1 NUT Associations and Divisions Website Content Guide Contents General guidelines 1 Guidelines for users WITHOUT an existing site 2 Guidelines for users WITH an existing site 3 Assets 3 Domain names 5 Contact and support 5 Useful references 5 Document version: 2.0 Purpose: To enable Associations and Divisions to prepare content for their NUT managed website Date: 28th July 2008 General guidelines The following guidelines are designed to assist Association and Division web managers to prepare content for new websites managed by YouDu Content Management System (CMS). Choosing templates One of two design templates can be selected from within YouDu CMS that determine the look and feel of the website. The horizontal navigation along the top has a limited width and is therefore available for those who can fit the top-level subject names within site width. Template with expanding left navigation down the left Template with horizontal navigation across the top
2 Site structure Each new site is configured with a set of top-level subjects that can be added to, changed or deleted according to the needs of each Association or Division. The pre-configured top-level subjects are: About us News Meetings Reps Health and Safety New to this area Training Policies Links For those who do not already have a website it is worth spending time in advance deciding how content is going to fit into the site structure. It is also worth considering how specific content areas may grow over time and how you plan to manage these areas. Details on the type of media that can be included on each page in addition to page text can be found in the Assets section. Home page content: The home page should be considered a central hub that highlights popular reference information and directs users to subject areas. The home page has the following sections that can be used to highlight popular reference information. Introduction What s happening in our area Notice board Division officers Quick poll Any of these sections can be removed from the home page as necessary. Guidelines for users WITHOUT an existing site Page content All page content will need to be added electronically. Users who are building their content in advance of receiving access details to the CMS can start to do so by writing their page content in a standard word processing package i.e Microsoft Word. When populating the site with the content it will be a simple matter of copying the text from the document and pasting it into the YouDu CMS administration module. It is recommended to build up a directory of images and documents for uploading to YouDu CMS Asset library. More detailed information about the types of assets which can be managed by the YouDu CMS can be found in the Assets section.
3 Guidelines for users WITH an existing site Page content Associations and divisions that have an existing site and are looking to transfer their content can do so through the YouDu CMS. By having access to both the existing site content and accessing the new YouDu CMS, page content can simply be copied and pasted from each screen into YouDu CMS. Formatting may need to be tidied up before pages are then published. The template styles which are included with the YouDu CMS do require content to be structured in a certain way, so it is worth spending some time deciding how the existing site content will fit in to your chosen template style. Assets YouDu CMS has an area called Assets where images, audio files, videos, and documents can be stored ready for adding to a page. Documents are all linked to and the other assets can be embedded in to a page to complement the page content. Building YouDu Assets library YouDu CMS firstly needs all of the assets that the existing site has. Pages can then start to be created. The assets are images, audio files, videos, and documents. Once these items are in YouDu Asset library they can be easily used when constructing pages within the CMS. If images and documents have not already been saved to a computer that has internet access it is best to download a copy of them from the existing website. This can done by right clicking (using Internet Explorer on a PC) on the image or document link - selecting Save Target as for documents and Save Picture As then save to a memorable location on the computer. Right click on a link Right click on a picture It will be from this location that the images and documents can be uploaded to YouDu CMS when logged in as the administrator. When uploading assets it is important to specify: Title Alt tag To identify the asset in the library To assist with accessibility The Alt tag (Alternative tag) is the yellow label that appears when a user rolls the mouse over the asset that provides a further description and will assist search engines when they index your site.
4 Images Images can be uploaded to the asset library in the following formats JPG JPEG GIF TIF EPS PNG (PNG, GIF and JPG formats are best for use on the Internet and these are the only types of images which will be shown as part of your page. Other types of images will be linked to for downloading). It is recommended that images are first edited using image editing software and optimised for the web. Image editing needs to carried out using a separate software package and is not handled by the YouDu CMS. The smaller the image files size in Megabytes (MB) or Kilobytes (KB), the faster the pages will load for visitors to the website. The physical size of the images is measured in pixels. It is recommended the images should not bigger than 220px wide by 190px high. Audio files The following types of audio files can be uploaded MP3 MP4 WAV MPP Video The following types of video files can be uploaded to the asset library: ASF AVI Documents The following types of document files can be uploaded to the asset library: Adobe PDF Microsoft Word (DOC, RTF) PowerPoint (PPT, PPS) Excel (XLS) TXT ZIP HTM Training - what to bring with you! A quick list of what elements to bring to your local website training session: Names to your website administrators and addresses Names of the committee members Names, addresses, photos and contact details of officers Dates, times, venues maps of your calendar of forthcoming meetings A short introduction and/or history of the NUT in your Local Authority A list plus explanation of the key priorities of your association/division
5 Any policies you want to post Material to specifically support school reps A list of local links An outline of what to do for new teachers coming in to your area A subject for a quick poll Domain names Each Association or Division website will be accessible from a URL (web address) similar to: where yoursite is the name of your Association or Division. For Associations or Divisions which already have one or more existing domain names, these can be mapped to the new YouDu CMS managed website. Each site will always be available from the URL detailed above so it will be possible to run your old and new sites in parallel while you move the content over. If you have an existing domain name which you will want to use with the new site, please provide these details when you sign up for the service. That way we will ensure that we configure the system to accept requests to the domain name and return the appropriate website content. Once you are ready to make your new site live on your existing domain name you will need to instruct the organsation who manages name to add the following entry into the domain name hosts file. www IN CNAME nutwww1.bocc.co.uk.
