2 S R FLEXI MPORT RENTAL S R FlexImport as an import feature in S R provides the opportunity to import data lists containing rental ar es. You may change or update rental ar es by using lists and delete already stored rental ar es. The import is controlled with a self-defined control file that can be adapted by the user to the different data formats by mapping the different data fields to the accompanying product prope. The data lists can be structured differently. With S R FlexImport, the subm ed data files from the manufacturer/supplier are appropriately interpreted and assigned. With the menu-driven alloca on the import procedure is flexible and easy to handle. By storing the accompanying control file, data lists with different layout and so ng from different manufacturers or processed by the own ERP system can be imported without much preliminary work. The prope es of the rental ar es in the list should be separated in rows by a tab stop. If necessary, the text files can be opened and edited with MS Excel. Manufacturers/suppliers o en provide Excel ﬁles containing the data to be imported. Before impo ng the ﬁle to S R it must be saved as a tab stop-delimited text ﬁle. Delete all rows above the header before saving the ﬁle. For be er overview and for an easier mapping of the ﬁelds, the ﬁle should contain a header. The property names in the header should be unique, since this makes it easier to assign the columns. If necessary, mu ple occurring property names can be renamed before saving. There is no need to name the prope s iden ally as in S R because the individual data ﬁelds are assigned manually. 3/14

PROGRAM START S R FlexImport rental is opened with the barcode srﬂexrental. S R FLEXIMPORT DISPLAY Calling S R FlexImport opens a window to control the import of data. SELECT IMPORT FILE A er sta ng, a window opens where the import file can be selected. The window shows the S R directory men oned above. Any other directory can be selected, where the import ﬁle is saved. 5/14

6 CONTROL FILE (CFG) A er sele on of the import file, S R FlexImport asks for a control file (*.cfg) to import the text file. If you already have an appropriate control file to import this data format, it can now be selected. If a new control file has to be created, cancel the query. 7 CREATE NEW CONTROL FILE The first two lines of the selected text file will be displayed (header and first row). For the mapping of the data fields, the dropdown boxes need to be opened for each field and the appropriate property name can be selected and connected to the appropriate data column. When all required data fields are associated, you can specify the import by marking the sele on fields at the bo om of the display. Choose whether informa on on the ar es should be updated and, whether only informa on of already exis ng ar es in the database should be overtaken. The model, the price category and the folder where the rental ar es should be stored can either be taken from the text file or can op onally be entered manually in the two fields at the right column of the menu. Take note to spell the names exactly like the already exis ng folder and price category. Otherwise both will be created new with the different spelling. The manufacturer, the supplier and the storage place can be entered manually on the right. 7/14

The folder Sports Winter 2015/16 was entered manually in the line folder in the right box. Furthermore, the calcula on of the sales price was set to 80% onto pp net, as in the text file, no sales price is specified. Thus, the sale price is calculated with the pp net plus 80% of pp net. Moreover, one of the predefined types (Ski) was specified for the add onal product prope es and the subtype has been assigned. Clicking Apply asks to save the control file with the informa on and characteris cs that have been specified in the form. If this type is associated to an ar e, the add onal product property binding system, as already described above, appears. The imported binding system is displayed in this field. TRACEABILITY OF DATA IMPORTS All ar es created or modified by S R FlexImport are saved as a file to the directory \\Sr\Export\Rental at the server for each single import. The filename is as follows "yymmdd_name of the text file.txt". This applies to all import opera ons, regardless whether it comes to modifica ons, altera ons, stock changes or dele on of already imported data. 13/14

DELETE To delete a large amount of data from the ar e master data you may also use the S R FlexImport. This feature is mainly intended to correct a wrong or accidental data import.

Other informa on may be contained in the import file but it is not used and you must not assign it. To delete ar es no control file (*.cfg) is created or required.
