2 Instructions for Abstract Submission: Submit paper title by 11:59 pm on March 1, 2017 Text Style: For the title use Times New Roman font, size of font 16 in bold, capitalize only first letter in first word and any proper nouns. For list of authors and contact addresses and address use Times New Roman font, size 14. Bold the name of the presenting author in the list of abstracts. For the body of text use Times New Roman font, size of font 12. Length of Abstracts one page or less Digital File Type: All text (manuscript text and figure captions) must be submitted in either Microsoft Word format or Microsoft Word Rich Text format. Font: All text in body of abstract, extended abstract, figure captions, and table captions must be 12-point Times New Roman. Text Style: All text must be normal text no bold, all caps, italics, underling, etc., except for title and section headers for various sections of an extended abstract. Justification: All text must be left-justified, except for the start of each paragraph. At the beginning of a paragraph indent 5 spaces by entering 5 spaces before the first character in the paragraph. Margins: Set all page margins to 1 inch for top, bottom and right and 1.25 inch for left. No Tabs: There should no tabs whatsoever within the manuscript. This includes paragraphs; use spaces only for indenting paragraphs. Line Spacing: All text must be single spaced. Paragraph Spacing: Please use a double Hard Return to separate all paragraphs and headings one Hard Return (the key Enter on most computer keyboards) ends the paragraph, and the second will add a single blank line between the first paragraph and the next. Abbreviations: Use standard abbreviations where appropriate, e.g. ft., in, mi, m, km, etc. Note that many do not include periods (for inch, either in or in. is acceptable, with period often being used to avoid confusion with the word in ). If in doubt, consult a dictionary. For non-standard abbreviations, please spell out at its first use followed by the abbreviation in parentheses e.g., water was pumped at a rate of 1.5 x10 6 gallons of water per day (mgd), but thereafter use only the abbreviation.
3 Quotations: In general direct quotes are not appropriate in scientific writing, and are used only when absolutely necessary. Paraphrase instead. However, if your paper is a policy paper or discusses regulations then if quoting a statute or regulation it may be necessary to quote. If this is case, then the exact quotation will be in italics and between quote marks. At the bottom of the abstract list 4 key words, and state preference of poster or oral presentation with Easy Chair submission of choices of presentation format Below is an example for the typical abstract layout to submit as added file within an Easy Chair submission. Subsidence impact on Louisiana coast symposium is new forum to present technical, policy or historical information on subsidence of Louisiana coastal areas and various causes for this subsidence on historical and geological time scales. Name of first author, full mailing address, city, LA, 5 digit zip code: johndoe@esu.edu, name of second author, full mailing address, city, LA, 5 digit zip code: janedoe@esu.edu,... name of last author, full mailing address, city, LA, 5 digit zip code: billybob@esu.edu For start of each paragraph within the abstract indent at least 5 spaces. There is single spacing between lines within the abstract. Except for the start of a paragraph all other lines are left-justified. If you use abbreviations within the abstract write out fully what the abbreviation is, for example: as soon as possible (ASAP). If you use a symbol or Greek letter write out fully what word(s) the symbol or Greek letter is replacing, for example intrinsic permeability (k), angle of azimuth (θ). For units, use either metric unit or English unit with metric unit in brackets following the English value, for example: 35 feet (11 meters). Do not include any references, tables or figures within your abstract. Key words: units, spacing, abbreviations, symbols When you have finished your word file there is a need to submit that abstract within the Easy Chair system/program/web site. 1. Go to Louisiana Water Resources Research web page 2. Hit conferences tab. The page that opens up has conferences in the top left corner. 3. Click here for title and abstract submission via Easy Chair (LA Water 2017)
4 4. If you have already submitted a title log in with your user name and password, which you used for the title submission. If you have not already submitted a title you need to create an account. If you have forgot your password see tab if this is the case. 5. After you have logged in order created an account and logged in open my roles file. Hit word author near the bottom the page. 6. My submission page opens. Hit information for paper you wish to add/modify abstract 7. A page with your information appears changes as you see fit by hitting update authors, update information or add file tabs in upper right corner. Then edit as need. 8. If you re needing to abstract your abstract (word file) hit add file tab in order to down load your word file 9. If you hit add file a new page appears, title update a file for submission. Use browse to find file in your computer/data stick/etc. Then hit submit button. Abstracts will be published as submitted so check for any typing, spelling or grammar etc. errors to avoid any errors appearing within published set of abstracts. If you want to modify your abstract, return to Easy Chair and modify as needed. Deadline for a replacement abstract is March 10, Copyrighted or proprietary information: Author(s) are obligated to secure necessary written permissions to use copyrighted and/or proprietary information AND to include copies of these permissions with submitted material. This primarily applies to (but is not limited to) illustrations from other sources and includes seismic data, or other surface or downhole geophysical data. Apparent lack of such permissions may be grounds for rejection. Copies of notices will appear at the host website: Louisiana Water Resources Research Institute There is an alternative available for authors submitting papers to an abstract, an extended abstraction. This is not required, but if authors want to include more information beyond a standard one page abstract the extended abstract is available. See, instruction that follow for format of an extended abstract Instructions for Extended Abstract Submission: Persons with abstracts accepted for presentations for the Louisiana Groundwater Symposium are encouraged submit an expanded abstract. Expanded abstracts can be 2-6 pages with a few key figures and or tables included and a few references are necessary.
