5 AGENTMETRICS AgentMetrics provides real estate agents with a powerful, yet easy-to-use tool to create effective marketing materials, from a market share, to market dynamics and trends, and an innovative statistical price analysis perspective. AgentMetrics is an intuitive, highly visual interface that makes these concepts easy to grasp and comprehend. With AgentMetrics, agents compete and process their business more efficiently, winning more listings, and increasing their revenue stream over time. No one simple act has more direct positive impact to the company's bottom line than to take a listing at the right price. With AgentMetrics, agents now have access to local market conditions information (pricing, sales velocity & inventory trending) that they can present to their clients. The results are more informed pricing decisions. The AgentMetrics tool set includes: Market Share: creates market share reports spotlighting your office and company, for inclusion in your listing and new buyer presentations. Market Dynamics: provides several market trends and conditions reports to include with your listing and new buyer presentations. Pricing Analysis: contrasts a clear graphical view of a new listing s pricing compared to the market, and allows the user to define a pricing window for more detailed information such as absorption, and comparisons to other sold and active listings in the same market. 04/ MLSNI. 7 INSTALLING AGENTMETRICS AgentMetrics is available to MLSNI members as a free download from The download is approximately 14 MB in size and will take approximately the amount of time indicated in the following table, depending on your connection speed: 56K Dialup ISDN DSL Cable Modem 45+ minutes 20 minutes 4 minutes 2-3 minutes Note the following computer requirements before attempting to install AgentMetrics : Computer Requirements A PC with PentiumIII -class processor. 60 MB RAM. 65 MB free disk space. A 56 K or faster Internet connection. (DSL or Cable modem recommended). Windows 98, 2000, XP, Me, NT. A current version of the Microsoft Internet Explorer browser. Display Resolution The appropriate PC display resolution for AgentMetrics is 1024x768. To check or change your resolution, right click on an empty space on your desktop, select Properties, and click the Settings tab. Click the sliding bar for the Screen Area resolution and move the pointer to 1024x768 and click OK. Note: This setting will make the icons on your desktop smaller. To increase the size of icons, right click on an empty space on your desktop, select Properties, and click the Effects tab. Select to use Large Icons and click OK. 04/ MLSNI. All Rights Reserved. 8 To Download and Install AgentMetrics Important Note: It is recommended that any anti-virus software be turned off or disabled for AgentMetrics to install correctly. Once your anti-virus software has been turned off or disabled, continue with the steps below. 1. Connect to the Internet through your Internet Service Provider. Open Microsoft s Internet Explorer browser. 2. Type into the address bar and click Go. 3. Login For Agents only 4. Enter your Agent ID and Password to log in. Page MLSNI. 9 5. Click the Agent Metrics link to download and install the program to your computer. 6. The AgentMetrics installation page opens. Click the Continue button at the bottom. 04/ MLSNI. All Rights Reserved. Page 5

10 7. Continue to click the continue button until the System Requirements page is reached. If your computer meets the minimum hardware requirements, scroll down and click the Continue button at the bottom. 8. The Login page opens. Enter your Agent ID and click Login. 9. The registration page opens. Enter an AgentMetrics User Name and Password (your MLS system Agent ID and password are recommended). Note: You will not get the registration page if you have previously registered. Remember the address entered here as this is the account to which your password is sent if you forget it. Also make note of the Fogotten Password Question and Answer as these are required to verify a forgotten password. Note: Password is CASE SENSITIVE. Page MLSNI. All Rights Reserved. 04/2007

11 10. The Verification page displays. 11. Check your account for the message below and access the link within it. 12. The link opens the Activate Your Account and download the program page. Your User Name and Activation Key fields are prefilled from the information in the message. Enter your Password and click Continue. 13. Click Yes to download the installation components. Depending on your security settings, you may see additional java security messages. If so, click Grant Always to continue. 04/ MLSNI. All Rights Reserved. Page 7

