2 2 INTRODUCTION TO CITRIX VOLUME LICENSING Overview Acquiring software licenses through Citrix Volume Licensing is different than acquiring retail boxed software licenses. A retail software license is usually sold in a box and contains media (floppy disk, CD-ROM, or DVD format), a user s guide, access to product support, and an End User License Agreement (or EULA). The License Agreement Terms dictate how the software may and may not be used. Software acquired through Citrix Volume Licensing is a software license only. A software license provides the right to run a Citrix software product. Savings beyond retail boxed software prices can be realized by participating in Citrix Volume Licensing. By acquiring software licenses through Citrix Volume Licensing, you can pay for only the software license and can download the software electronically. Depending on the Citrix Licensing program, you may receive media, and you have the option to acquire media (or supplemental media), documentation, and product support separately as needed. Citrix software products have a EULA that defines how that product may be used. All Citrix product EULAs may be viewed on prior to purchasing any product or registering for any Citrix Licensing Program. Keys to Understanding Citrix Licensing Citrix Volume Licensing is actually a means of obtaining Citrix products. When registering for a license program, you agree to accept electronic software and, depending on the nature and level of your commitment, may be granted a discount from the Suggested Retail Price (SRP) by Citrix. Depending on the specific license program, option and level for which you register, you may also be granted a discount on select Citrix Services. The discount details are described in the sections that follow about each of the Volume Licensing Programs and options. It is important to understand that any discount granted as part of your license registration will apply to all Citrix products sold through that program not only the product you intended to purchase at the time you registered for the license program. Listed below are a few keys to understanding the major characteristics of Citrix Licensing policies and programs and to choosing the best option for your organization: The size and type of your organization The products you want to license The way in which you want to use those products Another key factor to consider aside from organizational type and size is which products you want to license. Different product families require different licensing models. For example, Citrix Essentials for XenServer requires a license for each server that is running the program. Citrix XenApp requires a license for each concurrent user (CCU) that will be using the software. Citrix NetScaler requires a license for each hardware appliance running the software. The Citrix product you acquire will have its licensing model and conditions described by its EULA. At the most elementary level, Citrix Licensing program models address organizations in two main categories: commercial organizations and public sector organizations (such as government agencies, educational institutions and non-profit organizations, excluding Hospitals and Healthcare organizations). Commercial organizations may use either the Citrix Easy License Program or the Citrix Enterprise License Program and select the appropriate program to meet their business needs. Qualified Public Sector organizations may use the appropriate License program offered within their geography the Citrix EDUCATION License Program, the Citrix GELA License Program or the Citrix GSA Schedule.
3 3 Commercial Organizations Commercial organizations and non-profit Hospitals and Healthcare companies, whether publicly or privately held, may take advantage of Citrix s global Volume Licensing programs: The Enterprise License Program. The Easy License Program. Enterprise License Program The Citrix Enterprise License Program is appropriate for organizations starting with as few as 250 users that are able to make an upfront commitment and purchase of Citrix products. It offers different levels based on the size of the initial order and nature and length of commitment. The Enterprise License Program offers several levels to meet the needs of a wide range of organizations. The Enterprise License Program is available broadly through Citrix s worldwide partner channel. Easy License Program The Easy license Program is generally used by organizations with as few as 5 users that need Citrix products and provides an easy to use method of acquiring Citrix products using individual transactions on an as-needed basis. The Citrix Easy license option requires no up-front commitment and is available broadly through Citrix s worldwide partner channel. Public Sector Organizations Public Sector Organizations, such as authorized government agencies, schools and universities and non-profit organizations (other than Hospital and Healthcare companies) may take advantage of special Citrix License Programs offered within their respective geography: The Citrix Education License Program (for qualified schools and universities and non-profit organizations excluding Hospitals and Healthcare companies within North America; Europe, Middle East and Africa (EMEA); Asia Pacific (Pacific) and Japan. 1 The Citrix GELA Program for authorized government agencies and government funded schools and universities within Latin America (LAC) and Europe, Middle East and Africa (EMEA). The Citrix GSA Contract (for authorized government agencies within the US). 1 The following types of organizations qualify for the Citrix Education License Program: All non-profit educational institutions within North America, APAC and Japan. Non-government funded educational institutions in LAC and EMEA. All non-profit organizations, excluding Hospitals and Healthcare organizations, in all geographies. Authorized government organizations in Japan.
