9 Introduction Introduction Hot folders offer a simple way to automate document layout. Once a [Hot folder] is setup, the document layout process is done automatically and consistently. You can drop a file into the input folder of one of the defined hot folders. Each hot folder uses one or more filters. One or more templates are assigned to the filter. When the file passes the filter, the templates assigned to the filter are executed. The templates generate the required document layout and handling. The processed files are stored in the output folder. If configured, the output folder can also store the input files and the log files of the process. To use the hot folders you need an [Automation templates license]. You can: Manage [Hot folders] on this system. Define [Filters] that apply [Templates] to the files in the [Hot folders]. Monitor the processed files and error reports. Clean the input and output folders. Chapter 1 - Introduction 9

10 Supported file formats Supported file formats Introduction PDF is the native file format for PRISMAprepare. Next to PDF files, PRISMAprepare can open a number of native (non-pdf) file formats. These files are automatically converted to PDF when the files are opened. You can save a converted document only as PDF file, not in the original format. Native file support For native file support you need : Microsoft Office 2007 SP2 with the add-in Microsoft Add-in Microsoft Save As PDF. Or any newer versions of Microsoft Office (add-in not required). NOTE Microsoft Office > 2010 must be installed to convert the OpenDocument file formats. 12 [ Hot Folder Administration ] [ Hot Folder Administration ] Introduction The [ Hot Folder Administration ] displays all hot folders. From this view, you can add hot folders and manage the existing hot folders. Status of the hot folders Icons show the status of each hot folder: Icon Description The hot folder is idle. The hot folder is stopped. The hot folder is processing. The hot folder needs attention. Columns A number of properties of the hot folders are used as column headers. By default, the following column headers are displayed: Hot folder topics [Name] [Number of files] [Filters] [Input folder] [Output folder] [Log folder] [Templates] Function The name used for this [Hot folder]. The [Number of files] waiting to be processed for this [Hot folder]. The [Filter] used by this [Hot folder]. The folder used as input for this [Hot folder]. You can drop a file into the input folder of one of the defined hot folders. The folder used as output for this [Hot folder]. You can drop a file into the input folder of one of the defined hot folders. Each hot folder uses one or more filters. One or more templates are assigned to the filter. When the file passes the filter, the templates assigned to the filter are executed. The templates generate the required document layout and handling. The processed files are stored in the output folder. If configured, the output folder can also store the input files and the log files of the process. The hot folder generates log files while processing the files in the input folder. You can store the log files in a dedicated folder. The [Templates] used by this [Hot folder]. 13 [ Hot Folder Administration ] You can define if a column is visible or not. You can right-click the column header and use its context menu. Column width You can drag the separators in the column header to change the width of a column. Sort Click on a column header to sort the fields in the column. You can sort ascending and descending. 14 Add a hot folder Add a hot folder Introduction You can add hot folders. A hot folder must have different input and output folders. Each hot folder contains at least one filter. The filter defines which files are accepted by the input folder. Any accepted files will be processed by the hot folder. The hot folder generates log files while processing the files in the input folder. You can store the log files in a dedicated folder. The processed files are stored in the output folder. The output folder can store: The input files. The processed files. You can create the input and output folders of a hot folder on a network path. Check that the account that runs the 'Hot folders for PRISMAprepare' service is allowed to access the network path. See Configure the hot folders for a network on page 17. You have to stop a hot folder before you can edit or delete the hot folder. Procedure 1. Click [Hot folders] - [New]. The [Hot folder properties] dialog opens. 2. Type a name for the hot folder. 3. Define the input and the output folder. You can store the log files in a dedicated folder. NOTE You can create the folders of a hot folder on a network path. Check that the account that runs the 'Hot folders for PRISMAprepare' service is allowed to access the network path. See Configure the hot folders for a network on page [Save input file(s)] Checked Save the files from the input folder in the output folder. Unchecked Delete the files in the input folder after processing by the hot folder. 5. [Save processed file(s)] Checked Save the processed files in the output folder. Unchecked Delete the processed files from the output folder. For example, one of the templates of the hot folder prints or saves the processed file. Now, you don't need to save the processed file in the output folder. 6. Define the format for the output files. The output files are dropped in the output folder. You can set the order of the filename, date and time. You can also type a fixed text in the filename. This option becomes available when one or both of the following options are enabled: [Save input file(s)] and [Save processed file(s)]. 7. You have to assign at least one filter to a hot folder. See Add a filter to a hot folder on page Click [OK]. The hot folder is created and added to the [ Hot Folder Administration ]. 14 Chapter 2 - Manage the hot folders

