the details of the communication. 27

28 Enter the agreed comments for the communication. Note that these comments will be visible to the recipient (i.e. to Chevron) 5. If applicable, Click the Add Files to attach any signed agreement document. Browse and select the desired file. 6. Click on the Update State to Agreed button to change the state of the communication to Agreed. Users will be asked to confirm their action. 28

29 7 7. The communication state has now been changed to Agreed as shown in the Communication Details page.! TIP This same steps can be followed to Not Agree with a communication. Note the resulting State will be displayed as Not Agreed in this instance. 29
