1 Part 2 Downloading and installing templates and dummy patient records into Medical Director Preparing a folder for the patient files 1. Close any programs and folders so that you have a clear view of your desktop 2. Right click and select New then Folder 3. Rename the folder Urology Patient Files or Maternity Patient Files, depending on which template you are trialing. Downloading the urology or maternity template It is imperative that you follow the instructions TO THE LETTER!! 1. Go to the North East Valley Division of General Practice website at: 2. Under Program Support click on the VSRF+ project link. 3. Locate the template listed under VSRF+ templates download. 4. Right click on the appropriate template - VSRF+ urology or VSRF+ maternal and select Save target as 5. Navigate your way to the folder you previously created on the desktop either Urology Patient Files or Maternity Patient Files, 6. Type in an appropriate name for the template: VSRF Urology or VSRF Maternity. Click on Save. Installing the urology or maternity template into Medical Director 1. Open Medical Director and then open LetterWriter. 2. From the File menu select Modify Template and double click on Blank Template. 3. From File menu select Import. 4. Navigate your way to desktop and double click on the Urology Patient Files or Maternity Patient Files folder. 5. Double click on VSRF+ urology or VSRF+ maternal file. This will place the template text into the Blank Template. Click on any of the <<field:fields>> to check that that they have imported correctly as fields. The field should turn grey, like this: <<Field:Field Name>>

2 6. From the File menu select Save as template 7. For the Template Name: type in VSRF+ urology or VSRF+ maternity and then click on Save. 8. Once again click once on one of the fields <<xxxxxx:yyyy>> and if they turn to a grey background then the fields have successfully transferred across. 9. Close LetterWriter. Downloading the dummy patients 1. Go to the North East Valley Division of General Practice website at: and under Program Support click on the VSRF+ project link. 2. Scroll down to No.2 Dummy patients you will see that the individual dummy patients are listed as well as All 5 urology files (All 5 maternity files) in Zip format (zip) It is easier to download all the dummy files from the one zip file. 3. Right click All 5 urology files in Zip format (zip) and select Save Target As 4. Navigate your way to the desktop and double click on the Urology Patient Files or Maternity Patient Files folder and click on Save. This will take half a minute to download. 5. Close any open programs and folders so you have a clear view of the desktop. 6. Double click on the Urology Patient Files or Maternity Patient Files folder you will see the Urology (or Maternity) Patients Files.zip file. 7. Double click on the zip file. You may now have to move the folder so you can see both the zip folder and the Urology (or Maternity) Patient Files folder. 8. Click on the 1 st patient in the zip folder, hold down the mouse key and drag into the Urology (or Maternity) Patient Files folder this unzips the file. 9. Repeat the process for the other 4 patients. Please note: You can move all the patients across in one stroke by highlighting all the zipped dummy patients (Control + A) and then dragging them into your folder on the desktop or hold down the Control key as you select each patient file.

3 Importing patient records into Medical Director 2 Only a Doctor or user with Data Export access is allowed to import or export patient files. In MD2 close any patient record and from the Users menu select Setup users. Double click on the user you wish to give data export access Make sure there is a tick in the Allow data export box Click on Save and Close. Importing patient records 1. Medical Director must not be running on any of the workstations or server. 2. Open the Maintenance Utility and click the Data Transfer Tab. 3. Click the Import button. 4. If you have existing data in Medical Director, you are prompted to enter your password. Enter your password. 5. You are reminded that Medical Director is not to be running. Click Continue. Click the Yes radio button and then click the Next button. 6. Select the type of information you wish to import: XML. Then click the Next button.

4 7. You will then need to click the Browse button and navigate your way to the Urology Patient Files or Maternity Patient Files folder you had earlier created on the desktop. Then click Open. You will see the 5 patient files. 8. Hold the Control key down and click on each of the 5 files this will highlight all 5 files. Click on Open. 9. Click on Next two times to proceed to the next screens and the patient files will then be imported.

5 Importing patient records into Medical Director 3 Only a Doctor or user with Data Export access is allowed to import or export patient files. In MD3 close any patient record and from the User menu select Setup users Double click on the user you wish to give data export access Make sure there is a tick in the Data Export Privileges? box Click on OK and Close. Importing patient records 1. Medical Director 3 may be running on any of the workstations or server. 2. Open the HCN Maintenance utility and under Database Tasks click on Common. 3. Click the Import / Export button and type in your password when prompted. 4. Click on Next and then select Import. Click on Next.

6 5. For Data Type select Clinical and then click on Next. 6. You will then need to click the Browse button and navigate your way to the Urology Patient Files or Maternity Patient Files folder you had earlier created on the desktop. You will see the 5 patient files. 7. Click on the first patient and then Open. 8. Click on Next and the patient file will then be imported. 9. Click Finish and then repeat the process to import the other 4 patient files.