4 4 How to Use This Guide This guide provides an overview of the key features of Citrix Volume Licensing programs. The information is presented by license program and option, where applicable, which are each designed for an organization of a specific type and size two of the most important keys to determining the best Volume Licensing option. Each chapter contains information about the additional benefits and resources that are available with each program, such as software asset tracking tools, maintenance programs, and online management services. The quick feature comparison chart below is provided to give a quick overview of the Citrix Volume Licensing Programs. The section following the chart guides customers and partners through the process of selecting the appropriate Citrix Volume Licensing Program and is followed by a flowchart that illustrates the process. Comparing Citrix Volume Licensing Programs How to Select Your Commercial Licensing Option The first step to select the appropriate Citrix licensing option is to determine the type of customer organization (commercial company or public sector organization). If you are a commercial company, the next step is to determine the nature of your organization. If your organization is a registered non-profit organization (excluding Hospitals and Healthcare organizations), use the EDUCATION Option. If your organization is a for-profit organization or a Hospital or Healthcare organization, determine the nature and size your planned acquisition. o If you will purchase products as they are needed without making any up-front commitment, use the Citrix Easy License Program. o If you are making an up-front commited purchase, determine the size of the initial purchase. - If your initial purchase is below $150K USD, use the Citrix Easy License Program. - If your initial purchase is at least $150K USD, use the Citrix Enterprise License Program. (The level is not set at the time of License Program registration, but will be determined by the order amount when your initial order is placed.)

6 Citrix Commercial Licensing Programs 6 Citrix Enterprise License Program The Citrix Enterprise License Program is a Volume Licensing program that requires an up-front commitment and is generally used by organizations starting with 250 users that need Citrix products. It offers several levels to meet the needs of a broad range of commercial organizations, starting with 250 users. Commercial organizations able to make an initial purchase of at least $150K USD will best be served by one of the Enterprise License Program s levels. The Citrix Enterprise License Program adapts to changing business needs with a flexible, simple program that provides all-inclusive discounts for products and select services, and exclusive member offers. It offers customers a straightforward oline agreement with multiple renewal options, making it simple to manage and leverage across an organization. Unlike rigid Enterprise Agreements that force customers to make large upfront commitments and buy unneeded products, this program gives customers the freedom to buy only what they need at the best price as their business evolves. Any qualified product purchase earns customers the same discount for all eligible Citrix Delivery Center products and select Citrix services. Discounts apply for 3 years and may be increased and entended with a qualified purchase. Single program only requires customers to register once to get access to a straightforward online agreement covering any Citrix purchase, making it simple to manage and leverage procurement of Citrix products across an organization. The program encourages customers to buy and renew only what they need, wiwth the flexibility to adapt as their business evolves. Additional program benefits, including membership in the exclusive Citrix Executive Program and a rich online portal for agreement management, reward customers for making a strategic investment in Citrix.
7 Enrolling in the Enterprise License Program reduces the time required for a customer to acquire Citrix products by establishing the program terms in advance and establishing the discount from Suggested Retail Price (SRP) the customer will enjoy throughout the term of the license program. The discount levels start at 25% and are based on the size of the customer s initial purchase. The discount level is not assigned to a new customer when the customer is enrolled in the Enterprise License Program. The customer s Enterprise License Program is determined and set when the customer s initial order is processed by Citrix. NOTES * Level 1 is only used for ELA customers previously in a higher level who do not submit a qualifying Renewal Order and are renewed in the Enterprise License Program with no discount. New customers may not register in Level 1. 1 A Reorder is an additional purchase placed during the term of the License Program. 2 A Renewal Order must be placed during the 12 months prior to the License Program expiration date. 3 The Renewal Term is the length of time the License Program is extended on receipt of a qualified Renewal Order. 4 The discount is a reduction from the Suggested Retail Price on eligible products to the customer. 5 A PlusOne Upgrade Order will increase the Program Level and associated benefits for the remainder of the Term. Level 1 Level 1 of the Enterprise License Program is reserved for customers previously registered in the Enterprise License Program at a higher level who do not place a qualifying Renewal Order before their existing license agreement expires. Upon expiration of their exiting program term, customers who do not submit a qualified Renewal Order will be moved from their previous ELA level into ELA Level 1. This allows these customers to remain in the Enterprise License Program even though they no longer receive a discount. If the customer submits an order that qualifies as an initial order for a higher ELA level, the customer will be moved to that level and will be enjoy the benefits associated with that level. Customers registering for the Enterprise License Program may not register for Level 1. If a customer s initial order is below the minimum requirement for Level 2, the customer should register for the Easy Licensing Program.