12 14. Click Start Installer for Windows. Alternate Instructions: The AgentMetrics Installer uses a Java Applet to install the program. If your computer will not allow Java Applets to be downloaded, you must download and start the installation file manually. To download the installation file manually, close any error messages and click the Download link. If prompted to save or open the file, click Save. Select the location to save the install.exe file, such as the Desktop. Once the install.exe file has downloaded, navigate to the saved file and click install.exe to begin the installation. 15. 13 16. The installation begins at the Introduction screen. Click Next. 17. Choose another location to install the program, or click Next to install the program to the recommended location. 18. 15 USING AGENTMETRICS To Open the Program 1. Connect to the Internet through your Internet Service Provider. Open Microsoft s Internet Explorer browser. 2. Double click the AgentMetrics icon on the Desktop. Or if you chose to install the shortcut to the program group, Click Start >> Programs >> AgentMetrics >> AgentMetrics. 3. AgentMetrics will check for updates each time the program is opened. 4. If an update is found, the installation of the update begins. 16 5. The AgentMetrics login window opens. Enter your AgentMetrics User Name and Password as selected during registration. Check Remember Password to make subsequent logins automatic. Click I Forgot to have your password ed to you if you can answer the forgotten password question correctly. Click Login to access AgentMetrics. Note: Password is CASE SENSITIVE. 6. 17 WORKING IN AGENTMETRICS The File Menu To Print Preview a Report 1. Click the Print Preview button on the toolbar, or click File >> Print Preview. 2. The Print Preview window opens. Click the Print button on the toolbar, or click File >> Print. 2. Your Windows Print dialog box opens. Click OK to print. 18 To a Report Reports are formatted in Adobe Acrobat format and ed as a.pdf attachment. As some Internet Service Providers restrict attachments, the recipient s ISP may reject the attachment. 1. Click the button, or click File >> Mail as PDF. 2. Enter a single address in the To: field. Enter a single address in the Cc: (carbon copy) and/or Bcc: (blind carbon copy) fields, if desired. 3. Edit the Subject line for the , if desired. 4. Enter a brief Message or closing line, if desired. 5. Click Send. 19 To Save a Report 1. Click File >>Save as.pdf. The Save As dialog box appears. 2. Select the desired location for the file. 3. Enter a name for the file. You must include the file extension.pdf at the end of the file name for the file to save correctly. 4. Select PDF Document (.pdf) in the Files of type drop down box. 5. Click Save As to save the file. To Export a File 1. Click File>>Export. Choose the report to export. 2. Select the desired location for the file. 3. Enter a name for the file. 20 The Tools Menu To Open a Program Module in a New Window 1. Click Tools >> and select the desired program module. 2. The selected program module opens in another window. The Search Menu Search To Edit a Search 1. Click the Search button on the toolbar, or click Search >> Custom Search. The Search form opens. 2. Edit the search as desired. To Start a New Search 1. 21 The Preferences Menu To Change User Information 1. Click Preferences >> My Options. The Change User Info box appears. 2. Add your address and, if desired, your signature. 3. 22 4. Navigate to the location of the image file. Click the file to select it and click Open. 5. The office logo is loaded to the User Info box. 6. Click Save Changes. Click OK. To Change Password 1. Click Preferences >> Change Password. Note: User Name and Password are CASE SENSITIVE. 2. Enter the Current Password. 3. Enter the New Password. 4. Enter the New Password again for verification. 5. 23 The Window Menu To Switch From One Open Program Module to Another 1. Click Window >> and select the desired program module. 2. The selected program module window opens. 24 MARKET SHARE This tool provides real time market share information, at the office level, for a variety of market share parameters. These include both dollar volume and total number of units for list-side, sellside, and total sold production figures. In addition, the office s average-per-agent figures are also included. Market share information can be presented in either grid (list) or chart form. All reports can be printed, ed (as an attachment) in Adobe Acrobat PDF format or exported. To access the Market Share function at program startup click the Market Share button. If the program is already open, click Tools >> Market Share on the toolbar. Page MLSNI. 