15 Add a filter to a hot folder Add a filter to a hot folder Introduction You must assign at least one filter to a hot folder. The filter defines which files are accepted by the input folder. Templates are a part of the filter. You can drop a file into the input folder of one of the defined hot folders. Each hot folder uses one or more filters. One or more templates are assigned to the filter. When the file passes the filter, the templates assigned to the filter are executed. The templates generate the required document layout and handling. The processed files are stored in the output folder. If configured, the output folder can also store the input files and the log files of the process. Procedure 1. Click [Add] in section [Filters]. The [Filters] dialog opens. 2. Define a valid mask in the [Filter] field. When the mask matches the filename in the [Input folder], the templates assigned to this filter are executed. For the mask, you can use the standard wildcards "*" and "?". For example a4*.pdf makes this filter applicable to all pdf files starting with a4. 3. Select the allowed file types. 4. Click [Add] in section [Templates]. 5. Select which template you want to assign to the filter. The list of templates is defined in PRISMAprepare. You have to assign one or more templates to the filter. Use the [Move up] and [Move down] buttons to apply the correct order to the templates. The templates are applied to the file in the defined order. 1. [Number of sets:] [Defined by template] The template(s) define how often of the processed files are printed. [Custom] You define the number of sets. This setting overrides any setting in the [Templates]. 2. [Printer:] [Defined by template] The template(s) define on which printer the processed files are printed. [Custom] You define which printer is used. This setting overrides any setting in the [Templates]. 6. Click [OK]. Chapter 2 - Manage the hot folders 15

16 Manage a hot folder Manage a hot folder Introduction You can manage the existing hot folders. You have to stop a hot folder before you can edit or delete the hot folder. Procedure 1. Select a hot folder. Without stopping the hot folder, you can open the input, output, and log folders of the selected hot folder. 2. Select a hot folder and click [Stop]. When you have stopped the hot folder, you can: Edit the hot folder. See: Add a hot folder on page 14 Delete the hot folder. [Clear output folders] or [Clear log folders] You can delete all files from the output folder or the log folder of the selected hot folder. 3. Click [Start] to start the selected hot folder again. 16 Chapter 2 - Manage the hot folders

17 Configure the hot folders for a network Introduction You can locate the input and output folders of a hot folder on a network path. Configure the hot folders for a network By default, the local system account runs the 'Hot folders for PRISMAprepare' service. It is recommended that you change the account that runs this service only when: One or more of the input or output folders are located on a network path. In this case, you have to use an account that is allowed to access the network path. Procedure 1. Run the application [ Hot Folder Administration ] as administrator. 2. Click [Tools] - [Hotfolder service settings]. 3. Define an account that is allowed to access the network path: 1. Select [Other account]. 2. Type the user name and password. Characters in passwords must be typed using the correct case. 4. Click [Apply]. Chapter 2 - Manage the hot folders 17

20 [ Hot Folder Monitoring Console ] [ Hot Folder Monitoring Console ] Introduction The [ Hot Folder Monitoring Console ] gives event information about the [Hot folders]. [ Hot Folder Monitoring Console ]can be started from the following locations: 1. The Start menu. 2. The Tools menu in PRISMAprepare. 3. The context menu from the taskbar icon. 4. The [ Hot Folder Administration ]. Screen colors Each event has a separate line in the [ Hot Folder Monitoring Console ]. Regular events are displayed in black and errors are displayed in red. The screen elements The header displays two types of information: 1. The process that is currently taken place. 2. The number of jobs that are waiting to be processed. The table in the console shows the following: Column name [Information icon] [Date] [Time] [Hot folder] [Message] Description The informative icon gives you quick information on the event type.