8 8 Levels 2-6 During the term of the Enterprise License Program, a customer registered in levels 2 through 6 will receive the established discount for any orders placed that meet or exceed the minimum Reorder requirement. The discount level is established when the customer places an initial order. The customer s License Agreement Level will be set based on the initial order size and may increase, but will not decrease for the 3 year term. 2 During the 3 year term, all Reorders that meet or exceed the required minimum Reorder amount will receive the discount established at the beginning of the term. Customers must place an initial order of at least 1,500 points or $150K USD to be registered in the Enterprise License Program. A customer may renew its registration in the Citrix Enterprise License Program by placing a Renewal order during the 12 months prior to the expiration date of the license program. If the Renewal order is at least half of the initial order required for the customer s discount level, the license program is extended for one additional year at the same discount level. The license program may be extended in this manner every year after its initial 2-year term. Customers who do not submit a qualifying Renewal order during the renewal period will be moved into level 1 of the Enterprise License Program. At any time during the term of the Enterprise License Program, a customer may increase its program level and associated benefits for the remainder of the current term by placing a PlusOne Upgrade order. Any order that meets or exceeds the PlusOne Upgrade order minimum for the customer s current Program level will qualify as a PlusOne Upgrade order. Easy License Program The Citrix Easy License Program is a Volume Licensing program that requires no up-front commitment or initial order and is available broadly through Citrix s worldwide partner channel. Easy is generally used by organizations starting with as few as 5 users. OPEN licensing provides an easy to use method of acquiring Citrix products using individual transactions on an as-needed basis. Enrolling in Easy reduces the time required for a customer to acquire Citrix products by establishing the program terms in advance without requiring any up-front commitment or initial purchase. For customers who expect to purchase Citrix products on an as-needed basis without any forecast or commitment, Easy provides the best of both worlds a flexible ordering mechanism with no up-front cost or commitment. An Easy License registration does not expire. 2 If the customer submits an order which qualifies as an initial order for a higher Enterprise License Program level, the customer s agreement will be increased to the higher level and its expiration date will be reset to 3 years from the date of the order. This is different thana PlusOne Upgrade order which does not change the customer s current expiration date and only increases the customer s current level to the next highest program level.
9 9 License Program Registration Using a Citrix Volume License Program requires a simple, one time registration. An authorized Citrix Partner can complete a license registration on behalf of a customer who has provided its Citrix Organization ID 3 to the partner. Alternatively, a company can register itself by having one of its employees access the License Registration site using the License Program option on the Toolbox on (See the Citrix License Program Registration Guide for the step by step processes used by a Partner or a Customer.) When a customer registers itself for a License Program, the customer s employee performing the registration must have the following: An account on MyCitrix. An understanding of the organizational structure (e.g., parent and/or affiliate organizations if applicable). The ability to determine/identify the organization s license contact (i.e., the person who will receive all Citrix product deliverables). An understanding of which Citrix License Program, i.e., Easy or Enterprise License Program, is appropriate for the customer. An understanding of which partner, if any, the company would like notified of its license registration. When a Citrix Partner registers for a License Program on behalf of one of its customers, the partner s employee performing the registration must have the following: An account on MyCitrix. The customer s parent Citrix ID number. 4 An understanding of the organizational structure (e.g., parent and/or affiliate organizations if applicable). The ability to determine/identify the organization s license contract administrator and technical contact (i.e., the person who will receive all Citrix product deliverables). An understanding of which Citrix License Program, i.e., Easy or Enterprise License Program, is appropriate for the customer. For Citrix license programs that offer several levels, the customer s level is not determined at registration. When the customer s initial order is processed, the appropriate level will be assigned to the customer s license agreement. (NOTE customer who registered for the Citrix Enterprise License Program will be registered into Easy if their initial order does not meet the minimum requirements set for level 2. Customers may not enroll directly into Level 1, which is reserved for existing ELA customers who do not place a qualifying Renewal Order prior to the expiration of their Enterprise License Agreement which was set at Level 2 or higher.) Taking the Next Step The next step is to select and register for the appropriate Citrix Commercial License Program, Easy or Enterprise License Program, either working with an authorized Citrix Partner or on your own. Registration in a Citrix Commercial License Program enables customers to obtain more detailed information about the program benefits and streamlines the acquisition and fulfillment process once a decision has been made to obtain Citrix product(s) or service(s). For assistance in selecting an authorized Citrix Partner, see the Partner Locator at For the step by step license program registration process, see the Citrix License Program Registration Guide. 3 A Citrix Organization ID is required for License Program Registration and may be obtained by setting up an account on MyCitrix.com. 4 Customers can obtain their parent Citrix ID number to provide to a Citrix Partner by logging into their MyCitrix account. The number displayed after the User ID is the organization s parent Citrix ID number.
