2 Importing Students and Teachers It is possible to import one file containing both student and teacher names. Detailed Help is available. Quick overview follows
3 Import Only if You are An intermediate/advanced computer user Patient
4 Pre-Requisite Skills To import, the user must: Be able to Save and retrieve files Working with a spreadsheet program such as MS. Excel or the free OpenOffice Spreadsheet. Be able to use the Save As function to save files in different formats.
5 Check Your File The file should NOT contain any commas. A comma will ruin your import and cause you a lot of clean-up work. Do a search for commas in Excel Does file have all the required information If your are importing a student ID number, it must be unique for your entire district. No other students in the district have this number. Import only one teacher per student
6 Importing Excel File Select Admin Menu Import and Export Information Import Students and Teachers
7 Importing Excel File -Click Browse -Select Saved CSV Excel File -Click Upload
8 Importing Excel File -Uncheck any Rows that are NOT Needed -Use Drop Down Arrow to Identify Each Column -If a column is not needed, leave as Ignore -Click Apply
9 Importing continued -Review Imported Information to insure accuracy -Does the info in the column match column name? -Click Import
10 After You Click Import System Provides feedback on progress. (on most computers)
11 Import Process May require a long time (over 1 hour for large files or slow connections). Be patient. Consider splitting file into two separate parts. An Import of 2 files of 350 students each is faster than importing of 700 students in one file. Don t exit or close your browser until you are sure upload is finished.
12 Checking the Import Browsers can get disconnected from our server and not know it. If so, it can appear your import is going on forever. To conduct detailed check of import progress, use a second computer to check. See next page.
13 Checking Import: List All Teachers and Classes Click Here on Administrative Menu Select and Click Show Report.
14 Checking Import Continued Teacher lists (from previous page) tell you which teachers have been imported and how many students are imported from each class. isteep imports your list of students starting with first student on list and proceeding to the last. If last student is imported then import is complete and you can close browser. If not, allow import to complete.
15 When Import is Complete You receive this message in your browser.
16 If You Get Errors Errors may include isteep says Error on Line XXX isteep say Timeout occurred. Contact isteep Never ever import a second time!! This can cause duplicate names and cost you time. Let isteep review and advise you on how to proceed.
17 In Summary Do Proceed Slowly and Cautiously Check your import file before starting Check the results of your import (using Get Lists > Class Rosters on Admin Menu) Don t Start until you have read everything Import a second time without contacting isteep Consider import finished until you check the results.
