1 LUCRIS Manual This manual is based on the decision on minimum requirements for registration of information in LUCRIS, decided by the Faculty of Law. Most of the information will be presented in the Research Portal and also imported to your personal contact page at the faculty website. If the manual is not sufficient, please contact Madeleine Rietz on the IT department s support address (support@jur.lu.se), regarding your personal profile or your projects and research activities. For help with publications, please contact Jon (jon.eriksen@jur.lu.se) or Gunilla (gunilla.wiklund@jur.lu.se) at the library. 3 Get started with LUCRIS Log in with your Lucat profile at You will enter a personal overview where you can edit your profile and add projects, research output and activities. To view your personal page in the Research Portal go to You can register information in both Swedish and English. For more information about the different language versions, please look at the end of this manual. You change the language settings in the top menu. When you want to add research output, activities or projects, hover over the category and click on the plus. An overview of the reseach output, projects and activities that are already registered. Above you see all the modules. Applications and Ethical reviews are not used by the university. Activities: Although it is optional to register activities, the Faculty recommends that for example conference participation, awards and peer-review or editorial work is registered, in order to use the CV function. You find the different categories by clicking on Activity in the left margin (see above). Then focus on the fields marked in red. See the advanced manual at Note! At present it is not possible to add supervision of doctoral students as an activity. Instead, add the information to your presentation, either under Research or Teaching. LU doctoral students connect their supervisors in their profiles, and a connection appear in your profile and in the Research Portal. Contact the IT support if help is needed. 1

4 Personal page in the Research Portal This is how your information from LUCRIS is presented on your personal page in the Research Portal. Title from Lucat. Add more in LUCRIS if you want. Your presentations from LUCRIS. UKÄ and keywords from LUCRIS. From Lucat. The affiliations are based on your employment and assignments. The order here is determined in LUCRIS by selecting Primary. If you create a Highlighted Content CV, a selection of research outputs will be displayed here. Consult the advanced manual. Add links in LUCRIS in your personal profile. 2

5 To edit your personal profile Click here to see how your information is presented in the Research Portal. Some information is prefilled and retrieved from Lucat. Log in here to change it. Click here to edit your profile. Green: Do it yourself Blue: Information from Lucat 3

6 Name and title retrieved from Lucat. Optional. Optional to add more titles. If desired, click Add title. Click Add file and upload a picture. The picture should be taken by the Faculty or available in the university s image bank. Contact Stefan Bengtsson for the Faculty photo. To add a link: Add the URL address. Add a link to your personal contact page at the faculty s website. If desired, other pages can be addedd. To add a link, click Add link. Select what page type it is in the menu by clicking the arrow. 7 You must write presentations. To fill in your presentations click Add profile information. Choose heading in the left menu. Research and Teaching are included in the minimum requirements. Fill in Outreach and Research impact if it is relevant. Save before repeating the procedure for each heading. The language is indicated by the flag icon. Note the order*. 1. Research 2. Teaching 3. Outreach For examples of texts you can, for example, look at Mia Rönnmar s profile in the Research Portal. Fill in your information in English in the text box with the English flag and the Swedish text in the second text box. *The Faculty website import information in the order Research, Teaching, Outreach. Therefore it is important that you place the fields in this order so that the correct text is in the right place on the website. You can move the fields afterwards with the arrows to the far right. 5

If you do not know the exact date, you can leave this field as it is or make it blank. This information are not included in the minimum requirements but is used if you want to create a CV. The information is not visible in the Research Portal. 6

9 You need to enter UKÄ - standard classification of Swedish research subjects. You do this by clicking Add UKÄ subject classification. The classification is shown in the Research Portal and is also the basis for the search of researchers. The recommendation is that you use the Law main heading. The system will automatically add the classification in both English and Swedish. 7

10 Add a free keyword, to specify your research areas or to point out your research focus. A new box is added every time you enter a word. Language is indicated by the flag icon. Change the flag icon in the upper left. The words becomes visible in both the Swedish ang English websites. All profiles must be public. Remember to save! 8

11 Register projects including PhD projects All externally financed research projects in progress shall be registered and linked to the relevant agreement with external funding body. Other projects should be registered. Note! Only the project leader registers the project. Other LU internal participants are automatically notified via LUCRIS when the project is created and can then accept that they have been added. You can also connect yourself to already existing projects. External participants do not automatically get notified. It is assumed that they have given their permission to be registered. If the project leader is not connected to the university, you may register the project yourself after informing the project leader.?? I am already connected to projects but they look odd. What is this? Select the type of project. Dissertation - chosen by the doctoral students. Network - select this option if there is a loose knit project where a group of researchers is working on a common issue, may have special funding. These are projects that were created in LUP and linked to publications. These have been imported into LUCRIS and need to be filled with more information. As project leader you need to check and modify the information according to the manual. Do not forget to change to Public. Contact the support at the faculty if you have questions. If you are a project participant, await the procject leader s job. 9