25 Performing a Market Share Search 1. Choose the appropriate search criteria on the Custom Search Form. The Custom Search Form automatically displays when the Market Share tool is first launched. The Custom Search Form displays the criteria used in your last search. Click Clear to delete the previous criteria. Market Share Type: Click the drop down arrow and select to break down search results by Broker or Office. Status: Click the radio button to select Sold or Active properties. Only one button may be selected at a time. Property Types: Check the box in front of each property type(s) to include in the search. Check the Residential box to search all residential property types. Check the Commercial box to search all commercial properties. Area Type: Click the drop down arrow to choose the Area Type: MLS Areas (COMPASS Area field=ar), Counties (COMPASS County field=cny), Cities (COMPASS City field=cit), ZIP code (COMPASS Zip Code field ZP), or All MLS (The entire MLS). Click the desired Area Type to open the Add Areas selection box. 04/ MLSNI. All Rights Reserved. Page 21

26 Double click the selection to move it from the Choices list to the Selected list or back, or click the selection to highlight it and click the Add or Remove buttons. Select consecutive choices by clicking the first choice and holding the Shift key while clicking the last choice. Click OK when finished making selections. The count of listings in each Area appears in the count column. Bedrooms: Check the appropriate box(es) to indicate the number of bedrooms to include in the search. Full Bathrooms: Check the appropriate box(es) for the number of Full Bathrooms to include in the search. Date Range: Click the drop down arrow to select the date range. Choices include: Year to Date (YTD), Quarter to Date (QTD), or Month to Date (MTD). Page MLSNI. All Rights Reserved. 04/2007

27 Choose the Custom Date option to input a specific date range. Click into the min or max date range text box and the calendar will open. Click the forward or backward arrows to pick the desired month and year. Click the day on the calendar and the date is inserted into the date range text box. Price Range: If a specific price range is desired, input the appropriate figures into the Min-Max price fields as shown: 2. Click the Search button to run the search. 28 Saving the Market Share Search Criteria or MLS Area Searches To Save a Search 1. Choose the appropriate search criteria on the Custom Search Form. Once you have completed your search criteria click on the Save this Search button. Note: The Save this Search button becomes illuminated when the required fields are selected. 2. 29 To Delete a Saved Search 1. Saved searches can be deleted from Preferences at the tool bar>>my Searches to open My Searches Editor. 2. Right click on the search you wish to delete and select Delete. To Save Frequently Used Areas 1. Select the areas desired from the area list. 2. Click on Save. 3. Enter an Area Name. 4. 31 Viewing Market Share Search Results The Chart view is the default display. Toggle between Grid and Chart views by clicking the Grid or Chart button. Chart View The Chart view graphs up to ten (10) offices or brokers of your choice selected from the Grid View (the default view is the Top 10 offices or brokers in the list). Search criteria may limit results to fewer than 10. Ten (10) different reports choices enable you to present the desired information in the most appropriate way. Up to ten (10) offices selected on the Grid View will be charted. If no individual selections are made, the default is to use the Top 10 offices in the list. Mouse-over information is available on the chart views. Hover the mouse over points of interest to display additional information. 32 Charts Total $ Volume: Charts the total dollar volume. A vertical stacked bar of Total $ is broken out into List and Sell side Dollar Volume. If selected, each office s market percentage is shown. Total # Units: Charts the total number of units listed and sold. A vertical stack bar is broken out into list and sell sides. If selected, each office s market percentage is shown. List $ Volume: Charts the total dollar volume listed. List # Units: Charts the total number of units listed. Sell $ Volume: Charts the total dollar volume sold. Sell # Units: Charts the total number of units sold. Total $- List$ - Sell$: Charts the total dollar volume, the listed dollar volume, and the sold dollar volume. A vertical bar displays the Total Dollar Volume and individual list and sell sidebars reflect the breakout (only available for Sold searches). Total #- List# - Sell #: Charts the total number of transactions, the total number listed, and the total number sold. A vertical bar displays the Total Transaction Number and individual list and sell sidebars reflect the