5 General Submission Requirements Absolute deadline for initial submission: Same as for Abstracts, MARCH 1, No expanded abstracts will be accepted after this date. Note that this is a FIRM deadline. Initial submission: Submit one electronic copy of your manuscript and illustrations for review following format guidelines below, and by the deadline. Editing process: Abstracts will be published as submitted so check for any typing, spelling or grammar etc. errors to avoid any errors appearing within published set of abstracts. If you want to modify your abstract, return to Easy Chair and modify as needed. Final Submission: All modification must be completed by March 10, Submission Format: Detailed format instructions follow these general instructions. You are expected to submit all digital files in the appropriate format or your manuscript will be promptly returned for correction. Please do not try to create your own format! Basically, for digital files we want a single-spaced document left justified, except for indenting the start of each paragraph at least 5 spaces. Text within the paper will be regular Times New Roman font size 12, except for title and headings within the paper. See detailed instructions for font requirements and justification requirements for title and headings. Most questions/topics should be addressed in the following pages, but if you have any format questions please contact Douglas Carlson at dcarlson@lsu.edu. Extended abstract length: Following all required guidelines of formatting, your printed copy, including all text, figures, etc. should not exceed a total of 6 pages and 3 pages of text. Use word version 10 or older to create paper. If you use more recent version of word before submitting expanded abstract save in word10 version. If you do not do this, it may become a problem to edit or even access expanded abstract. GENERAL DIGITAL FORMAT OF ALL TEXT MATERIAL (Direct all format questions to Douglas Carlson at dcarlson@lsu.edu) Font: See comments for abstracts. Text Style: See comments for abstracts. Justification: See comments for abstracts. Margins: See comments for abstracts No Tabs: See comments for abstracts.
6 Line Spacing: See comments for abstracts. Paragraph Spacing: See comments for abstracts. Abbreviations: See comments for abstracts. Quotations: See comments for abstracts. Embedded Figures/Tables: Embed anything into your text. Place all figures, tables within body of text with a two hard returns above and below the figure or table to separate it from the general text. The figure or table must appear after the first time it is referred to within the text. For tables use Word10 version or earlier for setting up table within the text. Figures can be imported into World from original tiff. Captions for figures should lie below the figure/image. Cations for tables should lie above the table. Grammar/style/etc.: Remember the editors will only briefly examine your abstract/extended abstracts, so to minimize the chance of errors appearing in your abstract/extended abstract, please have a capable friend or colleague review your paper prior to submission. In addition, please run your manuscript at least once through your grammar-spell checker routine within Microsoft-Word. To access the grammar-spell checker, hit the F7 key or go to Tools or the menu bar. Figure References: For figure reference in primary manuscript text, please follow the guidelines below: Figure references must be in numerical order. You must refer to Figure 1 in the text before or at the same time as Figure 2 and so forth. If used within a sentence, write out the word Figure, with Figure capitalized e.g., The fault highlighted in Figure 1 exhibits If used at the end of text, place in parentheses (Figure 3). If referring to multiple illustrations use Figures-e.g., faults indicated in Figure 2 and 5 -or use Figs.-e.g., downthrown block of the faults (Figs. 2 and 4). If referring to consecutive figures at the same time, use a hyphen-e.g., Figures 2-3 or.(figs. 2-3). If illustration has multiple parts refer to them as A, B, etc. using only capital letters, no hyphening.,.figures 3A and 4B Please note that an accompanying capital letter must be placed on the figure itself to delineate each individual component. Extended abstract organization: GENERAL: Organize your paper according to this outline: Title, author name(s), author affiliation(s) and address(es) in the same manner as requested for the abstract submitted earlier.
