1 Library Services RefWorks Guide Create a RefWorks account From the library home page select Database A-Z and follow links to Refworks: When you see the screen above click Log in to Refworks First time users: fill in the form and hit the Submit button. You have now created your Refworks account and should see a welcome screen like the one below. Your account is empty until you start to fill it with references. 1

2 Create a Folder Create a folder by selecting the New Folder button. Give your folder a name, and click on create. This and all other folders you create will be listed under Folders on the right of the page or you can click on the folder icon under the Organize & Share Folders tab. 2

3 Exporting references from Library Search Carry out a search in Library Search. You need to save any references you wish to import to Refworks. To do this, hover over and click on the save icon to the right of the item. It will then appear in the Saved Items folder at the top of the page. N.B. these items will only be saved while you are Library Search, so you will need to export them to Refworks before you end your Internet browser session. Click on the Saved Items folder and then select Export to Refworks from the drop-down menu. 3

4 Exporting references directly from databases available via Ebsco 1. Conduct a search within, e.g., CINAHL and select any references you wish to export by clicking Add to folder. Then open the folder. 2. Click the Select all option, then select Export. 3. At next screen, select Direct Export to RefWorks from the list and then click Save. 4

Then click on Export from the toolbar at the top. 5. At the next screen, select RefWorks from the drop-down menu, choose which fields you wish to include and then click Save. 6. The references you have selected in the Ebsco or Ovid databases will be imported directly into RefWorks and you will see a screen like the one below. You can view them by clicking on View Last Imported Folder. If you haven t opened RefWorks first, it will open it automatically and you will have to log in. 7. Select View last imported folder. 5

6 8. From the next screen, tick All in list, then select the folder you created (or a relevant folder) to move the references into that folder. Exporting references indirectly (e.g. using Social Care Online) 1. Conduct a search in Social Care Online, select some references and from the Display/export drop down menu, select Export in RIS format and click Go. 2. From the dialogue box which appears, select Save: rename the text file if you wish and save it to your PC / network space / memory stick. 3. Having saved the text file, open it up (it will open in Notepad). Click on File and Save As to re-save the file in the correct format: in the Save As box you need to change the Encoding at the bottom of the box to UTF-8 from the drop-down menu. 6

7 4. Open RefWorks and select References > Import. You will then see a screen like the one below. a. Choose RIS Format from the drop down list for Import Filter / Data Source b. Choose RIS Format UTF-8 from the drop down list for Database c. Browse to find the file you have saved from Social Care Online d. Click the Import button at the bottom of the screen to import your saved Social Care Online records in to RefWorks 7

8 Exporting references indirectly (e.g. using Cochrane Library) 1. Conduct a search in the Cochrane Library, select some references and select Export. 2. From the dialog box which appears, select Citation and Abstract and then either PC or Mac accordingly. 3. Save the references as a text file and save to your PC / network space / memory stick. 4. Open RefWorks and Select References > Import. You will then see a screen like the one below. Select the publisher e.g. Wiley Interscience from the Import Filter drop-down menu. Then browse to find your file and click on Import. If you don t have Refworks already open, you will be prompted to do so at this point. The references you have selected will be imported directly into Refworks and you will see a screen like the one below. 8

9 N.B. If you are searching a database and you are unsure how to export your references into Refworks, use the Help tab. Select: Help>Launch Help File. Then, from the list of options on the left hand side select: Getting References into your account>importing from online data vendors. You will then see a list of exporting instructions for each database. If the database you are using isn t listed then contact the library via the Ask a Librarian link on the library website. Adding references manually: Select New Reference from the second row of tabs. Choose your reference style from the View Fields Used by: box, the folder(s) you want to add the reference to, and the reference type (i.e. journal article, book, web page etc.). Fill in as much information as you have in the boxes and then save the reference. You can add more later using the edit function. 9

10 Create a bibliography from a list of references in RefWorks. Select the Bibliography tab from the top of the screen. o In the References to Include drop down box, select the folder containing the references you want to include in your bibliography, then click on Create Bibliography. o Select your Output Style first e.g. UWE Harvard Standard. This is the referencing style in which your references will be displayed. o Select the File Type that s most appropriate for you e.g. Word for Windows, Word for Mac, etc o RefWorks will create a bibliography in a few seconds as a Word document. 10

11 o In the bottom right of the screen you will see a little green box that tells you your bibliography has been completed. Select click here and follow prompts to either save it, or you can open up the file to look at it and print it off. 7. Using Write N Cite to add citations to text and create a Reference List N.B. If you are using Write N Cite off campus for the first time you will need to download the Write N Cite III plug-in. This is available from within Refworks. Just select Tools>Write N Cite If you have RefWorks open, close it down. Open a Microsoft Word document and copy and paste or type in the following text: This is a test to demonstrate using Write N Cite. This is a test to demonstrate using Write N Cite. Minimize this Word document for now. Open Write N Cite from Start>Programmes>RefWorks>Write N Cite Select the Login through your institution (Shibboleth users) link and follow the login instructions. 11

12 You should now have a mini version of your RefWorks database open, with a slightly different look and feel to the full version. Select the folder containing some references from View>Folder In your word document place the cursor in the text where you want to insert the citation Back in Write N Cite, click on the Cite link next to the reference that you want to cite. Repeat for a few more references. If you prefer to keep Write N Cite visible, check the Always on top box. Once you have finished save your Word document to your computer using File, Save As. Back in Write N Cite click on Bibliography>Create Bibliography Your document will be formatted. Save it (File, Save) Further help is available from within RefWorks via the Help button in the top right-hand corner of the screen.