breakout (only available for Sold searches). Sold Price vs. Original Price (List Side): Charts the Sold Price verses the Original Price on the listed side. 33 Grid View The Grid View lists all offices or brokers that meet the search criteria displayed in the sort order relevant to the currently selected chart. Search criteria may limit results to fewer than 10. Individual offices are selected or de-selected by clicking on the appropriate office rows in the grid. Selected offices will be included on the Chart View. If no individual selections are made, the Top 10 offices or brokers in the list will display in the Chart View. Multiple offices or brokers can be selected using either a series of individual clicks or click and drag to select consecutive rows. 04/ MLSNI. All Rights Reserved. Page 29

34 The column headings shown in the Grid View will vary depending on the last Chart View displayed. To search for a particular office in the list, enter any part of the office name and click the Find button. Click Find Next to search for the next instance (the Find feature only applies to Market Share and functions only in the Grid View). (Search) (Find Next) Mouse-over information is available for each column. Hover the mouse over each column for additional information. Click any column header to sort the list by that column in descending order. Click the column header again to sort in ascending order. Click and drag any column header margin to widen the column. Right click any office row to display the detail choices. Click Office Detail or Office Listings to view more information. 35 MARKET DYNAMICS This tool provides real time information on various market performance characteristics: market size and strength figures, sales rate and inventory supply figures, as well as key transaction ratios (new listings-to-accepted offers and accepted offers-to-total inventory percentages). Understanding how these market forces are currently trending can impart a reasonable level of confidence as to how the market will perform in the near term. Market Dynamics information is presented in chart form and can be printed, ed (as an attachment) in Adobe Acrobat PDF format or exported. To access the Market Dynamics function at program startup click the Market Dynamics button. Or, if the program is already open, click Tools >> Market Dynamics on the toolbar. 04/ MLSNI. The count of listings in each Area appears in the count column. Bedrooms: Check the appropriate box(es) to indicate the number of bedrooms to include in the search. Full Bathrooms: Check the appropriate box(es) for the number of Full Bathrooms to include in the search. Price Range: If a specific price range is desired, input the appropriate figures into the Min-Max price fields as shown: Construction Type: Select the appropriate radial button to select between New Construction or Resale. 3. 41 Viewing the Market Dynamics Search Results There are three (3) tabs that show available reports for each module. Price Chart Controls Within the Price report you have the ability to change the views to one of the following, Median Price or Sold-Average Price. Chart Controls provide key informational overlays for each screen. Key Information Table is located at the bottom of each screen for easy reference to quantified changes in the market. 04/ MLSNI. 42 Supply and Demand Within the Supply and Demand report you have the ability to change the views to one of the following, Basic Supply and Demand, Supply and Demand by # of Units, or Supply and Demand by $Volume. For Sale includes Active, Back on Market and Reactivated and Price changed listings. Under Contract includes Contingent and Pending listings. Expired includes Expired and Cancelled listings. 43 Sales Rate Within the Sales Rate report you have the ability to change the views to one of the following, Months Supply of Inventory, Average DOM, or Basic Absorption. Residual Inventory has been added to clarify new inventory (# properties listed that month) from old inventory (the number carried forward month-to-month) under Basic Absorption view. MSI is the #FS (ACT-UC (CTG or PEND)-EXP/#UC meaning you are comparing how many months worth of listings are sitting there waiting to be sold. ACTIVE vs. CTG & PEND. NAR MSI is the # of listings that were FS on the last day of the month divided by # of listings that were UC (PEND or CTG) in that month. 04/ MLSNI. All Rights Reserved. Page 39

