RxWorks 4.6 - Create-Your-Own Supplier Price Catalog Update RxWorks has always had the ability to import price update files from suppliers that are part of the e-commerce module.

1 RxWorks Create-Your-Own Supplier Price Catalog Update RxWorks has always had the ability to import price update files from suppliers that are part of the e-commerce module. However, manual price updates were required where supplier pricing data was supplied in incompatible formats. RxWorks now has the ability to convert a simple CSV (comma separated value) file into a compatible format for import as a bulk price update file. A CSV file can easily be created using Microsoft Excel. Before You Begin You may need to do some basic preparation on stock items prior to creating your CSV file. Key elements of item configuration to check are as follows: Items must have stock control enabled. Check that the correct default supplier is linked to items. Items should have a brand entry complete with a supplier stock order code. You should also check that you can readily identify the Stock Order Code and List price information presented in your supplier pricing files. A Stock Order Code is usually made up of either letters or number or a combination of both. This is the code that links to the correct Item Brand in RxWorks. The List Price will become the new Cost Price in RxWorks. This should be the price charged by the supplier for 1 pack. This price will be divided by the pack size to calculate unit cost price.

2 Using an Existing File from a supplier If you have received a file from a supplier you may save some time by simply removing unnecessary information and saving to the correct CSV format. Follow the steps below to modify the file so that it is compatible for import into RxWorks: 1. Remove all columns other than that which contains the Item Stock Order Code and the List Price. 2. Rename the column headings StockOrderCode and ListPrice.. 3. Save the spreadsheet in CSV format with a suitable file name e.g. VetSupplierPrices2014.csv. Once you are finished modifying columns for the stock code and pricing information, your spreadsheet should look like the image above. Save the completed file as a CSV, noting the name & location where it is saved.

Note that the column names must match exactly. 3. Save the spreadsheet in CSV format with a suitable file name e.g. VetSupplierPrices2014.csv. Enter, or copy & paste the Stock Order Codes & List Prices from your supplier file into the corresponding columns on your new catalogue file. Once you are finished entering the stock code and pricing information your spreadsheet should look like the image above. Save the completed file as a CSV, noting the name & location where it is saved.

4 Convert CSV File to Supported Format Your new CSV file must be converted to a format that is compatible with RxWorks. To begin the conversion, navigate to: Task Panel Tools & Utilities Products & Services CSV to XML Price Catalog Converter 1. Click Browse and find the CSV file you created earlier. 2. Click Convert. A new file will be created in RxWorks Native XML format. The file will be created in the same location as the CSV file you converted from. The new XML file will have the same name as the original CSV but with the.xml extension. Importing the XML File To import the new XML formatted catalog file, navigate to: Inventory Management Reporting & Management Update Supplier Product Catalog Make your import selections from the Update Inventory from Catalog File Section of the window: Select the Supplier that you are updating from the drop-down list. Select Native from the Format drop-down list.

5 Click Browse to locate the XML file you created in Step 2. Do not attempt to import the original CSV file. Click IMPORT. Once the import has completed, a message will show how many prices have been updated.
