1 What is Advisor Center? The Advisor Center is a portal within HUB that provides you a modified view of what students see when they log into HUB. It serves as an online one step shop to access a student s schedule of classes, advisors, holds, course history, unofficial transcript, and more. This view is similar to Student Services Center (Student). Once you ve logged in, use the Main Menu to navigate to Self Service Advisor Center My Advisees. If you are assigned to students, your list of advisees will display on the my advisees tab. 2 Notifying ( ing) Students Students can be ed through Advisor Center when the advisor has the need to send an informational only. The methods below illustrate if the correspondence will have a record within your client (e.g. Outlook), or if it uses a form within HUB to students that results in the inability to track any correspondence sent to students. ing a Single Student To a single student, click the student s name link. Your client (e.g. Outlook) should open an untitled message to be sent (Works best using Internet Explorer 10 or Mozilla Firefox )) ing a Single student by clicking on their name will open your client (e.g. Outlook), which will allow you to record sent messages to students via your Sent Items. Multiple Students At the bottom of the My Advisees Screen, there are two buttons. Use the notify selected advisees button when you wish to provide an informational to a specific, select few. To select students you wish to send an to, simply place a check next to the appropriate student names. After you ve made your selection click the notify selected advisees button. ing Multiple Students utilizes an internal HUB form that will not provide you a record of any correspondence sent to your advisees. 3 All Students If you want to notify all of your advisees, click the notify all advisees button. On the Send Notification page, note that all the active student addresses are populated in the BCC field. This is to protect the students identity, as well as be in compliance with FERPA regulations. 4 Advisee Student Center Once you ve selected a student from your list of advisees or searched for them using the View Data for Other Students button, you will be taken to a view of the Student Center. To switch between assigned advisees select a new student from the Change Advisee drop down menu and select the change button. In the Academic Group box on this page, you will find the following: Links to the student s class schedule by term (My Class Schedule), planner (My Planner) and the Shopping Cart for potential enrollments. The student s current weekly schedule under the heading This Week s Schedule and a link to a more detailed weekly schedule. A drop down list of other academic information is also available. This list contains links to Course History, Exam Schedule, Grades, What If Report, etc. The Personal Information group box contains bio demographic and Emergency Contact information To the right side of the page contains links to Holds (service indicators), a To Do List, and Enrollment dates. 5 Use the button to return back to the search criteria screen. Use the to send this specific student a notification. To return to your list of advisees click the tab at the top of the screen. View Data for Other Students Whether you have advisees or not, click the button at the bottom of the my advisees page. This allows you to search for any student by their Person Number or first and last name. In the ID field, you can enter the student s person number. If you do not know the person number, you can utilize the Last Name field to enter the student last name and use the First Name field to enter the student first name. 6 General Info Tab Use the general info tab to view general information about a student including Service Indicators, Student Groups, National ID, and Personal Data To switch between assigned advisees, use the drop down box at the top of the page. The system will also display edit or view boxes (e.g. Edit Service Indicators) to enable you to edit the information based on your security profile. To view more information you would scroll to the end of the page. Transfer Credit Tab Use the transfer credit tab to view transfer credit information for this student. To switch students, use the drop down box at the top of the page. If no information is in the system for the student you selected, a note will display that states No data available. 7 Academics Tab Use the academics tab to view detailed academic information for the student including Academic Career, Transfer Credit, Academic Program, Academic Plan and sub plan information. Term summary and enrollment information is also available. Note: The system will display edit boxes (e.g. edit program data) or links to enable you to edit or drill down further and obtain more detailed information.