44 PRICING ANALYSIS This tool provides up to date price distribution statistics for the last 12 months within the search criteria you specify. The number of properties that were available for sale and the number of properties that sold in the last 12 months are compared to the number of properties that are currently available to provide a measure of the following market conditions: The number of properties that were listed indicates Market Size. Market Strength is measured by the number of properties that actually sold compared to the number that were listed, i.e., as the percentage of sold to listed gets higher the market gets stronger. Market Sales Potential is suggested by the amount of current inventory supply, i.e., if a market has reasonable size and strength, a small amount of inventory supply indicates that a well-priced property would sell quickly, while a large amount indicates a longer sales cycle. Pricing Analysis reports can be printed or ed (as an attachment) in Adobe Acrobat PDF format. To access the Pricing Analysis function at program startup click on the Pricing Analysis button. 49 Viewing Pricing Analysis Search Results Step #1 The Price Distribution graph provides a visual representation of the distribution of properties that meet the subject property s criteria over the entire price range. The vertical red line represents the subject property s Suggested Price. The Pricing Window (the price segment that includes the subject property) is shaded in yellow. Mouse-over information is available on the graph. Hover the mouse over points of interest to display additional information. Click the button for graph information. If checked, the Display Interval Indicators on Chart option will delineate each price segment. Click the Decrease or Increase Interval buttons to narrow or widen the range of each price segment. Click the Pricing Window drop down arrow under to adjust the range of the Pricing Window by percentage above and below the Suggested Price. 50 The height of each line represents: the size of the market (Listed # in blue), the amount of sales activity (Sold # in green), and the current inventory supply (Active # in red). The closer the Sold # line is to the Listed # line is a measure of market strength, i.e., what percentage of the listed properties actually sold. The height of the Active # line compared with the Sold # line gives an indication of how likely a well-priced property is to sell within a reasonable time period, e.g., 30 days. 51 Step #2 On the right, the Sales Rate and Months Supply of Inventory (MSI) bar chart compares the sales rate (number of listings sold) to the inventory supply (number of active listings) for the Pricing Window (the price segment adjusted by percentage above and below the subject property s Suggested Price and shaded in yellow in Step 1). The sales rate and inventory supply are broken down to monthly figures below. A greater inventory supply compared to the sales rate suggests a tougher market for sellers. At the top, the Pricing Window graph displays the properties horizontally by Price and vertically by Days on Market (DOM) within the Pricing Window (the price segment adjusted by percentage above and below the subject property s Suggested Price and shaded in yellow in Step 1). Below, each property is also listed in the grid. The price range displayed may be adjusted by clicking and dragging the min/max end points of the red slider bar towards the center (return to Step 1 to adjust the range of the Pricing Window by percentage above and below the Suggested Price). The time frame displayed for solds may be adjusted by selecting 12, 6, 3, or 1 month periods. The option to hide properties that have had any price reductions removes sold comparables that underwent one or more reductions in price. 52 Select to display Active, Ratified (Contingent or Pending), and/or Sold properties using the check boxes. Each property is plotted in the Pricing Window graph. Active listings are represented by red squares, Ratified (Contingent or Pending) by blue circles, and Sold listings by green triangles. The corresponding shape will appear solid in color (filled in) if the property has had one or more price changes. Click the button for graph information. Hovering the mouse over any listing s shape on the graph will display summary listing information as well as locate and highlight the same listing row in the grid below the graph. Click any listing row to de-select the listing. The listing row appears faded out in the grid and the corresponding shape for the listing will be removed from the Pricing Window graph. Click the listing row again to return the listing to normal. Right click the listing row and select Listing Detail to view listing details. Click any column header to sort the list by that column in descending order. Click the column header again to sort in ascending order. Click and drag any column header margin to widen the column. Note: Ratified in AgentMetrics includes both Contingent (CTG) and Pending (PEND) statuses.