16 Register publications: Major changes compared to LUP In addition to the change of input forms, there are things that are done in a different way in LUCRIS compared to LUP, and that needs to be highlighted. Some of these changes are due to the LUCRIS system itself, but much depends on the fact that the libraries at Lund University now follow common guidelines for the registration and review of publications at the university. Peer-review One change is that only publications that have undergone reviews by independent experts should be marked as Peer-review. It is no longer sufficient with editor review for the publication to be labeled Peer review. In LUP, the quality controlled descriptor was used and included both types of publications. Keep in mind that even if a journal practices peer review, some of its content might not have undergone such a process, such as editorial preface. Difference between scientific journal and specialist publication There used to be only one type of journal descriptor, journal article, which meant that all articles were registered in the same category. In LUCRIS there are two options: Article, which is to be used for publications targeted towards the scientific community, and Specialist publication, which is targeted towards groups outside the scientific community. For the law studies, it will not always be easy to distinguish between them, and we expect to have discussions with the researchers regarding the use and interpretations of these categories until we have found a classification that most can agree on.. Published/Unpublished All research output which is publicly available gets the Published status. Publicly available means that the full text is available, for example, via a publisher, on a conference or institutional website, in LUCRIS or similar. The description of the research output determines the need for permanent biographical information for the registration within a category or if it is sufficient that the text is available online. For example, books and articles has to be published with permanent biographical data, whereas for conference contributions and reports it is enough that they are available on a website. Conference presentations For this category there are changes in what can get registered as research output and which type to choose for the document. If the text is not public, as in not available other than via the author, the text should not get registered as research output but only as an activity. That means that if you presented at a conference but the presentation is not available as text, it is not research output and should not get registered as such. You might, however, want to show that you were at the conference and register the presentation as an activity. If the conference contribution is publicly available and you link to it or if you add the full text to LUCRIS, the presentation gets categorized as research output. If the contribution is published in the proceedings as an article or a book chapter, please see the next page in this manual. 14

17 Which publication type (research output) should I choose? These are recommendations based on common questions. Article in scholarly journal: Select Contribution to journal > Article Article in magazine, professional journal, newspaper or news journal: Select Contribution to specialist publication or news paper. Chapter in anthology, Festschrift, report or similar: Select Chapter in Book/Report/Conference proceeding > Book chapter eller Chapter in report. Blog post or similar: Select Artistic work > Web publishing/blog post/site. Editorship, anthology/ Festschrift or similar: Select Book/Report > Anthology (editor). Choose the role Editor. Reviews: Select Contribution to journal > Review (Book/Film/Exhibition/etcetera). Editorship, conference: Editor for book with revised papers: Select Book > Book (editor). Editor special journal issue: Select Contribution to journal > Special issue (editor). Other (book with original papers, conference web page etcetera): Book > Conference proceeding (editor). Conference papers (including seminars or similar): The participation per se is registered as an activity under Conference participation. Oral presentation: If the paper has been presented orally and is not available in another way than from the author, it should not be registered as a research output. For other papers: If the paper is available on the conference web page, in LUCRIS or similar: Select Contribution to conference > Paper, not in proceeding. Note! The full text or link must be included. Status Published. If the paper is published in a proceeding: Select Chapter in Book/Report/Conference proceeding > Paper in conference proceeding. If the paper is published in a journal: Select Contribution to journal > Article. If the paper is published in a book/anthology: A revised paper, select Chapter in book > Book chapter. An original paper, select Chapter in book > Paper in conference proceeding. 15

Only an editor control is not sufficient enough for this category. Change input language for fields marked with a flag if you want both Swedish and English versions. Select article status. You can add or change status at a later time. Enter the publication date, the year is sufficient. Select article s language. Enter full title in Title field or divided in Title/Subtitle fields. Optional to enter an abstract. If you want a Swedish version of the abstract, select input language using the flag icon in the upper left. Enter relevant information about the article. 16

If the journal permits parallel publishing according to Sherpa/RoMEO, this is indicated here. Check other journals policy here: Click and select No or Yes. Yes of the publication subject is pedagogy. Choose keywords from the list to the right. English in the field with an English flag icon, Swedish in the Swedish one. Change the flag icon in the upper left. For Published to be used, the full text document or a link to the full text document must be available in LUCRIS. If the text is not publicly available, for example not available except for via the author, the text shall not be registered as a research output but only as an activity. 37 Why is it recommended that I only use Law as UKÄ? The classification is the standard for categorization of Swedish research subjects used by UKÄ. For law research there is the overarching Law header and two sub-headers (Law excluding Law and Society, and Law and Society). Sociology of Law and Criminology falls under the later mentioned category, but it is not reserved for them. In LUCRIS the classification will appear on the researcher s profile page, on the publications and on projects to the extent it is added. In the Research Portal the classification is searchable and there is also a topic menu to browse in. If one selects Law in either of these tools, all researchers of law are displayed, no matter the sub-headers. The sub-headers are ambiguous and most likely somewhat confusing to people outside Swedish research context. The faculty has concluded that for the Research Portal there is little use to make the headers more specific than Law. If a researcher wants to add more aspects of their research, it is recommended that they add additional keywords by free text. The classification can also, at some point, be used for evaluation of the research activities at the University. Today, however, there are no plans in place for how this would get implemented. For research evaluation within the University it is more likely that a model using the organizational division of units would be used, rather than the classification used by the researchers in LUCRIS. In discussions on a national level it was suggested that law should be grouped with political science, but that no longer seems relevant. Therefore, the faculty made the decision that it is currently working well to use the Law heading for the time being. Finally, Vetenskapsrådet and other institutions use UKÄ for grant applications, and ask for sub-headings. Why is it recommended that I only use one UKÄ subject term? Since it is a classification that aims to group subjects together, one should use as few options as possible. If the research is interdisciplinary and it is not possible to discern a main subject, the standard states that more than one subject may be chosen, but maximum three in all. 38 Swedish or English, or both? You can, and should, write your texts in both Swedish and English because these texts is shown in the Research Portal. At some fields there is a flag icon which means that you can choose to write in both Swedish and English. You see the Swedish fields by clicking on the flag icon in the upper left. The English text that you have already filled in is still there, but is not visible until you change back to the English writing mode. What is the importance of the different language fields? The text in the Swedish fields will be shown at your Swedish personal contact page on the faculty website and the text in the English fields are transferred to your English contact page. If there is only text in the Swedish or English writing mode, the existing texts will be used at both your personal contact pages. Change the language for certain fields.
