3 Welcome to the Faculty Internet Document Organizer (FIDO). FIDO is a user-friendly document upload system that provides you and your reviewers with digital access to key components of your personnel file, without the need for intensive data entry. You ll upload key documents pertaining to your Fall 2018 personnel action(s); your reviewers will be able to access them during the course of your personnel review. FIDO is housed on an internal John Jay server under the auspices of DOIT and conforms to all CUNY IT security protocols. In this Quick Guide, you ll find instructions on how to access your personalized faculty page and then upload, replace and remove documents. The upload categories dropdown menu reflects the full range of documents that comprise a complete personnel file. We strongly encourage you to add as many of your relevant documents as possible before personnel files are closed; this will ensure that your reviewers have the most up-to-date and complete information for their consideration. Key documents to upload to FIDO for this year s review include: Your current Form C Your most recent CV (required for tenure, promotion candidates; recommended for all). Scholarly Works, completed and in progress Documentation of Grants submitted and received (where they exist) Documentation of Awards of Distinction/Letters of Commendation (where they exist) Letters recognizing Service and Administrative Duties (where they exist) Again, the more you upload, the more your reviewers will know about you and what you ve accomplished since your last review. We welcome your questions and your feedback, as you work through the FIDO experience. 4 BEFORE YOU BEGIN Thanks to the detailed feedback provided by faculty who have already actively engaged with FIDO, we ve identified some helpful hints to make your experience go smoothly and efficiently. Organize your documents before you upload. Some faculty have reported that a little preparation makes uploading even easier. o Look at the FIDO upload categories to see what kinds of documents should be included (see step 2 for details). o Pull together all your files, and identify which category is appropriate to each file. o Re-label each file clearly so that you/your reviewers can easily identify what the file is. o Then log into FIDO and start uploading. Follow the steps indicated in strict order. Going out of sequence just doesn t work! o Check your documents list to make sure your original file has been uploaded before trying to replace, change categories or dates, reorder or remove it. Flag us immediately to your technical difficulties. If you have trouble uploading your file, don t see your uploaded file in the document listing section, etc., send us an with the following information: o The browser you used to access FIDO o The type of document you re trying to upload (Word, PDF etc.) o The Document Category you re trying to work within o Anything special about the file (very large, lots of images, etc.) When working with FIDO, remember this: o You are not responsible for uploading the following documents to FIDO: Peer Observations of Teaching Chair s Annual Evaluation Memorandum o You do not have to recreate everything held to date in your hard copy personnel file on FIDO. We suggest that you provide those materials that speak directly to your productivity in relation to your personnel action(s). o FIDO is a fairly robust system. You can add, delete and move items around to create the portfolio that best represents your work to others. You can augment and update your upload files as much as you d like during the faculty access period; there s nothing you can do that can t be undone. o FIDO serves as a kind of e-portfolio for digital document storage and organization. It s not a document editing program, so you can t make changes to the actual documents via FIDO. o Your reviewers will be given careful instructions and repeated reminders as to where key documents can be found (FIDO, your hard copy file). o We are standing by to help you meet our collective goal: an accurate and complete representation of your contributions and achievements. 5 STEP 1: Logging In Go to the FIDO 3.0 web site: Notes: 1. Please do not type in www as part of the web address. 2. For the best FIDO experience, we recommend that you use the most up-to-date version of your browser in accessing this site. Your log in info: Username: Your full JJ e mail address Password: Your current JJ e mail password Enter your log in information, click the Log In button, and you will be taken to your personalized Faculty Upload page: Faculty Profile: A quick snapshot of your JJ history and the personnel action(s) currently under review Upload Document: Where you ll be adding materials (see step 2 for details) Resources: Where you ll find reference materials pertaining to the personnel process. 6 STEP 2: Uploading Files Select the document category and date appropriate to the files(s) you want to upload from the Category and Semester/Year dropdown menus: Select the category that best fits the file you re planning to upload. NOTE: Your chair is responsible for uploading Peer Teaching Observations and Chair s Annual Evaluations. For Form C, CV and Scholarly Works in Progress uploads, select current semester (Fall 2018); for all other materials, select the most appropriate date. Click the Choose File to select the document you want to upload, and click the Upload button. FIDO will accept almost any file format. When the upload is completed, you ll see it listed under Faculty Documents: Uploaded files appear under their respective categories. Your document s original file name now appears here. Step 3: Keeping Your Files Up to Date Repeat Step 2 until you ve added everything that you want to add. F18_FIDO Quick Guide for Faculty, v1.0 Page 6 of 7
7 Updating and Maintaining Your Files To the right of every uploaded document, you ll find the Manage icon: When you click on the Manage button, you ll see a drop down menu for the different function you can perform for the document: Download to save the uploaded file back to your own computer. Edit Category/Date to change the category and/or the semester date. Replace the currently uploaded document with an updated version. o When you click the date link you ll get a pop up window that will allow you to browse and upload the replacement document. Remove to delete the uploaded document completely. Use the Move up and down arrows right above the Manage icon to change the order of the uploaded document within the category. Troubleshooting Tips: Having trouble uploading? Can t see your files after they ve uploaded?
