3 2018/07/17 14:58 1/6 Price 420 Conference System Price 420 Conference System In the Summer of 2015, PPWS updated the computer and audiovisual systems for the conference room in Price 420, in order to provide greater flexibility, better ease of use, and better sound and picture quality than the previous system. This article aims to provide a handy guide to use of the system. Control Overview The outputs for the conference room system are controlled from a control box situated on the video cabinet. The control box turns the display on and off, adjusts the volume, and controls what input is shown on the TV screen (similar to the input selector on most modern TVs). Do not press multiple buttons at once, or single buttons in rapid succession; this can cause the entire system to crash. If a light is blinking on the control box, wait for it to stop before proceeding. PPWS IT Wiki -

To turn the TV off, press the DISPLAY OFF button. To adjust the volume, turn the VOLUME knob on the control box. The bars indicate how high the volume is. Using the external inputs The conference system includes external inputs, which allows for connecting an external computer or other video device to the TV. Both HDMI and VGA inputs are provided. To connect an HDMI video device to the TV 3. Connect the Grey HDMI cable to the device. Turn the TV on, if it isn't already. Press the HDMI button on the control box to select the HDMI input. To connect a VGA video device to the TV Connect the Grey VGA cable to the device. If needed, connect the audio plug attached to the VGA cable to the audio output of the device. Turn the TV on, if it isn't already. Press the VGA button on the control box to select the VGA input. Using the Polycom device for video conferencing The Polycom HDX 7000 video conferencing device that was the centerpiece of the old conference system has been integrated into the new system. While Polycom devices are being phased out throughout the university, it has been integrated as a means of transition to preferred video conferencing solutions like WebEx. Press the VIDEO CONF button on the control box to select the Polycom input. To place a call on the Polycom device using the directory 3. Press the Near and Far keys on the Polycom remote to control between controlling the near (Price 420) camera and the far (remote site) cameras. To mute the audio in a Polycom call Press the mute button on the Polycom remote; it looks like a microphone. To unmute, press the mute button again. In order to show content on the Polycom at the proper resolution, the PC's output must be cloned to the Polycom. To use the PC as a Polycom input Press the PC button on the control box. Press the Windows+P keys on the PC keyboard until Duplicate is selected on the monitor output menu. 3. Arrange the content on the monitor to your liking. 4. When finished, switch to the Polycom by pressing the VIDEO CONF button on the control box and place a call as normal. 5. When you wish to output computer content to the Polycom stream, press the Content key on the Polycom remote it's right below the LCD and use the arrow keys (or press 2) to select the PC output. 6. The Polycom screen should switch to the PC output. 7. When finished, press the Content key again on the Polycom remote and use the arrow keys (or press 2) to deselect the PC output. While the PC is set up for Polycom output, you may notice black bars to the left and right of the PC output ( pillarboxing ). This is normal. To return the PC to normal functionality Press the PC button on the control box. Press the Windows+P keys on the PC keyboard until Computer only is selected on the monitor output menu. Using the built-in PC The conference system includes a Windows PC to display presentation content and to use the conference room camera with Webex, Echo360, and other conference tools. The PC is controlled through a wireless keyboard and mouse, and the podium has a USB port that plugs directly into the PC, which can be used to plug in USB flash drives. 7 2018/07/17 14:58 5/6 Price 420 Conference System To use the PC Make sure the wireless keyboard and mouse are turned on. Turn the TV on, if it isn't already. Select the PC button on the control box. If the display isn't showing anything, move the mouse so the PC wakes up the screen. Select the PPWS account from the login screen. From here, you should be able to access Windows as normal in order to show presentations, display WebEx conferences, play videos, etc. Loading files on to the PC To access a USB flash drive with the PC, plug it into the blue USB cable on the podium. It should show up like a normal drive. Accessing the video camera on the PC The video camera input on the PC is tied into the video output of the Polycom system. This includes all interface menus, unfortunately. If the Polycom's home screen is overlayed with the camera display, press the Home key on the Polycom remote and it should go away. Muting audio/video from the room during a PC conference call Muting the audio and video output during a video conference call can be done from the control panel of the A/V bridge, which is located in the A/V rack in the podium. This will not mute the audio for a Polycom call; that must be muted separately as instructed in the Polycom section. PPWS IT Wiki -
