RAVASMARTSOLUTIONS - TECH TIPS ZIP Files Purpose AUDIENCE: Anyone that wants to know how to ZIP files (primarily targeted towards college students). COMPUTER SKILLS: Need to understand files, folders, and how to run an application. TECHNOLOGY NEEDED: To utilize this technology Windows XP, Vista, and Windows 7 (has a built in zip program) is needed OR MAC OS X (with a zip program installed). DOCUMENT DISTRIBUTION: This document will be sent out utilizing online course management systems such as Blackboard or via online technology such as web pages, s, etc. SUMMARY: A summary of the steps can be found at the end of this document for those who do not need detailed information. Author: Rick Rava Page 1 of 9 Revised: 11/7/2009
Purpose This handout is to briefly illustrate how multiple files can be zipped together. What does this mean? Author: Rick Rava Page 2 of 9 Revised: 11/7/2009
Example What s another way that this technology be used? Hmmmm. Let s say you have a web site that you wish to share. It is comprised of multiple files. ZIP technology can be used to zip up all of your web site files into 1 file. For example, if you create 1 web page, the total number of files comprising this web page may be 5 files. What are the files? Well in this example, the web page has 1.htm file and 4 graphic files to make up the web page. Let s look at another example: This is the home page of Google at: Looking at the above web site is a simple clean design that many of you are quite familiar with. From a visual scan of this web page, you see text and 1 graphic image. The graphic file name in the above example is: olympics06_opening.gif The html file name in the above example is: google.htm Using the ZIP combines the above two files into one. For example, google.zip. Most web sites consist of many more files than just 2! Actually one home page may consist of 100 or more files (graphics images, graphic buttons, graphic text, flash animation, etc). Author: Rick Rava Page 3 of 9 Revised: 11/7/2009
How to ZIP Multiple Files Windows 7 Example Let s say you were on a Windows 7 PC. First, I recommend storing all of the files that you wish to zip into one main folder. Please see the following example: Folder where files are stored Note all the files are in this folder After making sure that all of the desired files are in this folder, I just right click on the folder then select Send To then click on Compressed (zipped) Folder: 1 right click on desired folder This option not only zips all of the files into one file but also compresses the files so that they take up less space! 2 select compressed (zipped) folder This results in the following: Author: Rick Rava Page 4 of 9 Revised: 11/7/2009
Note that this file has an.zip extension. This tells your computer that the file is zipped and compressed. Note that the zipped file is stored at the same level as your initial folder (in this case Current Work). The zipped file name is Network and Documentation.zip. Now all of your selected files are in one convenient file. Great, isn t it! Author: Rick Rava Page 5 of 9 Revised: 11/7/2009
How to ZIP Multiple Files XP Example Let s say you were on a Windows XP PC. First, I recommend storing all of the files that you wish to zip into one main folder. Please see the following example: Main Folder where files are From the above folder, please note that there are multiple files in the folder plus a sub folder named Prior Partial Evaluation Sample that contains even more files! - see screen shot below: Multiple Files Sub folder Multiple Files Multiple Files After making sure that all of the desired files are in this folder, I just right click on the folder then select Send To then click on Compressed (zipped) Folder: Author: Rick Rava Page 6 of 9 Revised: 11/7/2009
This option not only zips all of the files into one file but also compresses the files so that they take up less space! This results in the following: Note that this file has an.zip extension. This tells your computer that the file is zipped and compressed. Note that the zipped file is stored at the same level as your initial folder (in this case Current Work). The zipped file name is Cornell.zip. Now all of your selected files are in one convenient file. Great, isn t it! Author: Rick Rava Page 7 of 9 Revised: 11/7/2009
Now let s briefly look how ZIP is done on a MAC. First, make sure that you have a ZIP program installed on your MAC. There is currently a free ZIP program at: 1. The process is very simple. If you are zipping more than one file, place all files to be zipped into a new folder (similar to the windows process above). 2. Then, drag the folder into the "drop files here" icon. Same process if just one file. 3. The files are zipped automatically and are sent to your last location, normally the desktop. Drag the desired folder of work to this icon and a new zip file will be created on your desktop Author: Rick Rava Page 8 of 9 Revised: 11/7/2009
Summary of Zip Steps Step Action 1. Make a folder 2. Create / copy all desired files to this location 3. Right-click folder > Send to > Compressed (zipped) folder 4. You will now have a.zip file that contains all of your multiple files Author: Rick Rava Page 9 of 9 Revised: 11/7/2009
