1 Viewing a Student Population for Graduation Begin by navigating to the Graduation Report page by going to Records and Enrollment Graduation Graduation Report You can run this process by searching for an existing Run Control ID or you can add a new value. Creating a Run Control ID that is relevant to the process may help you remember it for future use. If you are adding a new Run Control, click the Add a New Value tab. Each Run Control that you create should be unique from previous Run Controls. A Run Control ID is an identifier that, when paired with your User ID, uniquely identifies the process you are running. The Run Control ID defines parameters that are used when a process is run. This ensures that when a process runs in the background, the system does not prompt you for additional values. In this example, we are going to create a new Run Control ID and we will name it: GraduationRpt1. Click the Add button Last Updated: April 2,
2 Use the Graduation Report page to enter the request parameters. These parameters will be used to define the processing rules and data to be included when the process is run. The system selects the Select Populations checkbox in the Run Options group box by default. Last Updated: April 2,
3 Next we will enter values in the Selection Criteria group box to set the parameters of this Graduation Report. In this example we want to run a Graduation Report for students whose Academic Program is Arts and Sciences Bachelor who have applied to graduate at the end of the Fall The system enters the Academic Institution value based on your user default settings. If the Academic Institution field does not default to UBFLO, update this field. Next, we ll need to select the career. Use the Look Up Academic Career function (magnifying glass) to select the appropriate career. In this example, we will select Undergraduate. Click the Degree Checkout Status drop down box and select Applied. Enter the desired inforamtion into the Academic Program 1 field or use the Look Up function (magnifying glass) to search for a value. In the Description field, enter Arts. Then click Look Up. 4 Your results will appear. Select Arts & Sciences Bachelor from the list. Click the Look Up Expected Graudation Term button. Select Fall Finally, click Run After hitting Run, you ll be taken to the following screen. Click Ok. Last Updated: April 2,
5 Next, you ll be taken back to the Graduation Report Tab. You ll see a link called Process Monitor. Click that link. You will probably have to click the Refresh button several times unti the Run Status values changes from Processing to Success and the Distribution Status changes from N/A to Posted. To return to the Graduation Report page, click the Go back to Graduation Reporting link. Last Updated: April 2,
6 Click on the Selection Results tab. Use the Selection Results page to retrieve the results of your population query, add or delete students, and edit the Degree GPA and Degree Honors for each student. To populate the page with your student population, click the Fetch button. I received the following message and selected Yes : Last Updated: April 2,
7 You can now see a list of the students who have applied for graduation. Normally you would see the Student IDs and their full names. We have blanked them out for privacy concerns. Use the Degree GPA and Degrees Honors 1 fields to manually change a student s degree information and add the Degree GPA and Latin Honors (e.g. Cum Laude, Magna Cum Laude, etc.) when applicable. Later you can access the Degree Change Audit component to search your database for details about degree changes. You can search for both before and after degree information. Last Updated: April 2,
8 In the Enter Selection Criteria group box, you would enter the ID of the student that you want to add into the ID field. We have blanked out this student s ID for privacy concerns. The student s first name is Mohamed. Click the Search button. Notice that Mohamed has been added to the list. You have successfully run the Graduation Reporting process to select a population of students who have applied for graduation and manually added another student to the list. End of Procedure.
