Manually Uploading Electricity, Gas, and Water Data NOTE: The approach outlined in this Section is for customers who already have access to whole-building electricity, gas, and water data including any tenant-controlled areas for the entire prior calendar year. Skip to Section 4 if you need to request aggregated electricity or water data from LADWP. See Section 5 if you need to request aggregated gas data from SoCalGas. If you only need to update a few months data on a small number of meters, the fastest way to complete the process is to manually enter the monthly data for each meter (Sections below). If you need to enter the entire prior calendar year s data, or if you have a large number of meters, you can upload the data in bulk by using the spreadsheet feature (Section 3.27) after you have set up the meters (Sections ). Adding an Electric Meter NOTE: Skip to 3.13 if you have already set up all of your electric meters. 3.8 On the main page of your property, click the Energy tab.
2 3.9 On the next screen, click Add A Meter Select the Electric source that apply to your property and indicate how many meters you want to add for each resource type, and then click Get Started!
3 3.11 Name the meter as Electric AREA SERVED, i.e. Electric Common Area or Electric Parking Garage 1 to easily discern between meters Choose kwh for the units, and for Date Meter Became Active enter the first available bill date associated with the meter. Leave the Date Meter became Inactive field empty if that meter is in use, and click the In Use box. Leave Enter as Delivery? checkbox unselected if your energy source is metered. To finalize your meter setup, click Create Meters. NOTE: For Date Meter became Active, it is best to enter the earliest date from which you have data, or you will get an error message.
4 3.13 You will see a green bar at the top, confirming you have successfully created your meter. On the Your Meter Entries page, click Add Another Entry to enter monthly bill information for each meter (Sections above). NOTE: If you only need to add a few months data for a few meters, you can manually enter the start and end dates and usage for each month individually (See ). Repeat the process for each electric meter until you have entered all electricity data for the prior calendar year. If you need to enter the entire prior calendar year s data, or if you have a large number of meters, you may prefer to upload the data by using the spreadsheet feature please see Section 3.27 for guidance. Total Cost ($) will not be reported to LADBS if you include it. It is optional. You should not need to make any Estimations -- LADWP can provide aggregated data when requested (Section 4). Select the Green Power? check box if any of your energy usage was purchased from renewable energy sources. Provide details in the pop-up window, such as quantity, source, and generation location. Once you finish adding entries, click Continue. TIP: Match Start Date to Date Meter became Active (from 3.12) to avoid an error message.
5 3.14 After you click Continue, you will see the Select Meters to Include in Metrics page, where you can indicate which meters Portfolio Manager should use when calculating metrics for your property. Once you have entered all active meters, those should reflect the prior year s actual whole-building electricity consumption. Do not select any unused meters, or duplicates. Select the active meters that reflect the prior year s actual whole-building electricity consumption, and then click Apply Selections. NOTE: In this example there is only 1 electricity meter. Your building may have multiple meters serving different areas be sure to include all active meters, to reflect the total electricity use. NOTE: If you have more than one (1) electric meter, repeat Steps to create additional meters, add data, and include in metrics.
6 Adding a Gas Meter Skip to 3.20 if you have already set up your gas meter(s) To add a gas meter, click the Energy tab on the main page of your property On the next screen, click Add A Meter.
7 3.17 Select the Natural Gas source and indicate how many meters you want to add for the resource type, and then click Get Started!
8 3.18 Click on any empty cell in the table to edit information on the About Your Meters page, and click Create Meters Choose therms for units, and for Date Meter Became Active enter the first available bill date associated with the meter. Leave the Date Meter became Inactive field empty if the meter is in use, and click the In Use box. Leave Enter as Delivery? checkbox unselected if your energy source is metered. To finalize your meter setup, click Create Meters. TIP: For Date Meter became Active, enter the date from which you have data or you will get an error message.

11 Adding a Water Meter Skip to 3.25 if you have already set up your water meter(s) To add a Water meter, click on the tab labeled Water then click on the Add A Meter button: 3.23 Complete the Your Property s Water Usage section, then click the Get Started button. Indicate the type of water and number of meters.
12 3.24 Indicate the Units for water by clicking the drop down arrow and selecting ccf (hundred cubic feet), then for Date Meter became Active enter the earliest available bill date. Leave the Date Meter became Inactive field empty if a meter is in use, and click the In Use box. To finalize your meter setup, click Create Meters. TIP: For Date Meter became Active, enter the date from which you have data or you will get an error message.

NOTE: Once all whole-building energy and water data for the prior calendar year has been uploaded to your account, you must proceed to Section 6 to review and submit your report to LADBS.
15 Uploading Energy and Water Data Using the Spreadsheet Upload Function Spreadsheet templates allow you to quickly and easily upload data into Portfolio Manager in just a few steps. You can upload data for a single meter, for multiple meters at a property, or for multiple meters across multiple properties. NOTE: You must create electric, gas and water meters first before you upload utility data. Please see for details on how to create meters Click the Energy or Water tab of your property Click on the Meter name for which you want to upload data.
16 3.29 Click spreadsheet template at the bottom of the page, under Upload Data in Bulk Save the spreadsheet file that loads in your browser, and then open it to enter meter information. When you are finished entering information, save the spreadsheet to your computer. NOTE: Do not change any formatting in the spreadsheet, including column headers, as this will cause an error in the upload process.
17 3.31 When you re ready to upload this file, go back to the Manage Bills page (where you originally generated the spreadsheet). You have two options: 1. Copy & Paste. While you have the spreadsheet opened, copy the data that matches the portfolio manager entries (but not the header row), by highlighting the column A E and hitting Ctrl+C. Then click Add Another Entry, and paste the selected data into an empty Start Date field by clicking Ctrl+V. Click Save Bills to finish.
18 2. Upload File. Click Upload File, the browse to the completed template you saved on your computer, click Open, and then click Upload. Portfolio Manager then automatically enters the new meter entries for your property. Click Save Bills to finish. NOTE: Follow the same process to upload the prior calendar year s gas and water data. NOTE: Once all whole-building energy and water data for the prior calendar year has been uploaded to your account, you must proceed to Section 6 to review and submit your report to LADBS.