7 For expanded abstracts only heading expected are references and possibly acknowledgements. For both of these headings center and use 12 font Times New Roman. What follows is an example of headings after title and author information for an expanded abstract, which is the same style as noted for a paper, however the expanded abstract has fewer subdivisions. Acknowledgements References Format references in AAPG style, Chicago Manual style similar to the following examples and list in alphabetical order: Anderson, D.L., 1981, A global geochemical model for the evolution of the mantle, in R.J. O Connell and W.S. Fyfe eds., Evolution of the Earth: American Geophysical Union Geodynamics Series v. 5, p Bolt, B.A., 1999, Earthquakes: New York, W.H. Freeman and Company, 366p. Carlson, D., and R.P. McCulloh, 2005, A preliminary examination of geothermal gradient throughout Louisiana s 64 parishes. In Transactions of Gulf Coast Association of Geological Societies Transactions 55 th Annual Meeting. Lough, H.K. and B. Hunt, 2006, Pumping test evaluation of stream depletion parameters: Ground Water, v. 44, no. 4, p Reference Citations Within Text: Within sentence, use format such as Smith and Williams (1987) stated that Notice past tense ( stated ), since the paper was written in the past. At end of sentence, place entire reference with parentheses as follows: exhibit high vertical anisotropy ratios (Anderson, 2005). Three or more authors: Use et al. rather than and others e.g., Robertson et al. (1976) determined that. Do not italicize et al. or otherwise flag it. We will search them out ourselves. Note that et (is a complete word) has no trailing period, whereas al. (abbreviation for alii ) does. Equations: Include two hard spaces above and below each equation. After the equation identify each term within the equation. Do not assume all readers are familiar with your nomenclature.
8 ILLUSTRATION GUIDELINES (Direct all format questions to Douglas Carlson at File Format: The original images you imported into your word file should be illustrations with a format of TIFF (300 dpi). Any other formats could cause problems, and what you think will be printed maybe not be printed other formats, including JPEG, PDF and PowerPoint, will not be accepted. It is your responsibility to get your illustrations into a proper format though if you have questions regarding a specific application, please contact the format editor, Douglas Carlson at dcarlson@lsu.edu and he should be able to help you directly or forward your question to someone who can. Size of figures: Figure sizes (do not forget that figure captions take up space too) should not exceed 9 inches in height and 6.5 inches in width. All text and pages with figures should be in profile orientation. Resolution: Resolution should be 300 dpi for TIFF images lower is grainy, higher is unnecessary. It is better to set the figure size first then set the resolution (often during export). Scans: Only high-quality scans will be accepted. They must be properly cropped, oriented, cleaned-up, etc. Extraneous Information: Do NOT include author name(s); company name(s)/logo(s); Figure label, except A, B, C, etc. if appropriate (the figure is labeled in the caption); or extraneous white space. Black-and-white versus Color: Because program will be produced and available either by the symposium dates or shortly afterwards on the Louisiana Water Resources Research Institute s web site in color, we recommend submission of color illustrations. FIGURE CAPTION FORMAT For general text formatting, follow the directions above within General Digital Format of All Text Material All figure captions will be placed below the image/figure. The word Figure will be spelled out, followed by the figure number, then a period, two spaces, then caption text e.g., Figure 1. Map of study Where a figure caption will include a reference, use reference citation guidelines under Manuscript Text Guidelines and Organization
9 If figure has been modified from another source, you are still required to cite the original reference(s). Note that (from Smith, 1990) indicates direct re-use of Smith s figure (with appropriate copyright permission) and (after Smith, 1990) indicates that the figure has been modified. TABLE GUIDELINES We will accept table(s) as a Microsoft Word Table file. If this causes a problem for you, please consult with the editor. The table should have a title or caption, similar to a figure caption. The table captions will have Table, number: and text above the body of the table including headings and columns of data or text. For text font use general guidelines for text and figure captions. FILE AND PAPER COPY SUBMISSION (Direct all format questions to Douglas Carlson at dcarlson@lsu.edu) Digital Manuscript File: Submit a digital version in Word format by using Easy Chair as described for abstracts.
