2 Introduction LINKFM is an easy to use online task tracking software designed to help facility managers, administrators and service technicians manage service and inspection tasks. There are 3 login levels: 1. Administrator This login level allows administer to manage tasks and compliance. Main functions include: Schedule Assign Issue Review Update Report 2. Client & Building Manager This login level allows clients, owners and building managers to view and track tasks and compliance. Main functions include: View schedule Track task activity Monitor compliance 3. Service Technician This login level allows service technicians to manage and update assigned tasks online. Main functions include: Organise Action Update Report Page 2 of 7

3 Getting Started Register Go to click on the Register button and follow instructions to register. IMPORTANT: It is important that you register using an address that matches the address used in the LINKFM system. If you are not sure, please ask your supervisor or LINKFM administrator. Login Go to click on the Login button and follow instructions to login. To logout click on the Sign Out link. Navigate Tabs Navigate using the tabs along the top of the screen 1. Dashboard Tab The Dashboard screen displays task status in easy to read tile categories. 2. Overview Tab The Overview screen displays task status by role. 3. Tasks Tab The Tasks screen displays the detailed task table. 4. Planner Tab The Planner screen displays tasks status in a calendar format. 5. Reports Tab The Reports screen displays available reports. Search Filters Search filters appear near the top of some screens. Use search filters to filter for: Roles Clients Buildings Service Types Service Technicians Task Status Service Dates Page 3 of 7

4 Monitor Tasks & Compliance Monitor tasks for activity and compliance. Compliance At A Glance The LINKFM Dashboard highlights task status at a glance. It is important that tasks are managed. If you don t understand or have any concerns then ask the LINKFM administrator or relevant person. Task Details Get more task details in the Tasks Tab. Task status can easily be identified using colour codes in the due date column White - Current Tasks Orange Follow Up Tasks Red Late Tasks Overdue < 14 days Black Overdue Tasks Overdue > 14 days Click on the TaskID link to open the Task Details screen. Compliance Status Report This management report lists task status by building. In the Reports Tab Click on Compliance Status Report and follow instructions Page 4 of 7

5 Advanced Features Tasks can be completed or updated in the Red columns in the Tasks Tab table. Please note: Only the administrator and service technicians can complete or update the status of tasks. Map View This feature allows you to view building locations on a map for the tasks selected. In the Tasks Tab Click on Show On Map Planner Good for planning and review purposes. This feature allows you to view tasks in a calendar format. In the Planner Tab Click on building icon to expand view Reports Selected reports are ed in PDF to the user or nominated recipient. In the Reports Tab Click on desired report Available reports include Next Month Task Report This report lists the assigned tasks by building. Compliance Status Report This report lists task status for by building. Page 5 of 7

6 Manage Delegates This functions allows users to appoint delegate(s) to act on their behalf or view their data. Assigning a person as a delegate allows that person to switch to a delegator with access to that person s role and responsibilities. Delegates are usually assigned where a person wants another person to manage or share their duties or act on their behalf or be a backup for that person. There are 2 main functions available Add A Delegate To add a delegate click on the Manage Delegates link at the top right of the screen Click the Add Delegate button Enter the delegate and permission level and OK Remove A Delegate To remove a delegate, click on the Manage Delegates link at the top right of the screen Click Remove Delegate button Switch To A Delegator This functions allows users to switch their login to a delegator s login. To switch to a delegator Click on the Switch To A Delegator link at the top right of the screen Select a delegator to switch to and click OK Page 6 of 7

7 Note, if you do not see the Switch To Delegator option then it means that option is not available to you because no-one has assigned you as a delegate. Manage Your Details This functions allows users to change their password. Change Password To change your password Click on the My Account link at the top right of the screen Enter required information and click OK Page 7 of 7
